Use Word’s desktop mail merge to turn one cover-letter template into a separate personalized letter for every selected row in an Excel workbook. Excel supplies clean recipient records; Word supplies the letter layout, merge fields, preview controls, and final output. The reliable sequence is: prepare the workbook, start a Letters merge, connect the workbook, choose recipients, insert fields, preview several records, and finish by creating editable documents or printing.
What Word mail merge does for cover letters
Mail merge creates a batch of letters that share the same layout, formatting, wording, and graphics while changing selected parts for each recipient. In a cover-letter campaign, the fixed content might include your contact block, introduction, qualifications, closing, and signature. Merge fields can change the recipient’s name, employer, job title, location, address, referral source, or a short role-specific sentence.
Each row that remains selected in the Excel data source becomes one letter. Word does not replace the workbook with a new copy of the template; it uses the workbook as the source for the values inserted into the document. Save the merge document after setup so its connection to the Excel list remains available for a later batch.

Word for the web can preserve merge settings in a document created with desktop Word, but it cannot execute a merge or edit merge settings. Open the file in desktop Word whenever you need to connect data, change fields, preview records, or finish the merge.

Before you start: requirements and file organization
Use a supported desktop edition
Microsoft lists Word for Microsoft 365, Word 2024, Word 2021, Word 2019, and Word 2016 for supported Windows and Mac workflows. The exact buttons can vary slightly by release, but the relevant commands are on the Mailings tab.
Keep the source and merge files together
Store the Excel workbook locally or on a file share supported by Word. Microsoft’s data-source guidance does not support an HTTP location for mail merge. Keeping the saved merge document and source workbook together makes it easier to reopen the document without breaking its data connection.
Finish spreadsheet edits first
Complete additions, corrections, and formatting in Excel before linking the workbook. If you change the source after connecting it, Word may need the data source refreshed or reconnected before new rows or changed headings appear.
Design the Excel workbook for reliable field mapping
Word turns the Excel header row into the list of available merge fields. A clean first worksheet and consistent headings prevent most mapping problems.
Build one clear header row
Put a single header row at the top of the data and use unambiguous names such as FirstName, LastName, Company, JobTitle, Address, City, State, PostalCode, Location, and ReferralSource. Match the columns to information the letter must actually insert.
Avoid blank header cells, duplicate names, and headings that do not describe their values. A heading such as Company is easier to identify in Word than a generic label such as Column F.
Keep the data contiguous and on the first worksheet
Place all merge data in one uninterrupted table on the workbook’s first worksheet. Do not scatter recipient rows across multiple sheets or leave unrelated blocks above, below, or beside the table. When Word asks which sheet or table to use, select the worksheet containing this complete list.

Format values before connecting
Formatting in Excel affects what Word receives. Treat values that must preserve their appearance as deliberately as you would any other letter content.
- Postal codes: format the column as text when leading zeroes matter. Otherwise a code such as
01234can be read as1234. - Dates: choose the date format you want shown in the letter and review it after insertion.
- Currency and percentages: apply the desired number format in Excel before the connection is made.
- Names and punctuation: remove accidental spaces and decide how blank values should behave in the letter.
Save the workbook after these checks. The headings and rows that exist when Word connects determine what you can select and insert during the merge.
Set up the cover-letter template in Word
- Open the desktop Word application and create a new document or open the cover-letter template you want to reuse.
- Choose Mailings > Start Mail Merge > Letters. This tells Word that each output is a separate letter rather than an envelope, label, or email message.
- Type or paste the fixed cover-letter content. Add your own address, date line, body paragraphs, closing, and signature in the normal way.
- Leave clear locations for information that will vary. For example, decide where the recipient’s address, salutation, company name, job title, and role-specific sentence belong.
Keep the body fixed wherever possible. A stable template is easier to proofread and reuse; fields should supply only the information that genuinely changes by recipient.
Connect the Excel recipient list
- On the Mailings tab, choose Select Recipients > Use an Existing List.
- Browse to the saved Excel workbook and open it.
- If Word presents a list of worksheets or tables, choose the first worksheet or table containing the complete recipient data.
- Confirm that the first row is being treated as field names and that the records shown correspond to your intended recipients.
At this stage, Word has a relationship with the workbook, but no letter has yet been personalized. The workbook’s headings should now appear as choices under Insert Merge Field.

Choose Mailings > Edit Recipient List to inspect and control the records included in the batch. The list normally provides a selection checkbox for each row and tools for sorting or filtering.
Exclude rows
Clear the checkbox beside anyone who should not receive this cover letter. Exclude test rows, incomplete records, people who have withdrawn, and recipients assigned to a different campaign. The selected count is the number of letters Word will produce.
Sort or filter for a targeted batch
Sort the list when you need a predictable order, such as alphabetical company names. Filter it when the letter applies only to a particular location, job type, referral source, or other column value. Review the resulting selection before closing the recipient-list window.

Recipient selection is separate from personalization. A field can display the right name while the wrong row is included, so check both the selected records and the inserted content.
Insert recipient details and personalization
Use Greeting Line for a standard salutation
Choose Mailings > Greeting Line to create a salutation such as “Dear …”. Word lets you choose the greeting format and match the name fields from your workbook. This is convenient when all recipients follow the same salutation pattern.
After inserting it, preview records with different names and check the punctuation, spacing, and behavior when a name component is blank. A standard greeting is not automatically appropriate for every record; decide how you want unusual or incomplete names handled.
Use Address Block for recipient addresses
Choose Mailings > Address Block when the letter includes postal address information. Word maps the address components from the workbook and inserts them as a formatted block. Review the preview rather than assuming every column maps as intended.
Use Insert Merge Field for precise control
Choose Mailings > Insert Merge Field to place a specific column exactly where it belongs. Common cover-letter fields include:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
FirstNameorLastNamein a manually controlled salutation.Companyin the opening paragraph or address block.JobTitlein a sentence that refers to the advertised role.Locationwhen discussing a local office or relocation.ReferralSourcewhen acknowledging a mutual contact.
Word displays a field marker in the template rather than the final value while you edit. The value appears when you turn on Preview Results.
Use conditional wording when the sentence must change
For genuinely different wording, use Mailings > Rules and choose the rule that matches values in the data source. For example, a rule can insert one sentence for a particular location or referral source and another sentence for all other records. Test every branch in preview, including records with blanks or unexpected spelling.

Preview and proof the merged letters
Choose Mailings > Preview Results to replace field markers with actual values. Use the next-record and previous-record controls to inspect the batch one record at a time.
Check representative records
Do not inspect only the first row. Preview at least the first, a middle, and the last record, along with any row that has an unusual name, a long company name, a missing value, or a special address. These records expose problems that a typical row may hide.
- Is the salutation addressed to the correct person?
- Does the company name appear in the intended sentence and capitalization?
- Are commas, spaces, line breaks, and blank fields clean?
- Does the address block use the correct city, region, and postal code?
- Do dates, currency, and percentage values retain the format chosen in Excel?
- Are conditional sentences using the correct branch?
- Do page breaks, headers, footers, and signature placement remain professional?
Fix the template or the workbook, then preview the affected records again. If you changed rows or headings in Excel after connecting it, refresh or reconnect the data source as appropriate before relying on the preview.
Finish the merge: editable review or direct printing
When the preview is correct, choose Mailings > Finish & Merge. Word offers two useful output paths.
| Output choice | What it does | When to use it |
|---|---|---|
| Edit Individual Documents | Creates a new editable document containing the selected personalized letters. | Use it when you need a final per-letter adjustment, detailed review, or a copy you can save separately. |
| Print Documents | Sends the selected personalized letters directly to the printer. | Use it only after the records and preview have been checked and no individual edits are needed. |
You can limit the finish operation to all records, the current record, or a specified range, depending on the output you need. If you choose Edit Individual Documents, review the resulting letters and save that output with a clear filename. If you choose printing, verify the selected range and printer settings before confirming.
Greeting Line versus manually inserted fields
| Approach | Strength | Trade-off | Best fit |
|---|---|---|---|
| Greeting Line | Quickly builds a conventional salutation from name fields. | Offers less direct control over unusual names, custom punctuation, and nonstandard wording. | A uniform campaign with a standard greeting. |
| Manual Insert Merge Field | Places each value and punctuation exactly where you specify. | Requires more setup and more testing for blanks or inconsistent data. | A letter whose salutation or sentence structure needs precise control. |
Both approaches still depend on accurate Excel headings and complete recipient data. The choice changes how much control you have over the wording, not the underlying source requirements.

Edit Individual Documents versus printing immediately
Edit Individual Documents is the safer choice when a human must make a final change to one or more letters. It lets you correct a record-specific sentence, adjust a page break, or remove an awkward line without changing the reusable template. Direct printing is faster for a fully standardized batch, but it leaves no convenient opportunity to edit an individual output after the print command is confirmed.

Common problems and precise fixes
A merge field is missing from Word
Check the Excel header row. The field must have a nonblank, unique heading, and the workbook must be connected to the worksheet or table that contains it. Save the workbook, then refresh or reconnect the source if the heading was added after the original connection.
Postal codes lose leading zeroes
In Excel, format the postal-code column as text and restore any affected values. Reconnect or refresh the source, then preview an affected record. Formatting the displayed cell after Word has already read the value may not repair the value Word received.
New rows do not appear
Finish the additions in Excel, save the workbook, and refresh or reconnect the data source. Confirm that the new rows are inside the contiguous data area on the first worksheet and that the selected worksheet or table is still the correct one.
The wrong people are included
Open Mailings > Edit Recipient List, review the selection checkboxes, and remove test or out-of-scope rows. If you filtered the list, confirm that the filter criteria match the intended campaign before using Finish & Merge.
A blank value leaves awkward punctuation
Preview records with missing fields. Rewrite the surrounding sentence so the blank does not leave a dangling comma or double space, or use a conditional rule for cases where the entire phrase should be omitted. Test both populated and blank examples.
The address or greeting looks wrong
Use Preview Results and inspect the field mapping in Greeting Line or Address Block. If the automatic arrangement is not suitable, insert individual fields and control the order, punctuation, and line breaks yourself.
Word cannot use the workbook
Move the workbook to a local location or a supported file share; an HTTP location is not supported for mail merge. Check that the file is accessible, saved, and not being changed while Word is trying to read it. Reconnect through Select Recipients > Use an Existing List.

Word for the web does not show merge controls
Open the document in desktop Word. The web application can preserve settings in a prepared merge document, but it cannot perform the merge or edit those settings.
A repeatable cover-letter workflow
- Clean the Excel workbook: clear headings, contiguous rows, first worksheet, correct formats, and no test records.
- Save the workbook locally or on a supported file share.
- Open desktop Word and choose Mailings > Start Mail Merge > Letters.
- Enter the fixed cover-letter content and identify the places that need personalization.
- Connect the workbook through Select Recipients > Use an Existing List.
- Use Edit Recipient List to deselect, sort, or filter records.
- Insert a Greeting Line, Address Block, or individual fields as appropriate.
- Add conditional rules only where the wording truly differs by data value.
- Turn on Preview Results and inspect first, middle, last, unusual, and incomplete records.
- Choose Finish & Merge, then edit individual documents for a final review or print the verified batch.
- Save the merge document and retain it with the source workbook for the next campaign.
Final quality-control checklist
- The workbook has one clear header row and all merge data is on the first worksheet.
- Postal codes, dates, currencies, and percentages display as intended.
- The source workbook is saved in a local or supported file-share location.
- The selected recipient count is correct, with excluded rows unchecked.
- Names, company names, addresses, punctuation, and spacing are correct in preview.
- Blank fields do not create broken sentences or stray punctuation.
- Conditional wording has been tested for every branch.
- Page breaks, signature placement, and letter formatting look correct.
- You have chosen editable output when a final per-letter adjustment is required.
- The merge document and workbook are saved together for reuse.
What to remember
Excel is the structured source of recipient rows and field values; desktop Word is the application that executes the merge. Clean headings and a well-formatted first worksheet determine whether fields map correctly. Recipient-list controls determine who receives a letter, while Greeting Line, Address Block, Insert Merge Field, and Rules determine how each letter is personalized. Preview Results is the essential quality-control stage, and Finish & Merge creates either editable personalized documents or printed letters.
