Mac file automation starts with three native options: use an Automator Quick Action when you want to run a task on selected files, a Folder Action when new items should trigger processing automatically, or a script action when the built-in actions do not cover the job. You can also bring many existing Automator workflows into Apple’s Shortcuts app, though unsupported actions may not migrate completely.
Choose the right Mac automation feature

How Automator workflows work
Automator assembles a workflow from ordered actions. Each action is a step, and the workflow runs those steps from top to bottom. You can rearrange actions in the workflow and inspect the log to see status; warnings and errors appear there when a problem occurs. Apple’s workflow guide describes execution and the log.
Automator offers different workflow types, so begin by choosing the one that matches how you want to start the task rather than assuming every workflow behaves the same way. Apple describes Automator as a way to create custom workflows without requiring knowledge of complicated programming or scripting languages. Apple’s Automator overview explains the app’s purpose. The exact available actions and interface can vary by macOS version; Apple’s Automator documentation includes versioned guidance for macOS 15 and broader guidance for current and earlier releases.
Create a Quick Action for selected files

Open Automator, choose File > New, and select the Quick Action workflow type.

Configure the Quick Action’s input type and the app in which it should process the input. To make it available in Finder, set it to receive files as input.

Add the actions you need from the library, arranging them in the order they should run.

Save the workflow. Select files in Finder and look for the Quick Action in the Finder or Services options where it is available.

A Quick Action is user-invoked: it runs when you choose it for the selected files, rather than automatically whenever a file arrives. Finder availability depends on the workflow receiving files as input, as Apple’s Finder guide specifies.

Set up a Folder Action for incoming files

In Automator, choose File > New and select the Folder Action workflow type.

Choose the Finder folder to watch, then add actions to process items added to that folder.

Save the workflow and test it by placing a suitable file in the watched folder.

For example, you could build a workflow to rename or route incoming files. That is a possible use, not a guarantee that a particular custom workflow will work without adjustment. A Folder Action is tied to its chosen folder, and added items become its input. See Apple’s Automator workflow instructions for the feature’s setup and trigger.

Use scripts only when the built-in actions are not enough
Automator can include Run Shell Script, AppleScript, or JavaScript actions. A script can handle work beyond the actions in the library, but it also makes the workflow more dependent on the script’s assumptions about files and input. Apple instructs users to test a workflow before saving it. For file-changing tasks, an additional prudent safeguard is to test on copies or in a temporary folder before processing originals.
To add a script action, add the appropriate action from Automator’s library and configure it for your task. Use Apple’s script-action guide for the supported script types and current setup details. Check the workflow log after a test run; it reports status and displays warnings or errors.
Bring an Automator workflow into Shortcuts

Review the imported shortcut and its actions. If Shortcuts does not support an action, Apple says an alert identifies it.

Test the shortcut with representative files before relying on it for routine work.
Apple says almost any existing Automator workflow can be migrated, not that every workflow will transfer intact. An unsupported action can limit the result, so inspect the imported shortcut before using it. Apple’s import guide explains the migration and alert behavior.
Shortcuts organizes tasks as actions, with each action representing a step; shortcuts can interact with apps, device content, and internet services. Availability of some apps, services, and content varies by region. Apple’s Shortcuts guide outlines how the app works.
Test and troubleshoot a workflow

A Quick Action does not appear in Finder: Check that the workflow is configured to receive files as input and that you are selecting files in Finder.

A Folder Action does not process an item: Confirm that the workflow is attached to the folder where you added the item, then review the workflow’s actions and log.

A workflow stops or produces an unexpected result: Run it on a test file and inspect Automator’s log for status, warnings, or errors.

An imported shortcut behaves differently: Review the imported actions and any unsupported-action alert, then test before using it on important files.
