For an external contractor, create a Shareable board, invite them to it as a Guest, and set board permissions to match the work they need to do. Guests can access only Shareable boards they are invited to—not your account’s Main or Private boards. Check your plan and the contractor’s email-domain eligibility before sending the invitation.
How to set up Monday.com for contractors
- Separate contractor work from internal work. Decide which tasks, files, and updates the contractor needs. Keep unrelated work on other boards; a Shareable board is accessible to its subscribers, including invited guests. See monday.com’s permissions guide.
- Create a Shareable board. In the left pane, select the plus icon, choose New Board, then choose Shareable. monday.com documents Shareable boards as available on Standard and above; check your account’s current plan before relying on that availability. See Shareable Boards.
- Invite the contractor from the board. Open the Shareable board, select Invite, enter the contractor’s email address, choose Guest, and send the invitation. The contractor receives an email invitation for that board. The steps are detailed in monday.com’s instructions for sharing projects with guests.
- Set board permissions. Open the board’s three-dot menu and select Permissions. Choose the narrowest permission set that still lets the contractor complete their tasks, then confirm which board elements they can edit. Board owners bypass board permissions, so do not assume a restriction applies to an owner. Allow a short time for saved changes to take effect. See Board permissions.
- Review access and account terms. Invite the contractor separately to each Shareable board they need. Guest billing treatment varies by plan, so check your current plan and seat status if you are inviting multiple people.
How do I invite a contractor to a monday.com board?
Invite them from a Shareable board and select Guest as the user type. Guest eligibility depends in part on the email domain: the contractor’s domain must differ from domains associated with your organization and related entities. What can a contractor see?
A Guest can see the Shareable boards they have been explicitly invited to. They do not receive general access to Main or Private boards, and an invitation to one Shareable board does not grant access to another. Review each board’s permissions to control what a non-owner can change. monday.com describes these access distinctions in its guest guide and permissions guide.

Choose permissions by task, not job title
There is no single contractor-specific permission preset established in the cited guidance. Instead, match the board permission set to the specific work—for example, whether the contractor needs to update task status, edit item details, or only view progress. Check the selected permissions against a representative task before relying on them. Owners bypass board permissions, as monday.com explains in its board-permissions documentation.

Troubleshoot a missing Guest option or failed invitation
- Confirm the board type. Guest invitations for contractor work use a Shareable board.
- Check plan eligibility. Guest and Shareable-board availability depend on the account plan. User types and billing treatment vary; see monday.com’s user types guide.
- Check the email domain. A domain associated with your organization or related entities may not qualify for guest access.
- Review invitation policies. Admins control account invitation and authentication settings, which may prevent an invite. Consult the account invitation guide.
- Check workspace restrictions on Enterprise. Enterprise accounts can have additional board, workspace, and account permission controls. Closed workspaces are Enterprise-only, and workspace restrictions cannot broaden account-level permissions. See Workspace permissions.
