QuickBooks Online can be a good fit for a small business that needs cloud-based accounting, invoicing, expense tracking, and financial reports—but the right plan depends on the business’s users and workflows. Simple Start covers basic accounting; Essentials adds bill management and supports more users; Plus adds inventory and project profitability. Advanced is aimed at businesses that need its larger user allowance and expanded tracking. These are features Intuit advertises, not results from independent product testing.
What QuickBooks Online can do for a small business
QuickBooks Online is a subscription accounting product. Intuit describes tools for tracking transactions, invoicing, capturing receipts, calculating sales tax, and producing reports, with additional workflows available on higher plans. Its materials also describe service, retail and e-commerce, and field-service scenarios. Whether those functions fit your company depends on how you handle bookkeeping, billing, inventory, and reporting.
Intuit’s guide puts the basic decision well: “Every small business has different needs.” The useful question is not simply how many people work at the company, but which features and access limits its bookkeeping workflow requires.

What to check before choosing a plan
- Number of users: Match your need to the plan’s billable-user limit rather than choosing based only on company size.
- Inventory: Intuit lists inventory tracking for Plus and Advanced, not Simple Start or Essentials.
- Projects and service billing: Essentials is positioned for businesses that need enhanced billing and service-oriented workflows; Plus adds project profitability.
- Classes and locations: These tracking options are not listed for Simple Start or Essentials. Plus has a combined limit of 40; Advanced supports unlimited tracking.
- Current total cost: Compare the plan’s recurring price and any add-ons you actually need, and treat promotional pricing as temporary unless the checkout terms say otherwise.
What the available evidence does—and does not—show
Intuit’s official product and support materials establish the features it advertises, its stated plan limits, and the prices displayed on its U.S. page at the date noted above. They do not independently establish ease of use, customer-support quality, accounting accuracy for a particular company, or how much time the software saves. A business should assess those questions against its own bookkeeping process rather than assuming a plan description guarantees a particular outcome.
