When a firm’s matters become harder to coordinate, reassess whether its legal management software still fits the work—not because the industry is proven to be replacing systems en masse, but because workflows, tools and reporting needs can change. Start by identifying where matters stall: locating documents, tracking deadlines, coordinating staff, recording time or understanding workload. Then evaluate whether the current platform handles those tasks, connects reliably to other tools and supports the firm’s jurisdictional requirements.
What legal management software covers—and what it may not
Case or matter management organizes each matter and its related records, documents, deadlines, communications, tasks and status. Broader practice-management systems may also include client intake, time and expense capture, billing, accounting, compliance, reporting, automation and integrations. The labels overlap, so assess the actual functions in a product: some may be built in, sold as optional modules or provided by connected software.
The Virginia State Bar’s 2025 technology report distinguishes practice management, document management and project management. For complex transactions or litigation, project-management tools can help organize the work and keep participating staff updated. Vendor descriptions illustrate the range, but do not establish how well a product performs in practice. Clio says its matter records can link contacts, documents, calendar events, notes, time entries and bills, with configurable fields and task lists, permissions, client and co-counsel portals, and third-party integrations. What the available survey figures do—and do not—show
Survey results point to changing availability and use, cloud adoption and fragmented workflows. They do not count firms changing vendors or prove that firms are dissatisfied with their current systems.

Why a reported decline is not a replacement rate
The ABA figures describe respondents’ reported availability or use, not a verified market-wide wave of replacements. The overview offers possible explanations, including cost and separate specialized tools, and reports generally somewhat positive satisfaction. A firm should treat the numbers as context for asking whether its own setup fits—not as evidence that it should switch.

Technology choices are part of professional judgment
Comment 8 to ABA Model Rule of Professional Conduct 1.1, as reproduced in the ABA overview, says: “To maintain the requisite knowledge and skill, a lawyer should keep abreast of changes in the law and its practice, including the benefits and risks associated with relevant technology, engage in continuing study and education, and comply with all continuing legal education requirements to which the lawyer is subject.” The comment supports evaluating technology’s benefits and risks; it does not prescribe a particular platform.
How to assess whether the current system still fits
Use actual matters and staff workflows to test the system. A small-firm discussion captures the practical pressure points—finding documents, tracking deadlines, client communication and billing—but one person’s account is anecdotal, not representative survey evidence. 1. Map the matter workflow
List the stages, handoffs, tasks and data fields for the firm’s common matter types. Check whether the system can represent those processes without repeated manual workarounds. Include less frequent but more complex matters, such as litigation or transactions, where coordination needs may differ.

2. Test document and deadline handling
Use realistic examples to see how documents are stored, searched, versioned and linked to matters. Follow a deadline from entry through calendar visibility, reminders and responsibility assignment. Confirm where authoritative dates live and how changes are recorded; do not assume a calendar integration alone provides a reliable deadline-control process.

3. Trace time, billing and accounting
Identify which time, expense, billing and accounting functions are native, optional or handled by another product. For trust and client accounting, verify the rules that apply in the firm’s jurisdiction and whether the workflow supports them. A feature described for one country or regulatory regime should not be presumed suitable elsewhere.
4. Inventory integrations and separate tools
Record how the platform connects to email, office software, document storage, intake, accounting and practice-area tools. Note duplicate data entry, disconnected records and any work that remains outside the matter file. If complex work requires project-management software, determine whether that specialist tool should remain part of the stack rather than forcing the practice-management platform to replace it.

5. Review access, security and auditability
Check whether permissions can limit access appropriately for staff, clients and co-counsel. Ask the vendor for information on security, backups, data handling and audit controls, and distinguish vendor statements from independent audits. Confirm the firm can understand and administer its access policies.
6. Validate reporting and workload visibility
Define the operational questions partners and staff need answered: matter status, upcoming deadlines, workload distribution and financial position. Test whether reports can provide the needed view at the right level of detail, and whether the underlying data is complete enough to trust.

Before deciding to switch, establish what records must move, who will validate them and how workflows will be tested. Plan staff training and a controlled cutover so the firm can check matter data, deadlines, permissions and integrations before relying on the new setup for live work.

8. Compare total cost and regional fit
Compare the platform’s subscription structure, optional modules and costs for connected tools against the work they cover. Include time and disruption associated with migration and training in the decision, not just the headline software charge. The ABA overview names price as one possible factor associated with reported use changes, but the available figures do not establish a universal cost threshold.

A reassessment does not have to end in a replacement. If the main gaps are limited to a specialist workflow or reporting need, a targeted integration, configuration change or separate tool may address them. If core matter records, deadlines, permissions or reporting cannot support the firm’s real processes, compare alternatives against the same practical scenarios before committing.
No independent head-to-head test in the cited material establishes that a named system reduces errors, workload or costs by a particular amount. Vendor feature descriptions are useful for creating a shortlist, not proof of results. Ask for demonstrations using representative workflows, then validate claims with the firm’s own requirements and a migration plan.
