Most sites should have an XML sitemap if their content-management system does not already provide one. Add an HTML sitemap when a clearly organized page of links would make a large or complicated site easier for people to navigate. The two formats are not competing versions of the same file: HTML is a visitor-facing navigation page, while XML is a machine-readable discovery file for search engines. A site can use either one or both, but neither replaces useful menus, internal links, or a logical information architecture.

HTML and XML sitemaps solve different problems

The word “sitemap” describes two distinct tools. The format matters because the audience, maintenance work, and useful information are different.

HTML sitemap: a page for people

An HTML sitemap is an ordinary, indexable web page containing links to important areas and pages on your site. The links are arranged so a visitor can understand the site’s organization and reach content that may be several clicks away from the main navigation. The W3C describes this plainly: “A site map is a web page that provides links to different sections of the site.” Its technique is related to accessibility guidance, not a mandatory page that every website must publish. See W3C technique G63.

A useful HTML sitemap groups links by meaningful categories—such as products, documentation, support, or locations—and uses descriptive link text. It should not be an unstructured dump of every URL in a database. Keep it available through normal site navigation, make it readable on small screens, and remove links to deleted, redirected, private, or low-value pages.

XML sitemap: a file for crawlers

An XML sitemap is a structured file that lists absolute URLs you want search engines to consider discovering. It can also carry supported metadata and extensions for images, video, news content, and alternate language or regional pages. Google calls XML its most versatile sitemap format; its sitemap building guidance documents the available formats and extensions.

XML is not normally designed for a human visitor. Search engines read it as a discovery signal, then decide whether and when to crawl each URL. Google states in its sitemap overview that a sitemap helps discover URLs but does not guarantee that every listed item will be crawled or indexed.

Side-by-side comparison

Need Better fit What it does Important limitation
Give visitors an overview of site sections HTML page Provides clickable, human-readable navigation. It requires editorial organization and ongoing link maintenance.
Tell crawlers which canonical URLs are worth discovering XML sitemap Supplies a machine-readable URL list using absolute addresses. Listing a URL does not force crawling, ranking, or indexation.
Describe images, video, news, or localized alternatives XML with the relevant supported extension Carries structured information that a plain page of links cannot express consistently. Your CMS or generator must support the extension correctly.
Provide a simple textual URL list Plain-text sitemap Lists one URL per line; Google and Bing support this simpler format. It is limited to textual, indexable page URLs and has no rich metadata.
Handle more URLs than one XML file allows Sitemap index plus multiple XML files Lets one index reference a set of smaller sitemap files. Every individual file must remain within the size and URL limits.

Google does not prefer one supported sitemap format for every site. Choose according to the problem you are solving and the capabilities of your CMS.

Which sites need an XML sitemap?

Start by checking what your CMS already publishes. Google notes that platforms such as WordPress, Wix, and Blogger are likely to provide a sitemap. WordPress.com says its XML sitemap is created automatically and updated as content changes; its current documentation is available at WordPress.com sitemaps. Look for a file such as /sitemap.xml, a sitemap index, or a CMS setting that identifies the generated address before installing another generator. Two independent generators can create conflicting files, stale URLs, or duplicated maintenance work.

An XML sitemap is most useful in situations where normal links may not expose every important URL efficiently:

MacBook screen cleaner, monitor cleaner or screen cleaner spray for electronic devices with microfiber cleaning cloth
  • Large sites: thousands of products, articles, listings, or other indexable pages are harder for crawlers to discover and for teams to audit through navigation alone.
  • New sites: a site with few external links can give search engines a clean list of its intended URLs while it builds authority.
  • Rich media or news: supported extensions can provide additional information about important images, videos, news items, or localized versions.
  • Frequently changing inventories: an automatically maintained sitemap can reflect newly published or removed URLs faster than a manually edited page.

Google’s rule of thumb is that a small site—about 500 pages or fewer—may not need a sitemap if its important pages are linked internally and it has little relevant media or news content. “About 500” is guidance, not a universal cutoff. A 300-page site with orphaned sections may benefit, while a tightly linked 700-page site may gain less.

When an HTML sitemap is worth adding

  • the main menu cannot expose all major sections without becoming unwieldy;
  • documentation, help articles, or archives have several levels of hierarchy;
  • visitors commonly arrive at a broad category and need to browse related pages;
  • the organization needs a simple, accessible overview for users who do not know the site’s terminology; or
  • you want a publicly visible index of sections that remains understandable without search.

Build the page around user tasks rather than your database schema. Use headings for sections, short introductory labels where needed, and descriptive links. A sitemap that contains several thousand alphabetized URLs with no context is technically a page of links but rarely a useful navigation aid. If the site is small and its menu, footer, breadcrumbs, and search already expose every important area, adding an HTML sitemap may create maintenance work without solving a reader problem.

Make the page reachable from the site itself. W3C’s G63 technique describes linking to the sitemap from pages so users can find it; a footer link labelled “Sitemap” or “Site map” is a common, understandable route. Keep the page in the same design system, ensure keyboard and screen-reader users can traverse its headings and links, and test it at mobile widths.

A practical decision process

  1. Inventory the existing output. Open your likely sitemap URL, inspect the CMS SEO or indexing settings, and check whether a sitemap index already points to several files. Record who generates it and how often it updates.
  2. Check the URL set. The XML file should contain only absolute, canonical URLs that you want considered for search results. Exclude login pages, internal search results, faceted combinations that are not indexable, blocked URLs, and pages that redirect elsewhere.
  3. Measure discovery risk. Review orphaned pages, depth from the home page, external-link coverage, publication frequency, and any important image, video, news, or language content. More discovery risk argues for XML.
  4. Evaluate visitor navigation. Ask support and analytics teams whether people struggle to find sections or whether the primary menu is already clear. A demonstrated navigation problem argues for HTML.
  5. Choose one or both. Use XML when crawler discovery is the need, HTML when visitor navigation is the need, and both when each audience has a genuine reason for a separate representation.
  6. Document ownership. Assign a person or automation to remove obsolete links, verify generated dates, and review processing reports. An unmanaged sitemap can become misleading.

How to create a useful HTML sitemap

  1. List the top-level tasks and sections. Start with the same concepts visitors see in the main navigation, then add important archives or support areas that the menu cannot display comfortably.
  2. Group related destinations. Use an <h2> for each major group and nested lists for subcategories. Keep labels consistent with page titles and navigation wording.
  3. Link only worthwhile destinations. Prefer canonical, publicly accessible pages. Do not include every tag, sort order, tracking URL, duplicate print view, or expired campaign page.
  4. Provide context. A short description can explain an unfamiliar section or distinguish similar destinations. Avoid repeating full page copy.
  5. Make it accessible. Use real headings and links, meaningful link text, visible keyboard focus, sufficient contrast, and a logical reading order. Do not rely on hover menus or an image map.
  6. Publish and test. Link the page from a predictable location such as the footer, check every link, confirm redirects are intentional, and test with keyboard navigation and a screen reader when possible.
  7. Maintain it with site changes. Add new sections during launches, remove retired destinations, and review the page whenever navigation or URL architecture changes.

How to configure an XML sitemap correctly

Use your CMS’s native generator when it produces a clean, current file. If you generate XML yourself, follow the syntax and URL rules in Google’s build guidance and validate the resulting XML before submission.

  • Use absolute URLs. Include the complete scheme and host, such as https://example.com/articles/example-page, not a relative path.
  • List intended search URLs. Select canonical pages that return a successful response. Do not use the sitemap to promote URLs you have blocked, marked noindex, or redirected.
  • Place it at the appropriate location. Google recommends the site root. If you do not submit the sitemap through Search Console, the sitemap’s directory affects which descendant URLs it can cover under the sitemap protocol.
  • Use <lastmod> carefully. Google says this value can help when it is consistently and verifiably accurate and reflects a significant update. Do not fill it with the build time for every URL or change it merely because a template was redeployed.
  • Ignore obsolete control myths. Google ignores <priority> and <changefreq>. They do not make a crawler visit a page sooner or more often.

File limits and sitemap indexes

Google’s current build documentation sets a limit of 50 MB uncompressed or 50,000 URLs per sitemap file. The figures are from Google Search Central guidance; the retrieved page does not state a publication year. If either limit is exceeded, split the URLs across multiple sitemap files and create a sitemap index that references them. Keep each child file within both limits, use absolute locations in the index, and ensure the index itself is accessible.

Submitting and monitoring your sitemap

Google Search Console

In the relevant Search Console property, open the Sitemaps report, enter the sitemap URL, and submit it. Google’s Search Console sitemap help explains the current interface. Submission tells Google where the file is; it is not an upload that guarantees processing. The report can show the last read time, status, errors, and discovered URL counts.

Correct a reported error at the source, regenerate the file if necessary, and resubmit or request a fresh read. A successful “processed” status still does not mean every URL will be crawled or indexed, because Google evaluates each URL separately.

Bing Webmaster Tools

Bing Webmaster Tools accepts XML, RSS 2.0, Atom 0.3/1.0, and plain-text URL lists. Its sitemap documentation describes submission and processing reports, including discovered URL counts. Choose the format your CMS can keep accurate; an RSS or Atom feed may be practical for a site whose publication feed already contains the pages you want discovered.

Robots.txt reference

You can also expose the sitemap location in robots.txt with a line such as Sitemap: https://example.com/sitemap.xml. This helps crawlers find the file, but it does not replace normal submission or guarantee that URLs will be indexed. Keep the URL in robots.txt synchronized with the actual file or sitemap index.

Common mistakes and how to fix them

Installing a second generator

Symptom: several sitemap URLs exist and different tools report different page counts. Fix: identify the authoritative generator, disable redundant output, and submit one current sitemap or index. Recheck after CMS updates.

Including redirected, blocked, or non-canonical URLs

Symptom: processing reports show warnings, or the sitemap contains URLs that redirect, return errors, or are excluded by robots or noindex directives. Fix: generate from the canonical URL set and remove anything not intended for search results. A sitemap should reinforce your indexing signals, not contradict them.

Treating the sitemap as a ranking lever

Symptom: a team expects rankings or immediate indexing after submission. Fix: explain its role as discovery assistance, then improve internal links, page quality, crawl accessibility, and canonicalization. Google explicitly does not promise crawling or indexation from sitemap inclusion.

Using false modification dates

Symptom: every URL receives the deployment timestamp, even when its content did not change. Fix: emit a date only when the page had a significant, verifiable update. Inaccurate metadata reduces the value of the signal.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Exceeding a file limit

Symptom: the file is larger than 50 MB uncompressed or contains more than 50,000 URLs. Fix: divide the set into multiple files and publish a sitemap index. Check both limits after compression-independent size calculation; the 50 MB rule is uncompressed.

Letting an HTML sitemap become an archive dump

Symptom: visitors face an endless list of tags, filters, duplicates, and retired pages. Fix: redesign around meaningful sections and user tasks, retain only useful destinations, and automate checks for broken links without publishing every generated URL.

How HTML and XML sitemaps work together

A complex publication can use an HTML sitemap as a human-readable map while an XML index separates articles, images, or regional URLs for crawlers. The two may represent the same broad structure in different forms, but they should not be forced to contain identical inventories. The HTML page should remain understandable to visitors; XML should remain focused on canonical URLs intended for search results and supported metadata.

Neither format substitutes for crawlable links. Keep contextual links in page content, category navigation, breadcrumbs, and the footer where appropriate. A crawler may discover a URL from those links, and a visitor needs them to move between related pages. The sitemap is an additional route and an audit aid, not the site’s information architecture by itself.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A maintenance checklist

  • Confirm which CMS or service owns XML generation.
  • Check that every listed URL is absolute, canonical, publicly reachable, and intended for search.
  • Remove redirects, error URLs, blocked pages, noindex pages, and duplicate variants.
  • Keep each XML file below 50 MB uncompressed and 50,000 URLs; use an index for larger sets.
  • Verify that <lastmod> reflects significant, verifiable changes.
  • Keep an HTML sitemap grouped, readable, keyboard accessible, and linked from the site.
  • Review both formats after migrations, domain changes, navigation redesigns, and CMS upgrades.
  • Check Search Console and Bing processing reports for errors and discovered-count changes.
  • Continue improving internal links and navigation; do not measure success by sitemap submission alone.

Bottom line: choose by audience, then use both when justified

Choose an XML sitemap when search-engine discovery, scale, new-site visibility, or rich-media and language metadata is the problem. Choose an HTML sitemap when people need a clear, alternate route through a large or complex site. Before adding software, verify what your CMS already generates. When both crawler discovery and visitor navigation deserve dedicated support, publish both—but keep each format accurate, focused, and maintained.
