MSPs future-proof backup by treating recovery as an operating capability, not a storage purchase: cover the data and configurations customers need, isolate protected copies from production and routine administrator access, define who does what, and prove that restoration works. That matters because an MSP can become a path to its customers: NIST’s MSP-focused guide warns, “When an MSP is vulnerable its customers are vulnerable as well.” NIST NCCoE’s 2020 guide addresses this shared exposure.

Why MSP backup resilience is a security responsibility

Ransomware is only one threat to recovery. Destructive malware, compromised remote administration, accidental deletion, and hardware failure can all make production systems or their backups unavailable. If the same compromised account can reach production and delete every backup, having multiple stored copies may not provide meaningful protection.

For an MSP, the risk crosses organizational boundaries. Provider systems, management tools, and credentials can affect multiple customers, so backup design must account for both customer environments and the MSP’s own internal data. The joint CISA, FBI, and NSA advisory for MSPs and their customers says MSPs should back up internal and customer data where contractually appropriate, and maintain offline backups encrypted with separate offline keys.

How should an MSP design protected copies?

Separate backups from production access

Keep at least one copy offline or otherwise isolated from production and routine administrator access. Protect encryption keys through a separate path as well; a backup is not effectively isolated if an attacker with compromised provider credentials can access both the data and its keys. CISA recommends offline, encrypted backups and regular checks of their availability and integrity in its StopRansomware guide.

External media can provide a physically separate copy, but only if it is encrypted, disconnected when not in active use, stored securely, and included in restore exercises. Handling and restoration procedures matter as much as the medium itself.

Use immutability as one control, not the whole strategy

Object lock, immutable storage, versioning, and delete protection can make it harder to alter or remove backup data. They do not replace isolated credentials, adequate workload coverage, or restore tests. CISA also cautions that immutable storage can create significant costs or conflict with compliance requirements when configured poorly. Check retention, deletion permissions, regulatory duties, and cost together before enabling it.

Protect the ability to rebuild

Inventory customer data, system configurations, identities, and dependencies—not just files. Include golden images and the software or code required to rebuild systems. Consider whether recovery hardware or a credible alternative will be available if the original equipment fails. Keep recovery documentation, including key records, separate from the systems it describes; CISA recommends asset inventories, identification of critical assets, secure documentation, and offline copies of key records.

Set recovery targets before choosing backup frequency

Agree with each customer on recovery point objectives (RPOs)—how much recent data the customer can afford to lose—and recovery time objectives (RTOs)—how quickly priority services need to return. Set backup frequency and restoration expectations against those requirements. The joint CISA/FBI/NSA advisory explicitly links backup frequency to RPOs; a single cadence should not be assumed to fit every workload.

Prioritize the systems and dependencies needed to restore essential operations first. A useful recovery sequence may need to include identity services, network dependencies, applications, and their data, but the right order depends on the customer’s environment and business requirements. Document that order with the customer rather than relying on assumptions during an incident.

Test whether restoration actually works

A successful backup job confirms that a process ran; it does not prove that the copy is clean, usable, or recoverable within the customer’s target. NIST advises organizations to “Carefully plan, implement and test a data backup and restoration strategy” in its ransomware recovery guidance. CISA likewise calls for regular tests of backup availability and integrity.

Exercise restoration from protected copies, not only from the easiest or most frequently accessed copy. Include the people, permissions, encryption keys, clean recovery environment, and communications needed to bring priority systems back. Record what was restored, whether the data and system worked, how long the process took, and which steps failed; assign and track fixes. Test clean-room recovery and rebuild procedures where relevant, especially when the original environment may be compromised.

Limit the blast radius of MSP access

Segment provider and customer environments, apply least privilege to MSP access, and separate duties where practical. Restrict who can change retention, disable protections, or delete backup data. Review whether provider credentials or management tooling have broad rights across customer copies: backups cannot be meaningfully isolated if a compromised account can erase them all. CISA’s ransomware guidance recommends least privilege and separation of duties for MSP access.

Make the MSP and customer responsibilities explicit

Contracts and incident plans should define the work each party expects and performs. The joint CISA/FBI/NSA advisory says customers should require backup services that align with their resilience and disaster-recovery needs, while MSPs should back up provider and customer data where contractually appropriate.

  • Define which customer workloads, configurations, and MSP internal systems are in scope.
  • State ownership, retention, recovery targets, backup frequency, and who controls encryption keys and deletion permissions.
  • Set expectations for restore exercises, reporting results, and resolving failed steps.
  • Specify incident notification, customer participation, access approvals, and communications during recovery.
  • Clarify what is excluded or depends on customer-provided access, hardware, documentation, or decisions.

There is no universal MSP backup failure rate established by the official sources cited here. Avoid treating campaign-specific incident figures as a measure of MSP-wide exposure or using a generic statistic in place of customer-specific recovery evidence.
