For a small office that mainly prints text, invoices, reports and forms, choose a monochrome laser printer. It uses one black-toner system, normally costs less to run for text-heavy work and delivers fast, consistent document output. Choose a colour laser printer when brochures, presentations, charts, posters or other client-facing graphics are a regular part of the workload. The right decision depends on the pages you actually print, not on the printer’s purchase price alone.
Before buying, compare the exact model’s total cost of ownership (TCO), rated speed in the mode you will use, duty cycle, automatic duplexing, paper capacity, network and security features, energy certification, service arrangements and replacement-supply prices.
The quick decision rule
- Choose monochrome if most pages are black text, invoices, internal reports, forms or shipping documents.
- Choose colour if colour is routinely needed for brochures, presentations, charts, posters, branded handouts or other visual material.
- Keep monochrome if colour is occasional and can be produced by a shared office device or an outside print service.
- Do not decide on sticker price alone. Toner, drums, maintenance, downtime, energy and support can outweigh the initial saving or premium.
Ricoh describes black-and-white printing as a fit for bills, invoices, documents and reports, while vivid brochures, posters and presentations are cases where colour is important. Sharp similarly notes that mono printers use only black toner, which can reduce cost per page and overall operating expense.
Monochrome and colour laser printers compared
| Decision factor | Monochrome laser | Colour laser |
|---|---|---|
| Best-fit work | Text-heavy documents, invoices, reports and forms | Brochures, presentations, charts, posters and other regular visual output |
| Toner arrangement | Black toner only | Black and colour toner supplies; check the model’s individual yield and replacement prices |
| Running cost for mostly black text | Usually lower for text-heavy office work | Can be higher when colour supplies are used or when colour pages are printed routinely |
| Rated speed | Sharp lists mono models at up to 55 pages per minute on its 2026 UK office-printer page | Varies by model; compare the manufacturer’s mono and colour ratings under the same print conditions |
| Colour output | Black-and-white only | Colour output for visual and client-facing documents |
| Duplexing and power management | Look for automatic two-sided printing and an ENERGY STAR certification | Look for the same features; ENERGY STAR criteria distinguish speed bands and duplex requirements for mono and colour equipment |
| Paper and footprint | Model-specific capacity and physical size | Model-specific capacity and physical size; colour hardware can require more space, so check dimensions |
| Service and security | Check the exact model’s network, security, supply-replacement and support provisions | Check the exact model’s network, security, supply-replacement and support provisions |
The table describes category-level trade-offs. Individual models can reverse a general tendency, so use their published specifications and supply prices for the final decision.

Why monochrome is usually the value choice for text
One toner system simplifies purchasing
A mono printer uses black toner for every page. That means fewer cartridge types to stock, fewer colour-supply warnings and a simpler replenishment routine. Sharp’s description of its mono range is direct: documents are printed using only black toner.
Text-heavy pages normally cost less
Sharp says the single black-toner system can reduce cost per printed page and overall expense. Ricoh likewise says offices that mainly print monochrome documents or reports can save money and operating costs with black and white. Xerox’s guidance is more specific to business volumes: laser printers generally offer a lower cost per page, particularly for black-and-white printing.
Fast throughput is useful during peaks
Sharp lists mono office models at up to 55 ppm on its 2026 UK page. That is a product-range maximum, not a promise that every mono printer is faster than every colour printer. Compare the rated speed of the models you are considering, and check whether the figure applies to simplex printing, duplex printing, a particular paper size or a specified quality mode.
What colour adds—and when it earns its premium
Colour is a workflow requirement, not merely a quality upgrade
Colour is worth paying for when removing it would make a document less useful or less persuasive. Examples include a sales presentation where colour coding carries meaning, a brochure intended for customers, a poster that depends on visual emphasis, or a chart whose series are distinguished by colour.
Separate occasional colour from regular colour
If only a few pages each month require colour, a mono printer can remain the economical primary device. You can route those pages to a shared colour machine or an external service. If colour jobs are frequent, time-sensitive or confidential, having colour in the small office may avoid queueing and handling costs that are not visible in a cartridge calculation.
Check colour supply consumption, not just black yield
Colour models require you to evaluate black and colour supplies separately. A printer can have an attractive black-toner yield while colour cartridges, drums or maintenance items determine the real cost of a colour page. Ask for the rated yield and current replacement price for every required supply, and confirm the coverage or testing condition used for the yield.
Calculate total cost of ownership before buying
TCO includes the purchase price plus toner or ink, other supplies, maintenance, downtime and IT support. Xerox defines the calculation this way, and Ricoh warns that ongoing operating costs can overturn an apparently cheap upfront purchase.

Separate black-only pages from pages that genuinely need colour. Include routine forms, invoices, reports, labels and occasional marketing documents. ENERGY STAR uses 10,000 sheets per year as a typical office-worker figure; your office may be above or below that level, so use measured print-server or accounting data when available.

Step 2: Convert a cartridge into a cost per page
Use the manufacturer’s rated yield and the price you can actually pay in your country:
cartridge cost per page = cartridge price ÷ rated page yield
For monochrome, multiply that figure by expected black pages. For colour, calculate black and each colour supply separately, then account for the supplies consumed by the page type. Do not compare a high-yield cartridge with a standard-yield cartridge without normalising the result.

Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Step 3: Add non-toner supplies
Include drums, waste containers, fusers or maintenance kits when the model treats them as separate replacement items. If a supply is included in a toner cartridge, do not count it again. Record the rated life and price for each item.
Step 4: Add paper, energy and support
Paper is a real operating cost, especially when pages are discarded or reprinted. ENERGY STAR reports that 45% of the sheets used by a typical office worker end up in recycling by the end of the day, and estimates that 10–35% of pages are left at the printer and never picked up. Automatic duplexing can reduce paper use, while power-management features can reduce idle consumption. Add expected service visits, IT time, downtime and energy where those costs matter to your office.
Step 5: Compare the ownership period
Calculate the first-year cost and the cost over the period you expect to keep the printer. A lower purchase price can lose its advantage if supplies are expensive, the device lacks duplexing or paper capacity, or frequent intervention interrupts work. Conversely, a higher-priced colour printer may be justified if it replaces outsourced colour jobs and is used often enough to spread its fixed cost.
Speed: compare like with like
Pages-per-minute figures are useful only when their conditions match your work. Sharp’s “up to 55 ppm” figure applies to the mono models shown on its UK office-printer page, not to every mono machine or every print mode. ENERGY STAR’s criteria use images per minute and set separate speed bands and formulas for monochrome and colour, non-multifunction and multifunction products.

- Check whether the rating is for A4 or another paper size.
- Check simplex and duplex ratings separately.
- Confirm whether the quoted number is black-only, colour, or a draft-quality mode.
- Look at first-page-out time if users print short, intermittent jobs.
- Consider whether the monthly duty cycle and paper capacity can sustain the peak workload.
Do not assume that a mono printer always beats a colour printer. Compare the exact configurations and the workload you care about.

Duplexing, paper handling and energy
Automatic duplexing reduces waste
Automatic two-sided printing is a practical filter for reports, policies and other multi-page documents. ENERGY STAR states: “Your ENERGY STAR certified printer is automatically set from the manufacturer for double-sided printing to reduce the number of pages you need.” Verify that the specific model includes automatic duplexing rather than requiring manual page turning, and check its duplex speed and supported paper types.
Size paper capacity for peaks, not averages
Compare input-tray capacity, optional trays, output capacity and the paper sizes your office uses. A device that must be refilled during invoice runs creates hidden labour and queueing. Confirm that envelopes, heavier stock and labels are supported if they are part of your workflow.
Use certification as a screening tool
ENERGY STAR-certified imaging equipment is designed around power-management features and has duplexing requirements at specified speeds. Certification is not a substitute for TCO, but it is a useful way to narrow the shortlist. Check the current certification listing and the model’s own specifications before purchase.

Duty cycle, reliability and service
Match the rated duty cycle to real peaks
Manufacturers publish a monthly duty-cycle figure for each model. Treat it as a ceiling or design reference, not a target. Compare it with your busiest month, not only your annual average, and leave headroom for unexpected runs.
Assess intermittent use
Xerox notes that laser toner does not dry out between jobs. That makes laser technology suitable for offices that print in bursts rather than continuously. Even so, check the model’s warm-up behaviour, first-page-out time and recommended maintenance for your pattern of use.
Confirm support and replaceable parts
Before ordering, identify who supplies toner and parts, how service is requested, what is covered during the warranty period and whether local technicians support the model. Include downtime and IT support in your TCO rather than treating them as free.
Network, security and administration checks
A small office printer can become a shared information system, so review the exact model’s network and security features. Confirm the connection options your office uses, administrative controls, firmware-update process, user-access controls and the way print jobs are handled in memory. Check whether the manufacturer documents secure configuration and ongoing support for the model’s firmware. These details vary too widely by model to infer them from the mono or colour category.

Print quality and document fit
Monochrome strengths
Mono laser output is designed for crisp, repeatable text and forms. It is a strong fit when readability and throughput matter more than visual emphasis, such as invoices, contracts, internal reports and routine correspondence.

Colour strengths
Colour laser output adds visual hierarchy and branding to presentations, charts, brochures and posters. Decide whether the colour must be accurate enough for customer-facing work, and inspect sample output or a return policy before committing to a model.
Do not pay for capability you will not use
If colour pages are rare and no one relies on them for decisions or sales, the extra toner systems, supply inventory and purchase cost provide little benefit. Put the savings into duplexing, a larger paper tray, stronger security or service coverage instead.
A buying checklist for a small office
- Measure the workload. Count average and peak monthly pages, separating black-only from colour pages.
- Set the colour rule. List the documents that genuinely require colour and how often they occur.
- Record model-specific yields. Capture black and colour cartridge yields, drum or maintenance life and the test conditions for each figure.
- Calculate TCO. Use cartridge price divided by rated yield, then add drums, paper, maintenance, energy, support and downtime.
- Check rated speed. Compare mono and colour, simplex and duplex, and the paper size used by your office.
- Verify duty cycle and trays. Match peak volume, input capacity and output capacity to the busiest workdays.
- Require automatic duplexing. Confirm the feature is built in and supports your paper types.
- Review network and security. Match the model’s documented controls and connection options to your office policy.
- Check certification. Use ENERGY STAR status and power-management specifications as screening criteria.
- Plan service. Confirm supply availability, warranty terms, local support and expected replacement procedures.
- Validate the final price. Prices and supply availability vary by country and date; verify them immediately before purchase.
Example of the kind of mono device to evaluate
Sharp describes the MX-B427PW as a compact A4 black-and-white printer suited to small-office or home-office use. Treat it as an example of the category, not as a universal recommendation: compare its current rated speed, duty cycle, duplex capability, paper capacity, security features, dimensions, supply yields and local replacement prices with competing models.

Accounting office printing invoices and reports
A monochrome laser is normally the stronger fit. Black toner keeps the supply list simple, and the recurring cost is generally lower for this text-heavy pattern. Prioritise automatic duplexing, a duty cycle with headroom and a tray large enough for invoice runs.
Consultancy producing weekly client presentations
A colour laser can justify its premium when colour is part of the presentation’s meaning or professional appearance. Compare the cost of the colour supplies and the time saved by producing pages in-house.
Small team with occasional marketing pages
Keep a mono printer as the daily workhorse if most pages are internal text. Use a shared or external colour option for infrequent jobs unless confidentiality, deadlines or volume make on-site colour more valuable.
Bottom line
For most small offices dominated by text, invoices, reports and forms, a monochrome laser printer is the better-value default. Select colour only when regular visual or client-facing output makes it a genuine requirement. Whichever category you choose, calculate TCO from model-specific yields and supply prices, compare rated speeds under matching conditions, require practical duplexing and paper handling, and verify network, security, service and ENERGY STAR details before ordering.
