Managed IT services can strengthen data security when the provider’s responsibilities are clearly defined, its controls fit your environment, and you verify that it follows through. They do not automatically make data safer: a provider with access to your systems can also become a route into them.

How managed IT services affect data security

A managed service provider (MSP) operates or manages technology services for a customer under an agreement. Some MSPs handle routine IT operations; others provide managed security services. The labels alone do not tell you which security work is included. Confirm the actual scope in the proposal and contract.

When an MSP has access to customer networks or data, its security practices affect the customer’s risk. CISA’s May 11, 2022 joint advisory on managed service providers describes the exposure created by that access and recommends that customers and providers clarify security measures. The practical benefit of an MSP therefore depends on the controls it operates, how well they fit your systems, and the oversight you retain.

Which security tasks should you confirm?

Ask the provider to identify which party owns each task, what the service includes, and how performance will be reported. Do not assume every MSP provides every control.

  • Backups and recovery: What data is covered, who maintains backup copies, and who performs restore tests?
  • Incident response: Who leads the response, what support is included, and when and how will you be notified?

Routine IT support may not include continuous security monitoring, incident response, or other managed security services. Ask the provider to distinguish included work from optional or separately contracted services.

How to protect systems when an MSP has remote access

Remote access can be necessary for support, but it should be restricted and protected. CISA’s July 14, 2021 hardening guidance for MSPs and customers highlights least privilege, secure remote access, and multifactor authentication (MFA) where possible.

FortiGate-60F Network Security Appliance Plus 1 Year FortiGuard Unified Threat Protection (UTP) and FortiCare Premium (FG-60F-BDL-950-12)
  • HARDWARE PLUS SECURITY SERVICES: FortiGate-60F Firewall Appliance bundled with 1 year of FortiCare Premium and FortiGuard Unified Threat Protection.
  • UNIFIED THREAT PROTECTION (UTP): Secures against advanced online threats with comprehensive web filtering and anti-botnet technologies.
  • OPTIMIZED FOR MEDIUM-SIZED BUSINESSES: Tailored for businesses needing robust security without the infrastructure of larger enterprises.
  • RELIABLE CUSTOMER SUPPORT: FortiCare Premium ensures high-quality support and service continuity.
  • EFFECTIVE PROTECTION: Employs advanced filtering technologies to safeguard against sophisticated threats.
  • Ask how provider staff authenticate and whether MFA is used where possible.
  • Confirm that each person’s access is limited to the systems and duties they need.
  • Ask how access is granted, reviewed, changed, and removed when staff roles change or the contract ends.
  • Agree which activity is logged, who reviews those logs, and how security concerns are escalated.

The CISA-led 2022 advisory recommends storing the most important logs for at least six months. Treat that as the advisory’s recommendation, not a universal retention rule: determine what applies to your organization’s needs and legal or regulatory obligations, and put the agreed retention period in writing.

What to put in the MSP agreement

Write down security responsibilities rather than relying on informal assurances. FTC guidance for businesses recommends investigating service providers’ security, setting expectations in contracts, verifying compliance, and requiring notice of security incidents. GL.iNet GL-MT5000 Brume 3 Wired VPN Security Gateway NO Wi-Fi
  • 【Up to 1100 Mbps VPN Speed 】 Hardware-accelerated WireGuard and OpenVPN-DCO deliver up to 1100 Mbps VPN throughput, over 3× faster than Brume 2 for smooth remote access and file transfers.
  • 【Three 2.5G Ports & Multi-WAN】Tri-port 2.5GbE design with flexible WAN LAN configuration supports multi-gigabit wired setups, dual-ISP Multi-WAN and failover to keep home and SOHO networks online.
  • 【Stealth VPN Obfuscation】VPN obfuscation disguises VPN traffic as regular HTTPS, helping you evade blocking, bypass restrictive networks and maintain stable, private connections.
  • 【DPI protection】Deep Packet Inspection with visual dashboards blocks adult/gambling/malicious sites, while SQM and QoS prioritize gaming, calls, and video when bandwidth is tight
  • 【OpenWrt & USB 3.0 Expansion】OpenWrt with 1GB DDR4 and 8GB eMMC lets you install plugins and build VPN, ad-blocking or NAS, while USB 3.0 Type‑C connects high-speed storage or 4G/5G dongles
  • The services and systems covered, including security work that is excluded.
  • Required access controls, remote-access protections, monitoring, and logging responsibilities.
  • How you will receive incident notifications, including the agreed contact and process.
  • Backup coverage, maintenance, restore testing, recovery responsibilities, and reporting.
  • What evidence or status reports the provider will supply so you can verify agreed controls.
  • How the provider will return or securely handle your data and remove its access when the relationship ends.

Make the agreement specific enough to distinguish provider duties from your own. A contract is useful only if you can check whether the provider is meeting it.

How to evaluate and compare MSPs

Compare providers using the same questions and the same service scope. NIST’s SP 800-35, published October 9, 2003, identifies provider qualifications and capabilities, staff trustworthiness, operational requirements, and the ability to protect an organization’s systems, applications, and information as selection considerations.

Ubiquiti Cloud Gateway Ultra (UCG-Ultra)
  • Runs UniFi Network for full-stack network management
  • Manages 30+ UniFi Network devices and 300+ clients
  • 1 Gbps routing with IDS/IPS
  • Multi-WAN load balancing
  • 0.96" LCM status display
  • Capability and fit: Can the provider explain how its services apply to your systems and operating requirements?
  • Access and personnel: Can it describe how staff access is limited and how staff trustworthiness is addressed?
  • Monitoring and response: Are alert review, escalation, and incident responsibilities explicit?
  • Backup and recovery: Are coverage, maintenance, restore testing, and recovery roles clear?
  • Accountability: Will the provider document its commitments and give you a way to verify them?
  • Operational reliability: Can it meet your requirements for service availability and ongoing support?

Request evidence relevant to your environment and compare like with like; no single certification or universal ranking establishes that an MSP will secure every customer.

Plan backups around recovery, not just storage

A backup is useful only if the necessary data is covered and can be restored when needed. NIST’s Guide to Securing Personal Information in an MSP Environment, published April 24, 2020, addresses backup planning, maintenance, and testing. Agree with the provider on what is backed up, who controls copies and deletion, how often restoration is tested, and who leads recovery. The guide does not prescribe one backup product that fits every organization.

Use guidance that fits your sector and location

The cited guidance comes from U.S. government sources and was published on different dates: NIST SP 800-35 in 2003, NIST’s MSP backup guide in 2020, CISA hardening guidance in 2021, and the CISA-led MSP advisory in 2022. Use these sources for the principles they address, but check current requirements for your industry, jurisdiction, and systems before setting contractual or compliance obligations.
