A rejected password in Mac Screen Sharing does not prove that you mistyped it. macOS can ask for a Mac account credential, while a VNC viewer uses a separate VNC password configured on the host. First identify the connection method, then verify the host’s access list, username, saved server and network path.

Why a correct password can be rejected

“Password is wrong” is an incomplete diagnosis because Mac remote-control connections can use different authentication systems. Apple’s built-in Screen Sharing service authorizes Mac users whom the host has permitted. VNC viewer access, by contrast, can be enabled with a VNC-specific password. Apple explicitly says that this VNC password “doesn’t necessarily correspond to any other password on the system” and is determined by the VNC configuration (Apple’s VNC guidance).

A valid credential also cannot override the host Mac’s sharing permissions. If Screen Sharing is restricted to selected users and your account is not on that list, the connection can fail even when the password itself is correct. The reliable fix is therefore a short sequence: identify the client, inspect the host authorization, enter the correct username and password for that method, verify the saved connection, and investigate the network only if the symptoms point there.

Identify which connection is asking for credentials

Before changing a password, identify the application and service behind the login dialog. The same Mac may accept connections through Apple’s Screen Sharing app, another Mac’s built-in screen-sharing feature, Apple Remote Desktop, or a third-party VNC viewer. Those clients do not necessarily request the same credential.

Connection method Credential to expect Host-side authorization Important setting or risk
Built-in Mac Screen Sharing A permitted Mac user’s account credential All users or a selected-user list in Screen Sharing settings Username may be the account’s full name or account name
VNC viewer The VNC password configured for VNC access VNC viewer control must be enabled on the host VNC password may differ from every other password on the Mac; some third-party clients may not encrypt keystrokes
Apple Remote Desktop Credentials accepted by the configured remote-management service Remote-management permissions and allowed users Designed for broader administration, such as installing and configuring apps

If the dialog comes from a VNC application, do not keep trying the Mac login password or Apple Account password. If it comes from Mac Screen Sharing, confirm that the account is authorized on the host and use that account’s Mac credential.

Check the host Mac’s Screen Sharing permissions

Perform these checks while physically signed in to the Mac you want to control, or ask someone with administrator access to do them.

  1. Open System Settings.
  2. Select General, then Sharing.
  3. Find Screen Sharing and turn it on.
  4. Review the access choice. Apple’s setup allows access for all users or only selected users. If it is set to selected users, make sure the intended account is listed.
  5. If the connection is from a VNC viewer, open the VNC-related option that allows VNC viewers to control the screen and confirm that a VNC password has been configured.

Screen Sharing’s user list is an authorization gate, not a password-recovery feature. Adding the correct account to the allowed list is required before that account can authenticate remotely. The host may also be configured for a different remote-management service, so verify that the service you enabled matches the client you are using.

Apple’s instructions for enabling and limiting Screen Sharing are in Turn Mac screen sharing on or off.

Use the right username format

When built-in Screen Sharing asks for a username, try the account’s full name or its account name. Apple documents both forms for login, file-sharing and screen-sharing prompts (If you forgot your user or account name on Mac).

Full name

This is the name displayed for the user in macOS, such as “Jordan Lee.” It can contain spaces and capitalization as shown in the account settings.

Account name

This is the short, system-oriented name associated with the home folder, such as jlee. It is not necessarily the same text shown on the Mac’s login screen.

Enter one form at a time and pair it with the password for that Mac account. A correct password paired with the wrong username can still produce a rejected-login message because the service is checking a different account.

For VNC, enter the VNC password—not another Mac password

VNC authentication is configured separately from ordinary Mac account sign-in. On the host, enable the option that allows VNC viewers to control the screen and set or review the password there. Use that exact VNC password in the VNC client.

Do not assume that any of these will work:

  • The password used to unlock the host Mac locally.
  • The password for an administrator account.
  • The Apple Account password used for iCloud and Apple services.
  • A password saved by a different VNC client or for a different Mac.

Apple notes that VNC viewers may not encrypt keystrokes. Enabling VNC access therefore creates a security trade-off: use it only when needed, restrict who can connect, protect the VNC password, and prefer a trusted network or a remote-access design with strong transport protection. The VNC behavior and limitation are described in Virtual Network Computing access and control with Remote Desktop.

Do not substitute an Apple Account password for a Mac login password

macOS distinguishes the local Mac login password from the Apple Account password used for Apple services. Apple’s recovery guidance addresses recovering the Mac login password; it does not establish the Apple Account password as a universal credential for remote Screen Sharing (If you forgot your Mac login password).

Use the credential that belongs to the service shown by the client:

  • Built-in Screen Sharing: the password of an authorized local Mac account.
  • VNC viewer: the VNC password configured for VNC access.
  • Apple Account: only where a particular Apple service explicitly asks for it; it is not a general replacement for either credential above.

Verify the saved server, username and port

A saved connection can silently point to the wrong Mac or retain an obsolete username. In the Screen Sharing connection settings, verify the server address and username before attempting another login. Apple documents TCP port 5900 as the default for Mac screen-sharing connections and describes the saved connection fields in Change screen sharing connection settings on Mac.

  1. Open the saved Screen Sharing connection or create a new one for the intended host.
  2. Check the server name or address character by character. A stale address can reach a different Mac that has its own users and password.
  3. Check the username. Replace an old account name with the authorized account’s full name or account name.
  4. Confirm that the connection is using the expected service and default port 5900 unless an administrator deliberately configured another port.
  5. Save the corrected connection and retry once, rather than repeatedly submitting a credential to an unknown host.

If multiple Macs have similar names, use a distinctive host name or a verified address in the saved entry. This prevents a valid password from being tested against the wrong computer.

Separate authentication failures from reachability failures

A dialog that appears after the host is contacted usually indicates an authentication or authorization problem. Different symptoms suggest a network or addressing issue instead:

Symptom Most likely area to check Next action
Login dialog appears, then rejects the credential Wrong connection type, username, password or host access list Repeat the credential and permission checks in this article
The client cannot find or contact the Mac Server address, host availability or network path Confirm the Mac is awake, Screen Sharing is on and the address is correct
Connection reaches a host but shows an unexpected account prompt Wrong Mac or wrong service Inspect the saved server and client type
Authentication succeeds but control is unavailable VNC control permission or remote-management configuration Review the host’s screen-control permission and the client’s mode

Do not change router or firewall settings merely because a password was rejected. Investigate network filtering only after confirming the host, service, username and credential. The documented default port for Mac Screen Sharing is 5900; a blocked or redirected port matters when the client cannot establish the connection, not when a known host explicitly rejects a login.

A complete troubleshooting sequence

Follow these steps in order so that each test eliminates a different cause.

  1. Name the client. Record whether the prompt is from Mac Screen Sharing, Apple Remote Desktop or a third-party VNC viewer.
  2. Confirm the target Mac. Check the server address and make sure the host is powered on, awake and connected to the expected network.
  3. Inspect Screen Sharing. On the host, go to System Settings > General > Sharing > Screen Sharing. Confirm the service is on and that the account is allowed.
  4. Match the username. Try the authorized account’s full name and account name as documented by Apple.
  5. Match the password to the method. Use the Mac account password for built-in Screen Sharing or the separately configured VNC password for a VNC viewer.
  6. Recheck VNC control settings. If using VNC, confirm that VNC viewers are permitted to control the screen and that you know the current VNC password.
  7. Replace stale saved details. Correct the server address, username and service entry; use port 5900 unless the administrator specified another port.
  8. Retry from a trusted client. A second client can reveal whether the problem is the host configuration or one application’s saved credentials, but use the credential appropriate to that second client.
  9. Escalate network checks only now. If the host cannot be reached at all, examine network isolation, filtering or a non-default port with the network administrator.

Common mistakes and their fixes

Repeating the same password

Repeated attempts do not resolve a mismatch between Mac account authentication and VNC authentication. Stop and identify the service first.

Assuming every “screen sharing” feature is identical

Apple’s built-in Screen Sharing, Apple Remote Desktop and third-party VNC viewers can present different prompts and use different authorization settings. Select the host-side configuration that corresponds to the client.

Using a display name as the username

The name shown on the login screen may be a full name, while the connection may also accept the account name. Try both documented forms instead of inventing a new username.

Ignoring the selected-user list

A valid local account is not automatically entitled to remote Screen Sharing when the host is restricted to selected users. Add the account or choose the intended access scope on the host.

Changing networking too early

Router and firewall changes are irrelevant if the host is reachable and the service is rejecting credentials. They can also broaden exposure unnecessarily, especially when VNC access is enabled.

When a business needs more than a single screen-sharing session

Apple Remote Desktop is an optional path for organizations that need centralized administration rather than occasional interactive control. Apple describes capabilities such as installing and configuring applications. Its permissions and credentials still need to be configured on the managed Macs, and the client must match that remote-management setup. For a single personal connection, the built-in Screen Sharing or correctly configured VNC access is usually the narrower configuration to troubleshoot.

Security checklist before leaving remote access enabled

  • Limit Screen Sharing to named users when broad access is unnecessary.
  • Use a distinct, strong VNC password rather than reusing a local or Apple Account password.
  • Disable VNC control when no VNC client needs access.
  • Review saved server entries so credentials are not sent to an unintended Mac.
  • Remember that Apple warns some third-party VNC viewers may not encrypt keystrokes.
  • Prefer a trusted network and avoid exposing remote-control services directly to the public internet without an appropriately secured design.

What to remember

The fastest resolution is not a password reset. Determine whether the prompt belongs to Mac Screen Sharing or VNC, verify the host’s allowed users, enter the full name or account name that belongs to an authorized Mac account, and use the VNC-specific password when a VNC viewer is involved. Then check the saved host and the default TCP port 5900. Only after those checks should you investigate network reachability.
