Neither app is the universal winner. Choose Notion when you want a shared workspace built around pages, databases, collaboration, and web publishing. Choose Obsidian when you want a core application advertised as “Free without limits” and prefer to add paid Sync or Publish services only when you need them.
The practical decision is not about which logo is better. It is about your workflow, the devices you use, whether other people must work in the same space, and which optional services you will actually pay for. This guide separates those decisions and flags what the vendors do—and do not—establish about offline use, exports, pricing, and migration.

Obsidian separates the core app from paid services
Obsidian’s pricing page uses the phrase “Free without limits” for the core application and lists Sync and Publish as separate services. Sync is the option relevant to multi-device updating, version history, and offline work followed by later synchronization. Publish is the option for putting notes on a site, priced per site according to the vendor’s current listing.
This gives Obsidian a different budgeting logic: you can begin with the core app, then add Sync, Publish, both, or neither. “Free without limits” should not be read as “every possible feature has no cost”; the same pricing page separately lists those services.

How to evaluate Notion
Start by identifying whether you need only the Free plan or a paid workspace. If you need collaboration, databases, publishing, or more generous offline availability, those requirements may move you to Plus, Business, or Enterprise. The official page is the authority for the current feature matrix and price; displayed amounts and terms can change, and a regional page may show different billing or currency.
Write down the recurring cost for the number of people who need paid capabilities, the billing interval, and any services your team considers essential. Do not compare a paid Notion workspace with Obsidian’s free core app while quietly assuming Obsidian Sync or Publish will also be free.
How to evaluate Obsidian
Obsidian’s core app can be your baseline. Add Sync if you need the vendor’s cross-device updates, offline work with later synchronization, or version history. Add Publish only if you need the vendor’s hosted publishing service. The price of a realistic Obsidian setup is therefore the cost of the services you select, not merely the headline description of the core app.
For a fair comparison, create two totals: a minimal setup and a required setup. The minimal setup is the least you can spend while still doing your work. The required setup includes every paid service you would consider non-negotiable. Compare those totals over the same billing period and in the same currency.

A simple cost worksheet
- List users and devices. Count the people who need to edit, the devices that must stay current, and any separate public sites.
- Mark mandatory features. Separate “nice to have” from requirements such as shared databases, offline access, version history, or publishing.
- Map requirements to plans. Use Notion’s current plan page and Obsidian’s current pricing page, rather than an old comparison article.
- Record billing details. Note monthly or annual billing, currency, region, and whether a price is promotional or recurring.
- Recalculate after a pilot. A requirement discovered during testing—such as a second publishing site or paid offline availability—can change the correct plan.
Offline work and syncing: the detail that changes the recommendation
What Notion’s offline documentation actually says
It is inaccurate to say that Notion has no offline mode at all. The official offline-use help page says offline use is unavailable in web browsers. It also describes automatic offline availability for recently visited and favorited pages for paid plans, and recommends reconnecting to Wi-Fi for the best editing and syncing experience.

That creates a specific test rather than a yes-or-no label. If you plan to work on a flight, in a basement, or during an unreliable connection, identify the exact pages you will need, open or favorite them as the documentation describes, and confirm the behavior in the Notion app and plan you intend to use. Do not assume that a page available offline in one context means every workspace page is cached.
What Obsidian Sync adds
Obsidian Sync lists offline work with later syncing, updates across devices, and version history. Sync is optional, so the relevant comparison is not “Notion versus free Obsidian.” It is “the Notion plan that meets my offline needs versus Obsidian with or without Sync.”
Test the failure and recovery path, not only the happy path: make an edit without connectivity, reconnect, wait for synchronization, and check the result on another device. The official page establishes the service’s advertised behavior; your own note structure and device mix determine whether it is sufficient.
Offline checklist
- Which pages or notes must be readable without a connection?
- Must you edit offline, or is read-only access enough?
- How many devices need the same current content?
- Do you need version history to recover an earlier state?
- Can you tolerate a manual reconnect-and-check step before an important meeting?
- Is the required behavior included in your chosen plan or does it require an add-on?
Collaboration and databases
When Notion is the natural first candidate
If several people need a common workspace, Notion deserves the first trial because its plan descriptions explicitly center collaboration, pages, and databases. A database can represent structured work such as a content calendar, issue list, or project register while pages hold the surrounding context. The important question is not whether a database exists in the abstract; it is whether the views, permissions, and plan limits match your process.
Build a small but realistic workspace: one project page, one database with the properties you actually use, and one recurring meeting page. Invite the people who will maintain it. Check whether the shared structure reduces duplicate updates or introduces rules your team will not follow.

When to be cautious about an Obsidian team comparison
The cited Obsidian pricing and Sync pages establish the core app, synchronization, offline work, and version history, but they do not provide a complete comparison of team collaboration or database features. That is an evidence limit, not proof that a capability is absent. If simultaneous editing, role-based access, or a structured database is a hard requirement, verify those details in current Obsidian documentation before committing.
Do not select an app because a generic review calls it “best for teams.” Define the collaboration action you need—shared editing, review, assignment, approval, or publication—and confirm that action in a pilot.
Publishing: similar goal, different service model
Notion web publishing
Notion’s pricing page lists web publishing among its features. Treat that as a plan feature, not as a promise that every account can publish every kind of site. Confirm which plan includes the pages, permissions, and customization you require.

Obsidian lists Publish as a paid per-site service on its pricing page. If you need two public sites, a private documentation area, or a particular access arrangement, count those sites and check the current terms. The fact that both products can put notes on the web does not make their pricing, controls, or publishing workflow identical.
Publishing decision test
- Decide whether the audience is private, shared with selected people, or public.
- Count the separate sites or spaces you need.
- List required controls such as access restrictions, navigation, or custom presentation.
- Check the current plan or service terms for each requirement.
- Publish a small sample and inspect it on a phone, desktop browser, and a slow connection.
Export, portability, and migration
What Notion’s export listing establishes
The official Notion pricing page names whole-workspace export in HTML, Markdown, and CSV formats. Those formats are useful starting points for an archive or a move, but an export-format list is not a guarantee of lossless migration. Databases may rely on properties, relations, views, permissions, or formatting that another application interprets differently.
Before a large migration, export a representative workspace containing ordinary pages, nested pages, tables, images, links, and your most complex database. Open the exported files outside Notion. Check whether the information you need is present, readable, and organized well enough to use.

What is not established for Obsidian
The cited Obsidian pricing and Sync pages do not document a comparable whole-workspace export matrix or a guaranteed Notion-to-Obsidian migration path. That means you should not promise yourself a clean, automatic transfer based on the product names alone.

Personal notes with no shared workspace
Start with the product whose cost and organization match your habits. Notion is sensible if you want pages and databases in one workspace. Obsidian is sensible if a free core app is important and you want to decide separately whether Sync or Publish is worth paying for. Neither choice is justified by unsupported claims about speed, privacy, or long-term ownership; the cited sources do not establish a winner on those measures.
Projects shared by a team
Begin with Notion’s workspace model when shared pages, databases, and collaboration are central. Price the plan for the actual participants and verify offline behavior for the pages your team needs away from a connection. Consider Obsidian only after confirming that its current collaboration options meet the team’s concrete editing and governance requirements.

Notion is the more direct candidate because databases are explicitly part of its plan description. Prototype your real fields and views instead of judging from a blank account. Compare the documented offline behavior. Notion requires attention to browser limitations and the pages made available offline, while Obsidian Sync advertises offline work followed by synchronization. Test both on the devices you carry and include the recovery step after reconnecting.

Compare Notion’s plan-based web publishing with Obsidian’s paid per-site Publish service. Count sites, identify access rules, and inspect a real sample. Choose the service whose pricing and publishing controls fit the audience, rather than assuming that “publish” means the same thing in both products.

Obsidian may be the simpler starting calculation if the core app meets your needs without paid services. Notion may still be cheaper for your specific team if its required capabilities are included in the appropriate plan and you would otherwise need several Obsidian services. - Run an export check. Keep a copy of the source, export a sample, and inspect the destination before moving everything.
- Make a reversible commitment. Keep the pilot and exports until the chosen workflow has survived a normal work cycle and an offline or sharing failure.
