Use two independent lines of evidence: a documented ownership history (provenance) and a category-appropriate examination of the object itself. A certificate, catalogue entry, seller’s story, visual inspection, or handheld tool is not conclusive on its own. Verify documents with the organization that issued them, investigate gaps, compare the item with reliable references, and obtain a written opinion from a qualified specialist before committing significant money.
Authenticity and provenance answer different questions
Authenticity asks whether the object is what it is represented to be: the claimed maker, period, edition, material, signature, or component set. Provenance is the documented history of ownership and transfers. It can support an authenticity assessment, but it is not the same thing. An object can have an impressive-looking paper trail that was fabricated, or a genuine object can have incomplete records.
Christie’s describes authentication assessment as a combination of provenance, visual inspection, scientific analysis, and expert opinion. Responsible Art Market likewise treats connoisseurship, art-historical research, and technical analysis as complementary rather than interchangeable. The appropriate balance depends on the object, the question being asked, and the expertise available.

Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →- Provenance evidence: receipts, auction and exhibition catalogues, museum or archive records, inventory numbers, correspondence, catalogues raisonnés, and earlier expert certificates.
- Object evidence: construction, materials, dimensions, signatures, inscriptions, serial numbers, wear, alterations, and comparison with securely documented examples.
- Independent corroboration: evidence that does not come solely from the current seller or from a document that cannot be verified at its source.
Complete, uninterrupted ownership records are uncommon. A gap is a question to investigate, not automatic proof of a forgery. Conversely, a continuous chain does not remove the need to examine the item.

Step 1: Identify exactly what is being offered
Before researching a story or certificate, create an objective record of the item in front of you. Ask the seller to confirm every detail in writing and photograph the object yourself where possible.
- Maker, attributed creator, brand, or workshop
- Title, model, reference number, edition, or production batch
- Claimed date, period, place of manufacture, and medium or materials
- Dimensions, weight where relevant, and construction details
- Serial numbers, hallmarks, maker’s marks, labels, stamps, inscriptions, and signatures
- Condition, restoration, replaced components, and disclosed alterations
- All accompanying boxes, papers, tags, receipts, reports, and photographs
Photograph the whole object and close-ups of every identifying feature, including the front, back, edges, underside, interior, movement, labels, and paperwork. For artwork, Responsible Art Market says experts commonly request high-resolution images of the front, back, details, inscriptions, and signatures for an initial review, while stressing that an in-person inspection is needed to confirm authenticity. Keep the original image files and record when and how they were made.
Step 2: Build and test the provenance chain
Request a timeline rather than a general statement such as “from a private European collection.” For each ownership or transfer event, record the owner or institution, approximate date, location, transaction type, and supporting document.
Recommended Free Tools
| Provenance element | Useful corroboration | Question to ask |
|---|---|---|
| Previous owner | Receipt, estate inventory, correspondence, or collection catalogue | Can the owner and date be independently confirmed? |
| Auction or dealer sale | Lot number, catalogue page, invoice, condition report, or settlement record | Does the description match this exact object? |
| Exhibition or institutional holding | Exhibition catalogue, museum record, label, or archive entry | Are dimensions, title, attribution, and inventory number consistent? |
| Published reference | Catalogue raisonné, specialist book, archive, or scholarly correspondence | Is the cited reference actually about this object, not a similar one? |
| Transfer between records | Shipping, insurance, customs, or conservation paperwork | Does the date and location explain the movement between owners? |
Compare the timeline across all documents. Look for changed dimensions, inconsistent titles, unexplained changes in attribution, duplicate inventory numbers, or photographs showing different details. For a work of art, consult the relevant catalogue raisonné when one exists, but treat its status and wording carefully; scholarship can change, and inclusion is not necessarily an unconditional guarantee.
Write down every missing period. Ask the seller what could explain it and request independent evidence, such as an archive entry, old photograph, insurance schedule, restoration record, or correspondence. Do not allow a vague gap to disappear simply because the surrounding documents look professional.

Step 3: Verify every certificate with its issuer
A certificate is evidence about a record or opinion, not a universal guarantee. Start with the organization that supposedly issued it, using that organization’s own database or verification channel.
- Copy the certificate or report number exactly, including letters, spaces, and punctuation.
- Use the issuer’s official verification service. For example, GIA’s Report Check compares information on a GIA report with its database; PSA says its certified autographs can be checked through its public verification webpage or mobile application; BADA describes a public check for its own Provenance certificates.
- Compare the returned record with the physical object: type, maker, title or model, dimensions, materials, date, images, serial number, signature, and any distinctive marks.
- Contact the issuer if the result is unavailable, the number is duplicated, or a detail differs. Preserve the response in writing.
A valid number proves only that the issuer recognizes that number in its records. It does not prove that a genuine report belongs to the object in your possession. Check for substituted pages, altered photographs, mismatched descriptions, and certificates issued for a different example. A report may also have a limited scope—for instance, identifying a gem or evaluating an autograph without guaranteeing every component of a larger object.

Do not ask a general visual check to answer a question that requires material analysis, specialist comparison, or access to a particular archive. Responsible Art Market says techniques should be selected case by case according to the question, the material, and the expertise available.
Paintings and works on paper
An assessment can include comparison with securely attributed works; study of signature, style, technique, support, and materials; provenance and art-historical research; and targeted imaging. Christie’s and Responsible Art Market list ultraviolet, infrared, X-ray, and other imaging or scientific methods among the tools that may be appropriate. These tests answer different questions: for example, an image may reveal an alteration or underdrawing, while material analysis may identify pigments or modern components. No single scan establishes authorship by itself.
Ask whether the specialist inspected the work in person. Responsible Art Market’s guidance states that an expert should examine a work in person to confirm authenticity. Photographs are useful for triage, not a substitute when texture, construction, smell, weight, or physical condition matters.

Autographs and signed memorabilia
PSA describes an autograph process that can include handwriting-related structure and ink analysis, examination of the object, comparison with reference examples, and possible use of a video spectral comparator. The process is specific to autographs; do not transfer it wholesale to paintings, watches, coins, or other categories. Confirm that the opinion covers the signature and also addresses the paper, photograph, garment, inscription, and any alterations relevant to the item being sold.

For a watch, arrange inspection by a qualified watchmaker or a specialist familiar with the claimed reference and period. The assessment should distinguish the authenticity of the case, dial, hands, movement, bracelet, bezel, and other components. Sotheby’s advises prospective buyers to arrange inspection by a qualified watchmaker or contact its watch experts, and cautions that condition reports are opinions and that the authenticity of individual components may not be guaranteed.
Jewelry, gems, and other categories
A gemological laboratory, category-specific authenticator, or qualified appraiser may be appropriate, depending on the claim. Confirm exactly what the service tests: species or material, treatment, origin, maker, age, completeness, or market attribution. A gem report, for example, should not be read as proof that a mounting, signature, or provenance story is genuine unless the report expressly covers those points.
Step 5: Obtain a written opinion with a defined scope
Before commissioning an assessment, ask the specialist to state the proposed scope and whether the item will be physically inspected. A useful written report should identify:
- The object, including photographs, measurements, identifying numbers, and condition
- Documents and references reviewed
- Examinations or analytical techniques performed and who performed them
- The reasoning that connects observations to the conclusion
- Whether the conclusion concerns authenticity, attribution, date, materials, condition, provenance, or only one of those questions
- Assumptions, unresolved issues, and circumstances in which a definitive conclusion cannot be reached
- The date, expert’s name, qualifications, signature, and any limitations on reliance
Responsible Art Market recommends a dated and signed document that describes the work, analysis, reasoning, and limits. Be cautious when an opinion is based only on seller-supplied photographs, when the expert refuses to identify references, or when the wording is absolute despite acknowledged gaps.

- Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft
Step 6: Read the sale terms as carefully as the description
Catalogue descriptions and condition reports are not automatically guarantees. Sotheby’s states that statements about authorship, attribution, origin, date, age, provenance, and condition are statements of opinion. Christie’s notes that attribution can change as scholarship develops. Read the exact terms for the sale, return period, guarantees, exclusions, and dispute process that apply to your jurisdiction and transaction.
Separate these questions:
- What does the seller promise to be true at the time of sale?
- Does a guarantee cover authenticity, title, provenance, condition, or only a specific feature?
- How long do you have to make a claim, and what evidence is required?
- Are restoration, replaced parts, or undisclosed alterations excluded?
- Can you return the item if an independent specialist reaches a different conclusion?
Do not treat phrases such as “attributed to,” “in the manner of,” “school of,” “after,” “style of,” or “possibly” as equivalent to a firm attribution. The qualification is part of the offer.
How to compare two or more candidates
Use the same criteria for every candidate. A lower price does not compensate for evidence that cannot be checked, and a prestigious name does not eliminate the need for inspection.
| Criterion | Stronger position | Questions before purchase |
|---|---|---|
| Documentary provenance | Multiple dated records that agree on identity and ownership | Which periods remain undocumented? |
| Independent corroboration | Evidence from archives, institutions, prior sales, or unrelated records | Does the proof depend entirely on the seller? |
| Certificate verification | Issuer confirms the number and its details match the object | Have images, measurements, and serial numbers been matched? |
| Expert examination | In-person, category-specific assessment with stated methods | Was the physical object examined, and what was outside scope? |
| Condition and components | Restoration and replacements disclosed and documented | Are individual parts authentic and original where that matters? |
| Contractual protection | Clear guarantee, inspection opportunity, and workable return terms | What deadline and evidence apply if a problem emerges? |
Common failure modes and how to respond
“The certificate looks real”
Design quality, embossed seals, and professional language are easy to imitate. Verify the number with the issuer and match the record to the object. If the issuer cannot confirm it, pause the transaction.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitches“The object looks right under a loupe”
A 10× jeweler’s loupe can help you photograph visible marks or surface details, but it cannot establish authenticity, ownership history, or material composition. It is a low-confidence inspection aid, not an authentication method.

“The seller has a famous previous owner”
Ask for records that connect that person to this exact object. A name without an invoice, catalogue entry, archive record, or other corroboration is an unverified claim.
“The expert gave a one-line answer”
Request the scope, references, reasoning, date, signature, and limits in writing. If the expert cannot reach a definitive conclusion, a responsible report should say so rather than hide uncertainty behind a categorical label.
“A gap proves it is fake”
Gaps warrant investigation but are not, by themselves, findings of forgery. Weigh the missing period with the quality of the surrounding records and the object examination.
Preserve the evidence after purchase
Keep the original receipts, invoices, auction and exhibition records, issuer correspondence, certificates, reports, high-resolution photographs, and the specialist’s signed opinion together with the object’s identifying details. Maintain a dated digital backup and note any later conservation, repair, or component replacement. Christie’s identifies these records as useful provenance evidence, and Responsible Art Market recommends that experts preserve their research and supporting material.
When selling or insuring the item later, provide the complete file rather than a single certificate. Future reviewers can then distinguish original records, later opinions, and changes to the object.
When professional help is worth the cost
Use a qualified specialist before purchase when the price is substantial, the seller will not offer a meaningful inspection or return period, provenance has a material gap, the certificate cannot be verified, the object has been restored or assembled from components, or the attribution would significantly affect value. Relevant service categories include auction-house specialists, qualified appraisers, category-specific authenticators, gemological laboratories for gem reports, and provenance researchers.
Fees, turnaround times, geographic coverage, and guarantees vary by provider and object. Ask for a written quote and scope, disclose the purchase deadline, and confirm whether the specialist is independent of the seller. No authentication service can remove every uncertainty; the goal is to make the remaining uncertainty visible before you decide.

What a defensible decision looks like
You should be able to explain, in a short file, what the item is claimed to be, which ownership events are documented, which documents were verified with their issuers, what an appropriate specialist examined, what the written opinion actually covers, and what remains unknown. If those answers cannot be assembled, delay the purchase or negotiate terms that protect you. High-end collectibles deserve a chain of evidence, not a single persuasive clue.
