A marketing automation tool can help a small business keep up with recurring work: following up with prospects, organizing contacts, coordinating email with sales activity, capturing leads, and sending nurture messages on a schedule. Those are practical uses—not a promise of more leads or sales. Whether automation is worthwhile depends on whether these repeated tasks are important enough to justify setting up and maintaining a system.

What a marketing automation tool can do

Automation applies rules or schedules to recurring marketing and sales tasks. Instead of relying only on memory, an operator can arrange for a message to go out at a set time, create a reminder to contact a prospect, or group contacts for more relevant outreach. In a small business, the aim is to make a repeatable process easier to carry out—not to remove the need for judgment or personal communication.

A February 23, 2023 article by the Benchmark Team describes how BenchmarkONE users put these kinds of functions to work. It is a vendor-authored account, not an independent product test or a controlled study; it does not name customers, report a sample size or method, or measure results against a baseline. Its examples are useful as workflow ideas, but they do not establish that every business will get the same benefits. Read the BenchmarkONE article.

Which recurring tasks can automation help with?

Follow-up and reminders

When a prospect asks a question or shows interest, a scheduled email can provide a timely next touch. A task reminder can prompt someone on the team to make a personal call or take another action. The Benchmark Team article says users schedule emails and assign themselves tasks so prospects are less likely to be overlooked. Automation can support consistency, but a reminder is only useful if someone owns and completes it.

Sales and marketing coordination

When contact records, email activity, and sales follow-up are managed in connected workflows, staff can use the same record to guide outreach rather than maintaining disconnected lists. The source article describes users combining CRM and email functions for sales follow-up and lead nurturing. Before adopting a tool, map how a contact moves from initial interest to a sales conversation and identify which team member is responsible at each point.

Contact organization and reusable email work

Reusable email templates can reduce the effort of composing routine messages from scratch. Contact tracking and tags can help organize people by characteristics or interests, allowing a business to tailor messages instead of sending every email to everyone. The source presents templates, tracking, and tag-based segmentation as ways to reduce manual work. Tags and segments need to be kept accurate; otherwise, automation can send irrelevant messages just as efficiently as relevant ones.

Lead capture

Landing pages and popups are examples of tools businesses can use to collect contact information from interested visitors. The source article describes users employing them for lead capture. A form should ask only for information the business needs, and the resulting contacts should enter a clearly owned follow-up process.

Lead nurturing over time

Automated outreach and drip campaigns can send a sequence of messages over time, rather than requiring an employee to remember every planned touch. This can be useful when prospects need information before they are ready to talk with sales. The sequence should reflect a real customer journey and make it easy to stop or adjust outreach when a person replies, becomes a customer, or is no longer a fit.

What the reported benefits do—and do not—show

The Benchmark Team article says its users value more consistent follow-up, connected CRM and email work, contact organization, lead capture, and nurturing. These are descriptions of reported use, not measured proof that BenchmarkONE caused an increase in leads, conversions, or revenue. The page does not provide customer names, a sample size, study method, or comparative baseline.

The article also cites figures of 91 percent, 80 percent, and 77 percent for marketers using automation: respectively, saying automation is crucial to digital marketing success, seeing an increase in generated leads, and seeing an increase in conversions. The page attributes them to unspecified “recent research” and links to InvespCRO, but does not identify the original study, publisher, or year. They should not be treated as current benchmarks or as independently verified evidence of what a small business can expect.

How to decide whether a tool is worth evaluating

Start with the work, not the software. List the recurring steps your team already performs, where follow-up gets missed, and which tasks require a human decision. Then assess candidate tools against the actual workflow:

  • CRM and marketing fit: Can the contact record support both campaign activity and the sales follow-up your team needs?
  • Workflow upkeep: Can staff build, review, and update the automations without creating a process that no one owns?
  • Contact management: Are segmentation and list controls suitable for how you organize your audience?
  • Lead capture: Does the tool support the forms or pages your business needs?
  • Outcome reporting: Can you track the results that matter to your business, rather than relying on opens or sends alone?
  • Integration: Does it work with the sales and business systems already in use?
  • Cost and staff time: Estimate cost at your expected contact volume, along with setup and ongoing maintenance time.

Choose a narrow process to evaluate first, such as acknowledging a new inquiry and assigning the next follow-up. Define what success would mean—for example, fewer unassigned inquiries or faster response—and review whether the process actually improves. This helps separate time saved from business outcomes; neither should be assumed from the presence of automation alone.

When automation may not be the right next step

A tool may add complexity if the business has no stable follow-up process, unclear ownership of leads, or contact records that are too inaccurate to segment reliably. In those cases, first define who responds, what information is collected, and what should happen next. Automating a broken or unwanted workflow can scale its problems rather than solve them.
