Short answer: choose a refillable ink-tank printer when your small business prints color material regularly and wants a low ongoing supply cost. Choose a laser printer when most output is black text, jobs arrive in bursts, or speed, crisp text and predictable uptime matter more than photo-like color. The cheapest purchase price is not the cheapest ownership cost: supplies, maintenance, downtime, power, service and staff time all belong in the calculation.
For a mixed office that scans and copies as well as prints moderate amounts of color, the HP Smart Tank 7301 is a documented candidate at 15 black pages per minute (ppm), 9 color ppm, and up to 8,000 color or 6,000 black pages from its included ink. For a small team that needs a laser multifunction printer (MFP), Xerox positions the C240/C255a family for one to five users and up to 2,500 pages per month. Those figures are manufacturer guidance, so confirm the exact regional model, duty cycle, warranty and consumable prices before ordering.
At a glance: which technology fits your workload?
| Work pattern | Better starting point | Reason |
|---|---|---|
| Frequent color documents, presentations, forms and occasional photos | Refillable ink tank | Low-cost bottled ink and generally more pleasing color, provided the printer’s speed and duty cycle cover demand. |
| Mostly black invoices, contracts and reports at sustained volume | Monochrome or color laser | Fast document throughput, sharp text and toner that remains usable during idle periods. |
| Printing only occasionally | Laser | Toner does not dry out between jobs; ink-tank users may need periodic printing and maintenance. |
| Moderate color plus scanning and copying | HP Smart Tank 7301 as a candidate | Rated at 15 black ppm and 9 color ppm, with up to 8,000 color or 6,000 black pages from the included ink. |
| One to five people sharing a laser MFP, up to 2,500 pages monthly | Xerox C240/C255a family as a candidate | Xerox’s workload guidance covers that team size and monthly volume; verify the exact configuration and regional SKU. |
These are workload matches, not universal rankings. A high-yield tank compared with a low-end laser can look artificially cheap unless you normalize print volume, duplex capability, duty cycle, paper handling and included features.

Refillable ink tanks
An ink-tank printer stores liquid cyan, magenta, yellow and black ink in refillable reservoirs. A print head ejects tiny droplets onto the sheet. Bottles usually cost less per page than small cartridges, and the large reservoirs suit businesses that produce color handouts, charts, forms or occasional photos. Color and photo output often looks more pleasing than laser output because liquid inks blend smoothly on suitable paper.

The trade-off is operational. Liquid ink can dry in the print head or nozzles when a machine sits unused, and a blocked nozzle can trigger cleaning cycles that consume ink and delay a job. Refilling also requires careful handling: the correct bottle, a level surface and time for the reservoir to settle. Check the manufacturer’s instructions for ventilation, spill cleanup and whether a bottle can be stored after opening.
Laser printers
A laser printer uses electrostatic imaging to place powdered toner on a drum, then fuses the toner to paper with heat. The process is well suited to repeated black-text pages: characters have clean edges, pages emerge quickly and toner remains stable while the printer is idle. Color lasers add cyan, magenta and yellow toner cartridges and are usually stronger for business graphics than for photographic gradients.
Laser systems still have consumables and service parts. Toner cartridges, drums, fusers and waste containers eventually need replacement, and heat-producing hardware can draw more power during a job. A laser is not maintenance-free; it simply avoids the liquid-ink drying problem.

Speed, quality and uptime: what the evidence says
In a 2025 corporate announcement from Ricoh Asia Pacific summarizing work with DataMaster Labs, high-demand testing found laser printers maintained 97% of their rated speed, while inkjet speeds fell by up to 141% on complex print jobs. The same announcement reported independent print-quality scores of 91/100 for laser output and 76/100 for inkjet, especially for sharp text and color consistency. Ricoh also reported a laser model using 0.32 watts in standby, about one-third the energy of comparable inkjet models.

Those figures describe the models and test conditions in that announcement, not every printer sold today. Real speed depends on page coverage, first-page warm-up, resolution, paper type, duplexing, wireless processing and whether a job mixes text with graphics. Treat a quoted ppm number as a ceiling for a defined test method, then look for independent testing or a return policy if your workflow is speed-sensitive.
Ink tanks can feel fast for a short color job, but a queue of dense presentations or a large duplex report may take substantially longer than the headline rate. Lasers generally keep a steadier pace on long document runs and recover quickly after standby, which reduces the time employees spend waiting at a shared printer.
Calculate total cost of ownership instead of comparing sticker prices
Total cost of ownership (TCO) is the full cost of owning and running a printer over its useful life, not only the amount paid at checkout. For a small business, include:
- Hardware: purchase price, optional trays, stands and the expected replacement date.
- Consumables: ink bottles or toner cartridges, waste containers, drums and other replaceable parts.
- Maintenance: print-head cleaning, calibration, drum or fuser service and technician visits.
- Downtime: lost staff time, missed dispatches and emergency outsourcing when the printer is unavailable.
- IT support: setup, driver deployment, network troubleshooting, firmware updates and security administration.
- Power and paper: electricity in standby and active printing, plus paper wasted by failed pages or alignment.
Xerox describes TCO in these same life-cycle terms: purchase price, supplies, maintenance, downtime and IT support. Use that definition when you build a budget rather than treating a low-cost printer as a low-cost system.

A practical worksheet
- Measure a representative month. Record black-only pages and color pages separately, including pages printed by occasional users.
- Estimate realistic coverage. A page filled with a dark chart consumes far more ink or toner than a lightly formatted invoice, so do not rely blindly on a marketing yield.
- Multiply black pages by black consumable cost per page and color pages by the blended color cost per page. Use the same coverage assumptions for both technologies.
- Add the printer’s purchase price spread over the number of months you expect to keep it, plus trays or accessories required for your workflow.
- Add scheduled maintenance, replacement drums or fusers, cleaning supplies and an allowance for service calls.
- Put a value on downtime. If a failed printer strands several employees or delays customer documents, that cost can outweigh a small difference in toner or ink price.
- Include internal IT labor and security administration. A printer that is difficult to deploy or repeatedly loses its network connection consumes budget even when it produces inexpensive pages.
Page yields and cost-per-print figures vary with page content, coverage and test method. Canon explicitly warns that its yields and per-print costs change under those conditions. Compare like with like: normalize monthly volume, duty cycle, duplexing, paper capacity, scan/copy functions and warranty coverage before declaring a winner.
Match the technology to black, color and monthly volume
Mostly black documents
For invoices, contracts, shipping labels, policies and reports, a monochrome laser is usually the most direct fit. It delivers crisp text at sustained speed and stores toner without the drying risk of liquid ink. If the business occasionally needs color, calculate how often those pages are produced: a small color laser or a separate color device may be less disruptive than forcing every user onto a color-capable tank.
Regular color communication
Marketing sheets, classroom materials, charts, menus and forms can make an ink tank’s low bottled-ink cost worthwhile. Confirm that the rated color speed, paper path and duty cycle handle the busiest week, not merely the average month. Use the recommended paper for graphics and photos; unsuitable stock can erase the quality advantage.

Laser has an operational advantage when the printer may sit for days or weeks. Toner is a dry powder and does not clog a print head while idle. An ink-tank device can still work for an intermittent office, but schedule a small color-and-black test page at the interval specified by its manufacturer and budget for automatic cleaning cycles. If a nozzle test shows gaps, run the least aggressive cleaning cycle first; repeated deep cleaning consumes ink.

High or unpredictable demand
Use the printer’s recommended monthly volume and duty cycle as capacity checks, not marketing decoration. A device that is adequate for 500 pages per month can become a bottleneck at 2,000 pages, even if its consumable yield appears attractive. For bursts, examine first-page-out time, processor and memory specifications, input-tray capacity, automatic duplex speed and whether the device can print while scanning.
Features that change the business result
Duplex printing
Automatic two-sided printing reduces paper use and can cut the number of sheets employees handle. Compare duplex speed with simplex speed: some printers pause between sides, and heavy color coverage can lengthen drying or fusing time. If invoices or forms require a particular side orientation, test the exact template before deployment.
Scanning, copying and fax
An MFP can replace several single-purpose devices, but its automatic document feeder (ADF), scan resolution, duplex scanning and copy speed determine whether it helps or hinders. Check whether the ADF accepts the paper sizes your business uses and whether scan-to-email or scan-to-network-folder works with your authentication and file-sharing setup.

For a shared office, require the connections you actually support: wired Ethernet, Wi-Fi, mobile printing or USB. Review firmware-update procedures, administrator passwords, encrypted management traffic, user authentication, secure release and the ability to disable unused services. A printer that exposes an unprotected web console can create more risk than its low purchase price saves.

Energy and workspace
Standby energy is only one part of electricity use, but it matters for a device powered all day. Ricoh’s reported 0.32-watt standby result illustrates the potential difference; compare the official energy specification for each exact model. Also measure clearance for paper trays, ventilation around a laser’s heat-producing components and access for replacing bottles or cartridges.
Warranty and service
Check whether warranty coverage is on-site or return-to-depot, how consumables are treated, and whether service is available where the business operates. A slightly higher supply cost can be rational if it buys faster support and less downtime. Record the phone, web and firmware-support process before the first failure, not during it.

A selection process that prevents expensive mistakes
- Log six to twelve weeks of printing. Count black and color pages, simplex and duplex jobs, and the longest queue produced during a busy day.
- Set a service target. Decide how quickly an invoice run or customer packet must finish and how much downtime the team can tolerate.
- Choose the required functions. List ADF, duplex scanning, copying, fax, wired networking, wireless networking, secure release and mobile-printing needs before comparing models.
- Shortlist by capacity. Eliminate devices whose recommended monthly volume, duty cycle, tray capacity or duplex speed falls below your measured demand.
- Build a five-year-style TCO sheet. Use current local prices for the printer, bottles or cartridges, drums, fusers, service and paper. Keep black and color calculations separate.
- Test representative files. Print a dense black report, a light invoice, a full-color chart, a duplex document and a scan through the ADF. Time the complete job, not just the first page.
- Check the idle plan. If the device may sit unused, favor toner or document the ink-tank maintenance schedule and assign responsibility for test pages.
- Confirm support. Verify warranty length, repair location, firmware availability, replacement-supply lead times and the process for a failed device.
Maintenance and recovery
Keeping an ink tank ready
- Keep the reservoir above the minimum mark and use only the specified bottle for that model.
- Print a small color-and-black nozzle check on the schedule recommended by the manufacturer when the printer is idle.
- If lines are missing, reseat the print head or run a normal cleaning cycle before escalating to a deep clean.
- Store bottles upright, capped and away from heat; clean spills promptly so ink cannot reach rollers or electronics.
- Record cleaning events. Frequent automatic cleaning can signal a clogged head, poor paper storage or an environment outside the printer’s recommended temperature and humidity.
Keeping a laser ready
- Use the correct toner cartridge and replace it when the device reports low toner rather than shaking it repeatedly, which can create uneven coverage.
- Keep paper dry and within the specified weight range; damp or unsuitable stock causes curl, smears and fuser jams.
- Follow the replacement sequence for drums, waste containers and fusers, and reset counters only after the part is actually changed.
- Vacuuming toner inside a printer with a household vacuum can spread fine particles; follow the service manual or use an authorized technician.
When a shared printer goes offline
- Check the printer’s local status page and control-panel error before reinstalling drivers.
- Confirm power, paper, consumable doors and the network link; a full output tray or open rear door can appear to users as a network failure.
- Print a configuration page locally. If that works, test the print server or workstation path and clear stale jobs.
- Update firmware and drivers through the supported process, preserving the current configuration and administrator credentials.
- If the fault repeats, record the error code, page count, consumable status and steps already taken for the service provider.
Common comparison mistakes
- Comparing a tank’s high yield with a laser’s starter cartridge. Starter supplies may contain less toner than a full replacement; compare the complete replacement cycle.
- Using only average monthly volume. A short, intense burst can expose slow color processing, a small tray or a weak automatic document feeder even when the monthly total looks safe.
- Treating ppm as a universal speed. Rated speed may exclude warm-up, duplex pauses, wireless delays and complex graphics.
- Ignoring coverage. A page filled with a dark image consumes more consumable than a lightly printed invoice, so use representative files.
- Assuming an MFP has every workflow feature. Scan-to-email, duplex scanning, authentication and secure release vary by configuration.
- Forgetting the idle period. Ink-tank cleaning, wasted pages and emergency service can erase a low per-page estimate when the machine is rarely used.
- Buying without a regional check. Model names, included supplies, firmware, warranty terms and service availability can differ by country.
Decision examples
A five-person consultancy
If the team produces contracts and invoices daily, with only occasional color proposals, start with a laser MFP and calculate whether a small separate color device is cheaper than paying for color capability on every page. The key tests are text sharpness, duplex throughput, ADF reliability and toner availability.
A retail or training business
If staff print color schedules, diagrams, forms and promotional sheets every week, an ink tank is more likely to earn its keep. Confirm that the color queue meets the busiest period and that someone will perform the idle-use routine during holidays.
A home-based business with sporadic jobs
When printing is separated by long gaps, toner avoids the liquid-ink drying issue. If color is essential but rare, compare the cost of a laser color MFP with the time and ink consumed by maintaining a tank that is otherwise idle.
The right choice is the one that meets the measured workload with acceptable speed, quality and uptime at the lowest full-life cost. Refillable tanks usually win frequent color economics; lasers usually win sustained black-document performance and intermittent reliability.
