For occasional scans, start with Apple Notes or Files. Notes keeps the scan attached to a note and can add a signature; Files saves the PDF to a location you choose. Consider Adobe Scan when you specifically want Adobe cloud access or subscription-based PDF tools. Microsoft Lens is no longer a current option: Microsoft ended new scanning on March 9, 2026, and now points users to OneDrive, whose scanner is cloud-first and cannot save scans locally on the iPhone.
Quick comparison
All four workflows can capture multipage documents, but they are designed around different destinations and follow-up work. Apple’s scanner is built into iOS. Adobe Scan is centered on an Adobe account and cloud synchronization. OneDrive replaces the retired Microsoft Lens and stores scans in Microsoft cloud storage.
| Option | Where the scan goes | Useful built-in capabilities | Important storage or account detail | Cost information |
|---|---|---|---|---|
| Apple Notes | Attached to a note | Automatic or manual capture, corner adjustment, multipage scans, signatures through Markup, flash and image-filter controls on iOS 26 | Uses the Notes workflow; the cited Apple guide does not establish broader processing or retention behavior | Included with the iPhone’s built-in Notes app |
| Apple Files | A Files location selected before saving | Automatic or manual capture, corner adjustment, multipage scans, flash and image-filter controls on iOS 26 | Designed to put the resulting document in a chosen file location; the cited guide does not establish broader automation or privacy guarantees | Included with the iPhone’s built-in Files app |
| Adobe Scan | Adobe cloud storage after synchronization | Scanning plus Adobe Reader integration for editing, annotating, filling and signing; Premium features include editing, exporting, combining, compressing and OCR | Cross-device access requires a completed upload and an Adobe account; Adobe recommends keeping original images in Photos as a backup | Basic app access is available; Premium PDF operations are subscription-linked. The current US listing gives no dollar amount in the cited material |
| OneDrive | OneDrive cloud storage | Scans documents, receipts, whiteboards and ID cards to PDF, with markup tools | Microsoft’s Lens-retirement guidance says scans cannot be saved locally on the device | Microsoft advertises 5 GB of free storage. Microsoft 365 Personal is listed at $9.99/month or $99.99/year in the US; Family is $12.99/month or $129.99/year (Microsoft, accessed October 10, 2026) |
Apple Notes: the simplest scan-and-sign workflow
Notes is the best starting point when the document belongs with meeting notes, a project record or a message you are already keeping in Notes. It avoids installing another scanner app and keeps capture close to the surrounding text.
Recommended Free Tools
Scan a document in Notes
- Open Notes and create a note, or open an existing one.
- Tap the Attachment button, then choose Scan Documents.
- Hold the iPhone over the page. Let automatic capture take the image, or switch to manual capture when you need to control the moment.
- Adjust the detected corners if necessary, then keep the scan.
- Continue capturing additional pages; they remain part of the same scanned document.
- On iOS 26, use the flash and image-filter controls when lighting or paper color makes the default capture unsuitable.
Add a signature
Open the scanned document inside the note, choose Markup, add or create a signature, and position it on the page. This is useful for returning a signed form without moving the scan to a separate PDF application.

Apple’s documented Notes workflow establishes capture, multipage scanning and signatures. It does not, by itself, establish a particular OCR search experience, export automation or a privacy advantage over cloud-based apps, so do not select Notes solely on those assumptions.
Apple Files: scan directly to a chosen location
Choose Files when the destination matters more than the surrounding note. A scan can be placed in the folder or storage location you select instead of being embedded in a note.
Rank #2
- FAST SPEEDS - Scans color and black and white documents a blazing speed up to 16ppm (1). Color scanning won’t slow you down as the color scan speed is the same as the black and white scan speed.

- OPTIMIZE IMAGES AND TEXT – Automatic color detection/adjustment, image rotation (PC only), bleed through prevention/background removal, text enhancement, color drop to enhance scans. Software suite includes document management and OCR software. (4)
Save a scan in Files
- Open the Files app.
- Tap More, then select Scan Documents.
- Capture one page or several pages, using automatic or manual capture.
- Correct the corners when the page boundary is inaccurate.
- When you finish, choose the location where the document should be stored and tap Save.
Files also exposes the iOS 26 flash and image-filter controls described in Apple’s current guide. Its main distinction from Notes is organizational: the scan is saved into a file location you choose, which suits folder-based records, uploads and later sharing.
Adobe Scan: for an Adobe cloud and PDF workflow
Adobe Scan becomes more compelling when scanning is only the first step and you expect to work on PDFs across devices. Adobe says a scan must be saved and fully synchronized to Adobe cloud storage before it is available elsewhere. Wait for the upload to finish and check the Adobe cloud account before closing the app or assuming the document is available on another device.

What the Adobe workflow adds
- Scans can open in Adobe Reader for editing, annotation, filling and signing.
- Adobe identifies Acrobat, Export PDF, PDF Pack or Acrobat Pro subscriptions as routes to advanced PDF features.
- The US App Store description for Adobe Scan Premium lists editing, exporting, combining, compressing and OCR among subscription features.
- Adobe recommends retaining original images in Photos as a backup, particularly when the scan is important.
The cited US App Store listing labels Premium as a monthly subscription but does not expose a dollar amount in the material available for this comparison. Prices and exact paywalls can vary by country and change over time, so check the current in-app offer or regional App Store listing before subscribing.
When Adobe Scan is the wrong fit
If you only need a receipt or two and want the file to remain in an Apple folder, the extra account and upload step add friction. Adobe’s cross-device benefit also depends on successful synchronization; an interrupted upload is not the same as a local copy on the phone.

Microsoft Lens is retired: what OneDrive changes
Microsoft’s retirement notice sets a clear cutoff. Retirement began January 9, 2026; support ended after February 9, the app was removed from app stores on February 9, and new scans remained possible only through March 9. After March 9, Lens no longer creates scans. Previously created scans remain accessible only while the app is still installed and the user signs in with the last active account.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →For new captures, Microsoft recommends OneDrive. OneDrive scans documents, receipts, whiteboards and ID cards to PDF and includes markup tools. Microsoft advertises 5 GB of free storage. The migration guidance also states that OneDrive does not support saving scans locally on the device, making it a cloud-first replacement rather than a Files-style local destination.
Best Value
- Scanner type: Document
- Connectivity technology: USB
- With Auto Scan Mode, the scanner automatically detects what you're scanning
- Digitize documents and images
OneDrive’s practical trade-off
- Use it when your records already live in OneDrive or when automatic Microsoft account access is more valuable than a local copy.
- Plan for cloud storage and account availability before scanning sensitive or time-critical paperwork.
- If you need an offline file stored on the iPhone, use Files or another workflow that explicitly provides a local destination instead.
A paid Microsoft 365 plan is not established as a requirement for scanning: Microsoft advertises the scanner and 5 GB tier separately. On the US Microsoft page accessed October 10, 2026, Microsoft 365 Personal costs $9.99 per month or $99.99 per year, while Family costs $12.99 per month or $129.99 per year. Those figures are US prices at that time, not a worldwide or permanent price guarantee.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Privacy: compare storage paths, not marketing labels
The available official material does not support naming a privacy winner. Apple’s guide explains how to capture and sign documents, not how scans are processed, retained or synchronized. Microsoft documents that OneDrive stores scans in its cloud and cannot save them locally through the replacement workflow. Adobe requires cloud synchronization for cross-device access, and its App Store privacy section reports developer-provided practices that Apple says it has not verified.
Before choosing, answer three concrete questions:
- Where will the scan live? It may be attached to a note, placed in a Files location, synchronized to Adobe cloud storage or saved in OneDrive.
- Which account controls access? Cloud workflows depend on the signed-in Adobe or Microsoft account; a local-looking capture does not automatically mean there is no synchronization.
- Does the workflow upload before you finish? Adobe explicitly relies on upload completion for cross-device access, while OneDrive is cloud-first. Check the service’s current privacy policy and document controls for retention, processing and sharing details.
Do not infer that a built-in app is private simply because it is free, or that a cloud app is unsuitable simply because it syncs. The relevant decision is whether the destination, account and handling controls fit the sensitivity of the document.
Which scanner should you use?
Choose Apple Notes if
- You want the scan beside explanatory text, a checklist or a project record.
- You need a straightforward multipage capture and occasional signature.
- You do not want a separate scanner account or subscription decision.
Choose Apple Files if
- You already organize documents in folders or need to select the save destination immediately.
- You want a PDF-like file workflow rather than a note containing an attachment.
- You need a destination that is not tied to an Adobe or Microsoft cloud account.
Investigate Adobe Scan if
- Your work continues in Adobe Reader or Acrobat across devices.
- You need subscription-linked operations such as combining, compressing, exporting or OCR.
- You can wait for cloud synchronization and maintain an Adobe account.
Choose OneDrive if
- Your organization already uses OneDrive and you want scans in that system.
- You scan receipts, whiteboards or IDs and want Microsoft’s markup tools.
- You accept cloud-only storage for the scan and do not require a local device copy.
Migration checklist for former Lens users
- Do not plan new captures in Lens after March 9, 2026.
- If you need an old Lens scan, keep the app installed and sign in with the last active account; Microsoft says that is how previously created scans remain accessible.
- Install or open OneDrive for future Microsoft-based scans.
- Confirm that the destination is acceptable: OneDrive scans are not saved locally on the iPhone.
- For documents that must remain in an Apple folder, use Files instead of importing the new workflow into OneDrive.
Common mistakes and fixes
- Closing Adobe Scan before upload completes: wait for synchronization and verify the file in Adobe cloud storage; keep the original image in Photos when the document is difficult to replace.
- Expecting OneDrive to create an offline copy: it cannot save scans locally through the replacement workflow, so capture with Files when local storage is required.
- Putting every scan in Notes: use Files when folder placement and predictable file retrieval matter more than context.
- Assuming “free” answers the privacy question: inspect the account, destination and current privacy controls for the service handling the document.
- Expecting Apple’s guide to prove OCR or automation: the documented features cover capture, multipage scans, signatures in Notes and destination selection in Files; do not assume unlisted capabilities.
Bottom line
Use Notes for scans that belong with notes and signatures, Files for scans that need a selected file destination, Adobe Scan for an Adobe-centered cloud and advanced-PDF workflow, and OneDrive for Microsoft’s supported replacement to Lens when cloud-only storage is acceptable. Treat privacy as a storage-and-account decision rather than a brand ranking, and verify regional subscription terms before paying.
