Manage a team in Trello by using a Workspace as its home, organizing work into a small set of boards, inviting only the people who need access, and setting board visibility deliberately. For work spread across projects, Workspace views can bring tasks from multiple boards together—provided each person has permission to see those boards.

Although this topic is often called “Trello Business,” Trello’s team-management page currently displays the plan names Free, Standard, Premium, and Enterprise. Check the live plan details before choosing a tier; the name “Business” should not be assumed to be a current plan label.

1. Create a Workspace for the team

A Workspace is Trello’s team-level hub for finding and collaborating on boards. Use one Workspace for a team or function that shares membership and needs to find its work in the same place. Boards then represent the projects or workstreams within that hub. Trello’s Workspace onboarding guide explains the Workspace and board setup model.

If a suitable Workspace already exists, select it rather than creating another by default. Too many separate Workspaces can make it harder for people to find boards and can split administration across hubs.

2. Create a small, clear board structure

Start with a few boards organized around meaningful projects or ongoing workstreams. Choose names that make the board’s purpose and audience obvious. A board should give its members a shared place to manage related cards, rather than becoming a catch-all for unrelated work.

Before adding boards, decide who needs to work on each one. This makes it easier to invite the right people and choose a visibility setting that matches the work. Trello’s onboarding guide describes inviting teammates from the Workspace Members area by name or email.

3. Invite teammates and understand the roles

Use the Workspace Members area to invite relevant teammates by name or email. Before inviting broadly, decide who should administer the Workspace and who only needs to participate in the work. Role controls vary by plan: Trello’s guidance says members of a free Workspace are admins by default, while more granular Workspace roles—admin, normal member, and observer—are associated with Premium.

That distinction matters for teams that want to limit administrative control. Confirm the role options available in your current Workspace and plan before relying on a particular role setup. Trello’s permissions and admin controls guide and onboarding guide describe the documented defaults and role controls.

4. Choose board visibility for the audience

Board visibility determines who can find and use a board. Trello describes three relevant settings:

  • Workspace-visible: Workspace members can view, join, and edit cards on the board.
  • Private: Only board members can access it.
  • Public: Anyone with the link can view it, and the board is indexed by search engines. Only board members can edit cards.

For public boards, Trello’s permissions guide states: “If a board is Public, anyone with the link to the board can view the board, but only members of the board can edit cards.” Treat public visibility as an exposure decision, not merely a convenient way to share. Review a board’s setting before adding sensitive project details, and check visibility again if the board’s audience changes.

5. Monitor work across boards with Workspace views

When projects live on separate boards, Workspace Table and Calendar views can help a lead see tasks across them in one place. Table view gathers card information into a cross-board view; Calendar view helps surface due dates. Trello’s Workspace Views guide describes filtering by fields such as member, label, or due date, as well as saving and sharing useful views.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use filters to focus on a specific person, category, or deadline, then save a view if the team will return to the same perspective. Sharing a view does not bypass board permissions: each viewer still needs access to the boards represented in it. Trello also describes Workspace views and access context in “Bringing Your Office Online: How to Use Trello Workspaces.”

6. Choose a plan based on the controls the team needs

Define the team’s requirements before considering an upgrade. The official team-management page currently shows Free, Standard, Premium, and Enterprise; Trello’s permissions and onboarding guidance associates granular Workspace roles with Premium. Workspace views are another capability to check against the team’s needs and the current plan details.

  • Role separation: Does the team need distinct admin, normal member, and observer roles rather than the documented free-Workspace admin default?
  • Cross-board oversight: Would Table or Calendar views help the team manage work spread across boards?
  • Governance and team size: How many people need access, and how much control does the team need over membership and board visibility?
  • Current cost and billing: What pricing and billing cadence does Trello currently offer for the required plan?

There is no universal best plan for every team. Compare the requirements with Trello’s live team-management plans page and verify current features and pricing before making a decision; plan packaging can change.

A practical management routine

  1. Keep the team’s boards in the Workspace that best matches its shared work.
  2. Review board names and purposes as projects change, and avoid turning boards into unrelated catch-alls.
  3. Invite people who need access and confirm their role options in the current plan.
  4. Check every board’s visibility against its intended audience, especially before using public visibility.
  5. Use Workspace Table or Calendar views for cross-board monitoring, with filters that answer a real team question.
  6. Revisit plan requirements when the team’s governance or oversight needs change.
