Choose Obsidian if your first priority is owning a folder of local files and deciding how those files are stored and backed up. Choose Notion if you want a managed, online workspace designed around access and collaboration. Neither is a universal winner. The practical decision depends on how much you work offline, whether you need other people in the same workspace, how you expect to recover from mistakes, and how important a clean exit is if you change tools later.
Obsidian’s core application uses a local vault: a folder on your device containing your notes. Notion describes its product as an online connected workspace. Those storage models affect every later choice, including synchronization, privacy, backup, publishing, and migration.
The real choice: local files or a hosted workspace?
Feature checklists obscure the decision. The two products begin with different assumptions about where your knowledge lives.
- Obsidian: your vault is a folder in the local file system. The application reads and edits those files, and you choose whether and how to synchronize them between devices. Obsidian says its software is free for personal, commercial and nonprofit use, while Sync and Publish are separate services. Obsidian’s pricing and licensing page describes that model.
- Notion: the company describes Notion as an online connected workspace for collaboration and web publishing. Your pages live in that hosted service rather than starting as a folder of ordinary files on your computer. Notion’s Digital Services Act disclosure uses that online-workspace description.
For a personal knowledge base (PKB), this is a control decision. A local vault gives you direct access to the underlying files and lets you use ordinary file-copy and backup tools. A hosted workspace reduces the amount of infrastructure you maintain, but you need to understand the provider’s access, export and recovery behavior.

| Decision area | Obsidian | Notion |
|---|---|---|
| Base storage model | A vault is a folder on your local file system. | An online connected workspace. |
| What you control directly | Vault files, folder location and your chosen synchronization or backup method. | Pages and workspace content through the hosted service; export is available, but preservation of every structured feature must be tested. |
| Offline foundation | Core notes are local files. A synchronization method is needed to keep multiple devices aligned. | Current offline behavior and limits are not stated in the cited official material; check current Notion Help for the devices and features you depend on. |
| Optional synchronization | Obsidian Sync is a separate service. Its documented workflow allows offline work and synchronization later; see the sync guide. | Workspace access is provided by the hosted service; current plan and offline limits require verification in Notion’s live documentation. |
| Encryption information established here | New Obsidian Sync remote vaults use end-to-end encryption by default. Obsidian says it cannot access notes protected that way. Local vaults are not encrypted by Obsidian itself. | Technical security details are not stated in the cited sources, so a broad security ranking would be unsupported. |
| Recovery history | Sync note history is retained for one month on Standard and twelve months on Plus; older attachment versions are retained for two weeks. These plan limits may change. | Comparable retention information is not stated in the cited sources. |
| Export evidence | Because the vault consists of local files, you can access and copy those files directly. | The surfaced GDPR guidance says a whole workspace can be exported as Markdown files in a folder, or an individual page can be exported. It does not establish how databases, relations, views or other structured behavior survive. |
| Core application cost | Free for personal, commercial and nonprofit use according to Obsidian’s license page. Sync and Publish are additional services. | Current personal-plan prices and limits are not stated in the cited material; use the live Notion plan table before deciding. |
How Obsidian’s local-vault model changes your system
Your notes are ordinary files in a vault
Obsidian’s help documentation defines a vault as a folder on the local file system. You select that folder when creating or opening a vault, and the application works with the files inside it. This makes the storage boundary visible: moving or copying the vault means moving or copying the source material for your knowledge base.
The local model is useful when you want to inspect files outside the app, include them in a conventional backup, or keep control of where they reside. It also means that storage maintenance is partly your responsibility. You must decide which devices contain a working copy, how those copies are synchronized, and how a backup is kept separate from accidental edits.
Whole-vault access is part of the design
Obsidian notes that it needs access to the whole vault for operations such as updating links when a file is renamed. That behavior is convenient for a linked knowledge graph, but it is also a reminder that a vault is a coherent set of files rather than an isolated collection of individually permissioned pages. Keep the vault in a location you trust and include the complete folder when backing it up.
Sync and Publish are optional layers
The local vault is the base model; synchronization and web publishing are separate services. You can therefore start with one device and local backups, then add a cross-device service when the need is clear. The trade-off is that each additional service introduces its own account, settings, billing and recovery considerations.
How Notion’s hosted-workspace model changes your system
Access is organized around an online workspace
Notion presents itself as an online connected workspace that supports collaboration and web publishing. This is attractive when your notes, project pages and shared material should be available through a managed service rather than maintained as a folder on each computer.
A hosted workspace can simplify access management and reduce the number of synchronization mechanisms you have to configure yourself. The corresponding question is what happens when you are offline, when a service feature changes, or when you need to move your information elsewhere. Those answers depend on current product behavior and your workspace configuration, so verify them before making a large commitment.
Ownership is not the same as storage control
Notion’s personal-use terms say that you retain ownership of your User Content. The same terms grant Notion a non-exclusive, transferable, worldwide, royalty-free license to use, host, cache, store, reproduce, transmit, display, perform, publish, distribute and modify the content for formatting purposes, solely in connection with operating and providing the services. Read that as a service-operation license, not as a statement that Notion owns your personal notes. It does mean that ownership and practical control are separate questions.

Offline work and multiple devices
Obsidian: local first, synchronization by choice
With Obsidian, the core vault files are already on the device where you opened the vault. You can work on those files without an internet connection. To use the same knowledge base on a phone, tablet and more than one computer, you need a synchronization approach that keeps copies consistent.
Obsidian’s synchronization guidance describes choosing among synchronization methods, and Sync documentation describes working offline and syncing later. Before relying on any method, decide which device is authoritative when two copies change the same file, and test how attachments and renamed files behave.
Notion: verify the offline experience you actually need
The available official material does not establish current Notion offline limits, device coverage or which workspace features remain usable without a connection. Do not base a purchase or migration on an old claim that Notion either has or does not have an offline mode. Check current Notion Help and test your own pages, attachments and structured views on every device you plan to use.
A practical offline test
- Choose five representative items: a long note, a note with links, an attachment, a recurring task page and any structured page your system relies on.
- Open them while connected, then disable the network on each target device.
- Edit existing content, create a new item and close and reopen the app.
- Reconnect and observe which edits synchronize, whether conflicts are surfaced, and how long synchronization takes.
- Repeat after deliberately editing the same item on two devices so you know the conflict behavior before your real archive depends on it.
Record the result by device and content type. “Works offline” is not one universal requirement: reading a note, creating a page, uploading an attachment and editing a complex view can have different results.
Privacy, encryption and recovery
What Obsidian documents for Sync
Obsidian says that end-to-end encryption is enabled by default when you create a new remote vault in Sync. Under that protection, Obsidian says it cannot access your notes. The consequence is important: if you forget or lose the encryption password, the protected remote data cannot be recovered by Obsidian.
The same security guidance says the Obsidian application does not encrypt a local vault. End-to-end encryption for a remote Sync vault therefore does not make an unencrypted local copy safe from someone who can read the device. Use your operating system’s account security and full-disk encryption, and protect physical access to the machines that contain the vault.
Read the exact settings and warnings in Obsidian’s security and privacy documentation before creating a remote vault.

Version history helps, but it is not a complete backup
Obsidian Sync’s documented note-history retention is plan-dependent: one month on Standard and twelve months on Plus. Older attachment versions are kept for two weeks. These are service limits, not a replacement for an independent backup. A synchronization service can replicate an accidental deletion or a corrupted edit just as efficiently as a good change.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsUse version history to recover a recent note change, and use separate backups for longer retention, device loss or account problems. Confirm the current limits in the version-history guide because plan details can change.
How to build a recovery plan
- Keep a working copy: the vault or workspace you edit daily.
- Keep a separate copy: a backup that is not altered immediately when you edit a note.
- Keep a historical copy: dated snapshots so you can recover an earlier state, not merely the latest one.
- Test restoration: open a restored copy and verify links, attachments and important metadata.
- Protect credentials: store the Obsidian Sync encryption password in a password manager and maintain a secure recovery method for either service.
Portability and the cost of switching later
Obsidian’s exit path is visible
Because an Obsidian vault is a local folder, you can copy it with ordinary file tools. Your Markdown notes, attachments and folder structure remain accessible without asking the application to generate an export. That does not guarantee that every plugin-specific feature will work elsewhere, but the underlying files are available for inspection and conversion.
Before installing plugins or building elaborate conventions, identify which parts of your system are plain text and which depend on application-specific metadata. A future tool may read the text while ignoring specialized settings, embedded queries or plugin data.
Notion export needs a representative trial
A localized Notion GDPR page says you can export a whole workspace as Markdown files in a folder or export an individual page. The surfaced guidance does not establish whether database relations, views, properties, formulas, permissions or other structured behavior survive that export in a form you can use elsewhere.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →If portability matters, do not test only a simple page. Export a small copy containing the structures you actually use, then inspect the resulting folders and files in another editor. Check links, attachments, table data, relation targets and any workflow logic. Treat the result as a migration specification for your own workspace, not as a general promise about every Notion export.
A migration-readiness procedure
- List the content types in your system: prose notes, tasks, attachments, linked pages and structured collections.
- Export a representative workspace or a set of individual pages using the current Notion export controls.
- Open the export without the Notion application and confirm that the important text and files are readable.
- Compare one structured collection before and after export. Note which relationships, views and properties remain usable rather than merely present as text.
- Estimate the manual cleanup time. If the result is unacceptable, keep a second system of record or choose a local-file workflow before migrating thousands of pages.
For the stated export options, see Notion’s GDPR information.

Designing a personal knowledge base in either tool
Start with retrieval, not decoration
Define what you need to retrieve six months from now. Typical categories include reference notes, meeting records, project decisions, reading notes, tasks and recurring reviews. Give each category a clear home and a naming convention before adding templates or automation.
Then define the links that matter. A PKB is useful when a note captures a decision and points to the project, person or source that gives it context. The application should make those relationships easy to maintain, but the underlying structure should remain understandable if a feature disappears.

When Obsidian fits the design
Obsidian is a natural starting point when you want folders and files you can inspect directly, work without a connection, and choose your own synchronization and backup layers. Use a small number of top-level folders, stable file names and ordinary Markdown where possible. Keep attachments inside a predictable location and include them in every backup.
Because Obsidian may need access to the whole vault to update links after a rename, avoid scattering one vault across locations with different permissions. Decide whether personal and sensitive material belong in separate vaults so the access boundary is obvious.
When Notion fits the design
Notion is a candidate when your system is primarily an online workspace and you expect pages to be shared, published or maintained collaboratively. Start by deciding which information is personal and which is shared. Keep a written description of important structures so that another person could understand the system without relying on one view or template.
If your workflow depends on databases, relations, filtered views or other structured behavior, document those dependencies. They are exactly the elements whose preservation you must test in an export rather than assuming that Markdown files reproduce them.
Collaboration and publishing considerations
Notion’s own description emphasizes collaboration and web publishing in an online workspace. That makes it worth considering when other people must comment, edit or consume the same material through a managed environment.

Side clips easily clampe the edge of desk, pass through the holes on the sides, and secure excess cables with baskets. Desk cable management supports inward or outward installation to meet your needs in different scenarios, and provides you with great convenience when collecting and organizing wires.
- 【Rubber Pad Protects Desk】Wire organizer under desk built-in soft rubber pads on the clamp protect your desk from scratches, so you will not damage your furniture or office.
- 【Sturdy and Beautiful】Cord management under desk is made of high-quality carbon steel and holds about 15 lbs. The wire basket has 2 holes on each side of the tray to enable your cables to pass freely. Cable baskets are suitable for desk thickness use from 0.4" to 2.4".
- 【Space Saving & Keep Organized】Desk cable management tray holds all your power cords, outlet strips, USB hubs and computer transformers hidden from your feet, and the data cables will not enter the vacuum cleaner to keep your desk clean and tidy. Desk wire organizer is also suitable for use in the kitchen and outdoors.
- 【Reduce Safety Risks】Cable tray under desk keeps all plugs away from your kids, no more worry about tripping. Using 2 holes wire tray saves extra space, helps you easily cabling and wire protection. The mesh design is not easy to accumulate dust, but avoids safety accidents caused by messy wires.
Obsidian also offers Publish as a separate service, but the local vault remains the foundation. Decide whether publishing a selected set of notes is a central requirement or an occasional output. If it is occasional, keeping your source files locally and publishing only a curated subset may give you a clearer boundary between private working notes and public material.
The available evidence does not support a detailed, current feature-by-feature verdict on collaboration, databases or technical security. Evaluate those areas with a short pilot involving the people, permissions and content types that your real system will use.
Costs, licensing and plan checks
Obsidian’s cost structure
Obsidian’s license page states that the core application is free for personal, commercial and nonprofit use. Sync and Publish are additional services, so your cost depends on whether you need hosted synchronization, web publishing or both. Current prices and limits should be read from the live Obsidian pricing page at the time you subscribe.
Do not treat the free application as proof that a multi-device setup is free: you may still incur the cost of a synchronization service, storage, backup infrastructure or the time required to maintain them.
Notion’s plan details require a current check
The cited material does not provide current Notion personal-plan prices, usage limits or feature availability. Check the live plan table immediately before choosing, and verify the limits that matter to your workspace rather than comparing a headline price alone.
For either product, calculate the cost of the system you will actually run: number of devices, synchronization or collaboration requirements, publishing, retention and backup. A cheaper application can become the more expensive choice if it forces manual work you cannot sustain.
Decision framework by priority
Choose Obsidian first when…
- You want the primary copy of your notes to be a folder of files you can copy and inspect.
- Offline access is a baseline requirement and you are willing to choose a synchronization method for other devices.
- You want to separate the note application from your backup and storage tools.
- You are comfortable safeguarding an encryption password when using Sync and maintaining device-level protection for local files.
- You value a straightforward exit path based on accessible files.
Choose Notion first when…
- Your main requirement is a managed online workspace rather than direct control of local files.
- People need to collaborate on the same pages or you expect to publish from the workspace.
- You accept that offline behavior, export fidelity and service limits must be checked against current documentation and tested with your own content.
- You are prepared to document structured workflows so they can be rebuilt if an export does not preserve every behavior.
Run a pilot when priorities conflict
If you need local ownership and heavy collaboration, do not decide from marketing pages. Build the same small system in both products for two weeks. Include a daily note, a project, a reference collection, an attachment, a recurring task and a recovery exercise. Score each tool for capture speed, retrieval, offline work, sharing, restoration and export—not for the number of available features.

Implementation checklist for a reliable system
Obsidian setup
- Create a vault in a location included in your device’s backup plan.
- Choose a simple folder and naming scheme before importing a large archive.
- Decide whether you will use Sync, another synchronization method, or one-device access.
- If you create a Sync remote vault, save the encryption password in a secure password manager and understand that losing it can make the protected remote data unusable.
- Test a restore of the entire vault, including attachments, before treating it as your only knowledge base.
Notion setup
- Create a small workspace model with the pages and structures you genuinely need.
- Verify access on every device and under the offline conditions you expect.
- Export a representative sample and inspect the result outside Notion.
- Record the purpose of each structured collection, relation and view so the system can be reconstructed.
- Set a recurring export or backup review appropriate to the importance of the content, and test that the exported files are readable.
Common mistakes and how to avoid them
- Choosing from feature counts: A long list of features does not tell you whether your data is local, how it behaves offline or how it leaves the service. Start with the storage model.
- Confusing synchronization with backup: A synchronized deletion can reach every device. Keep a separate historical copy.
- Assuming encryption covers every copy: Obsidian Sync’s end-to-end encryption does not encrypt a local vault. Protect the devices and backups that contain local files.
- Losing an encryption password: Obsidian states that it cannot recover data in a Sync vault protected by a lost password. Store the password securely before you need it.
- Testing export with a simple page: A plain Markdown note says little about the survival of relations, views and properties. Export representative structured content.
- Relying on stale offline or pricing claims: Product limits and plans change. Check current vendor documentation when you make the decision.
- Building an irreplaceable system around one view: Keep a human-readable description of your naming, linking and review conventions so the knowledge remains usable if you change tools.
Bottom line
Obsidian is the stronger starting point for a personal knowledge base when local files, offline-first access and direct portability are non-negotiable. Notion is the stronger candidate when a managed online workspace and collaboration are central. For either choice, run a small pilot, test recovery and export with your real content, and verify current plan and offline details before moving your entire archive.
