Workflow memory apps are not one technology. Some keep a searchable history of what appeared on your screen, some ask you to maintain a compact project state, some save notes for an AI agent at different persistence levels, and some attempt to infer a complete work thread from your activity. The useful test is therefore not simply “does it remember?” Ask three questions: what is captured, where is it stored, and what can you do with it when you return?
Those choices determine whether returning to work means searching a timeline, reading a handoff, retrieving a scoped note, or reopening a group of related files and conversations. They also determine privacy exposure, recovery options, and whether the memory belongs to one person, one project, or one short-lived session.
What workflow memory is designed to preserve
Normal operating-system session restore can reopen applications and windows, but it rarely explains why they were open. Workflow memory adds context such as the task goal, a decision you made, an unresolved question, the files involved, and the next action. That distinction matters after a meeting, interruption, context switch, or computer replacement.
There is no universal workflow-memory format. The main designs differ in how deliberately information is entered and how much the software infers:

- Structured project memory stores explicit fields such as status, next action, important context, and open issues.
- Scoped agent memory saves notes at user, repository, or current-session levels.
- Work-thread reconstruction attempts to connect related tabs, files, messages, goals, and stopping points into a resumable thread.
These approaches can be combined, but they solve different problems. A searchable recording is good at answering “where did I see that?” A project handoff is better for “what was I trying to accomplish?” A repository memory file can give an agent durable technical guidance without retaining every screen you viewed.
Four ways apps capture context
1. Passive screen-history capture
Rewind Desktop describes a background recording system for Mac that continuously captures the screen and creates a searchable timeline. Its interface lets you enter a phrase you remember, jump to matching history, and scrub around the relevant moment. This is an activity archive: it preserves what was visible rather than asking you to summarize each task.
According to Rewind’s privacy policy, capture begins after macOS screen-recording permission is granted. Recordings, extracted text, and the search index are stored locally by default. That local default can reduce routine cloud exposure, but it does not make the capture risk-free: the history may include sensitive information displayed in websites or applications.
The optional archive path uses a user-managed Amazon S3 bucket. Older recordings and recovery backups are encrypted on the Mac before upload, while text search remains local; archived video is downloaded when you browse it. A replacement Mac can restore searchable history while connected to power and an unmetered network. The same policy says its account-recovery service can decrypt and return the recovery package, which means an encrypted archive with recovery enabled still involves the service in access to the archive key.
2. Explicit project state and handoffs
Project Memory treats memory as a short, reviewable project brief rather than a complete activity recording. Its named fields are Current Status, Next Action, Important Context, and open issues. A person or team can read those fields and understand the state of work without replaying every application used.
Its session flow creates a bounded work block. When resuming, the product surfaces the project memory, open work, the recent session, and GitHub context. When ending a session, it reviews tasks, issues, commits, changed files, discussions, and outcomes before producing a factual handoff. AI-assisted resume and handoff are drafts that require confirmation; they are not silent updates that permanently rewrite project state.

This design puts the burden of accuracy in a useful place: people decide what is durable, and the record is compact enough to inspect and correct. It will not recover an unrecorded sentence from a web page, but it can preserve the decision and next step that a raw activity stream may leave implicit.

3. Memory scoped for an AI agent
Microsoft’s VS Code documentation, shown as updated October 7, 2026, describes a memory tool that lets agents save and recall notes while they work. It separates persistence into three scopes:

The documentation says these memory files are local. That gives a clear boundary between an individual agent’s recall and team-maintained instructions. If a note is important for everyone, the recommended path is to review it and move the durable guidance into source-controlled project documentation or custom instructions. A private memory file should not quietly become the team’s undocumented policy.
4. Inferred work-thread reconstruction
Recall’s product page presents a Capture → Understand → Hold → Return sequence. It says the service connects related tabs, files, and messages, then preserves the goal, context, stopping point, open question, next action, and tasks from chat or email services.
This is a vendor capability description, not an independently verified performance result. It is reasonable to distinguish the stated goal from a guarantee: the page claims to restore a coherent work thread, but the supplied evidence does not establish that it reliably restores every application, reproduces every state, or outperforms the other designs. Recall’s page uses the sentence, “The apps are still open. What disappears is the goal, the decision, and the next thing you meant to do.” Treat that as the product’s framing rather than an independent finding.

- Search a history: In a screen archive, enter a phrase you remember, open the matching point, and scrub nearby moments to recover surrounding context. This is useful when you remember a word, screen, or approximate time but not the exact application.
- Read a project handoff: In a structured project system, review current status, open issues, and the next action. Check the latest session’s files, commits, discussions, and outcomes before continuing.
- Retrieve the right scope: For an agent, decide whether the needed note should exist only in the current conversation, across one repository, or across all of your workspaces. Keep team instructions in reviewed, source-controlled documentation rather than an individual memory file.
- Follow a reconstructed thread: In a work-thread system, inspect the linked file, related context, open question, next action, and associated tasks. Verify the links and inferred goal before acting, because the product claim is not an independent guarantee of completeness.
The difference is between evidence of activity and an explicit explanation of intent. A recording may show the document you opened but not why you rejected an option. A handoff may preserve the decision but omit the exact wording of a source. A robust workflow often uses a deliberate next-action note alongside whatever passive capture is available.

Privacy, security, and recovery questions to answer first
Workflow memory can be more sensitive than ordinary notes because it may include credentials displayed on screen, private messages, customer records, medical information, or internal documents. Before enabling any capture system, establish these points for the specific product and edition:
- Capture scope: Does it record the entire screen, selected applications, browser content, audio, text, or only notes you deliberately enter?
- Permission state: Which operating-system permissions are required, and what happens when permission is revoked?
- Pause and exclusion controls: Can recording be paused for a meeting or excluded from particular applications, websites, or windows?
- Storage location: Are recordings and indexes local, synchronized to a provider, or uploaded to storage you control?
- Deletion: Does deleting a note also remove extracted text, recordings, indexes, backups, and cached copies?
- Recovery-key access: Who can restore an archive after a device failure, and can a recovery service decrypt or return key material?
- Sharing boundary: Is the memory private to one user, visible to a project, or available to an AI service and its integrations?
Rewind’s policy is a concrete example of why “encrypted” is not a complete answer. Its local default, optional S3 archive, local text search, and account-recovery path describe different access conditions. Read the current policy before treating a product as suitable for regulated or confidential work; the policy cited here took effect October 4, 2026.

Choose an activity archive when retrieval is the main problem
Use a searchable history when you repeatedly need to find a phrase, screen, or visual detail that would be tedious to summarize. It is strongest for “I know I saw this, but I cannot remember where.” Set clear exclusions and a deletion routine before turning on continuous capture.
Choose structured project memory when handoffs and decisions matter
Use explicit fields when more than one person needs to understand project state, or when the important artifact is a decision and a next action rather than a replay of activity. Require the person ending a session to verify the handoff, especially when AI assistance drafts it.
Choose scoped agent memory when persistence must be controlled
Use session memory for temporary exploration, repository memory for codebase conventions, and user memory for personal preferences that genuinely apply across projects. Keep a note out of broader scopes if carrying it elsewhere could expose confidential or misleading context.

Evaluate reconstruction claims as hypotheses
A system that infers a work thread may reduce the amount you have to write, but inference can be wrong or incomplete. Check whether it exposes the source artifacts behind each connection, lets you correct the goal and next action, and supports deletion and export. Do not rely on a vendor’s claimed resume experience as a measured productivity result: no independently verified side-by-side outcome study is established by the cited material.
A practical workflow for reliable resumption
- Define the unit of work. Name the project, repository, or task that should receive the context.
- Record intent explicitly. Write one sentence for the goal, one for the next action, and one for any unresolved question. This covers information passive capture may not reveal.
- Use the narrowest persistence scope. Keep temporary details in session memory; promote only reviewed, reusable guidance to repository or user scope.
- Attach evidence. Link the relevant file, issue, commit, message, or timeline moment so another person can verify the note.
- End with a factual handoff. Record what changed, what remains open, and what should happen first next time. Avoid speculative conclusions.
- Test recovery. Confirm that you can search, restore, export, or delete the memory on a second device or in a clean session, according to the product’s documented process.
Common failure modes and fixes
The archive contains too much
Continuous capture can produce a large, noisy history and retain sensitive screens unintentionally. Narrow the capture scope where supported, pause it during confidential work, and set retention and deletion rules. A searchable archive is not a substitute for access controls.
The handoff is too vague
“Continue debugging” is not a useful next action. Replace it with a verifiable step such as checking a named test, reviewing a specific file, or deciding between two documented options. Include the blocking question rather than assuming the next person remembers it.
The agent remembers the wrong scope
If a note appears in an unrelated workspace, it may have been saved at user scope when repository scope was intended. Inspect the memory file, correct or delete it, and move durable team guidance into the project’s reviewed documentation.
The restored thread is plausible but unverified
Inferred links can connect the right artifacts for the wrong reason. Open the underlying file, message, or task, confirm the goal and stopping point, and correct the next action before making changes. Treat reconstruction as an accelerator for review, not as an authoritative project record.

No physical product is required by these workflows. The documented solutions are software; a computer, backup disk, microphone, wearable, or book may be adjacent to a particular setup, but the sources do not establish any such item as necessary or especially relevant.

A searchable activity archive is the most direct fit because it lets you search a phrase and inspect the surrounding timeline. It does not necessarily preserve the reason or decision behind that activity.
How should I evaluate a product that claims to restore my whole work thread?
Check whether it shows the source artifacts behind its connections, lets you edit the inferred goal and next action, defines its storage and deletion controls, and documents export or recovery. Treat vendor claims as capabilities to verify, not measured outcomes.
