You do not have to move thousands of old notes to stop relying on an inconvenient note app. Keep the archive where it is, direct new notes to a candidate app, and decide later whether anything needs to move. Thanh Pham describes this gradual approach in Asian Efficiency’s article, last updated September 17, 2026, as a way to reduce dependence without taking on a full migration first.
Why you can change your note workflow without migrating
Ask the practical question Thanh Pham uses to frame the problem: “What’s the one app in your stack that, if it died tomorrow, would take thousands of notes with it?” If one aging or inconvenient service holds your entire archive, moving everything at once can feel like the only alternative to staying put. It is not.
Pham calls the alternative the “Risk Diversification Strategy”: keep the existing archive available, but stop sending every new note into it. For example, the article suggests using Apple Notes for daily capture while leaving Evernote as an archive. Those are illustrative choices, not a tested comparison or a recommendation that either app suits every reader.

When evaluating a candidate app, prioritize how quickly you can open it and save a thought over the length of its feature list. Pham calls this the “Friction Kill Rule,” a personal rule of thumb rather than a measured finding.

Audit the steps between having an idea and recording it: how many actions does capture take, and do you have to navigate menus, choose a template, or decide where a note belongs before you can save it? The more setup a system demands at the moment of capture, the more likely it is to interrupt the habit it is meant to support.
Check portability, but do not mistake a file format for a backup
Exportability matters if you want notes to remain accessible outside one app. Pham points to Obsidian’s Markdown files as an example of a format that can be read and edited with other tools. Obsidian’s official documentation describes Markdown editing, and its file and folder documentation explains how notes are stored in a vault. That supports a description of Obsidian’s local-file model; it does not establish that Obsidian is uniquely portable among major note apps.

Plain-text files do not automatically solve backup, synchronization, or security. Obsidian says a local vault is not encrypted by Obsidian, and documents separate standard and end-to-end encryption options for its optional Sync service in its Sync security and privacy guidance. Its documentation also recommends backing up a vault before resetting Sync. Treat local storage and an independent backup as separate parts of a safe setup.

Set a ceiling on setup and maintenance
A configurable system can become a project of its own. Plugins, rules, metadata, and links may help when they serve a real need, but they also add choices and upkeep. Pham calls the point where that burden exceeds the benefit the “Complexity Ceiling.” He names Obsidian and DevonThink as powerful tools that may be too complex for some nontechnical users; that is his judgment, not a universal assessment of either product.

The same caution applies to personal knowledge management systems: front matter, plugin configuration, and linking can become work that competes with writing and using the notes. Pham also describes Notion’s community templates as a “Template Network Effect,” but this is his explanation of the product’s appeal, not a quantified market finding. Start with the simplest setup that handles your actual capture and retrieval needs.
Keep the note-making method separate from the app
A method for developing ideas does not require a particular storage app. In the Zettelkasten approach, the useful unit is a clear, digestible note written in your own words—not a particular template, plugin, or database. Pham’s article recommends How to Take Smart Notes by Sönke Ahrens for readers who want to explore the method.

Run a two-week trial without moving the archive
Pham proposes a two-week trial as a practical experiment, not an established industry standard. Use the candidate app for daily capture while leaving older notes in their current location. At the end, judge the actual routine rather than the app’s feature list.

- Choose one candidate. Check that you can capture notes easily and understand how to retrieve or export them.
- Leave the old archive untouched. Keep it available for searching and reference; do not create a migration project alongside the trial.
- Use the candidate for everyday capture. Pay attention to whether saving a thought feels straightforward in the moments you need it.
- Keep using it only if capture works for you. Pham’s stopping rule is simple: if capture becomes slower or harder, stop the trial rather than forcing a change.
- Decide separately whether to migrate anything. A successful capture trial does not require transferring the archive. Move older notes only if a concrete need makes the effort worthwhile.
When a full migration may make sense
This approach is for reducing dependence without an immediate, high-effort move. A complete migration can still be appropriate when you have a specific reason to bring old material into the new system—for example, if you need it in one searchable workspace. The trial helps answer the narrower question first: does this candidate make new note capture easier for you?
