For quick personal notes, Google Keep, Apple Notes, or Microsoft OneNote may be easier to live with than a full Notion workspace. The right choice depends on your devices and whether you need simple capture or structured, shared information. In my experience, replacing Notion with a lighter note-taking routine eased my daily productivity paralysis; that is a personal result, not a guarantee that switching will work for everyone.
Why a simpler note app can help
Notion can handle projects, to-do lists, budgets, planning documents, and collaboration. That range is useful when you need a workspace, but it can be more than you need when the everyday task is jotting down a thought or making a short list. WIRED notes that first-time users may find Notion’s interface “a little obtuse,” while also describing the capabilities that become available once users learn it. WIRED’s note-taking app comparison does not establish that Notion causes productivity paralysis; the useful question is whether its breadth fits your own routine.

Google Keep for quick capture
Keep supports quick note creation, voice transcription, a visual board, color coding, and sharing, according to WIRED. TechRadar describes it as free for Google account holders and useful for simple everyday notes, while cautioning that limited organization can make it a poor fit for large volumes of notes. If you mainly want a place to capture passing thoughts, reminders, or lists, that simplicity may be an advantage rather than a limitation.

Apple Notes for an Apple-centered routine
If you already use an iPhone and Apple devices, Apple Notes is a straightforward candidate. WIRED highlights its simple interface, attachments, web clipping, folders, and nested subfolders. Those organizational options can support a growing collection without requiring you to build a more elaborate workspace.

OneNote for Microsoft Office users
OneNote is a logical choice if Microsoft productivity software is already central to your work. WIRED points to its familiar text formatting and category tabs. That familiarity can matter more than choosing the app with the shortest feature list.
Paper when you want offline capture
A paper notebook is an option for jotting things down away from a screen or when you do not want to open an app. WIRED includes paper note-taking among its recommendations. There is no evidence here that buying a notebook by itself improves productivity; it is simply another capture method to try.

Check your needs before moving everything
Compare the alternatives against how you actually take notes, not against a list of features. A person capturing fleeting thoughts has different needs from someone managing linked research, shared workspaces, databases, or a substantial archive.
- Capture speed: Can you save a thought or reminder with little setup?
- Organization: Do you need folders and categories, or linked pages and structured databases?
- Device fit: Does the app work naturally with the devices and ecosystem you already use?
- Collaboration: Are shared notes and team workspaces part of your routine, or are the notes mainly personal?
- Portability: Can you export or otherwise move the notes you need to keep?
Try a small switch before migrating your archive
- Pick a representative week. Use the simpler app for the kinds of notes you capture regularly: quick thoughts, lists, reminders, or reference material.
- Keep the trial narrow. Start with new notes rather than attempting to rebuild every Notion page, database, and project at once.
- Check what you miss. Notice whether you need linked information, structured databases, collaboration, or other capabilities that the simpler app does not provide in the way you expect.
- Move only what earns a place. If the trial works, transfer the notes you still use. Check the destination after importing: formatting may not transfer perfectly, and export procedures vary by app.
WIRED describes export steps for Evernote and warns that formatting can be imperfect during imports. That is a useful general migration caution, not a claim that every note app uses the same process or has identical limitations. Keep an original copy of important notes until you have checked the transferred versions.

When Notion is still the better fit
If you rely on Notion to connect projects, structured information, planning documents, and collaboration, switching to a basic notes app may remove capabilities you use. The goal is not to choose the app with the fewest features; it is to avoid maintaining complexity that does not serve your routine. You can also keep Notion for substantial projects while using a simpler tool or paper for quick capture.
