I gave a local language model access to a deliberately limited folder of my documents, and it answered questions that usually defeat Windows Search. The difference was not magic or a proven universal accuracy win: the local tool searched by meaning, while traditional search is strongest at exact words, filenames and metadata. For concept-heavy questions, that distinction made my files feel much easier to find.

What changed when I used a local LLM

Local document chat normally works by indexing selected files into text snippets, converting those snippets into numerical embeddings, and retrieving passages that are semantically similar to a prompt. The model then answers from the retrieved passages rather than treating the entire disk as one undifferentiated prompt.

That matters when my wording differs from the document. A query such as “the notes about the contractor who handled the roof leak” can find a passage that discusses a roofer, even if the word “contractor” never appears. The model can summarize the relevant passages and identify the files they came from, so I do not have to open every result manually.

How GPT4All LocalDocs searches a private folder

GPT4All describes LocalDocs as bringing file information into local chats privately. A collection points to a folder, processes its contents into snippets, and uses Nomic AI’s on-device embedding models to find semantically related text. In chat, a Sources control exposes the files used for an answer.

  1. Install the GPT4All desktop application and add a local model.
  2. Create a LocalDocs collection and link it to the folder you want indexed.
  3. Wait for indexing to finish; an incomplete collection cannot represent the whole folder.
  4. Enable LocalDocs in the chat.
  5. Ask a question in ordinary language, then open Sources to check the referenced files and passages.

The privacy boundary is the selected collection and the local software stack. If a document is outside the linked folder, it is not part of that collection unless you add it. You should still review the application’s model and storage settings before indexing confidential material.

How AnythingLLM handles permitted folders

AnythingLLM’s filesystem agent can search an entire host filesystem or only specific folders that you permit. The feature is disabled by default. On the Windows desktop app, you explicitly grant access; the permission applies to the chosen folder and its subfolders and provides read/write access.

  1. Install AnythingLLM for the current Windows user.
  2. Select its built-in local engine, powered by Lemonade and llama.cpp, or connect another local provider.
  3. Open the filesystem-agent permissions and grant only the folders you intend to search.
  4. Run a file-search request and verify that returned paths stay inside the permitted scope.

AnythingLLM warns that missing GPU dependencies can reduce local-model performance to CPU processing. That can make indexing and responses noticeably slower, especially for large collections.

Why Windows Search can miss a file you know exists

Classic Windows Search is designed around indexed words, filenames, properties and filters. It remains the dependable choice for an exact filename, a unique string, a date range or a file extension. If you know the literal text, deterministic keyword search is often faster and easier to verify.

Semantic retrieval solves a different problem: matching related concepts even when vocabulary differs. Microsoft’s current semantic-index option adds synonym and concept expansion—for example, “sunset” can match “dusk” or “twilight,” and “car” can match “vehicle” or “sedan.” It requires Windows 11 version 24H2 or later on a supported Copilot+ PC or an AI-enabled Cloud PC. On unsupported devices, the relevant properties are ignored and Windows silently falls back to ordinary keyword matching.

That silent fallback is important. Seeing a semantic-search setting does not prove that the machine is using a semantic index.

Local semantic search versus Windows Search

Question Local LLM document search Windows Search
Best query style Natural-language concepts and questions Exact words, filenames, dates and metadata
Corpus control Folders or collections you select and index Windows-indexed locations and provider configuration
Privacy boundary On-device model and embeddings when configured locally Depends on Windows indexing, account and provider settings
Traceability Can show source files or passages; GPT4All exposes Sources Shows matching items and properties rather than an LLM explanation
Resource costs Indexing time, storage, RAM and possibly GPU resources Background indexing and Windows system resources
Typical failure modes Stale indexes, unsupported formats, OCR gaps and hallucinated summaries Unindexed locations, permission issues, missing providers and exact-term mismatch

A practical workflow that uses both methods

  1. Define the boundary. Put only the documents you want searchable in a dedicated folder or collection. Do not grant an agent access to an entire drive by default.
  2. Index and verify. Wait for completion, then test with a filename you know and a distinctive sentence from a document.
  3. Ask concept questions first. Use prompts describing the event, person or subject rather than guessing the author’s exact wording.
  4. Inspect sources. Treat the answer as a navigation aid. Open the cited file and confirm the passage before relying on a date, instruction or conclusion.
  5. Switch to keyword search for precision. Use Windows Search when you need an exact string, extension, date or deterministic filename result.
  6. Refresh after major changes. Added, moved or edited files may not appear until the local collection or Windows index updates.

What can go wrong

Missing or stale results

Check that the folder is included, indexing has completed and the file format is supported. Re-index after large moves or edits.

Scanned PDFs and images

An embedding index cannot retrieve text it never extracted. OCR may be required, and poor scans can produce incomplete or incorrect snippets.

Permission surprises

For AnythingLLM, confirm the granted path and its subfolders. Keep sensitive material outside permitted folders unless it is genuinely needed.

Confident but wrong summaries

A local model can misread a passage or combine unrelated snippets. Use source inspection for every consequential answer, and prefer the original document when wording matters.

Slow local performance

CPU-only processing may be substantially slower when GPU dependencies are unavailable. Smaller models, narrower collections and fewer simultaneous indexing jobs reduce the workload.

The honest takeaway

A local LLM did not replace Windows Search. It added a semantic layer that was better suited to questions expressed in my words, while Windows remained better for exact and filterable lookups. The most useful private setup is therefore hybrid: index only the folders you choose, use local retrieval to discover relevant passages, and use conventional search and the original files to verify precise facts.
