Use three kinds of evidence together: a disambiguated identity, NIH RePORTER records for grant activity, and dated records from the institution for employment. ORCID and NIH biosketch materials help connect a person to publications, affiliations, and a particular grant application, but neither is a complete or independently audited employment history.
The key is to match each claim to what its source can actually establish. A RePORTER record can show that NIH associates a named principal investigator with a project and recipient organization. It does not, by itself, prove that the person is employed by that organization today—or that they were continuously employed there throughout the award.
What each source can prove
Before searching, separate the claims you need to verify. “Has an NIH grant,” “is affiliated with a university,” and “worked at that university from 2018 to 2022” require different evidence.

| NIH RePORTER | A project number, fiscal year, principal-investigator or project-leader role, recipient organization, funding institute, dates, status, and abstract associated with an NIH-funded project. | Current employment, a complete employment chronology, or identity when several researchers share a name. | Searchable NIH project records beginning with fiscal year 1985; “active” results can include no-cost extensions and certain intramural projects. |
| ORCID | A persistent identifier that can connect a person to works and entered affiliations across name or institution changes. | Independent validation of every affiliation, current employment, or a complete career record. | Whatever the record owner and connected systems have entered; each item needs date and identity review. |
| Institutional records | A dated appointment, directory listing, archived profile, hiring announcement, or confirmation from an authorized office. | Whether the person led a specific NIH project unless the record says so. | The date or period stated by the institution; archived material can document past positions. |
| NIH biosketch and supplement | Qualifications, contributions to science, honors, and appointment information disclosed for a particular application or submission. | A public, exhaustive lifetime CV or independently checked employment history. | Bounded by the submission and the form’s required fields. |
| Publications and publisher records | Additional identity clues, author affiliations at publication time, and a way to test whether two records describe the same researcher. | Present employment or proof that an author affiliation remained unchanged after publication. | The publication date and the affiliation printed with that work. |
Use the most authoritative source available for each assertion, and record the page or document date. A current directory entry is stronger evidence of current employment than an old paper, while a RePORTER project record is stronger evidence of a recorded NIH award relationship than a self-written biography.

Step 1: Disambiguate the researcher
Name matching is the first failure point. A common surname, initials, transliteration, name change, or two researchers in the same field can produce a convincing but incorrect match.
Gather an identity packet
- Full name, including middle initial, suffix, and prior or alternate names.
- Field, specialty, and research topics.
- Known city, country, department, or laboratory.
- ORCID iD, if available.
- At least two publications that clearly belong to the person.
- Known institutions, degrees, or coauthors that can be checked independently.
Use the ORCID iD as a disambiguation aid, not as the sole proof. NIH describes ORCID as name-independent and designed to distinguish investigators across changes of name, location, and institutional affiliation. Confirm that the ORCID works, dates, coauthors, and subject area line up with the person you are investigating.
Build a match before attributing records
- Start with the person’s institutional page or a publication that supplies a field and location.
- Compare that information with the ORCID record and at least one additional publication.
- Note spelling variants and former institutions before searching RePORTER.
- Prefer a RePORTER profile ID or another stable identifier when the system provides one.
- Keep a short note explaining why the records belong to the same individual; do not silently merge similar names.
Step 2: Verify NIH grants in RePORTER
NIH RePORTER is the first-party database for searching NIH projects by investigator, organization, project number, and fiscal year. Its project-record coverage begins in fiscal year 1985.

- Search the investigator’s full name, adding a middle initial or alternate spelling when relevant.
- Where possible, open the investigator profile or use the profile ID rather than relying on a name-only result.
- Filter or sort by fiscal year, funding institute, organization, and project status.
- Open each plausible project and record the project number, principal-investigator or project-leader name, recipient organization, administering or funding institute, project start and end dates, status, and abstract.
- Compare the project’s topic, co-investigators, location, and publications with your identity packet.
- Save the date you viewed the record. A status can change after a later fiscal-year update.
- Repeat the search with known former names and institutions if the initial result set is unexpectedly small.
Understand “active projects”
An active-project result is not always a new award. RePORTER can include an award whose budget end date has not passed, a no-cost extension, and an intramural project represented through annual reports. NIH updates intramural project information at fiscal-year close. State the exact status and dates shown instead of describing every active result as a current external grant.

Record the grant relationship precisely
NIH defines the principal investigator or project leader as the individual designated by the grantee to direct the supported project. The recipient organization is the entity receiving the grant, contract, or cooperative agreement. A safe conclusion is therefore: “RePORTER lists [name] as the project leader for project [number] at [recipient organization] during the displayed period.”
That wording avoids two unsupported leaps: treating the recipient as the person’s employer and treating a past award as proof of a present affiliation. If the record names a university but the researcher’s current institutional page names a hospital, report both facts with their dates.
Step 3: Interpret what a grant record does—and does not—show
| Claim | What supports it | What additional evidence is needed |
|---|---|---|
| “The researcher is named on an NIH-funded project.” | A matching RePORTER record with identity, project number, and role. | Identity corroboration when the name is shared. |
| “The researcher led the project.” | RePORTER’s principal-investigator or project-leader field. | None for the recorded role, but preserve the project dates and source date. |
| “The researcher was employed by the recipient organization.” | Not established by the award record alone. | An institutional appointment, directory entry, appointment letter, archived profile, or authorized confirmation. |
| “The researcher is employed there now.” | A current dated institutional record. | Confirmation if the directory is absent, stale, or ambiguous. |
| “The researcher has never received NIH funding.” | Not established by an empty search. | Check identity variants, profile IDs, organizational records, and the database’s coverage limits before making any negative statement. |
Do not infer employment from a grant because grants can involve collaborators, subcontractors, intramural investigators, or people whose appointment changed during the award. The database records the project relationship, not every employment arrangement behind it.

Step 4: Check the researcher’s NIH affiliation
Compare current and historical affiliation sources
- Read the researcher’s current institutional profile and note the department, title, location, and page-update date if shown.
- Review the ORCID employment and affiliation entries, including the dates and whether the information is self-entered or connected from another system.
- Check the laboratory or department page separately; these pages can be updated on a different schedule from the central directory.
- Compare affiliations on recent publications, distinguishing the publication date from the date you accessed the page.
- Compare all of those details with the recipient organization and dates in RePORTER.
ORCID connects researchers to contributions and affiliations, but NIH does not characterize every ORCID relationship as independently validated. Treat an ORCID affiliation as a useful lead until an institutional record supports the timing and title.

“ORCID iDs are unique, persistent digital identifiers that distinguish individual investigators and can be used to connect them with their contributions to science over time and across changes of name, location, and institutional affiliation.”
National Institutes of Health, AHRQ, and CDC, Notice NOT-OD-19-109, July 10, 2019
That 2019 notice reported that more than 30,000 eRA Commons profiles had been linked to ORCID iDs and that more than 7,000 journals used ORCID iDs at the time. Those are historical adoption figures, not a measure of verification accuracy or a current total.
Use dates rather than a single label
Write “listed by the university as an associate professor on the page accessed October 16, 2026” rather than “is a university professor” when the page provides no appointment date. For a past relationship, write “the 2021 publication lists the university affiliation” and keep that statement separate from a current-employment conclusion.

Step 5: Confirm academic employment history
A complete employment history usually cannot be reconstructed from grant databases. Build it from dated institutional evidence, then use grants and publications to corroborate research activity during each interval.
Evidence hierarchy for an appointment
| Evidence level | Examples | How to use it |
|---|---|---|
| High | Current official directory, appointment announcement, signed or authorized confirmation, or an institutional archive. | Supports the stated title and date range, subject to the document’s wording. |
| Medium | Archived department or laboratory profile, institutional news story, or conference biography hosted by the institution. | Useful for a historical position; preserve the archive date and exact language. |
| Corroborating | Publication affiliation, RePORTER recipient organization, ORCID entry, or conference program. | Shows an affiliation or project relationship at a point in time, not necessarily an employment contract. |
| Weak alone | Search-engine snippet, unsourced biography, social-media profile, or a page with no owner or date. | Use only to locate stronger records. |
Construct a dated timeline
- Create one row for each claimed employer, appointment, or transition.
- Enter the exact title and start or end date stated by the institution; use “date not stated” when the source does not provide one.
- Attach the source type, URL or document location if available to you, access date, and archive date.
- Mark gaps explicitly instead of filling them with assumptions based on a grant or publication.
- Ask the institution’s authorized office to confirm any period that affects hiring, credentialing, authorship, legal, or compliance decisions.
An institution may confirm that someone held an appointment without disclosing dates, rank, or reasons for departure. Report only what the confirmation actually says and identify the unverified parts of the chronology.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Step 6: Read NIH biosketches and current form requirements correctly
NIH’s Biographical Sketch Common Form and NIH Biographical Sketch Supplement are application disclosures. They describe qualifications for a particular project role, not a public employment registry.
What the forms contain
The supplement includes the personal statement, contributions to science, and honors. The common form captures the information required for the submission, while appointment and position instructions are bounded by the form’s stated scope. A biosketch can therefore support what the applicant disclosed for that application, but it should not be presented as a complete lifetime CV.

Current rule for submissions from January 25, 2026
NIH requires the Common Forms and NIH Biographical Sketch Supplement for application due dates and specified just-in-time, Research Performance Progress Report, and prior-approval submissions on or after January 25, 2026. NIH’s current guidance requires preparation in SciENcv and an ORCID iD linked with eRA Commons. Each individual certifies their own forms in SciENcv.
The current appointment-and-position instructions identify professional appointments outside the primary organization for up to three years before submission. That bounded look-back is not a promise that the form lists every earlier employer. When you cite a biosketch, include the submission context and date, and distinguish an applicant’s disclosure from an institution’s independent confirmation.
How to resolve conflicting records
Do not silently choose the source that best fits your preferred conclusion. Compare the disagreement across five dimensions.
- Identity certainty: name-only match versus ORCID, matching publications, and matching institutions.
- Claim type: recipient organization, named project leader, affiliation, or employer.
- Time coverage: award period, page-access date, publication date, or full career.
- Source authority: NIH or institutional record versus self-entered profile.
- Record date: current page, historical page, or archived snapshot.
| Conflict | Responsible conclusion | Next action |
|---|---|---|
| RePORTER lists University A; current directory lists Hospital B. | NIH associates the person with a project at University A during the project period; current employment is unresolved or appears to be at Hospital B. | Obtain a dated appointment or directory confirmation from Hospital B. |
| ORCID lists an affiliation absent from the institution’s directory. | The ORCID relationship is self-reported or otherwise unconfirmed by the directory. | Check an archived institutional page or contact an authorized office. |
| Two researchers share the same name. | Name-only attribution is insufficient. | Use profile IDs, ORCID, publications, coauthors, and location to separate records. |
| No RePORTER result appears. | No matching record was found in the searched query; absence is not proof of no NIH funding. | Retry with name variants, identifiers, organizations, and fiscal-year filters. |
How to document a defensible result
Keep an evidence log so another reviewer can reproduce your conclusion. For each claim, record:
- The exact claim being tested.
- The person identifier and name variant used.
- Source name and record type.
- Project number, title, role, organization, and dates for a grant claim.
- Appointment title and date range for an employment claim.
- Access date and any page or document date.
- Identity matches, conflicts, and unresolved gaps.
- The narrow wording that the evidence supports.
Use claim-level wording
Prefer “RePORTER lists the researcher as principal investigator on project R01-XXXX during fiscal years 2022–2025” over “the researcher has worked at the university since 2022.” Prefer “the institution’s archived profile identifies the person as assistant professor in March 2021” over “the person’s full employment history is verified.”
For a consequential decision, send the institution a focused request stating the name, department, claimed dates, and the specific fact you need confirmed. Ask for confirmation from an authorized office rather than relying on an informal biography.
Quick Recap
Common mistakes and fixes
- Using a name-only RePORTER search: Add identifiers, field, location, publications, and organizations before attributing a project.
- Calling the recipient the employer: Describe the recorded award relationship and obtain institutional employment evidence separately.
- Treating an active project as a current job: Check dates, extensions, and whether the project is intramural.
- Assuming ORCID is audited: Verify each affiliation and its date against institutional records.
- Using a biosketch as a lifetime CV: Identify the application context and the form’s limited look-back.
- Overstating a blank search: Check fiscal-year coverage, name variants, and profile IDs before making a negative claim.
- Ignoring page dates: Separate the date a fact was true from the date you accessed the page.
- Filling gaps with inference: Mark unknown periods and seek dated confirmation instead.
Final verification checklist
- Match the person using a stable identifier and independent publications.
- Search RePORTER by investigator and, where available, profile ID.
- Capture project number, fiscal year, role, recipient, institute, dates, status, and abstract.
- Describe the grant relationship without converting it into an employment claim.
- Compare ORCID, institutional, laboratory, and publication affiliations with dates.
- Review any biosketch in its specific application context and under the form rules in force for that submission.
- Build the employment timeline from dated institutional records.
- Document conflicts, gaps, and the narrow wording each source supports.
- Obtain authorized institutional confirmation when the conclusion could affect hiring, credentials, compliance, legal matters, or public reporting.
