Choose an MSP when you need continuous operation of your technology; choose a VAR when you need a defined technology decision or implementation. A managed service provider (MSP) monitors, administers and supports systems over an ongoing contract. A value-added reseller (VAR) supplies products or services and adds value through architecture, integration, configuration, training or support. Many firms do both, so the label is only a starting point. Compare the promised outcomes, ownership, service levels, commercial terms and exit plan before selecting a partner.

What an MSP and a VAR actually do

Managed service provider (MSP)

The UK Department for Science, Innovation and Technology describes a managed service as one supplied by one business to another, related to IT systems, infrastructure, networks, applications or security, reliant on network and information systems, and providing “regular and ongoing management support, active administration and/or monitoring of IT systems.” That definition focuses on the operating relationship rather than a company’s marketing title.

In practice, an MSP takes recurring responsibility for agreed parts of your environment. Services can include 24-hour or business-hours monitoring, help-desk support, endpoint and identity administration, patching, cloud operations, backup checks, security monitoring, incident response coordination, capacity planning and technology-lifecycle advice. The exact boundary matters: one MSP may manage only a cloud tenant and endpoints, while another may also operate networks, servers, applications and security controls.

Value-added reseller (VAR)

A VAR primarily sells technology products or services and adds value around the transaction. Value can come from requirements analysis, product selection, solution architecture, procurement, configuration, migration, integration, implementation, training, warranty coordination and project support. The engagement is commonly tied to a defined purchase or milestone, although a VAR may offer a support or managed-services contract afterward.

“Reseller” does not mean “box mover.” A capable VAR can design a complex solution, coordinate several manufacturers, document the deployment and train your staff. Its commercial incentives are different from an MSP’s: product margin, project labor and vendor programs may form a larger share of the bill than recurring operational fees.

Why the labels overlap

Microsoft’s Cloud Solution Provider documentation notes that many indirect resellers also provide managed services, support and billing. Conversely, an MSP may procure and resell the licenses or hardware it manages. A provider can therefore be both a VAR and an MSP. Ask what the firm will own after deployment, not which acronym appears on its website.

MSP versus VAR: the differences that affect your decision

Decision axis MSP VAR What to clarify
Time horizon Continuous relationship with recurring operations One-time or milestone-based purchase and implementation, with optional support Who is responsible after go-live, and for how long?
Primary value Operational outcomes: availability, security, administration and user support Technology choice, procurement, integration and project delivery Is success measured by service performance or project acceptance?
Typical commercial model Recurring managed-service fee, often with service-level commitments Product or license margin plus project, integration or training fees Separate product prices, labor, recurring management and pass-through charges
Accountability Defined owner for monitored systems, incidents and escalations within scope Owner for design, deployment and agreed deliverables; operational ownership may return to you Who handles a failure involving several vendors?
Scope Broad, repeatable coverage across agreed users, devices, systems or sites Deep work on named technologies or a specific solution List every included system, location, user group and exclusion
Vendor neutrality May manage your existing stack, but can also resell preferred services Recommendations can be influenced by manufacturer programs and reseller margin Require disclosure of incentives and alternatives considered
Transition risk Access, documentation, data return and knowledge transfer when the contract ends Handover from project team to your staff or another operator Put offboarding tasks, formats, timing and fees in the contract

When an MSP is the better fit

You need an operator, not just a deployment

Select an MSP when technology must be watched and administered every day but you do not want to build a full internal operations team. Typical signals include a small IT staff covering several locations, a need for a help desk, limited security expertise, regulatory obligations, or systems that cannot be allowed to drift out of date.

  • Proactive monitoring: the provider detects capacity, availability, backup or security conditions before users report them.
  • Administration: routine changes such as account lifecycle, patching, configuration and access reviews have a named owner.
  • Security operations: alerts are triaged, escalated and documented rather than merely forwarded to you.
  • Support coverage: users know where to report incidents and which hours, languages and locations are covered.
  • Lifecycle planning: the partner maintains an accurate inventory and schedules upgrades, renewals and end-of-support work.

Questions to ask an MSP

  1. What exactly is monitored, at what interval, and with which thresholds?
  2. Which devices, identities, applications, cloud services and sites are excluded?
  3. How are incidents prioritized, and what response and resolution targets apply to each priority?
  4. What happens outside contracted hours, during holidays or when an incident crosses a third-party boundary?
  5. Which security controls are operated by the MSP, which remain yours, and how is evidence supplied for audits?
  6. How are backups tested, how long are logs retained, and who can restore data?
  7. Which activities require your approval, and how are emergency changes recorded?

Where an MSP may be excessive

An ongoing contract can be unnecessary when your environment is stable, your internal team has adequate coverage and the immediate need is a single migration or purchase. Avoid paying for a broad bundle when you need only a finite deliverable. You can still ask a VAR or specialist project firm to design the solution and then decide separately who will operate it.

When a VAR is the better fit

Defined projects and technology decisions

A VAR is usually the natural first call when you must compare products, design an architecture, procure licenses, integrate systems or deliver a migration with a clear completion date. Examples include replacing a network, consolidating identity systems, moving workloads to a new cloud platform, deploying a business application or connecting security tools to an existing environment.

  • Procurement: obtain quotes, order licenses or equipment and coordinate manufacturer support.
  • Implementation: configure, migrate, test and document the agreed solution.
  • Enablement: train administrators and users and provide operating procedures.

Questions to ask a VAR

  1. Which requirements are mandatory, and which product choices are alternatives?
  2. How are reseller discounts, rebates, referral fees or other incentives disclosed?
  3. What is included in the quoted product, license, subscription and professional-services prices?
  4. What are the acceptance tests, dependencies, customer responsibilities and consequences of delay?
  5. Who owns configuration, data and documentation at each milestone?
  6. What support is available after acceptance, at what price and with what response target?
  7. If the chosen product fails to meet a requirement, who remedies the design and integration?

Where a VAR alone may leave a gap

Project completion does not automatically provide monitoring, patching, incident response or user support. Before signing, name the post-go-live owner. It may be your internal team, the VAR under a support plan, an MSP, or a combination. Make the handoff a deliverable with dates and evidence rather than an informal promise.

When a hybrid provider makes sense

A hybrid provider can give you one accountable partner from selection through daily operations. This is useful when a new platform must be implemented quickly and then supported by the same team, or when you want one escalation path across procurement, integration and operations.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Separate the two relationships

Require a project statement of work and a recurring managed-services agreement, even when one company supplies both. The project document should define design, milestones, acceptance tests, migration responsibilities, training and final documentation. The service agreement should define the operational scope, service hours, monitoring, incident priorities, security duties, maintenance windows, service levels, reporting and fees.

Prevent conflicts of interest

Ask the provider to identify products it resells, explain how alternatives were evaluated and disclose any margin or incentive that affects recommendations. A reseller can still be the right choice; transparency lets you judge advice on total cost, fit, interoperability and supportability rather than on an implied claim of neutrality.

A practical decision framework

Use this sequence before requesting proposals:

  1. Describe the outcome. Write down required uptime, security posture, compliance evidence, user-support hours, cloud responsibilities, backup objectives and project dates.
  2. Classify the work. Mark each requirement as ongoing operation, finite implementation or both. Do not let a project statement silently become a permanent service.
  3. Map ownership. For every system and control, name the accountable party for configuration, monitoring, incident response, backup, vendor escalation and approval.
  4. Choose the sourcing model. Use an MSP for continuous ownership, a VAR for a defined technology project, or a hybrid with separate contracts when both are needed.
  5. Test the boundary. Present a realistic incident involving several systems and ask who detects it, who communicates, who fixes each layer and who pays for excluded work.
  6. Score evidence. Compare references, sample reports, escalation charts, security attestations, staffing model and documentation—not only the sales presentation.

Costs and commercial terms to compare

There is no meaningful single “MSP price” or “VAR price.” Cost depends on users, devices, sites, service hours, technology complexity, regulatory requirements, project risk and the amount of work retained in-house.

Build a like-for-like cost view

Cost component How an MSP may charge How a VAR may charge What to request
Recurring operations Per user, device, site, workload or a fixed monthly fee Often not included unless a support plan is purchased Unit definition, minimums, overage rates and annual increases
Products and licenses Resold as pass-through or bundled with management Quoted with reseller margin, subscription terms and support Manufacturer price, discount, margin disclosure and renewal owner
Project labor May be separate from the managed service Fixed fee, time and materials or milestone billing Deliverables, assumptions, acceptance and change control
After-hours work Included, scheduled, or billed at an additional rate Usually governed by a support or emergency-services schedule Coverage window, response target and hourly rates
Third-party charges Cloud, telecom, backup or security services may be passed through Manufacturer, freight, warranty and subscription charges may apply Ownership, renewal date, cancellation rights and tax treatment

Review renewal and price-change clauses, minimum terms, service credits, termination assistance and treatment of prepaid licenses. A lower monthly fee can become expensive if important systems are excluded or every incident is classified as billable project work.

Due-diligence checklist before signing

Define the service catalogue

  • List included users, devices, applications, cloud tenants, networks, sites and support channels.
  • State service hours, holiday coverage, languages, onsite response and subcontractors.
  • Identify exclusions, customer dependencies, maintenance windows and approval requirements.
  • Specify reporting frequency and provide sample monitoring, security and incident reports.

Make service levels measurable

  • Set response and restoration or resolution targets by incident priority.
  • Define how an incident is opened, updated, escalated, downgraded and closed.
  • State measurement sources, reporting cadence, service-credit rules and exceptions.
  • Ask how the provider proves monitoring coverage instead of accepting a generic uptime promise.

Assign security and data responsibilities

  • Document privileged-access controls, multi-factor authentication, joiner-mover-leaver processes and access reviews.
  • Identify who owns backups, encryption keys, retention, restore testing and deletion requests.
  • Require notification times and cooperation duties for suspected incidents.
  • Record where data is stored, which subcontractors can access it and how audit evidence is supplied.

Protect the transition and exit

  • Require current diagrams, asset inventories, configurations, runbooks, credentials and license records in usable formats.
  • Specify data-return timing, export formats, knowledge-transfer sessions and reasonable transition assistance.
  • Clarify whether tools, scripts, automations and documentation created during the engagement can be reused after termination.
  • Set notice periods, final billing rules, certificate-of-deletion requirements and responsibilities during handover.

Check comparable references

Request references from organisations similar in size, regulatory exposure, technology stack and required support hours. Ask those references how incidents were communicated, whether invoices matched the scope, how documentation was maintained and what happened when the relationship ended.

Managing implementation and handoff risk

Before go-live

Freeze the baseline: approved architecture, asset list, identity model, backup policy, monitoring thresholds, support contacts and open risks. Agree who can make emergency changes and how they are recorded. A VAR should demonstrate acceptance tests; an MSP should demonstrate that every in-scope item is visible in its monitoring and ticketing systems.

At go-live

Use a written cutover plan with decision points, rollback criteria and named approvers. Confirm that alerts reach the operating team, backups complete, administrative access works and users know how to obtain help. Do not close the project merely because the new system is reachable; close it when the agreed operational evidence exists.

After go-live

Schedule a stabilization review. Transfer unresolved defects to the correct owner, update diagrams and runbooks, verify license and warranty records, and confirm the first service report. If a different MSP will operate the platform, make the outgoing VAR’s documentation and knowledge-transfer obligations explicit in the project contract.

Common mistakes and how to avoid them

Choosing by acronym

Two providers with the same label can offer radically different coverage. Compare service catalogs, staffing, escalation and evidence instead of assuming that “MSP” includes security or that “VAR” ends at delivery.

Bundling undefined work

Words such as “fully managed,” “all-inclusive” and “support” are not scopes. Convert them into named systems, hours, actions, exclusions and measurable targets.

Ignoring the commercial incentive

Product margin does not make a VAR’s advice wrong, but undisclosed incentives make it harder to judge alternatives. Request a transparent bill of materials and the basis for recommendations.

Leaving security ownership ambiguous

An MSP can monitor an alert without owning the underlying control, and a VAR can configure a product without operating it. Assign responsibility for prevention, detection, response, recovery and evidence for each control.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Accepting a fragile exit

If the provider controls the only administrator account, monitoring history or configuration repository, changing partners becomes risky. Ensure you retain appropriate access and receive current exports throughout the contract, not only at termination.

What the market figures indicate

The UK Department for Science, Innovation and Technology estimated that managed-service providers generated £52.6 billion in UK revenue in 2022, contributed £29.1 billion in direct gross value added and supported an estimated 294,340 full-time-equivalent jobs. Its provider sample was nearly evenly split: 53% dedicated or pure-play MSPs and 47% diversified providers. That mix helps explain why an MSP may also sell products, consulting or project work.

MSP Global’s 2024 State of the Industry Report estimated the worldwide managed-services market at $278 billion in 2023 and projected $532 billion by 2028, identifying hosting, backup, storage and cybersecurity among demand areas. These figures describe market scale, not a guarantee that outsourcing is economical for your organisation; your scope, risk and internal capability determine the business case.

Examples of the right choice

Small organisation with no dedicated operations team

If employees need a help desk, accounts and endpoints require routine administration, and nobody is watching backups or security alerts, an MSP is likely the primary relationship. A separate VAR can still be used for a major application or network project, provided the MSP receives complete documentation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Defined cloud migration with a capable internal team

If your staff can operate the environment after migration but lacks specialist design or migration experience, a VAR may be the better project partner. Contract for architecture, testing, cutover, documentation and training, then retain operational ownership internally or appoint an MSP under a separate agreement.

Regulated business replacing a core platform

A hybrid provider may reduce coordination risk when the same partner must design, implement and operate the platform. Keep project acceptance separate from recurring service levels, and require explicit evidence for security controls, backup restoration and audit reporting.

Bottom line: select accountability, not a label

Use an MSP for ongoing management and measurable operational accountability. Use a VAR for product selection, integration and a finite implementation. Use a hybrid provider when both are needed, but separate project deliverables from recurring services and document who owns every system, incident, security control, cost and handoff. The best partner is the one whose contract makes those responsibilities visible, testable and transferable.
