To verify a researcher’s record, first establish that the profile belongs to the right person, then check every work against an authoritative publication record and persistent identifier. Treat citation totals as dated, database-specific measurements: report the database, collection and retrieval date, and do not use an h-index as a stand-alone judgment of research quality.

The workflow below separates identity checking, publication authentication and metric interpretation so that a plausible-looking profile does not become uncritical evidence.

1. Define what “verified” means

A publication list is verified when each listed work can be tied to the same researcher and matched to a reliable bibliographic record. A citation metric is reported responsibly when its source, coverage and retrieval date are explicit. These are different tasks: a paper can be authentic but absent from one index, and a profile can show an item that has not yet been confirmed as belonging to its owner.

Evidence levels to use

Evidence What it establishes What it does not establish
Institutional profile The person’s employer associates a name and role with a research identity. That every listed publication is theirs or that the list is current.
ORCID, Scopus ID or Web of Science researcher profile A persistent identifier that helps separate researchers with similar names. Automatic authorship confirmation for every claimed item.
Publisher or trusted bibliographic record with matching DOI The work’s title, authors, venue, date and identifier in a primary or established record. That the item is peer reviewed, highly cited or correctly assigned to a profile.
Database citation record Citations counted under that database’s indexing and matching rules. The total number of citations across all scholarly literature.

Use the strongest available evidence for each claim instead of treating a single profile or search result as proof.

2. Establish the researcher’s identity before checking publications

Start with the researcher’s institutional page, laboratory page or official curriculum vitae. Record the full name, middle initials, affiliations, disciplines, locations and career dates shown there. Then look for persistent identifiers such as an ORCID iD, Scopus Author ID or Web of Science researcher profile. University College London advises extra care when an author has a common name or variant forms of a name; its author-metrics guidance explains why a name match alone is weak evidence.

Search all name variants

  • Try the full name, initials, hyphenated and unhyphenated forms, and known name changes.
  • Include transliteration variants when the author publishes in more than one writing system.
  • Use affiliation, subject area, co-authors and publication years to distinguish people who share a name.
  • Prefer a persistent identifier that appears on a publisher page or institutional record, not one copied only from an unverified profile.

A matching name without matching affiliation or co-author patterns should be treated as a lead for investigation, not confirmation. For a common name, require at least two independent identity signals before accepting a publication as belonging to the target researcher.

3. Verify each publication at the record level

Work one item at a time. Copy the exact title from the researcher’s list and search it with the author’s name. Open the publisher’s record when available, then compare the bibliographic fields with a trusted index.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fields to compare

  • Author list and order: confirm that the researcher appears under the same name variant and that the co-authors are plausible.
  • Title: check punctuation, subtitle, language and whether two similarly titled papers are actually different works.
  • Venue: verify the journal, conference, book or repository name.
  • Publication year and date: distinguish online-first publication from an issue year when both are shown.
  • Persistent identifier: match the DOI or another stable identifier exactly; resolve it to the same work.
  • Publication type: record whether it is a journal article, review, proceeding, book chapter, thesis, preprint, abstract, editorial or technical report.

Do not count a title as an additional publication merely because it appears in several versions. A version of record, accepted manuscript, preprint, conference abstract and repository copy may describe one research output. Keep the versions linked, but state which version you verified.

Why a Google Scholar result is not enough

Google Scholar’s Search Help says the service covers many kinds of scholarly material, including preprints, theses, books, abstracts and technical reports. Therefore, a result in Scholar alone does not prove that an item is a peer-reviewed journal article. Use the publisher or another authoritative bibliographic record to establish the work’s type, then use Scholar as one possible source for discovery and citation counting.

Resolve duplicates and title changes

Indexes can merge or split records. Compare the DOI, author list and pages before deciding that two records are duplicates. For a journal article that changed title between an early online version and the final issue, retain the final bibliographic details and note the earlier title in your audit notes. For a conference paper later expanded into a journal article, treat them as separate outputs only when the records and content are demonstrably distinct.

4. Inspect profile claims and verification status

A researcher-controlled profile can contain claimed items that have not been confirmed by the database. In Web of Science, an authorship claim can be marked unverified. The service states that unverified authorships do not appear on the public profile and do not count toward its public metrics; it provides a manual process when automated name matching cannot resolve the author position. See Web of Science’s manual authorship-verification instructions for that status and process.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What to record from a profile

  • Whether each item is claimed, verified or awaiting review.
  • The profile identifier and the date you viewed it.
  • Items that the profile owner has disowned or that the database has removed.
  • Whether the profile’s publication list is being used to calculate the displayed metrics.

An unverified item is not proof of misconduct; it is an unresolved authorship association. Confirm it at the publication record before including it in a verified list.

5. Interpret “zero citations” and “not indexed” correctly

Web of Science uses two different states that are often confused. Its metrics guidance explains that 0 citations means the paper was found in the index but no citations were recorded there. Not indexed means the paper was not found in the Web of Science Core Collection. The second state says nothing about whether citations exist elsewhere.

When a citing paper seems to be missing

Check the citing paper’s reference list first. A citation may use a shortened title, a title translation, an incorrect page number or another bibliographic variant that prevents automatic linking. Web of Science recommends Cited Reference Search to locate such variants; its instructions are in the Researcher Profile Metrics Sidebar documentation.

Keep a note of the variant you found and whether the database linked it after correction. Do not infer that a missing link proves the citing author, database or researcher acted improperly.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

6. Report citation metrics with provenance

Every number should carry its context in the same sentence or table cell. State the database, the collection or content scope, the retrieval date and any treatment of self-citations. Citation totals are snapshots of a defined index, not universal counts.

What the major sources represent

Source Coverage described by the service How to report it
Google Scholar Broad scholarly content visible to its search robots across the web, including material beyond journal articles. “Google Scholar citations, retrieved 16 October 2026,” followed by the profile or search scope used.
Web of Science Researcher Profile Aggregate metrics based on documents and citations in the Web of Science Core Collection. “Web of Science Core Collection citations, retrieved 16 October 2026,” with the profile and collection identified.

Web of Science describes the Core Collection as covering more than 21,000 journals in its 2026 metrics guidance. That is a coverage claim by the service, not an independent audit and not a measure of how accurately any individual researcher has been identified.

Because the databases index different documents and apply different linking rules, their citation totals and h-index values can legitimately diverge. A discrepancy alone does not demonstrate an error or inflated record.

7. Understand what the h-index does—and cannot do

An h-index combines productivity and citation counts: a value of h means the database has identified at least h publications with at least h citations each. The value depends on which publications the profile contains and which citations the database counts.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Web of Science’s h-index uses its Core Collection and includes self-citations. A profile with unverified authorships excluded from public metrics can therefore display a different h-index from a manually assembled list. Google Scholar may produce a higher or lower value because its coverage and matching rules differ.

Do not use h-index as a stand-alone quality judgment. Field citation practices, publication formats and career length affect the value, and a single number omits the context of the work. Web of Science states: “No metric is perfect. Each has a purpose and each has limitations. The key is knowing what a metric can measure — and what it can’t.” Read the full explanation in What is your impact?

8. Make a fair comparison or time-series

Before comparing two researchers—or comparing one researcher’s metric this year with an earlier value—hold the measurement conditions constant. Record the following in an audit table:

Factor Why alignment matters Minimum note to capture
Database and collection Different indexes contain different documents and citation links. Service name and, where applicable, Core Collection or another named collection.
Field or category Citation rates vary substantially among disciplines. The subject category used for any normalized measure.
Publication year and career stage Older papers have had more time to accumulate citations. Career start or publication window used for the comparison.
Document type Reviews, articles, proceedings and books receive different citation patterns. Included and excluded types.
Self-citation treatment Including or excluding self-citations changes totals and derived metrics. Whether self-citations are included; Web of Science h-index includes them.
Retrieval date Counts change as records and links are added or removed. Calendar date and, for a repeated study, the same observation schedule.

Web of Science describes normalized measures that account for category, year and document type. Use such a normalized indicator only when you can identify its definition and denominator; do not compare a normalized score with a raw citation total as if they measured the same thing.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

9. Troubleshoot falling or disputed counts

Google Scholar total decreased

Google Scholar explains that counts can fall when documents disappear, become inaccessible to its crawlers or are reformatted so that bibliographic data is harder to identify. It also says that corrections to already included papers can take six to nine months, a year or longer. Treat that interval as service guidance, not a guaranteed deadline. Save the earlier count, the profile URL and the affected records so that a later check can identify what changed.

Web of Science item is absent

First determine whether the status is “0 citations” or “Not indexed.” If the article should be in the Core Collection but is missing, verify the title, DOI and final publication details, then search cited references for alternate forms. An absent record may reflect collection coverage or a matching problem rather than an authorship dispute.

Two databases disagree

Export or transcribe the records behind each total, remove duplicates and compare document types and self-citation rules. Report both values with their sources instead of selecting the larger number as the “correct” one. If one database includes a thesis, preprint or book chapter that the other excludes, that scope difference explains part of the gap.

A publication appears to belong to the wrong person

Compare the author’s affiliation at the publication date, co-author network, topic and identifier. Ask the profile owner or database to correct the association, and retain the publisher record showing the actual author list. Do not label the researcher’s record fraudulent solely because an automated profile made a wrong match.

10. A repeatable verification procedure

  1. Set the question and cutoff date. Decide whether you are checking authorship, a complete publication list, citations or an h-index, and write the date on which counts will be observed.
  2. Build an identity sheet. Capture the institutional affiliation, name variants and persistent identifiers. Flag common-name or transliteration risks.
  3. Create one row per claimed work. Include title, authors, venue, year, DOI or other identifier, publication type and the profile source.
  4. Open the authoritative record. Match every field against the publisher or a trusted bibliographic record. Mark the item as verified, duplicate, different version, unresolved or not found.
  5. Check profile status. Record whether the database treats the authorship as verified and whether it contributes to public metrics.
  6. Collect metrics separately. For each database, note the exact count, h-index, collection, self-citation treatment and retrieval date.
  7. Investigate exceptions. Use cited-reference searching for missing links and document any correction request or unresolved coverage issue.
  8. Publish the method with the result. Include the audit date, inclusion rules and links to the records so another reader can reproduce the check.

11. A transparent reporting template

Publication verification date: 16 October 2026
Identity basis: institutional profile plus ORCID/Scopus ID/Web of Science profile
Verified publication count: [count], after removing duplicates and non-distinct versions
Citation source: [database and collection], retrieved 16 October 2026
Citations: [count]; h-index: [value]; self-citations: [included/excluded/not stated]
Scope notes: [document types, field/category, publication window]
Exceptions: [unverified authorships, not-indexed items, unresolved citation variants]

Replace each bracketed value with an observed fact; do not merge counts from different services into one total. Link the identity record, publication records and metric pages used to produce the statement.

12. What a careful verification can and cannot conclude

  • It can establish that a particular work is associated with a researcher when the identity signals and author list agree.
  • It can show whether a work is present in a named index and how that index counted its citations on a specified date.
  • It can reveal duplicates, wrong-author matches, unverified claims and missing citation links that need correction.
  • It cannot prove that a database contains every publication or citation in existence.
  • It cannot turn an h-index into a universal measure of quality, importance or research integrity.

Keep the verified publication ledger and the metric snapshot as separate records. That separation makes later changes explainable and prevents a database limitation from being mistaken for a claim about the researcher.

Frequently Asked Questions

Is a Google Scholar profile sufficient proof that every listed paper is peer reviewed?

No. Google Scholar indexes preprints, theses, books, abstracts and technical reports as well as journal articles. Confirm the publication type and authorship at the publisher or another authoritative bibliographic record.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What does “Not indexed” mean in Web of Science?

It means the item was not found in the Web of Science Core Collection. It is different from a record showing zero citations, which means the item was found but no citations were recorded there.

Why are my Google Scholar citations lower than before?

Google Scholar says counts can fall when documents disappear, become inaccessible to its crawlers or are reformatted so bibliographic data is harder to identify. Its stated correction times can be six to nine months, a year or longer.
