Choose Obsidian if your priority is a durable personal archive made of local Markdown files, offline access, backlinks, and deep customization. Choose Notion if your “everything” system must also run projects through databases, dashboards, permissions, sharing, publishing, integrations, and built-in AI. A split setup works when your private knowledge and shared operations have genuinely different owners.
The important distinction is not the number of features. Obsidian is organized around files and connected ideas; Notion is organized around managed pages, structured records, and collaborative workspaces.
Quick decision: which tool fits your knowledge base?
| If your dominant requirement is… | Better default | Why |
|---|---|---|
| A private research archive, journal, reading notes, or evergreen notes | Obsidian | Your vault is a local folder of Markdown files, so the notes remain directly accessible as ordinary files. |
| Backlinks, metadata, and exploring connections between ideas | Obsidian | Backlinks and Graph view are designed for connected-note work. |
| Task or project tracking with properties, filters, and several views | Notion | Databases, relations, custom properties, filters, charts, and dashboards are part of the workspace model. |
| Shared pages, guests, permissions, and teamspaces | Notion | Its documented plans include collaborative blocks, guests, database permissions, and team-workspace features. |
| Working when a service connection is unavailable | Obsidian | It starts with files stored on your device. Notion also supports offline use, but its apps document selected pages plus automatically downloaded recents and favourites. |
| One system that combines personal notes with shared operations | Depends on the boundary | Use Notion when collaboration is central; use both when a local personal archive and a shared operating workspace should remain separate. |
That table is a starting point, not a feature-count contest. Decide which workflow would be hardest to replace if the other tool disappeared: your answer usually identifies the right foundation.

Obsidian: a local Markdown vault
Obsidian stores notes as Markdown-formatted plain-text files inside a vault. A vault is a folder on your local file system, not a proprietary database that only one application can open. You can reach those files with your normal file manager, open them in another text editor, and keep using them even if you later change applications.

That storage decision shapes the whole product. Obsidian’s core unit is a note, and links between notes form a network. Backlinks show which notes point to the current note; metadata adds structured context; Graph view lets you explore the relationships visually. The result is well suited to a personal wiki, research archive, journal, or collection of evergreen notes where the value comes from connections that were not obvious when each note was first written.
Obsidian describes its data model as local and says its notes are stored in non-proprietary plain-text files. Its open API and more than 1,000 plugins allow you to adapt the editor to a particular method, but that flexibility also means you are responsible for choosing, configuring, and maintaining your system.
Notion: a managed workspace of pages, blocks, and databases
Notion organizes information as pages made from blocks. A page can contain prose, lists, embeds, and other building blocks; a database adds records, properties, relations, filters, and multiple views. The same underlying records can therefore appear as a table, a board, a calendar, or another operational view without copying the information.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
This model is less like a folder of text files and more like a managed workspace. Pages, databases, permissions, templates, automations, integrations, API features, and plan-dependent AI capabilities are designed to work together. That makes Notion attractive when your “second brain” is also a project hub, content calendar, shared knowledge base, or published site.
Notion documents workspace export to HTML, Markdown, CSV, and PDF. Export gives you an exit path, but it does not turn every workspace feature into an equivalent collection of independent files: databases, permissions, relations, and views are part of the managed workspace model.
Ownership, portability, and your exit path
Storage is the most consequential difference because it determines what you can do without either vendor’s application.
| Question | Obsidian | Notion |
|---|---|---|
| Where the primary data lives | A local vault folder containing Markdown plain-text files. | A managed workspace containing pages, blocks, and databases. |
| Can another editor open the notes? | Yes. The files can be opened and edited with other text editors and file managers. | Exports are available, but the workspace model is not just a folder of independent text files. |
| What can be exported? | The Markdown files are already present in the vault. | Notion documents export to HTML, Markdown, CSV, and PDF. |
| What may not survive a simple export? | Plugin-specific behavior and display conventions may require the relevant plugin or a replacement workflow. | Database structure, permissions, relations, and views may not map one-for-one into exported files. |
When local ownership should decide the choice
Choose Obsidian as the foundation when your notes must remain useful as files first and application records second. That is a strong fit for long-lived research, personal writing, reading notes, and material you may want to process with ordinary file tools later.

When Notion’s managed model is the better trade
Choose Notion when the value of the system comes from a coordinated workspace rather than file-level control. A managed database can enforce properties, expose filtered views, and provide a common place for collaborators to edit. That convenience is useful when preserving every implementation detail outside the service is less important than making the workspace easy to operate today.
Plan an export routine if the workspace will contain irreplaceable material. An export is a copy, not a complete reconstruction of the live workspace, so document which databases, views, permissions, and linked relationships are essential before you need to leave.
Offline use: local-first versus selectively cached
Obsidian’s local-first behavior
Because the vault is stored on the device, opening and editing a note does not begin with a request to a remote workspace. That is the simplest offline model: the files you need are already present. Any synchronization layer you add is a separate concern from the notes themselves.
Recommended Free Tools
This is particularly useful for travel, field work, commuting, or environments where connectivity is intermittent. It also reduces the risk that a temporary service problem prevents you from reading your own archive. The trade-off is operational: you must manage backup and synchronization choices rather than receiving a single managed workspace experience.
Notion’s offline behavior
Notion supports offline use in its desktop and mobile apps, but its documented behavior is based on page availability rather than a complete local copy of the entire workspace. You choose pages for offline access, while recent and favourite pages can be downloaded automatically. A page that was never selected, recently opened, or marked as a favourite may not be available when the connection disappears.
Before a trip or outage, open and select the pages you actually need. Test the workflow on the device you will carry; offline availability is useful only if the relevant databases and reference pages are present there.
Two kinds of linking: ideas versus records
Obsidian for connected ideas
Obsidian is strongest when a note is valuable partly because it points to other notes. You can make a concept note, link it from reading notes, add metadata, and use backlinks to discover where the concept is already used. Graph view provides a visual way to inspect clusters and bridges in the vault.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsThis encourages an incremental method: capture a source, write your own interpretation, link it to related concepts, and let the network grow. You do not need to predict every future category before creating the note. The links become navigation and context.

The cost is that a graph is not a project-management system by itself. If you need consistent status fields, owners, due dates, filtered queues, or dashboard totals, you will either design those conventions yourself or add a plugin and maintain it.
Notion for structured collections
Notion’s links are especially powerful when the things being linked are records with shared fields. A project database can relate to a people database, a meeting can relate to a project, and filtered views can show only the records relevant to a particular team or stage. Custom properties, relations, filters, charts, and dashboards make the structure visible and operational.
This is a different form of knowledge management. Instead of primarily asking, “What ideas connect to this note?”, you can ask, “Which records meet these conditions, and what should happen next?” That makes Notion a strong choice for project tracking, content operations, personal task systems, and shared reference libraries.
Notion can still contain long-form writing and page links, but the system’s leverage comes from its records and views. If your notes rarely need fields, sorting, or filtered dashboards, those structures may add more maintenance than value.
How to build an Everything system in Obsidian
- Create a vault around a durable scope. Use a local folder for the material you expect to keep together, such as personal notes, research, journal entries, and reading notes. Keep the scope understandable enough that you can back it up and move it as one unit.
- Capture in plain Markdown. Write the source, date, and your own interpretation in the note rather than relying on a service-specific card or database row. Plain text keeps the content readable outside the application.
- Link concepts as you encounter them. When a note depends on an idea already in the vault, link to that idea. Create a new concept note when the idea deserves a durable home instead of leaving it buried in a source summary.
- Add metadata only where it answers a real question. Use metadata to distinguish types of notes, sources, projects, or review states that you will actually filter or search later. Excess fields turn a writing tool into an administrative task.
- Use backlinks for context. Open a concept and inspect its backlinks to find the surrounding arguments, examples, and sources. This is often more useful than maintaining a rigid folder hierarchy.
- Use Graph view as an inspection tool, not a scorecard. A dense graph does not prove that the knowledge base is useful. Look for missing links, isolated notes, or clusters that deserve a clearer index.
- Choose customization deliberately. Obsidian’s open API and 1,000-plus plugins can fit many workflows. Add a plugin only when it solves a recurring problem, and record what your notes depend on so the vault remains understandable if that plugin changes.
- Set a recovery routine. Keep independent copies of the vault and verify that a restored copy opens as expected. If you use optional Sync, treat it as synchronization rather than your only backup.
How to build an Everything system in Notion
- Define the workspace areas. Separate personal reference, active projects, tasks, and shared material with pages or teamspaces so permissions and navigation reflect who uses each area.
- Start with a small number of databases. Create a database only when records share properties or need multiple views. Typical candidates are projects, tasks, sources, meetings, or content items.
- Choose properties that drive decisions. Add status, owner, date, type, or priority only when a filter, relation, or view will use it. A property that never changes a view is usually decorative overhead.
- Connect related records. Use relations to connect tasks to projects, sources to topics, or meetings to the work they affect. This preserves context without copying the same information into several pages.
- Create operational views. Apply filters to show the next actions, overdue work, a particular project, or a personal reading queue. Use charts and dashboards when a summary helps you decide what to do, not merely because the feature exists.
- Set sharing deliberately. Decide which pages are private, which can be shared with guests, and which belong in a teamspace. Configure database permissions before inviting collaborators so sensitive records are not exposed through a convenient view.
- Use templates, automations, integrations, and API features where they remove repetition. Keep a written description of any important automation so the workflow can be rebuilt if a plan or integration changes.
- Prepare offline pages before leaving connectivity. Select the pages you need and open important recent or favourite pages on the device you will use. Do not assume every database in the workspace is cached.
- Schedule exports for irreplaceable material. Use Notion’s documented HTML, Markdown, CSV, or PDF export options and verify that the exported files contain the information you would need to reconstruct the system.
Collaboration, permissions, and publishing
Notion has the clearer native collaboration model. Its documented workspace features include collaborative blocks, guests, teamspaces, database permissions, integrations, and AI capabilities that vary by plan. Those pieces let a group work in the same pages and records instead of exchanging files or agreeing on a separate synchronization method.
That model is valuable when the knowledge base is also a shared operating surface: a project tracker, team handbook, meeting system, or publishing workflow. The same database can support different views for different people while retaining a common source of records.
Obsidian’s cited product material emphasizes privacy, local ownership, and extensibility. It does not document an equivalent native team-editing model in the material available here. For a primarily personal archive, that is not a weakness; for simultaneous editing, permissions, and guest access, it means you would need to evaluate additional arrangements rather than assume parity with Notion.
Customization and maintenance
Obsidian’s flexibility
Obsidian gives you a local file model, an open API, and more than 1,000 plugins. You can shape the editor around a particular note-taking method, add specialized views, and keep the underlying content in Markdown. The price of that freedom is system stewardship: plugin choices, configuration, compatibility, and documentation become part of your responsibility.

A practical rule is to keep the core archive readable without plugins. Treat plugins as enhancements, not as the only place where important information exists. That way, a future change affects convenience before it affects your content.
Notion’s integrated structure
Notion supplies templates, integrations, automations, API features, and plan-dependent AI or workspace capabilities inside a managed environment. You spend less time assembling a stack of extensions and more time defining the properties and views that people will use.
Integration has a corresponding dependency: a change to a plan, permission model, automation, or connected service can affect the workflow. Keep your essential process understandable in ordinary pages and exports, and avoid making a single automation the only way to find or update important information.
Costs and plan limits
The cost shapes are different. Obsidian’s core application is presented as free and user-supported; optional Sync is a separate service, and its current price should be checked before purchase. Notion publishes per-seat workspace pricing in the United States.

| Notion Free | US$0 per seat/month | US list price shown for 2026. |
| Notion Plus | US$10 per seat/month | US list price shown for 2026. |
| Notion Business | US$20 per seat/month | US list price shown for 2026. |
| Notion Enterprise | Custom pricing | Contact-based pricing rather than a fixed public seat rate. |

| Notion paid file uploads | Unlimited uploads, with an approximately 5 GB maximum per file | Limit shown in the 2026 plan table; verify the current plan terms before relying on it. |
| Notion page history | Windows shown include 7 days, 30 days, 90 days, and unlimited | The displayed duration depends on the plan tier. |
Prices and limits can change, and Notion’s figures above are United States list prices for 2026. If you are budgeting for a team, multiply the per-seat rate by the people who need access and check whether the features you require are included in that tier.

Choose Obsidian for a private research archive
Use Obsidian when you expect years of notes, want direct file access, and care more about connected ideas than shared permissions. Research notes can remain close to their sources, while concept links and backlinks turn separate reading sessions into a navigable personal archive.
Choose Obsidian for journaling and evergreen notes
A local Markdown vault is a natural home for writing that should remain private and portable. You can develop evergreen notes gradually, link them to examples, and keep the text readable even outside the application.

Choose Notion for shared pages and publishing
If collaborators, guests, permissions, teamspaces, or web publishing are central requirements, Notion’s managed workspace model is the more direct fit. You can give people a common page structure without asking them to understand your personal file organization.
Choose both when the boundaries are real
A split setup is reasonable when your durable personal archive and shared project operations have different requirements. Keep personal research, journaling, and long-lived notes in Obsidian; keep collaborative projects, permissions, dashboards, and shared records in Notion.
Define the boundary before you start. Decide which system owns a source note, which owns a task, and how a link between them is represented. If the same full record is copied into both places, updates will diverge and you will create two competing sources of truth.

Choosing by feature count
A long feature list does not tell you whether the storage and linking model fit your work. Start with the dominant workflow: connected personal notes point toward Obsidian; structured collaborative operations point toward Notion.
Building an elaborate system before capturing anything
In Obsidian, too many folders, metadata fields, or plugins can make writing feel like data entry. In Notion, too many databases and properties can create a dashboard that nobody maintains. Begin with the smallest structure that answers a recurring question, then add complexity only when the need is visible.
Assuming offline means the same thing everywhere
Obsidian starts from local files. Notion offline access depends on selected pages and automatically downloaded recents or favourites. Test the exact pages and device you will rely on before you lose connectivity.
Treating export as a perfect clone
Obsidian’s Markdown files are already outside the app’s proprietary storage model. Notion can export to HTML, Markdown, CSV, and PDF, but database views, permissions, and relationships may need reconstruction. Export a sample workspace and inspect it before making a full migration plan.
Making synchronization the only backup
Synchronization keeps copies aligned; it is not the same as a historical recovery strategy. Keep independent copies of an Obsidian vault, and retain periodic exports of irreplaceable Notion material.
Putting shared work in a private archive
A personal vault is a poor substitute for permissions and team editing. If several people need to update records, assign work, or see different views, put that operational layer in Notion or another system explicitly designed for it.
A practical selection test
- Write down your five most frequent actions. Examples include writing a research note, finding every note linked to an idea, assigning a task, filtering a project queue, and sharing a page with another person.
- Mark each action as file-oriented, connection-oriented, or record-oriented. File and connection work favors Obsidian; record, permission, and dashboard work favors Notion.
- Identify your non-negotiable failure condition. If losing direct access to local files is unacceptable, begin with Obsidian. If a team cannot work without permissions and shared databases, begin with Notion.
- Prototype one real project, not a toy example. Build a small slice of your archive or project system and test capture, retrieval, offline access, sharing, and export.
- Choose one source of truth per item. If you adopt both tools, write the ownership rule before importing content.
Final recommendation
For a durable, primarily personal Everything knowledge base, Obsidian is the better default when local Markdown files, offline access, backlinks, and customization matter most. Notion is the better default when your knowledge base must double as a structured, collaborative workspace with databases, dashboards, permissions, publishing, integrations, and AI-assisted features. Use both only when the personal archive and shared operations are distinct enough to justify two sources of tooling—and keep their ownership boundaries explicit.
