Hosting a Markdown knowledge base online is better when you need dependable access across devices, managed synchronization, or shared team access. It is not automatically better for every reader: a synced knowledge base can keep local files for offline use, while a local-only setup offers more direct control and fewer service dependencies. The practical choice is often not online versus local, but whether to add a remote copy and what capabilities that service actually provides.
What “hosted online” can mean
The phrase covers several different arrangements, and they do not offer the same features:
- Remote sync for local Markdown: Your notes remain as files on your devices while a service or repository copies changes between them. Obsidian, for example, stores notes in a local folder called a vault and supports several synchronization approaches, including its own Sync service, third-party cloud sync, local synchronization, and Git. Obsidian Help: Sync your notes across devices
- A shared online workspace: The provider hosts the working environment and may offer browser access, collaboration indicators, and page- or role-based permissions. Notion documents these features, but its workspace is not simply a folder of Markdown files being remotely synced. Notion Help Center: Sharing & permissions settings in Notion
- Public web publishing: Notes or selected pages are made available as a website. This is useful for publishing, but public access is different from keeping a private, synchronized knowledge base. Notion documents public sharing and Notion Site publishing as separate options in its sharing guidance.
Before comparing services, decide whether you need private sync, team editing, public publishing, or some combination. An online service does not necessarily replace local Markdown: in Obsidian’s documented Sync model, devices keep a local copy alongside an off-site remote vault. Why adding an online copy can be better
Reach the same notes from more than one device
A remote copy can keep a knowledge base in step across a computer and other devices without making you manually carry files between them. The exact experience depends on the product and setup. Obsidian says its Sync workflow keeps local files and queues offline changes; when the device reconnects, queued changes synchronize while the app is open. That is a specific product behavior, not a guarantee for every sync tool. Obsidian Help: Local and remote vaults
#1 Best Overall
Local Markdown has an important advantage: notes stored on a device remain available without an internet connection. Adding remote sync can preserve that offline access while making the latest version available elsewhere, provided the chosen tool maintains local copies and handles reconnection as expected.
Share a knowledge base without passing files around
Online access can make it easier for a team to consult the same material and distribute updates. But “shared” does not necessarily mean people can edit the same file simultaneously, or that administrators can give every person narrowly tailored access.
Obsidian’s shared-vault documentation describes synchronized collaboration rather than live editing of one file: simultaneous live editing of the same file is not supported, and multiple editors’ changes are merged during synchronization. It also documents version history for reviewing or restoring earlier states. Obsidian Help: Collaborate on a shared vault

Notion, by contrast, documents indicators showing when people are collaborating at the same time. These examples illustrate why the word “online” alone is not enough to predict how a team will work; check the specific editor’s collaboration model. Reduce routine synchronization work
A managed sync service may take care of transferring changes in the background. Git can also track revisions and support collaboration through a hosted or self-hosted repository, but Obsidian’s documented Git workflow requires manual push and pull. Obsidian summarizes the trade-off this way: “Git provides strong version control, but syncing isn’t automatic.” Obsidian Help: Sync your notes across devices
That distinction matters if you want changes to appear on another device with little intervention. Manual synchronization can be suitable for someone who values explicit version-control steps; it is less convenient if missed pushes and pulls would disrupt everyday work.

What online hosting does not guarantee
Live co-editing and fine-grained permissions
Do not assume that a hosted Markdown vault works like a collaborative office document. In Obsidian shared vaults, collaborators have the same permissions apart from the ability to invite users; fine-grained permissions are not supported, and the same file cannot be edited live by multiple people. Obsidian Help currently states a maximum of 20 collaborators for a shared vault; the limit is a product detail that may change. Obsidian Help: Collaborate on a shared vault
Notion documents page-level database access features and permission inheritance, but also warns that the broadest permission granted to a person takes precedence. A narrow page-level setting therefore should not be considered in isolation from other access that person already has. Notion Help Center: Sharing & permissions settings in Notion
Automatic, conflict-free behavior on every device
Sync behavior depends on the tool. Obsidian Sync can queue changes made offline and synchronize them after reconnection when the app is open; Git-based synchronization requires manual push and pull in Obsidian’s documented workflow. Shared-vault edits may be merged, so a team should understand how it will review or restore changes rather than treating synchronization as a substitute for change management. Plain Markdown files everywhere
Obsidian says its notes are plain-text .md files, which supports direct access to the local files and gives users a clear path to work with them outside the app. That portability point should not be generalized to every hosted knowledge base: a workspace product may organize content and permissions differently from a folder of Markdown documents. Confirm what you can export and what survives if you stop using a service. Obsidian Help: Sync your notes across devices
How to compare hosting, privacy, and recovery
| Decision area | Questions to check | Documented example |
|---|---|---|
| Local and offline access | Are files stored on each device? Can you read and edit offline? What happens to queued edits after reconnection? | Obsidian says vault notes remain locally accessible offline; its Sync workflow queues offline changes and synchronizes them when the device reconnects and the app is open. Obsidian Help Obsidian Help |
| Collaboration and conflicts | Can people edit the same document at once? How are conflicting changes merged? Can you inspect or restore prior versions? | Obsidian shared vaults do not support simultaneous live editing of the same file; changes are merged during synchronization and version history is available. Obsidian Help |
| Permissions | Can access be limited by page, database, or role? Do inherited or broader permissions override a narrower rule? | Obsidian says shared-vault collaborators have the same permissions except for inviting users. Notion documents page-level database access and says a person’s broadest permission takes precedence. Obsidian Help Notion Help Center |
| Encryption and metadata | Is content encrypted end to end? Who can hold or access the keys? What information remains visible to the provider? | Obsidian says new remote vaults use end-to-end encryption by default, with standard encryption also available. Its documentation says it cannot read end-to-end encrypted note contents, but some metadata remains readable, including which device uploaded or deleted a file and when, and a mapping between encrypted paths and content. Obsidian Help: Security and privacy |
| Data location | Where is data stored, and can you choose or verify the region? | Obsidian lists Sync data centers in Singapore, Frankfurt, San Francisco, and Sydney; its automatic region selection uses IP location at initial setup. This is the vendor’s documented configuration and may change. Obsidian Help: Security and privacy |
| Administration and recovery | Who operates the remote service? How are backups made and tested? Can you restore data independently of the sync process? | Obsidian documents first-party Sync, third-party cloud sync, local synchronization, and Git as approaches. Its documentation recommends consulting its backup guidance; a synchronized copy should not be assumed to be an independent backup. Obsidian Help |
Encryption is only one part of a privacy decision. Check the provider’s explanation of key control, server-readable metadata, and storage location for the exact service and configuration you intend to use. Obsidian’s encryption and region statements describe its Sync service; they do not establish how other providers handle data. Obsidian Help: Security and privacy
Choose the setup that fits how you work
Choose remote sync when access across devices is the main need
A local-first vault with remote synchronization is a strong fit when you want local Markdown files but do not want to transfer changes manually. Verify offline behavior, whether the app must be open for synchronization, and how conflicts are surfaced before relying on it for important work.
Best Value
Choose a collaborative workspace when team controls matter more than file-level simplicity
If your team needs visible co-editing or structured access controls, evaluate a workspace that explicitly documents those capabilities. Confirm how permissions inherit, whether shared pages expose related content, and whether the content remains usable in a form you can export.
Keep a local-only knowledge base when control and independence come first
Local-only Markdown suits readers who primarily work on one device, need dependable offline access, or prefer direct control over their files. The trade-off is that sharing and keeping devices aligned become your responsibility unless you add a separate synchronization method.
Use Git when deliberate version control is worth manual steps
Git can be appropriate when you want a revision history and are comfortable with repositories and explicit push-and-pull routines. If you expect automatic updates across devices, account for the manual process Obsidian documents rather than assuming Git behaves like background sync. Obsidian Help: Sync your notes across devices
Quick Recap
Before moving an important knowledge base online
- Identify the goal. Decide whether you need cross-device sync, team collaboration, controlled sharing, or public publishing; these are distinct capabilities.
- Check the local-file model. Confirm whether a local copy remains available and whether your notes are stored as portable Markdown or in a service-specific workspace.
- Test offline and reconnection behavior. Make a harmless edit offline, reconnect, and verify when and how it appears on other devices.
- Review team access and conflicts. Check simultaneous editing, permission inheritance, merge behavior, history, and restoration before sharing sensitive or frequently edited material.
- Read the security and location details. Look for encryption mode, key access, visible metadata, and the storage region for the particular service and setup.
- Keep an independent backup. Confirm how a backup is created and restored; synchronization alone may copy unwanted edits or deletions as well as useful changes.
