Start with macOS Storage. Apple’s built-in tools show where space is being used, provide category-specific deletion controls, and offer recommendations such as iCloud storage optimization and automatic Trash management. For most Macs, that is enough to find and remove ordinary space hogs without installing another utility.
Consider a third-party cleaner only for a defined gap: for example, when you need a visual map of files and folders, or when you want several maintenance tools in one interface. Treat every proposed deletion as a decision you must review. Cleaner apps are not established as necessary, guaranteed performance boosters, or permission to erase anything labeled as junk.
The short answer: use Apple’s tools first
Open Apple menu > System Settings > General > Storage. This view gives you a high-level account of used and available space, breaks usage into categories, and may present recommendations. It is the safest starting point because it is part of macOS and its controls are tied to the type of data being managed.
A separate app becomes useful when the built-in categories do not answer a specific question. A disk-visualization utility can make large folders easier to spot. An all-in-one utility can group cleanup and file-management functions, but its capabilities depend on the current edition. Neither type should be treated as an automatic authority over your files.

What macOS Storage shows
Open the Storage view
- Choose the Apple menu in the upper-left corner.
- Select System Settings.
- Open General, then choose Storage.
- Wait for macOS to calculate the categories. The list and labels can differ by Mac and by the data currently present.
The panel reports used and available capacity and can include Apps, Documents, iCloud Drive, iOS Files, Media, Mail, Messages, Photos, Trash, Other Users, macOS, and System Data. A category may let you select items for deletion or open the application that manages them. Categories are not identical on every Mac, so absence of a label does not indicate a fault.
Use category controls for ordinary cleanup
Select a category and read the explanation before removing anything. Applications can generally be reviewed as a list; Documents can expose large files, downloads, or unsupported files; media categories may lead you to Photos, TV, or other libraries; and Trash can be emptied after you confirm that no deleted item is still needed. When a button opens another app, complete the review there rather than assuming the Storage panel has already selected every related file.
Apple’s built-in recommendations
Depending on the Mac, Storage may offer Store in iCloud, Optimize Storage, and an option to empty Trash automatically. These settings can reclaim local capacity, but each changes how data is kept or removed.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Store in iCloud
Store in iCloud can keep some files available on demand instead of retaining a complete local copy. That can reduce startup-disk usage, but an on-demand file may need to download again when you open it. Check your iCloud capacity, network access, and whether the files must remain available offline before enabling the option.
Optimize Storage
Apple describes optimization that can remove watched Apple TV films and shows and keep only recent email attachments on the Mac when space is needed. The source copy remains governed by the relevant service, so verify that you understand what can be downloaded again and what is being retained locally.
Automatic Trash emptying
When the corresponding setting is enabled, macOS removes items from Trash automatically after 30 days. This is a system setting rather than a study statistic. Do not enable it on a shared or archival Mac until everyone who uses the account understands that the recovery window ends after that interval.

Safe cache and log removal
macOS can clear caches and logs it considers safe to delete when more room is required. This is deliberately selective: the system decides which temporary material is disposable. You do not need to locate and erase every cache manually to benefit from the built-in process.
Why System Data can look alarming
System Data is not a normal folder that you can empty from the Storage screen. Apple describes it as system-managed material such as logs, caches, virtual-memory files, temporary files, fonts, application-support files, plug-ins, and other runtime resources. Its size changes with the Mac’s current state. Apple’s wording is precise: “The contents are managed by macOS, and the category varies in size depending on the current state of your Mac.”
The category therefore is not a checklist of disposable files. A large number can reflect active work, virtual memory, indexing, software support data, or temporary material that macOS may purge later. The Storage panel does not provide a control to select and delete the contents of System Data as a group.
Available space is not simply unused space
Apple distinguishes free space from available space. Available space includes free space plus purgeable caches, and a block can be counted as available while it is technically occupied. That is why category totals may not add up to a perfectly intuitive inventory and why a cleaner’s scan can disagree with the Storage summary. Treat the numbers as capacity guidance, not as proof that every byte in a category can be removed.
What third-party cleaner apps can add
Visual inspection of files and folders
A disk-visualization tool is aimed at the question, “Which folders and files are consuming the most room?” DaisyDisk’s developer describes scanning storage and presenting usage visually, including internal and external disks and other mounted data sources. That can be helpful when the built-in Documents view does not reveal the relationship between a large folder and the files inside it.
Visualization is an inspection aid, not a deletion guarantee. A large item may be a virtual machine, photo library, backup, developer dataset, or other file you intentionally keep. Before deleting from a visual map, open the item’s location, confirm its owner and purpose, and check whether another application depends on it.

Broader cleanup and file-management bundles
MacPaw describes CleanMyMac as a broader cleanup and file-management utility. Its documentation also says that feature availability differs between editions, including the Mac App Store edition. If you evaluate such an app, identify the exact edition and the one feature you need instead of assuming that the broad product name means every tool is included.
Vendor feature descriptions do not establish measured speed, storage savings, or deletion safety. No independent comparison or hands-on safety test is established here. Keep unfamiliar files until you know what created them, what opens them, and whether they are covered by a backup.
Built-in management versus a cleaner app
| Need | macOS Storage | Third-party utility | Best starting choice |
|---|---|---|---|
| See broad usage by category | Shows categories such as Apps, Documents, Photos, Mail, Messages, Trash, and System Data. | May reorganize the same information, but the exact view depends on the app. | macOS Storage |
| Review applications and ordinary documents | Provides category-specific lists or opens the relevant app. | May add sorting, search, or a combined interface. | macOS Storage, then add a utility only if its navigation solves a specific problem |
| Understand which folders are largest | Can be less granular than a folder map. | A visualizer such as DaisyDisk is designed for file-and-folder inspection, according to its developer. | Use the built-in view first; add a visualizer when the hierarchy is unclear |
| Apply iCloud and system recommendations | Offers Store in iCloud, Optimize Storage, and automatic Trash handling where supported. | May offer unrelated maintenance controls; it does not replace Apple’s storage policies. | macOS Storage |
| Use several cleanup tools in one place | Controls are distributed by category and app. | An all-in-one utility may bundle cleanup and file tools, with edition-specific limits. | Evaluate the exact feature and edition before installing |
| Delete safely | Uses category-aware controls, but you still confirm what is being removed. | Shows proposed actions that must be checked in the current version. | Whichever workflow gives you the clearest item-level explanation |
Choose by the problem you actually have
Your Mac is not running out of space
You do not need a cleaner merely to monitor storage. Open the Storage panel when you want a status check, and leave the system unchanged if capacity is comfortable. Installing a utility adds another scanner, permission request, and set of deletion choices without solving an identified problem.
The Tool Desk

Start with Storage > Documents, then use Finder to sort likely locations by size and date. If the built-in view still does not show the folder structure you need, a disk visualizer can provide that map. Use it as a guide for investigation, not as an instruction to delete every large rectangle on the screen.
You want several maintenance functions in one interface
List the functions first: duplicate detection, application removal, file search, browser-data cleanup, or another defined task. Then check whether the current edition includes them. A broad feature list is not evidence that each function is appropriate for your Mac or that automatic cleanup is safe.
You have large files you want to keep
Move infrequently used files to another disk or an external storage device rather than deleting them. An external SSD is a practical product category when you need portable files and faster access than many older hard drives provide, but verify capacity, connector compatibility, formatting, and backup plans for your particular Mac before buying.

A careful cleanup workflow
- Confirm the capacity problem. In Storage, note the available amount and the categories that are unusually large. Do not infer that System Data alone identifies the cause.
- Back up irreplaceable material. Have a current backup of photos, documents, project folders, and other files you could not recreate. A backup does not make an intentional deletion harmless, but it gives you a recovery path.
- Start with reversible targets. Review old installers, downloaded archives, duplicate exports, and media you can redownload. Leave active project folders, application support folders, and unfamiliar system files alone until their purpose is clear.
- Review the relevant application. Photos libraries, Mail attachments, Messages media, Apple TV downloads, and iOS device backups may have their own management screens. Remove content from that application when possible so its database remains consistent.
- Empty Trash deliberately. Check the Trash before emptying it. If automatic emptying is enabled, remember that items older than 30 days are removed without another manual confirmation.
- Recheck Storage after changes. Give macOS time to recalculate. Available space can include purgeable material, so the displayed number may not change immediately or by the exact amount you expected.
- Use a third-party scan only for the remaining question. If you still cannot identify the largest folders, scan with a utility whose current permissions and scope you understand. Review each proposed action before confirming it.
Common mistakes and how to recover
Deleting a large folder because it looked like junk
Stop and identify the folder’s owner and application. If it belongs to an active library, virtual machine, development environment, backup set, or work project, restore it from Trash if possible and reopen the owning app. If the deletion has already passed through Trash, use your backup rather than downloading an unverified replacement.

Caches are temporary by design and may be recreated. Repeated manual deletion can consume time without addressing the data that is actually filling the disk. Use Apple’s recommendations first and investigate persistent growth by identifying the application or workflow generating it.
Assuming System Data can be reduced to zero
It cannot be treated as a normal user folder. Expect the category to fluctuate and focus on identifiable applications, documents, media, backups, and downloads. A cleaner that promises to erase all System Data is asking you to accept a claim that the category’s own definition does not support.
Turning on cloud optimization without checking offline needs
Files kept on demand may require a download later. Before enabling Store in iCloud or related optimization, confirm that your iCloud plan has room and that you can work during periods without reliable internet access.
Assuming every edition has every feature
Check the current product documentation for the edition you would install, especially when it comes from the Mac App Store. Feature names and availability can differ between editions, so do not rely on a review of a different edition or an older release.
Privacy and permission checks before installing a utility
- Read which disks, folders, and removable volumes the app can scan.
- Understand why it requests Full Disk Access or other permissions and whether you can revoke them after the scan.
- Prefer an itemized review over a one-click “clean everything” action.
- Check whether deleting an item also removes backups, shared files, or data used by another account.
- Keep a current backup and a record of any folder you intentionally move instead of delete.
- Revisit the app’s edition and feature documentation after updates; capabilities can change.
Decision checklist
Use this sequence when deciding whether to install anything:
- Can System Settings > General > Storage identify the category causing the problem?
- Can Finder or the owning app safely remove or relocate the specific files?
- Would moving files to another disk solve the problem without deleting them?
- Is the remaining need specifically a visual folder map or a defined management function?
- Does the candidate app provide that function in the exact edition you would use?
- Can you explain every proposed deletion and recover the data if you change your mind?
If the answer to the first three questions is yes, stay with macOS and the owning applications. If the fourth answer is yes, a focused utility may be justified. If you cannot explain what an item is, do not remove it simply because a scanner labels it as old, temporary, or unnecessary.
Bottom line
For routine Mac storage management, Apple’s built-in Storage settings are the right first choice: they show category usage, connect you to the relevant apps, and provide system recommendations with clear consequences. Add a third-party app only when it solves a specific unresolved task, such as visualizing large folders or consolidating a feature you genuinely need. In either workflow, the safest cleaner is the one that helps you understand a file before you decide what happens to it.
