JES spool files and printed reports are not two formats of the same archive. A JES2 spool is system-managed working storage for jobs and SYSOUT. A printed report is a downstream physical artifact whose custody, filing, access, and retention depend on your organization. Checkpointing helps JES2 restart with queue state intact, but it is not a report-archive service, and a live spool volume must not be treated as an ordinary disk-copy backup.
The practical decision is therefore three separate decisions: how long JES output remains under JES control, how long a physical report must be retained under local records policy, and what recovery point your operations team must meet after a JES or storage failure. This comparison shows what each copy can do, where the risks differ, and how to build a release-specific runbook without inventing a universal retention period.
What a JES spool file is—and what a printed report is
IBM describes the JES2 spool as the repository for input jobs and all system output that JES2 manages. A spool contains one or more spool volumes; each volume contains a spool data set and the control information JES2 needs to manage it. Bulk content can include SYSOUT, SYSIN, and JCL data sets. Jobs enter JES2, are scheduled, execute, and leave output in the spool until JES2 output processing and local controls release or purge it.
A printed report is created when output is selected for a printer or another physical production process. After printing, the paper copy is no longer merely a spool data set. It becomes an item that people or a records operation must receive, identify, file, protect, retrieve, and eventually dispose of. The printer may have its own queue or temporary storage, but those are intermediate stages rather than a substitute for an approved archive.

This distinction matters during an incident. The spool is part of the active job-processing system; the paper report is an externally handled deliverable. A successful print does not prove that the spool copy is still available, and a healthy spool does not prove that a printed copy was filed or can be found.
Side-by-side comparison
| Question | JES2 spool | Printed report |
|---|---|---|
| Where is it stored? | On one or more JES2-managed spool volumes containing spool data sets and control information. | On paper after production, with custody in a printer area, department, records room, or other locally managed physical location. |
| Who controls its lifecycle? | JES2 output processing plus installation parameters, operator procedures, and security controls. | The organization that owns the report, its filing procedure, access rules, and records schedule. |
| Primary purpose | Working storage for job input, execution output, and output selection or delivery. | A human-readable physical deliverable or retained record. |
| Normal recovery objective | Restore queue processing and output relationships through checkpoint/restart and supported spool procedures. | Locate the retained physical copy or reproduce the report from an authoritative source. |
| Main integrity concern | Checkpoint references must continue to match the spool data; volume I/O or an inconsistent copy can disrupt JES2 tracking. | Loss, damage, misfiling, unauthorized access, or an archive that cannot be reached when needed. |
| Capacity concern | Spool consumption can grow unexpectedly and affect active processing; usage should be monitored. | Physical space, filing labor, environmental protection, indexing, and retrieval time. |
| Universal retention period | Not stated by the cited IBM documentation; verify local JES2 configuration and policy. | Not stated by the cited IBM documentation; verify local records and business requirements. |
The table separates capabilities that are often conflated. Neither medium is automatically a long-term archive. Spool is optimized for controlled processing and recovery, while paper is optimized for a physical handoff or record only when the organization deliberately manages it as one.
How spool storage and output lifecycle work
Job input and execution data
JES2 accepts jobs and places their input on the spool while it manages scheduling and execution. JCL and SYSIN are examples of input-related data that can reside there. System output, including SYSOUT data sets produced by jobs and system components, is also written to spool. JES2 maintains the metadata and queue relationships needed to select, route, hold, print, transmit, or purge that output.

Output selection is not the same as archival
Output classes, destinations, holds, and installation procedures determine what happens to SYSOUT. An output data set can remain available for operators, be sent to a printer, or be removed after processing. Those controls answer an operational question—what should JES2 do with this output? They do not by themselves answer a records question—what copy must be retained, for whom, and for how long?

What happens when paper is produced
Printing creates a separate custody chain. Someone must verify that the correct job, report name, date, and page set were produced; deliver it to the owner; and apply any required classification or access restriction. If a paper report is the official record, the owner should document where it is filed and how it can be retrieved. If the paper is only a convenience copy, the organization may need to retain a searchable electronic source instead. That decision belongs to local governance, not to the existence of a JES spool volume.
Retention: define the policy before choosing a mechanism
There is no universal number of days in the cited IBM material for either JES output or printed reports. Retention depends on installation configuration, business ownership, legal or regulatory obligations, and the time during which a report must be retrievable. Treat any number suggested by a vendor, operator, or old runbook as a local control that must be verified, not as a platform default.
Questions to settle with the report owner
- Required retrieval window: How far back must an authorized user be able to obtain the report?
- Authoritative copy: Is the spool output, a managed electronic export, or the printed document the record of reference?
- Search requirement: Must staff search by job, account, date, or report identifier, or is physical retrieval acceptable?
- Custodian: Which team owns filing, access approvals, release, and destruction?
- Recovery point: After a failure, how much new output may be regenerated or lost?
- Disposition: What approval is required before spool output or paper is deleted or shredded?
Write the answers into the operational and records procedures. Then map each answer to an actual JES2 control, a paper-handling step, or a separate managed repository. Do not claim that checkpointing, printer completion, or a spool copy satisfies a retention obligation unless the policy explicitly says so.

JES2 periodically copies changed in-storage job and output queue information to a checkpoint data set. IBM characterizes this function as “Job and output queue backup to ensure ease of JES2 restart.” The checkpoint preserves a backup view of queue state and helps members of a multi-access spool configuration remain aware of current jobs and output.

The checkpoint and the spool payload are different things. The checkpoint contains queue and control information; the spool volumes contain the bulk data to which that information points. A checkpoint can tell JES2 which jobs and output elements exist and where they belong, but it does not turn the spool into an independent report archive or replace the output data itself.
What restart support means
After a JES2 or system failure, checkpoint information can support restart with little or no loss of job or data integrity when the relevant procedures and storage remain usable. It is a resilience mechanism for continuing job and output processing. The outcome is not the same as guaranteeing that every historical report remains available for a business-defined number of years or months.
Why checkpoint placement matters
IBM recommends placing JES2 checkpoint data sets on separate volumes to ease recovery and reduce common failure points. This is a configuration recommendation, not a guarantee that two volumes can never share a failure domain. Document the actual volume layout, protections, and recovery dependencies in your installation design.
Why copying a live spool volume is unsafe
A live spool volume is changing while JES2 and jobs write, read, and update data. IBM warns that copying one and then using the copy can cause JES2 problems because the checkpoint maps jobs and output elements to data on the spool. If the copy captures different moments for those structures, the relationships no longer match. JES2 can lose track of current jobs or output, even though the copied blocks appear readable.

This is a consistency problem, not simply a question of whether a disk utility reports a successful copy. A block-level image, storage snapshot, or volume clone is not automatically a supported JES2 backup. Do not introduce a copied spool volume into production or a recovery test unless the procedure for your installed release explicitly supports that operation.
Use the supported drain-and-reload concept
For disaster-recovery or migration scenarios that require draining and reloading spool content, IBM identifies the JES2 SPOOL offload facility as the supported function with a similar purpose. Offload is designed for a controlled operation rather than an arbitrary live-volume copy. The exact commands, prerequisites, sequencing, and limitations depend on the z/OS release and your JES2 configuration; the IBM material describing this warning is for z/OS V2R2, so confirm the corresponding procedure for the release you run.
- Identify the operation: Decide whether you are performing a planned migration, disaster-recovery exercise, or response to a spool-volume failure. Do not use the same assumptions for all three.
- Check the release documentation: Obtain the JES2 initialization, operations, and recovery instructions for the installed z/OS level. Confirm that the planned SPOOL offload or reload method is supported.
- Record queue state and ownership: Capture the jobs, held output, destinations, and report owners that the procedure must preserve. This is an operational record, not a substitute for the checkpoint.
- Control processing: Follow the documented drain, quiesce, or offload sequence so JES2 does not continue changing the structures being moved.
- Validate after reload: Confirm that jobs, output elements, classes, destinations, and held data are visible as expected before returning normal processing.
- Test the business result: Verify that an authorized operator can locate required output and that the report owner can obtain a readable copy.
Keep the runbook release-specific. A procedure copied from a z/OS V2R2 guide may not contain every option or restriction present in a newer release.
Failure and recovery scenarios
JES2 or system restart
The checkpoint data set supplies queue information needed for restart. The objective is to resume processing while preserving job and output integrity to the extent supported by the configuration and recovery procedure. Operators should use the release-specific JES2 restart instructions and verify the resulting queue, not infer success solely from JES2 starting.

Spool I/O failure
Spool media or I/O problems can prevent JES2 from reading or writing the data associated with queue entries. Recovery may require isolating the affected volume, using documented JES2 recovery functions, and determining which output must be regenerated. IBM’s recovery material for JES3 separately lists procedures for restart after failure, checkpoint/restart, checkpoint data sets, and spool I/O errors. JES3 instructions are not a substitute for JES2 instructions; keep the two product families distinct in your runbooks.
Lost or damaged paper
A missing report is a custody and retrieval incident, even if the originating job completed normally. Check the filing index, delivery log, and authorized owner first. If the spool output or another managed source remains within the required window, reproduce the report under change or records procedures. If no authoritative electronic copy remains, recovery may be impossible; that is why the owner must decide which copy is official before the spool lifecycle removes data.
Incorrect or incomplete volume copy
If a copied volume was created while JES2 was active, do not mount it as though it were a valid backup. Preserve the evidence, stop further experimentation, and consult the release-specific recovery procedure. Reconstructing queue relationships from an inconsistent image can create a more serious integrity problem than the original storage event.
Monitoring spool growth and diagnosing abnormal usage
Capacity management is part of availability, not an archive policy. IBM’s z/OS Predictive Failure Analysis check for JES2 spool usage models changes in spool use and reports abnormal changes for address spaces. When usage is higher than expected, IBM recommends inspecting the job log and other files written to spool. The guidance includes recycling a damaged job as one possible action when a job is responsible for runaway output.
A practical investigation sequence
- Confirm the alert’s time, address space, and affected system or member.
- Review the job log for loops, repeated messages, unexpectedly large output, or a failed step that is writing continuously.
- Inspect the job’s SYSOUT and related spool files to identify which class, destination, or step is consuming space.
- Check whether held output, an unavailable destination, or an operator routing problem is preventing normal cleanup.
- Apply the approved corrective action, which may include stopping or recycling a damaged job, then observe whether usage returns toward the expected level.
- Record the cause and the permanent fix so the same workload does not exhaust spool during the next run.
This check detects abnormal growth; it does not preserve old reports, extend retention, or create a second copy. If a report must survive beyond the JES output lifecycle, export or print it into the approved retention process while it is still available.
Designing a retention and recovery runbook
For JES operations
- List spool volumes, checkpoint data sets, their volume separation, and the failure domains they share.
- Document output classes, destinations, holds, purge rules, and who can change them.
- State the normal and emergency procedures for JES2 restart, spool I/O errors, and SPOOL offload or reload.
- Define how operators identify output that must be preserved before a purge or migration.
- Record the installed z/OS and JES2 release so every command and restriction can be checked against the correct documentation.
For report owners and records staff
- Assign an owner for each report family and identify the authoritative copy.
- Specify the required retention window and retrieval attributes in the local policy.
- Define labeling, indexing, access control, environmental protection, and destruction approval for paper.
- Provide a reproduction path when the printed copy is lost but an authorized electronic source remains.
- Test retrieval periodically, including a request made by someone who did not create the report.
For disaster-recovery exercises
- Choose a scenario: JES2 restart, checkpoint-volume loss, spool-volume I/O failure, planned migration, or paper-archive loss.
- Set an explicit recovery point and recovery time target for both active jobs and required reports.
- Use only supported release-specific procedures; exclude ad hoc live spool copies from the test plan.
- Verify queue state, output integrity, and the ability of the business owner to retrieve the required report.
- Capture gaps separately: a processing-recovery gap is not the same as a records-retention gap.
Common mistakes to avoid
- “The spool is our archive.” It is managed working storage. Retention requires an intentional policy and a controlled copy.
- “The checkpoint contains the reports.” It contains queue and control information; the bulk output remains on spool volumes.
- “A storage snapshot is a backup.” A live copy can break checkpoint-to-spool relationships unless the operation is supported and coordinated.
- “Printing means the record is safe.” Paper can be lost, damaged, misfiled, or inaccessible without custody and indexing controls.
- “IBM specifies the retention period.” The cited documentation does not provide a universal number of days for JES output or paper reports.
- “JES2 and JES3 recovery steps are interchangeable.” They are separate products with separate procedures; use the instructions for the one installed.
- “A usage alert is an archive alert.” Spool-growth monitoring protects capacity and processing; it does not extend retention.
Decision checklist
Before changing purge rules, printer procedures, or recovery storage, obtain written answers to these questions:
- What report or job output must be retrievable, and for what locally defined period?
- Which copy is authoritative: spool, a managed electronic export, or paper?
- Who owns access, filing, reproduction, and approved destruction?
- What search keys and maximum retrieval time are required?
- What job and output state must survive a JES2 restart?
- Which checkpoint data sets and spool volumes are in each failure domain?
- What release-specific SPOOL offload or spool-I/O recovery procedure has been tested?
- How will abnormal spool growth be detected, investigated, and corrected?
- How will the organization prove that a printed report was delivered and retained?
If the answers are different for different report classes, document them by class rather than imposing one retention rule on every SYSOUT data set. That approach keeps operational spool controls, business records obligations, and disaster recovery aligned without pretending that one medium can perform all three jobs.
