“Moved to trash” means an app has placed an item in its Trash or Deleted Items area instead of its original location. It does not, by itself, mean the item has been permanently deleted. Whether you can restore it—and for how long—depends on the app, your permissions, and any administrator retention rules.

What does “moved to trash” mean?

It describes an item’s status or location inside an app. The item may be an email, file, or folder that was removed from its usual place and put in a Trash or Deleted Items area. For example, Google says that deleting a Gmail message moves it to Trash, while Box uses “Moved to trash” to describe a user moving a file there.

Trash is often an intermediate state, not the same as permanent deletion. Some services let you restore an item from Trash; others may remove it permanently when the folder is emptied or a retention period ends.

Does moving an item to Trash permanently delete it?

Not necessarily. The result varies by service. Gmail says messages can be recovered from Trash for up to 30 days after deletion; after that, they are permanently deleted and cannot be recovered. Google also says a deleted draft cannot be recovered from Trash. This 30-day period applies to the cited Gmail guidance, not to every app.

Microsoft’s guidance for Outlook for Mac says items in Deleted Items or Trash are not permanently deleted until those folders are emptied. Account type and settings can affect how deleted items are handled.

How recovery differs between apps

Service and item What recovery depends on Effect on others or policy
Gmail messages Messages can be recovered from Trash for up to 30 days; deleted drafts cannot be recovered from Trash. The cited Gmail guidance gives this service-specific recovery window.
Figma files A user with relevant edit access may restore a file while it remains in Trash, if its original folder and team still exist. Trashing removes the file for all collaborators. Restoring returns it to its original folder and restores access for people who had permissions when it was trashed.
Box files Restoration may depend on administrator and enterprise settings. Box distinguishes moving an item to Trash from deleting it from Trash.
Outlook for Mac email Items remain in Deleted Items or Trash until those folders are emptied; account type and settings can affect handling. The cited guidance concerns Outlook for Mac.
Google Drive items in Google Workspace Retention depends on administrator-set Google Vault rules. For Drive items subject to multiple retention rules, a rule based on moving an item to Trash supersedes other retention rules. This is an administrator policy detail, not a consumer recovery guarantee.
Zoho WorkDrive shared files and folders Files or folders in Trash may be restored. Trashing shared items removes them for other team members as well.

What to do if you need to recover an item

  1. Open the app where the item was moved. Look in its Trash, Deleted Items, or equivalent folder; the phrase alone does not identify the app or its recovery process.
  2. Check that app’s current recovery instructions. Confirm how long the item remains available and whether it must be restored before the folder is emptied.
  3. Check access and shared-workspace conditions. A file may require a specific permission to restore, and restoring or trashing it can affect collaborators.
  4. For a work or school account, ask the administrator about retention rules. Organization settings may change how trashed data is retained or handled.

What the phrase does not tell you

  • Which app, account, or device the item belongs to.
  • Whether the item is still recoverable or when it will be permanently removed.
  • Whether you have permission to restore it.
  • Whether collaborators or administrator retention policies affect it.

Use the service’s own Trash or Deleted Items instructions to determine the status of a specific item; the label “moved to trash” alone does not reveal its recovery window.
