If someone on your team manually follows up with every new lead, sends each welcome email, and assembles campaign results by hand, marketing automation can take some of that recurring work off the queue. It uses software and rules to respond to customer activity across channels. The time it returns depends on the workflow, the data, and the care needed to run it; the available figures do not establish a fixed number of hours every team will save.
What marketing automation does
IBM defines marketing automation as software and technology used to manage routine marketing processes across multiple channels. In practice, a workflow follows a simple pattern: an event happens, a rule determines what should happen next, and the platform carries out an action while recording the result.
- Trigger: A person downloads a guide, registers for a webinar, visits a page, subscribes, or leaves items in a shopping cart.
- Rule: The system checks relevant information, such as the person’s status, interests, or lead score.
- Action: It records the event, updates a customer profile, sends an email or text, or schedules a follow-up.
- Measurement: The team reviews engagement and conversion data to judge whether the workflow is useful.
For example, after someone downloads a guide, a platform could record the download, update that person’s lead score, and send a relevant follow-up. IBM describes these capabilities in its marketing automation overview.
Which recurring marketing tasks can it handle?
Follow-ups and customer journeys
A welcome sequence can send messages to new subscribers without a staff member sending each one. A cart-abandonment workflow can schedule a reminder, and a webinar registration can trigger a confirmation or later follow-up. The timing and content still need to make sense for the audience; automating a message does not make it relevant by itself.

Lead management and data capture
A platform can capture customer actions, add information to a database, and update lead scores according to rules the team defines. Shared customer and campaign data can help marketing and sales prioritize follow-up. That depends on the data being accurate and the scoring rules reflecting how the organization actually qualifies prospects.
Campaign testing and measurement
Marketing tools can support testing alternative creative assets and tracking activity across channels. Analytics can help a team see which messages or journeys are associated with engagement and conversions. Attribution is not automatically conclusive: a report may show a connection without proving that a particular message caused a sale.

What automation does not replace
Automation can reduce repetitive execution, but people still decide what the business should say, to whom, and why. Staff need to design journeys, write or review content, set sensible rules, check integrations, monitor results, and intervene when a customer’s situation calls for judgment. IBM frames automation as a way to shift attention toward higher-value work and customer relationships.

For enterprise B2B teams, Adobe highlights data foundations, buying-group journeys, personalized content, intelligent engagement, and journey analytics and attribution as important areas. These are implementation considerations—not proof that every organization or platform already handles them well. What published results say—and what they do not
Published studies and surveys report potential performance or ROI benefits, but their populations and measures differ. They do not establish a universal number of hours a marketer will save.
- Campaign effectiveness and ROI: The Data & Marketing Association’s 2025 Value of Automation report analyzed 153 campaigns using automation, selected from 1,720 award campaigns submitted to its Effectiveness Databank between 2017 and 2024. Its summary reports a 50% effectiveness boost for performance marketing effects and a 32% increase in marketing ROI. These are findings from that campaign analysis, not guaranteed results for an individual team. The report was sponsored by Marigold. DMA report summary.
- Sales productivity and marketing overhead: Salesforce quotes Nucleus Research figures of a 14.5% increase in sales productivity and a 12.2% reduction in marketing overhead. The Salesforce passage does not identify the study year, so these should not be read as results from a current trial. Salesforce’s benefits overview.
- Marketing ROI survey: Salesforce reports an average 25% increase in marketing ROI based on its Relationship Survey, conducted from 2014 to 2016 among more than 10,500 randomly selected customers. Response counts varied by question, and this is a Salesforce customer survey rather than a universal independent estimate. Salesforce’s benefits overview.
- Expected AI automation: Gartner reported in May 2026 that CMOs expected AI-driven automation to grow from 16% of marketing work in 2026 to 36% by 2028. This was a forecast from a survey of 402 CMOs fielded August through October 2025, not a measured future outcome. Gartner’s survey announcement.
These figures speak to campaign performance, ROI, overhead, productivity, or expectations—not a guaranteed quantity of staff time returned. To find out whether automation helps your team, measure the hours a specific workflow takes before and after changing it.

How to choose a workflow or platform
Start with a repeated job rather than a feature list. IBM describes triggered workflows, lead management, omnichannel communication, and campaign analysis; Adobe’s enterprise B2B framework adds data foundations and journey analytics. Use those capabilities to assess fit, not as a ranking of products. Platform features and regional availability can change, so verify them with the vendor before deciding.
- Workflow fit: Can the system detect the events that matter and run the recurring actions your team wants to automate?
- Data and integrations: Can it work with accurate customer and campaign data and connect to your existing CRM, website, and email tools?
- Channels and personalization: Does it support the channels and audience segments you need, with controls that help prevent excessive messaging?
- Measurement: Can the team track conversions, revenue, and time spent while seeing the limits of attribution?
- Operational burden: Who will build, check, and update workflows and content? A system that saves sending time but adds too much setup and maintenance may not be a net improvement.
Run a low-risk time-saving pilot
- Choose one frequent workflow. Pick a bounded task, such as a new-subscriber welcome sequence or a lead follow-up, with a clear trigger and outcome.
- Record the baseline. For a defined period, track staff time spent handling the task, the number of cases, and an outcome that matters, such as timely follow-up or conversion.
- Design the rules and safeguards. Confirm the trigger, audience, message, timing, data source, exclusions, and a way for a person to review or intervene when needed.
- Run the workflow and monitor it. Check that records are accurate, messages go to the intended people, and exceptions are handled correctly.
- Compare like with like. After a comparable period, compare time and outcomes with the baseline. Include setup and maintenance time, not just the work the software performs automatically.
- Decide what to do next. Keep, revise, or stop the workflow based on the measured result. Expand only when the benefit is clear and the team can support the added complexity.
Make the recovered time count
Marketing automation can handle repeatable actions, but the value is not simply fewer manual clicks. It comes when the team measures whether a workflow actually reduces its workload and deliberately redirects any time saved toward planning, creative work, and customer relationships.
