Use WooCommerce as the checkout and entitlement trigger, an LMS as the course-authoring and learning layer, and a payment gateway to collect money. Create a product for each offer, connect that product to a course or membership rule, and make one system—not two—responsible for deciding who has access. This structure supports one-time courses, recurring subscriptions, memberships, bundles, and downloadable educational files without treating WooCommerce itself as a full LMS.
What WooCommerce does—and what it does not do
WooCommerce is the commerce layer on a WordPress site. Its developer documentation describes it as a platform for selling “physical products and digital downloads to subscriptions, content, and even appointments.” That makes it suitable for taking payment, creating orders, handling customer accounts, and initiating access changes after an order reaches the status required by your integration.

Course hierarchy, lessons, quizzes, prerequisites, learner progress, and similar functions belong in an LMS. Sensei, for example, provides courses, lessons, and quizzes; Sensei Pro adds paid-course selling through WooCommerce. LearnDash offers a different LMS integration in which a product can enroll a buyer in one or more courses or groups.
The practical division is simple:
- WooCommerce: products, prices, cart, checkout, orders, refunds, customer accounts, and payment-related status.
- LMS: courses, lessons, quizzes, prerequisites, progress, and learning records.
- Membership or subscription extension: recurring billing, content restriction, dripping, and entitlement rules that span multiple products or areas of the site.
- Payment gateway: authorization, capture, and the payment events that change an order’s status.
A paid course normally needs all four pieces: WooCommerce, an LMS, the relevant LMS/WooCommerce integration, and a payment gateway. Sensei’s paid-course documentation lists WooCommerce, Sensei LMS, Sensei Pro, and a payment gateway as prerequisites.

Choose the offer before installing anything
Decide what the customer is buying first. The access model determines which products, extensions, and cancellation rules you need.

Do not select a subscription merely because the product is digital. Use recurring billing when access or service genuinely renews. Use a membership when the entitlement should cover several courses or other protected site content under a plan.

- Set up WooCommerce. Complete the store’s currency, tax, customer-account, email, and order-status settings for your selling region. A course product is normally virtual; a file-based product can also be downloadable.
- Install the LMS. Create the course structure in the LMS rather than trying to represent lessons as separate WooCommerce products.
- Add the paid-course integration. For Sensei, paid selling requires Sensei Pro in addition to Sensei LMS and WooCommerce. For LearnDash, use its WooCommerce integration to associate products with courses or groups.
- Connect a payment gateway. Verify that the gateway can send successful-payment, failed-payment, refund, and recurring-payment events to WooCommerce. The gateway’s supported regions and payment methods are separate from the LMS integration.
- Confirm account creation. A learner must be associated with a WordPress customer account for enrollment and later access checks. Decide whether checkout creates an account, requires login, or permits an account to be created during purchase.
Keep the production site and a staging or test site aligned. Plugin updates, payment events, and enrollment hooks can interact, so test changes away from live orders whenever possible.
Create the course in the LMS
Build the learning experience before attaching a price.
Define the curriculum
- Create the course and its lessons in the LMS.
- Add quizzes and set any prerequisites or completion rules.
- Decide which lessons are public previews and which require enrollment.
- Specify whether learners should see all material immediately or receive it in stages.
- Set the completion behavior, certificates, reporting, or group structure required by your chosen LMS and audience.
Sensei is documented as the course, lesson, and quiz layer. LearnDash can enroll buyers into courses or groups, which is useful when one product represents a cohort or a multi-course program.
Decide what “access” means
Write the rule in plain language before configuring it: for example, “A successful purchase of Product A enrolls the customer in Course A,” or “An active Gold membership grants Courses A through F and the resource library.” This sentence becomes the test for every integration setting. If two different extensions express different rules for the same course, simplify the design before launch.

Create and link the WooCommerce product
Create a product that represents the commercial offer, not an individual lesson. Set the price, tax treatment, and inventory behavior appropriate to a digital item. Mark a course product virtual so shipping is not requested. Mark it downloadable only when the buyer should receive files; a course that merely grants LMS access does not need a fake download.
Sensei’s course-editor “Create Product” flow can automatically create a virtual and downloadable WooCommerce product. Review the generated product before publishing: confirm the price, visibility, file permissions, and the course association. If you create the product manually, use the integration’s product-to-course field or mapping control rather than adding enrollment instructions to the product description.
For LearnDash, the WooCommerce integration allows a product to be associated with courses and/or groups. The documented behavior is that, when the order reaches the applicable status, the purchaser is enrolled in the mapped courses or groups.
Configure one-time course sales
- Create one WooCommerce product for the course or bundle.
- Set a single price and make the product virtual. Add downloadable files only if they are part of the purchase.
- Map the product to the course, courses, or LMS group.
- Define which order status counts as paid for enrollment. Do not assume that placing an item in the cart or creating a pending order should grant access.
- Publish a sales page that explains what is included, prerequisites, access duration, refund terms, and how the learner receives access.
- Place a test order with a test account and verify that the account, order, and LMS enrollment all point to the same email or user identity.
For a bundle, decide whether the product maps directly to several courses or to a group that contains them. The latter can make cohort management easier, but the choice depends on the LMS’s reporting and group features.
Use subscriptions when access renews
WooCommerce Subscriptions supplies recurring billing; it does not replace the LMS. A subscription product still needs a mapping to a course, courses, or group, plus a rule for what happens when renewal fails or the subscription is cancelled.
Define the lifecycle
- Initial payment: enroll the learner only after the order is accepted as paid.
- Renewal: keep access active when the recurring payment succeeds.
- Failed renewal: choose whether to allow a short grace period, suspend access immediately, or wait for the payment system’s final failure state.
- Cancellation: distinguish “cancel at the end of the paid term” from immediate termination.
- Expiration: remove or suspend access according to the promise shown on the sales page.
- Refund: document whether a full or partial refund changes access immediately and whether downloaded files remain available.
LearnDash’s WooCommerce documentation specifically describes regulating enrollment when a WooCommerce subscription expires. That behavior should be tested with the exact subscription and order-status configuration you use; do not infer that every LMS handles expiration identically.

Use memberships for a shared entitlement
WooCommerce Memberships is appropriate when a plan—not an individual course product—should govern access to courses and other site content. Memberships can restrict content, drip it over time, and automatically enroll learners after a product purchase when configured with the LMS integration.
Configure a membership plan
- Create the plan and name it according to the entitlement the customer is buying.
- Add restriction rules for courses, lessons, downloads, posts, or other protected content.
- Choose whether access begins immediately or is delayed or dripped according to the plan.
- Set the product that grants the plan after purchase. The product can be a one-time membership purchase or a subscription product, depending on your business model.
- Enable auto-enrollment where the integration supports it, then verify that the learner is enrolled in the intended courses.
- Define membership length, renewal, cancellation, and expiration behavior in language customers can understand.
Use memberships when several courses or non-course resources share one entitlement. If a customer is buying only one standalone course, a direct product-to-course mapping is usually easier to explain and maintain.
Prevent conflicting access rules
The most serious configuration mistake is giving two systems authority over the same course. Sensei and WooCommerce Memberships documentation warn that attaching a course directly to a product while also using a membership plan for that course can produce conflicting access behavior.
Choose one of these patterns:
- Direct pattern: the WooCommerce product maps to the course, and the LMS integration grants or removes enrollment.
- Membership pattern: the product grants a membership plan, and the plan controls the course restriction and enrollment.
- Subscription-membership pattern: a subscription product grants a membership plan, while the membership lifecycle controls access.
Do not configure both a direct course product and a membership plan for the same learner and course unless the integration documentation explicitly confirms the result you want. A clear authority prevents situations in which a cancelled membership still leaves a direct enrollment active, or a refunded product removes access that another plan should preserve.
Sensei or LearnDash: how to choose the LMS layer
Both products support a WooCommerce-based selling pattern, but the right choice depends on your existing WordPress stack and learning requirements rather than on the checkout itself.

Install only the extensions needed for the model you selected. Adding both a subscription layer and a membership layer without a defined relationship increases the number of states you must test.

Sell educational downloads without an LMS
A workbook, template pack, audio lesson, or other file can be sold as a WooCommerce downloadable product without creating a course. Mark the product downloadable, attach the files, and review the store’s download-permission and order-status settings. Explain whether buyers receive updates, how many downloads are allowed, and what happens after a refund.
If a download accompanies a course, keep the commercial offer in one product when possible and make the relationship explicit: the purchase grants course enrollment and file access. Avoid creating a second product solely to deliver a file unless the customer truly needs to buy it separately.

The sales page should answer the questions that otherwise become support tickets:
- What is included, and which lessons or files are not included?
- Is payment one-time or recurring?
- When does access begin?
- How long does access last?
- Are prerequisites, software, or a particular account required?
- What happens after cancellation, failed renewal, expiration, or refund?
- How does the buyer sign in and find the course?
After payment, send the learner to a clear next step: account creation or login, the course dashboard, and any orientation lesson. Keep transactional email from WooCommerce and instructional email from the LMS understandable and non-duplicative.

Run these scenarios on a staging or test environment with separate customer accounts. The exact result should match the access rule you wrote before configuration.
- Successful one-time purchase enrolls the correct user.
- Pending or failed payment does not grant paid access prematurely.
- Logged-out visitors cannot open restricted lessons or downloads.
- A bundle grants every intended course and no unintended course.
- A subscription renewal preserves access.
- A failed renewal follows the documented grace-period or suspension rule.
- Cancellation at term end and immediate cancellation produce the intended result.
- Subscription expiration removes or suspends access where promised.
- A full and partial refund produce the intended enrollment and download outcome.
- A membership purchase grants the plan and, where enabled, auto-enrolls the learner.
- Dripped content appears on the planned schedule rather than immediately.
- A learner with an existing account is not given a duplicate or orphaned enrollment.
- Download links work for an authorized buyer and fail for an unauthorized visitor.
- Order, subscription, membership, and LMS records identify the same WordPress user.
Repeat the tests after updates to WooCommerce, the LMS, the payment gateway, subscription tools, or membership tools. The relevant documentation establishes the components and access states, but no universal test result applies to every plugin combination.

Troubleshoot common failures
The customer paid but is not enrolled
Check that the order reached the status your integration treats as paid, that the product is mapped to the intended course or group, and that the purchaser’s account was created or matched correctly. Review the order and LMS user records together rather than creating a manual enrollment first; a manual fix can hide the underlying mapping problem.
The customer can still access a cancelled course
Look for a second access authority. A direct product mapping may still be active even though a membership or subscription ended. Remove the duplicate rule, then retest expiration and cancellation with a new account.

Verify that the course is included in the plan’s restriction rules, that auto-enrollment is enabled where required, and that the product actually grants the intended plan. Check whether the LMS expects enrollment through the plan or through a separate product mapping; do not enable both blindly.
A download is visible to the wrong user
Review the product’s downloadable setting, file permissions, order-status requirement, and the URL used for the file. Test while logged out and with an account that has never purchased the product.
Recurring access behaves unexpectedly
Compare the gateway event, WooCommerce subscription status, membership status, and LMS enrollment timestamp. Decide which event should control access and document any grace period. If those records disagree, resolve the status mapping before changing course content.
Plan for maintenance and policy changes
Course businesses change prices, curricula, and access promises. Before editing a live product, record which existing buyers should retain access and whether a new version is a new course or an update to the old one. For subscriptions and memberships, communicate changes before the next renewal and ensure the cancellation and refund policy matches the configured lifecycle.

Keep a short entitlement map for administrators: each product, the courses or groups it grants, any membership plan it grants, the renewal or expiration rule, and the system that owns access. This prevents a future administrator from attaching the same course to a second product or plan by mistake.
Recommended architecture in one sentence
Sell a clearly defined WooCommerce product, let the chosen LMS deliver the learning experience, use subscriptions only for genuinely recurring access, use memberships for shared site-wide entitlements, and assign one authoritative access controller to every course.
