Unified facility management technology connects operational records and workflows—such as service requests, work orders, assets, maintenance, space, and building performance—so teams can work from more consistent information. It may be delivered through an integrated workplace management system (IWMS), computer-aided facility management (CAFM) software, building analytics, or integrations among existing tools; it does not have to be one product or module.
What “unified” facility management means
Facility teams often manage several related jobs through separate systems: receiving a service request, assigning a work order, checking an asset’s history, scheduling preventive maintenance, and reviewing energy or space data. A unified approach connects the relevant records and handoffs, giving staff and managers a more coherent view of operations.
That connection can take different forms. An IWMS or CAFM platform may provide several functions, or software may exchange data with existing finance, building-management, access, or workplace systems. Consolidating applications is not the same as integrating every system: the appropriate scope depends on which workflows and records need to work together.

Workflows and records that may be connected
- Service requests and work orders: capture needs, route them to the right team, and track completion.
- Assets and maintenance: associate equipment records with preventive maintenance, inspections, and repair history.
- Space and property: maintain usable building and space information across a portfolio.
- Building performance: connect equipment or building-management data with energy and operational reporting.
Why facility data becomes fragmented
Fragmentation is not just a software problem. Some organizations still rely on paper requests; others have inherited separate regional systems, inconsistent building or asset names, or building-management data held in multiple platforms. Those differences can make it difficult to compare sites, find a reliable record, or see how a request relates to a piece of equipment.

- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
In a JLL client account, a global technology company’s real estate, facilities, and energy teams used disconnected systems and inconsistent building names. JLL says its Digital Solutions team implemented an IWMS and integrated portfolio data to improve alignment and centralized visibility. This is the provider’s description of one client project, not evidence that an IWMS automatically resolves data inconsistencies. JLL’s IWMS implementation case
What implementation involves beyond selecting software
Connecting workflows requires decisions about the records and processes that will be shared. Teams may need to align site and asset naming, decide which system owns each record, and determine how requests, work orders, and building data pass between tools. Existing systems may remain in place where replacing them is unnecessary or impractical.

Rollout can also be phased rather than portfolio-wide from day one. eFACiLiTY’s vendor case study describes a Prestige Group deployment planned across 110 properties, with integration to MyGate, ADDA, and SAP. The vendor reports that more than 11,000 tickets and work orders were generated across 45 completed sites in six months, with further phases planned. The figure describes that deployment and is not a general implementation benchmark. eFACiLiTY’s real-estate deployment case
What published case studies show—and what they do not
Published examples illustrate possible results from particular deployments. Their reported savings, activity, and energy outcomes depend on each organization’s starting systems, scope, measurement method, and rollout. They are not a forecast for another facility team.

| Royal Melbourne Hospital | IBM describes mobile task management and digitized service requests as part of the hospital’s CAFM/IWMS work. The hospital approved a business case in November 2018, selected IBM TRIRIGA, and formed a CAFM project team in 2019. | IBM says the solution had processed more than 1.5 million tasks as of mid-2023; its case also describes roughly 400 digitized tasks and a service-request portal accessible to 12,000 staff. These are figures for that hospital implementation. IBM says TRIRIGA has evolved into IBM Maximo Real Estate and Facilities, so verify current naming, scope, and availability. IBM’s Royal Melbourne Hospital case |
| U.S. General Services Administration | ICF describes a cloud-based national facilities system designed to standardize service requests, work orders, analytics, preventive maintenance, and inspections. | ICF reports an estimated $2 million in annual IT savings from retiring redundant systems and processes. This is ICF’s estimate for the GSA deployment, not a general IWMS savings benchmark. ICF’s GSA facilities-system case |
| Real estate group in Asia | Johnson Controls describes combining data from 12 building-management platforms with equipment and CCTV data for equipment performance and workplace operations. | Johnson Controls reports energy use 15% below baseline and about $500,000 in energy cost avoidance during the initial deployment period. It also projects more than $5 million in savings over five years; that amount is projected, not reported as realized savings. The case page’s publication year is not stated in the available material. The examples involve different goals: digitizing hospital tasks, consolidating government maintenance workflows, aligning portfolio records, or using building data for performance analysis. Their figures should be read in that context rather than compared as if they measured the same benefit.
How to assess a unified facility-management approach
Start with the operational problem, then define what information needs to move between teams and systems. The following questions help distinguish a useful integration from a broad software purchase without a clear workflow goal.

- Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft
- Scope: Is the immediate need service requests and work orders, or does it also include asset records, space, projects, maintenance, or energy?
- Integration: Which legacy facilities tools, building-management systems, finance platforms, or existing records must exchange information?
- Data consistency: Are building, space, and asset names sufficiently standardized for cross-site reporting and handoffs?
- Users and rollout: Which staff need mobile access, which sites should be included first, and what must be validated before expanding?
- Reporting: Which operational measures will show whether the connected workflow is working, and what baseline will be used?
These are comparison dimensions, not a product ranking. The available case evidence does not establish independent pricing, implementation costs, feature matrices, or tests that identify one best platform.
Set outcome expectations carefully
Unified systems can improve visibility, make workflows easier to track, and reduce duplicate records or applications when the deployment is well aligned to operational needs. The examples above show that organizations report benefits after connecting particular processes and data; they do not establish a guaranteed return for other organizations. Treat vendor- or provider-reported case results as context-specific evidence, and assess any proposed savings against your own scope, baseline, and implementation plan.
