You do not need to turn on a separate “calendar link” between Microsoft Teams and Outlook. For a supported Microsoft 365 work or school account, scheduled Teams meetings and Outlook calendar entries are synchronized automatically. Create the meeting in either app, and it should appear in the other.

The main requirement is that Teams and Outlook use the same Microsoft 365 account. The exact steps depend on whether you use new Outlook, classic Outlook, Outlook on the web, Outlook mobile, or Teams itself.

Before you start

Check these requirements before troubleshooting a missing Teams button:

  • Use a Microsoft 365 business or school account backed by Exchange.
  • Sign in to Teams and Outlook with the same work or school account.
  • Use the new Teams client when scheduling from new Outlook.
  • Do not expect Outlook Teams scheduling to work with personal Microsoft accounts such as @outlook.com, @hotmail.com, or @msn.com, or with POP/IMAP accounts such as Gmail, Yahoo, or iCloud.

Personal and third-party accounts can still be used for ordinary Outlook calendar entries, but they are not supported for creating Teams meetings from Outlook.

Schedule a Teams meeting from new Outlook

New Outlook for Windows has Teams meeting creation built in. You do not install the classic Teams Meeting COM add-in for this version.

  1. Open Outlook and select Calendar.
  2. Select New event.
  3. Turn on the Teams meeting toggle next to the title.
  4. Enter the subject, date, time, attendees, and any other information.
  5. Select Send.

Outlook adds the Teams join information when you select Send. If you select Save as draft, the draft is saved without Teams join details.

If you decide not to use Teams, turn off the Teams meeting toggle before sending. Microsoft states that Teams cannot be removed from the meeting after the invitation has been sent.

Schedule a Teams meeting in Outlook on the web

  1. Open Outlook on the web and select Calendar.
  2. Select New event.
  3. Turn on the Teams meeting toggle beside the event title.
  4. Add the attendees and meeting details.
  5. Select Send.

The event appears in Outlook, while the associated scheduled meeting appears in Teams. If you use several accounts, check that the event is being created under the same work or school account used by Teams.

Make every new Outlook meeting a Teams meeting

If most of your meetings are online, Outlook can add Teams automatically.

New Outlook or Outlook on the web

  1. Open Calendar.
  2. Open Calendar settings.
  3. Choose Events and invitations.
  4. Under Events you create, enable Add online meeting to all meetings.
  5. Open Choose a meeting provider and select Microsoft Teams.
  6. Select Save.

These settings are applied at the account level. If Microsoft Teams is not listed, select the correct account under These settings are applied at the account level.

Schedule a Teams meeting from classic Outlook for Windows

Classic Outlook uses the Teams Meeting add-in rather than the built-in toggle found in new Outlook.

  1. Open the classic Outlook desktop app.
  2. On the Home tab, select the dropdown arrow next to New Email.
  3. Select Meeting.
  4. On the Meeting tab, open the dropdown arrow next to Teams Meeting.
  5. Select Schedule meeting.
  6. Add the attendees, subject, date, time, and description.
  7. Select Send.

After you select Schedule meeting, Teams join information is inserted below the meeting details. To configure lobby, presenter, and other meeting settings, select Set up, then All options in the Teams meeting pane.

To remove Teams before sending, select More commands, then Don’t Host Online.

Make all classic-Outlook meetings Teams meetings

  1. Select File > Options > Calendar.
  2. Under the online-meeting section, select Add online meeting to all meetings.
  3. Select Meeting Providers….
  4. Choose Microsoft Teams.
  5. Select OK.

Schedule a Teams meeting from Outlook mobile

  1. Open the Outlook mobile app.
  2. Tap Calendar.
  3. Tap New Event.
  4. Turn on the Teams Meeting toggle.
  5. Enter the meeting details and invite attendees.
  6. Tap Save.

To make every mobile-created meeting online, open your profile picture or account icon, then go to Settings > Calendar > Online Meetings. Select the account, enable Make every meeting online, and set the meeting provider to Microsoft Teams. This setting may not be available to every organization yet.

Schedule directly in Teams

Scheduling in Teams is often the simplest option because the meeting is created as a Teams meeting from the start.

  1. Open Teams and select Calendar.
  2. Select a time slot or select New.
  3. Enter the meeting details and attendees.
  4. Confirm that the Teams meeting toggle is on.
  5. Select Save.

The meeting automatically appears in Outlook when both apps are connected to the same account. Likewise, a Teams meeting created in Outlook appears in the Teams calendar.

Schedule from a Teams chat

To turn a conversation into a scheduled meeting, open the one-to-one or group chat, select More chat options, and choose Schedule a meeting. Add the time and attendees, then save or send the invitation.

How to schedule a Teams channel meeting

Outlook cannot currently create a Teams channel meeting. Use the Teams desktop app instead:

  1. Open Teams.
  2. Select the relevant team.
  3. Open the dropdown arrow next to Meet now.
  4. Select Schedule a meeting.
  5. Choose the channel and enter the meeting information.
  6. Save or send the invitation.

There are several channel-meeting limitations:

  • You cannot add or change the channel after the invitation is sent. Create and send a new invitation instead.
  • Private channels do not support channel meetings.
  • External invitees cannot access the channel calendar.

What to do when the Teams option is missing

New Outlook

New Outlook does not need a separate Teams Meeting COM add-in. First verify that Outlook and Teams are signed in with the same work or school account and that the new Teams client is installed.

Then reinitialize the connection:

  1. Close Outlook.
  2. Right-click the Teams icon in the Windows toolbar or notification area and select Quit Teams.
  3. Start Teams and sign in.
  4. Start Outlook again.

Return to Calendar > New event and check for the Teams meeting toggle.

Classic Outlook

Check whether the add-in is installed and enabled:

  1. In Outlook, select File > Options > Add-ins.
  2. At the bottom, set Manage to COM Add-ins.
  3. Select Go.
  4. Find Microsoft Teams Meeting Add-in for Microsoft Office.
  5. Enable its checkbox and select OK.

The add-in can be absent or disabled because Teams is signed in with a noncommercial account, an administrator policy blocks it, Outlook disabled it for performance reasons, Office or Teams is incomplete, the Outlook profile is damaged, the software is outdated, or Outlook and Teams are running at different privilege levels.

To check privilege levels, right-click each Outlook and Teams shortcut, select Properties > Compatibility, and make sure Run this program as an administrator is unchecked for both applications.

Reinstall the classic Outlook add-in after a Teams update

If the add-in disappeared after moving to the new Teams client, Microsoft’s documented repair sequence is:

  1. Right-click the Windows Start button and select Settings > Apps > Installed Apps.
  2. Search for Teams Meeting Add-in.
  3. Select its three-dot menu and choose Uninstall.
  4. Close Outlook.
  5. Right-click Teams in the system tray and select Quit.
  6. Restart Teams.
  7. Wait for Teams Meeting Add-in to reappear in Installed Apps.
  8. Restart Outlook.

This repair applies to the classic Outlook desktop scenario. It is not a required installation step for new Outlook.

Meeting-option and recurring-meeting problems

If an attendee is missing from Teams Meeting options, check how the person was added:

  • For a recurring meeting, add the person to the meeting series, not only to one occurrence.
  • If the web Meeting options page does not show a newly added attendee, select Send Update in Outlook after adding the person.

Also remember that the Teams join link is not guaranteed to appear in a new Outlook draft. Send the invitation before checking the completed meeting details.

Teams and Outlook calendar synchronization explained

There is no separate calendar-linking switch to enable. The synchronization is part of the Microsoft 365 account and Exchange integration. A meeting created in Teams is written to the connected Outlook calendar, and an Outlook event with Teams enabled is available in Teams.

That does not mean every calendar from every account is merged. The account must be supported, and the meeting must be created under the account that Teams uses. A Gmail or iCloud calendar added to Outlook, for example, does not gain the ability to create Microsoft Teams meetings simply because it is visible in Outlook.

Do Teams and Outlook calendars sync automatically?

Yes. Scheduled Teams meetings created in Teams appear in Outlook, and Teams meetings created in Outlook appear in Teams when both applications use the same supported Microsoft 365 work or school account.

Do I need to install a Teams add-in in new Outlook?

No. New Outlook has built-in Teams meeting creation. The separate Microsoft Teams Meeting add-in is used with classic Outlook for Windows.

Why is there no Teams meeting toggle in Outlook?

Check that Outlook and Teams use the same work or school account, the new Teams client is installed, and the Outlook account is a supported Microsoft 365 Exchange account. In classic Outlook, also check that the Microsoft Teams Meeting Add-in for Microsoft Office is enabled.

Can I create a Teams meeting with a Gmail or personal Outlook account?

Not from Outlook’s Teams scheduling feature. Personal Microsoft accounts and POP/IMAP accounts such as Gmail, Yahoo, and iCloud are not supported for creating Teams meetings from Outlook.

Can Outlook schedule a Teams channel meeting?

No. Schedule channel meetings from Teams by opening the team, selecting the arrow next to Meet now, and choosing Schedule a meeting.

Why did my Teams join link not appear in an Outlook draft?

In new Outlook, Teams join details are inserted when you select Send. Saving the event as a draft does not add the join details.

The Bottom Line

Bottom line: Teams and Outlook calendar synchronization is automatic for supported Microsoft 365 accounts; there is no separate linking switch. Use the built-in Teams meeting toggle in new Outlook, enable the Teams add-in in classic Outlook, or schedule in Teams directly. Use Teams—not Outlook—when the meeting must belong to a channel.
