In New Outlook, spell check and Microsoft Editor are not competing tools. Editor is the broader writing-review interface. Its Spelling category catches misspelled words, while the same pane can review grammar and stylistic issues. You can work from suggestions underlined in the message or open the Editor pane for a categorized review. The practical difference is scope: spell check is one function; Editor is the place where New Outlook brings several proofing functions together.
New Outlook spell check vs. Microsoft Editor at a glance
Microsoft’s current New Outlook guidance directs people to Editor when they want to review a message. There is no separate New Outlook product called “Microsoft Editor” that competes with spell check. Instead, spelling is one of the checks exposed through Editor.

So, if you only want to correct typos, open Editor and use Spelling. If you also want grammar or style feedback, stay in the Editor pane and review those categories. A message can have no spelling errors and still contain grammar or style issues, which is why the two terms should not be treated as interchangeable.
How to spell-check an email in New Outlook
Use this workflow while the message is still a draft. The exact button location depends on the ribbon layout Microsoft has enabled for your account.

- Open or create a draft. Compose the message in New Outlook; spelling suggestions can appear while you type.
- Open Editor. Select Editor, then choose Open Editor. In some layouts, Editor is in the Message tab’s Proofing group. In the simplified ribbon it may be inside the overflow menu, and another ribbon layout shows an Editor icon directly.
- Choose Spelling. The pane groups detected items by category. Select Spelling to move through spelling issues.
- Review each suggestion. Select a proposed correction to replace the word. If the word is intentional, use Ignore Once rather than changing it.
- Turn off a suggestion type when appropriate. Editor settings let you disable a category or suggestion type if it does not fit your writing.
New Outlook can also mark a suspected error directly in the message body. Select the underlined word to see the available changes without opening each item from the pane. A suggestions count appears below the composition area. Microsoft says that count can be hidden from the Editor menu if you do not want it displayed.
Inline review is convenient for a short message, while the pane is better for a long email because it gives you a checklist of categories. You can move from spelling to grammar without searching through the entire message again. Review the proposed replacement in context before selecting it; replacing one word can alter the meaning of a sentence.
Do not assume that every underline represents a definite error. Names, product terms, specialist vocabulary, deliberate fragments, and words from another language can be flagged even when your wording is correct. The safe action is to inspect the proposed replacement before accepting it.
What Microsoft Editor adds beyond spelling
Editor’s broader value is that it puts several kinds of review in one place. After opening the pane, you can switch among categories rather than running separate commands.
Grammar review
Grammar suggestions address sentence construction and other grammatical patterns that a spelling-only pass will not identify. A correctly spelled sentence can still receive a grammar suggestion, so checking spelling alone is not equivalent to reviewing the message with Editor. For an important message, finish the spelling list first, then work through Grammar so you do not overlook a sentence-level problem.
Stylistic and refinement suggestions
Editor may offer stylistic guidance in addition to spelling and grammar. Microsoft’s general Editor overview associates advanced refinements such as clarity and conciseness with a Microsoft 365 subscription. That does not mean a subscription is always required for basic spelling in New Outlook, and the available refinements can differ by account and feature combination.
Style feedback is optional guidance, not an instruction to rewrite every sentence. A concise wording suggestion may be unsuitable for a legal qualification, a technical term, or a deliberately formal greeting. Treat each refinement as a prompt to reconsider the sentence, then keep the original when it better matches your audience or house style.

Category-level controls
The pane lets you decide how much intervention you want. You can accept an individual change, ignore one occurrence, or turn off a suggestion type in Editor settings. This is useful when a category repeatedly conflicts with a house style or with technical writing that intentionally uses unusual terms.

Ignoring one occurrence is different from disabling a category. Ignore Once leaves future checks available, whereas turning off a suggestion type suppresses that kind of feedback until you enable it again. If you are editing a one-off message, ignoring individual items is usually the less disruptive choice.
How to change the proofing language in New Outlook
When you write in more than one language, set the proofing language for the draft instead of accepting suggestions based on the wrong dictionary.
- Open the draft you are composing.
- Select Editor and open Editor Settings.
- Choose Manage spellcheck languages.
- Add the language you want to use for this message.
- Allow New Outlook to recheck the draft after the language is added or changed.
Microsoft Support states: “The proofing language selection that is done within email composition will only apply to that specific email draft.” In practical terms, changing the language here is not a permanent global switch for every future message. A new draft may use a different language setting, so check it again when you begin another multilingual email.

For a bilingual message, divide your review into logical sections and verify that the selected dictionary matches the section you are checking.
Changing the language does not guarantee that every Editor category becomes available. It controls the proofing language for the current composition; the grammar and refinement features offered still depend on Microsoft’s support for that language.
Language support is not identical across Editor features
Editor’s behavior depends on the language selected and on which capabilities Microsoft provides for that language. Microsoft’s language-availability information distinguishes basic or context-sensitive spell checking from grammar and refinement support. Some languages receive context-sensitive spelling, while others do not receive the same set of grammar or style refinements available in English.
- Do not infer that a feature available in English exists for every other language.
- Check Microsoft’s current language table when a specific language matters to your workflow.
- Expect the number and type of suggestions to change when you switch proofing languages.
- For names, code, medical terms, or other specialized vocabulary, review suggestions manually even when the language is supported.
A missing grammar or refinement category can therefore be a language-availability limitation rather than a fault in your mailbox. Conversely, seeing a spelling category does not prove that context-sensitive spelling, grammar, and advanced refinements are all supported for that language.

New Outlook Editor and classic Outlook are different workflows
Instructions written for classic Outlook can be misleading when applied to New Outlook. Microsoft documents the interfaces separately.

If a help article tells you to open the Review tab and choose Spelling & Grammar, first confirm that you are actually using classic Outlook. Those directions do not describe the primary New Outlook workflow. The product names can look similar, but menu locations, review panes, and language controls are not interchangeable.
Screen-reader use and gradual feature rollout
Microsoft publishes a screen-reader procedure for New Outlook. The documented sequence is to open Editor, choose Spelling, work through the spelling suggestions, and then move to Grammar suggestions. Microsoft says this procedure was tested with Narrator, JAWS, and NVDA.
Use the category order as a practical checklist: complete spelling, move to grammar, and then review any stylistic categories that your account exposes. Labels or focus order can vary as the interface changes, so rely on the announced control names rather than assuming a particular keyboard shortcut.
The controls exposed to you may not exactly match a support article immediately. Microsoft notes that Microsoft 365 features are released gradually, so two accounts can show different Editor commands during a rollout. If Editor or a category is absent, verify that New Outlook is updated and that the feature has reached your account before treating the difference as a configuration error.
Troubleshooting common New Outlook proofing problems
Editor is not visible
- Check the Message tab’s Proofing group.
- Open the simplified-ribbon overflow menu; Editor may be placed there.
- Look for the Editor icon on the alternate ribbon layout.
- Confirm that you are composing a draft, because the proofing controls are part of message composition.
- Remember that Microsoft rolls features out gradually, so the interface can lag behind current documentation.
No spelling suggestions appear
- Open Editor and select Spelling instead of relying only on inline underlines.
- Check the proofing language for the current draft.
- Make sure the spelling suggestion type has not been disabled in Editor settings.
- Consider whether the language has the level of spell-check support you expect.
- Check the text itself: a correctly spelled message may simply have no spelling items to display.
The wrong language is being used
Return to Editor Settings, open Manage spellcheck languages, add the intended language, and let the draft be rechecked. The setting applies only to that draft, so changing it will not permanently alter every new message.
Added languages changed or disappeared
Microsoft recorded a New Outlook proofing-language settings problem that could change the default language or reorder or remove added languages. Microsoft says a worldwide service-side fix resolved that incident in December 2024; the notice was last updated January 29, 2025. Treat that as historical troubleshooting context. If you see similar behavior now, record the affected account and draft, check Microsoft’s current service status and support notices, and avoid assuming that the 2024 incident is still active.
Advanced style suggestions are missing
Basic spelling can work even when advanced grammar or refinement features are unavailable. Check both the selected language and your account’s Microsoft 365 entitlement. Microsoft’s general Editor documentation connects features such as clarity and conciseness with a subscription, but the reviewed guidance does not define one entitlement boundary for every New Outlook account and feature combination.

Reject the change or choose Ignore Once when the proposed wording is technically incorrect, changes a product name, or removes a necessary qualification. Editor provides recommendations; it does not know the full context of every customer, code name, or contractual phrase. A final read-through remains necessary after accepting automated changes.

Does New Outlook spell check require Microsoft 365?
