Short answer: New Outlook for Windows can involve three different kinds of “backup”: the mailbox held by your email provider, a local offline cache for working without an internet connection, and a separate Outlook Data File (.pst) export or archive. They are not interchangeable. A server-backed mailbox can usually be synchronized again; an offline cache is a working copy, not an independent archive; and a PST is the portable copy you preserve when you need protection outside the live mailbox.

Start by identifying your account type. Microsoft 365, Exchange, and Outlook.com messages are generally held on the provider’s server in the configurations Microsoft documents. POP account data is stored in a PST on the computer. Your organization’s retention, legal-hold, and recovery rules can change what an administrator can restore, so a business account may require an IT answer in addition to an Outlook setting.

The three meanings of “backup” in New Outlook

New Outlook’s offline feature, an OST-style synchronized cache, and a PST export all put Outlook data somewhere, but they serve different purposes. The useful question is not simply “Where is Outlook saving my email?” It is “Which copy would still help me after I lose this computer, lose access to the mailbox, or need an older item that is no longer online?”

Storage layer What it is What happens if the PC is lost Backup significance
Provider or Exchange mailbox The live server copy for supported Microsoft 365, Exchange, or Outlook.com accounts It can normally be synchronized to another Outlook installation, subject to account access and organizational policies Primary working copy, but not necessarily an independent copy under your control
New Outlook offline cache Selected folders and a limited date range kept locally for offline work The cache can be rebuilt by synchronization when the account is available Convenience for disconnected work, not a separate export
OST A synchronized offline data file associated with certain server-backed accounts It is generally recreated from the server Microsoft says it normally does not need its own backup
PST A local Outlook Data File containing POP data, an archive, or exported mailbox items Only a separately preserved copy remains available if the original mailbox or computer is inaccessible Important when it contains unique local or archived information

The distinction matters because copying a synchronized cache does not give you the same recovery options as exporting a PST. Conversely, exporting a PST does not automatically preserve every Outlook setting or guarantee that a provider can restore the live mailbox.

Identify your account before choosing a backup

Do not begin by copying a file with an unfamiliar name. First determine where the authoritative data is supposed to live.

Microsoft 365 or Exchange

These are server-backed accounts. Mail, calendar, contacts, and other supported items are associated with the organization’s mailbox, while New Outlook may keep a local offline cache. If a device fails, signing in on another supported device normally starts a new synchronization. Ask your administrator about retention periods, deleted-item recovery, litigation holds, and whether an export is permitted for your organization.

Outlook.com

Outlook.com messages are held in the online mailbox. New Outlook can synchronize selected content for offline use, but that local selection is not the complete online account. If you need a copy independent of the service, use the PST export capability available in your current New Outlook version, where supported.

POP

Microsoft’s account guidance identifies POP data as being stored in a PST. That file may be the only copy of older messages on the computer, especially when the account was configured to download and remove mail from the server. Locate the PST used by the account and preserve it before changing profiles, replacing the computer, or uninstalling Outlook.

Accounts with an uncertain setup

Some people have more than one account, an old archive PST, or a profile that was migrated from classic Outlook. Check each account separately. A profile can contain both server-backed mail and local PST folders, so a single “backup” instruction may protect one source while missing another.

What New Outlook saves for offline use

Microsoft Support states, “Offline is turned on by default in new Outlook for Windows.” Offline mode stores selected folders and a chosen window of email on the device so you can read, search, and compose while disconnected. It is designed for continuity of work, not for creating a durable historical archive.

Retention choices

Microsoft documents four offline email windows: 7, 30, 90, or 180 days. The documented default is 30 days. These are settings for how much recent content is kept locally; they are not guarantees that a message will remain recoverable after deletion from the server or expiration under an organization’s policy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The amount actually retained can be constrained by available device storage. A computer with limited free space may not hold the same practical volume as a computer with more capacity. Offline availability also depends on which folders are selected and whether the account is supported for that feature.

Changing the offline window

  1. Open New Outlook’s Settings and search for Offline. Microsoft changes labels and locations as New Outlook evolves, so use the current setting shown in your build rather than assuming the classic Outlook menus apply.
  2. Review the folders included for offline use and the email period offered by your installation.
  3. Select 7, 30, 90, or 180 days according to how much recent mail you need when disconnected.
  4. Allow Outlook to finish synchronizing while connected. Check free disk space if the cache does not grow as expected.

Increasing the window improves offline access to older recent messages but consumes more local storage. It still does not create a portable file that you can independently restore.

Is an OST or offline cache a backup?

No. An OST is a synchronized working copy of server information. Microsoft explains: “It isn’t necessary to back up an offline Outlook Data File (.ost), because it’s already a copy of the live information on the server.” If the file is damaged or deleted, Outlook can generally create a replacement and synchronize again after you sign in.

What not to do with an OST

  • Do not treat an OST copy as your only protection against mailbox deletion.
  • Do not move or rename an OST while Outlook is using it; profile repair or re-synchronization is safer.
  • Do not spend backup space preserving every OST for a server-backed account unless your administrator has a specific forensic or compliance requirement.

When a PST export is the right protection

A PST is an independent file that can contain exported email, calendar, contacts, tasks, attachments, POP data, or an archive. It is useful when you need a portable copy, are preserving older material, or have local content that is not safely represented by a server mailbox.

Microsoft’s current New Outlook PST support documentation says export to PST is available for emails, calendars, contacts, and tasks. Availability depends on the app version, account setup, and platform. Microsoft lists no PST support in the ARM version of New Outlook, and some opening or importing paths require classic Outlook or a qualifying account configuration. Importing, opening, and exporting are separate operations; support for one does not imply support for all three.

Export from New Outlook

  1. Confirm that your New Outlook build and platform support PST export. In particular, check whether the installation is the ARM version and review Microsoft’s current PST support page.
  2. Use the current New Outlook command labeled Export to PST or its equivalent. The exact location and wording can change as Microsoft updates the interface.
  3. Select the mailbox data types and folders you need, such as email, calendar, contacts, or tasks.
  4. Choose a destination with enough free space and let the export finish while the account is connected.
  5. Open the resulting PST, or test it in a supported Outlook installation, before considering the export complete.
  6. Store a second copy in a different location. A removable SSD or hard drive is optional; buying storage does not create an export, and the source does not establish a required drive capacity.

An export makes a copy; it does not delete the original mailbox items. Keep the source mailbox until you have checked that the PST opens and contains the folders and date range you intended.

Classic Outlook’s documented export path

Microsoft’s general backup procedure applies to classic Outlook, not automatically to New Outlook. In classic Outlook, use:

What a PST contains—and what it leaves out

A PST can preserve exported items and their email attachments, but it is not a complete clone of every Outlook configuration. Microsoft says that some metadata is not exported, including folder properties, message rules, and blocked-sender lists. Rebuilding Outlook after a failure may therefore require recreating rules, permissions, views, signatures, and other settings separately.

Before relying on an export, make a checklist of what your work depends on:

  • Mail folders and subfolders, including Sent Items and any custom folders.
  • Calendar entries, contacts, and tasks if those are part of the export you need.
  • Attachments that are embedded in exported messages.
  • Archive PSTs and local folders that are not present in the online mailbox.
  • Rules, blocked-sender lists, signatures, category conventions, and account settings that may need manual recreation.

The last group is an inventory for rebuilding, not content Microsoft promises to place in the PST.

How to decide what to back up

Your situation Primary action Reason
Microsoft 365, Exchange, or Outlook.com with no unique local data Confirm account access and your organization’s retention and recovery policy; export selected content if you need an independent copy The live mailbox is server-backed, while policy determines recoverability
POP account Locate and preserve the PST that holds the account data The PST may be the authoritative or only copy
Archive PST with older or unique messages Keep the archive PST in a separate protected location and test that it opens Archive content may not exist in the current online mailbox
Need recent mail while traveling Configure New Outlook offline folders and a 7-, 30-, 90-, or 180-day window Offline mode supports disconnected work but is not an independent backup
Need a portable handoff or long-term snapshot Use supported PST export and preserve the resulting file separately An export is a distinct copy that can be stored outside the live profile

Common backup mistakes and their fixes

Copying only the OST

Problem: The copied file is tied to a synchronized profile and may not provide a usable restore. Fix: Rely on server synchronization for server-backed data, and export unique or portable content to PST when supported.

Assuming the 180-day offline setting is an archive

Problem: The setting controls local offline availability, not an immutable retention period. Fix: Use PST export for content that must remain independently preserved.

Using OneDrive synchronization as the whole PST backup plan

Microsoft warns that a large PST in OneDrive can slow synchronization and can produce processing or file-in-use behavior. Synchronization is not the same as a tested, restorable backup. If you store a PST in cloud-synchronized storage, keep another copy and verify that the file opens from a completed, stable copy.

Exporting without checking the result

Problem: A user discovers missing folders or an unsupported import only when the original is gone. Fix: Open the PST in a compatible Outlook installation, inspect representative folders and attachments, and document which settings must be recreated.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ignoring organizational controls

Problem: A personal export may conflict with retention, privacy, or legal-hold rules. Fix: Ask the administrator what exports are allowed and which recovery process applies before copying business mail.

A practical backup checklist

  1. List every account in New Outlook and classify it as Microsoft 365, Exchange, Outlook.com, POP, or another setup requiring verification.
  2. For server-backed accounts, confirm sign-in recovery and ask about organizational retention and mailbox restoration.
  3. Review offline folders, the selected date window, and available disk space; remember that offline data is for working without a connection.
  4. Find every PST, including old archives and files from previous computers.
  5. Export supported mailbox items to PST when you need an independent copy, using the New Outlook export feature or classic Outlook’s documented procedure as appropriate.
  6. Keep the original source until the exported file has been opened and checked.
  7. Store the PST in at least one additional location that is not the same computer. Treat cloud synchronization as a convenience, not proof of recoverability.
  8. Record settings that a PST does not include, such as rules and blocked-sender lists, so they can be rebuilt.
  9. Periodically test that the preserved PST opens and that the storage copy is readable.

Bottom line for New Outlook users

Use the server mailbox as the synchronized working source for Microsoft 365, Exchange, and Outlook.com accounts, but verify your organization’s recovery policy. Use New Outlook offline mode when you need recent mail without a connection. Do not back up an OST as though it were an export. Preserve the PST for POP data, archives, and any mailbox content that you need to keep as an independent, portable copy—and check your New Outlook platform before relying on PST support.
