Press Windows+S, select Search on the taskbar, or open Start and type. Windows Search can return installed apps, Settings pages, local files, OneDrive items, work or school cloud results, and Bing web results. For the quickest result, start with taskbar or Start Search; for a controlled file search, open File Explorer and search the most likely folder.
Choose the right Windows Search entry point
The search box is the fastest general-purpose launcher, but its broad result set is not always the best way to locate a particular document. Use the entry point that matches the scope you need.
| Entry point | Best for | What to expect |
|---|---|---|
| Taskbar Search or Windows+S | Launching an app, opening a setting, or finding a file quickly across common locations | Mixed device, cloud, and web results; quick and convenient, but less precise about folder scope |
| Start and type | Searching while opening the Start menu | Uses the same general Windows Search experience and may include web results |
| File Explorer search from a known folder | Finding a file that should be in a particular folder, drive, or project directory | Narrower scope and easier filtering by location |
| File Explorer > This PC | Finding a file when you do not know which local folder contains it | Broader, slower, and more in-depth than searching a specific folder |
Search results can be labeled or grouped as device results, personal or work/school cloud results, or web results. Check the location before opening an item so that a similarly named online result is not mistaken for a local file.
Find an app or Windows setting
Use the taskbar or keyboard shortcut
- Press Windows+S, or click Search on the taskbar.
- Type the app name, such as
Calculator, or a setting keyword, such asBluetoothorscreen brightness. - Select the matching app or Settings result. If several results look alike, use the category or location shown beside each result to distinguish a local app from a web page.
You can also open Start and immediately type. There is no need to click a separate search field first. Windows displays matching applications, settings, files, and, when enabled, web results as you type.

Describe a setting in natural language only when supported
Some Copilot+ PCs provide natural-language search in Settings, allowing a description such as “make the text on my screen larger” rather than an exact setting name. This capability depends on the device and Windows experience; it is not a universal promise for every Windows 11 computer or every Windows Search result. If a descriptive query does not produce the setting you need, use a short keyword and browse the Settings categories.
Microsoft documents the Settings search experience at Exploring Windows Settings. Labels and placement can change between Windows updates, so the result’s category and the Settings page title are more reliable than the position of a result in the list.
Find a file with the broad search box
For a quick search across the PC and connected OneDrive content, open taskbar Search or press Windows+S, then enter a filename or a distinctive word. A filename search generally returns faster than a search for text inside a document because content results depend on indexing settings and the file type.
Recommended Free Tools
- Open taskbar Search with Windows+S, or open Start and type.
- Enter as much of the filename as you know. Include an extension such as
.pdfwhen similarly named files are common. - Review the result’s location. Prefer a device or cloud file result that matches the expected folder; treat a web result as a separate search.
- Right-click or open the result and choose Open file location when you need to verify the containing folder.
This route is useful when you remember the name but not the folder. It is less useful when many files share a name or when you need to search only one project directory.
Search precisely in File Explorer
Search a folder you expect to contain the file
- Open File Explorer and navigate to the folder, library, or drive where the file is most likely stored.
- Click the search box in the upper-right corner.
- Type the filename, part of the name, extension, or a distinctive indexed word from the document.
- Wait for the folder search to complete, then open a result or use Open file location to confirm it.
Starting in a known folder limits the scope and usually produces a quicker, more useful result than searching the entire computer. It also prevents unrelated files in other projects from crowding the list.
Use This PC when the location is unknown
In File Explorer, select This PC in the navigation pane before entering the query. Microsoft characterizes this as slower but more in-depth because Windows searches a much broader scope. Allow additional time, especially when the index is still being built or when the search includes locations that are not fully indexed.
Searching This PC does not guarantee that every possible file will appear. An item may be hidden, stored in a cloud-only location, outside the searched drives, or excluded from the index. Use the recovery steps below when a broad search still misses it.

Search names, extensions, and indexed document text
Use a partial name when you remember only part of the filename. An extension narrows a type of file; for example, *.doc searches for files with the .doc extension and *.mp3 searches for MP3 files. A keyword from a document’s body can work only when that file type and location are configured for content indexing.
Control which locations Windows indexes
Indexing creates a catalog that Windows Search can consult instead of reading every file from scratch for each query. Broader coverage improves the chance of finding an item, while a larger index can consume more storage and system resources during its initial build and subsequent updates.
Windows 11 path
- Open Settings.
- Select Privacy & security.
- Choose Searching Windows.
- Under the search locations controls, use Customize search locations to review or add folders.
Windows 10 path (legacy)
- Open Start and select Settings.
- Choose Search, then Searching Windows.
- Review the indexed locations and select the option to customize them.
Windows 10 support ended on October 14, 2025. These menu steps describe the legacy interface; current Windows 11 installations use the Privacy & security path above.
Classic versus Enhanced indexing
| Mode | Coverage | Resource trade-off | Use it when |
|---|---|---|---|
| Classic | Common folders such as Documents, Pictures, Music, and Desktop by default; you can add locations through customization | Smaller scope and generally lower indexing workload | Your files are concentrated in the standard user folders and you want a lighter index |
| Enhanced | All user folders and files | Broader coverage can use more system resources | You regularly save work in many different user-folder locations and need wider discovery |
When indexing starts for the first time, Microsoft says, “When you first run indexing, it can take up to a couple hours to complete.” The index then updates in the background. A search performed during that initial period can be incomplete, so let the process finish before concluding that a file is absent.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsDecide whether file contents should be indexed
Windows indexes file properties such as names and metadata separately from the text inside supported files. In the indexing options, file types can be configured as Properties only or Properties and contents.
- Properties only: searches filenames and metadata but does not search the words inside the file. The index is smaller.
- Properties and contents: adds text inside supported files, improving discovery when you remember a phrase rather than a filename. The index becomes larger and may take longer to build.
Content indexing is not universal. It depends on the file type, its registered filter, the location, and whether the file is available locally. A cloud item that has not been downloaded, or a file type without a usable content filter, may still return only name and metadata matches.
To inspect these settings, open Settings > Privacy & security > Searching Windows in Windows 11 or Start > Settings > Search > Searching Windows in Windows 10, then review the advanced indexing controls and file-type options. Change only the types for which text search is important; enabling content indexing for every type increases the catalog without guaranteeing useful matches.

Work through these checks in order. Each one addresses a different reason a result can be missing.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
1. Repeat the search from This PC
Move to This PC in File Explorer and search the complete or partial filename. A search that began in Downloads, Documents, or another folder cannot return an item stored elsewhere.
2. Search by extension
If you remember the format but not the name, try a wildcard such as *.doc or *.mp3. Use the extension that matches the original file; a renamed file may not respond to the extension you expect.
3. Check hidden and cloud locations
Confirm that the file is not hidden in File Explorer’s view options. If it is in OneDrive or another connected cloud account, check whether it is online-only, synchronized to this device, or stored under a work or school account different from the one currently connected. Search results can represent personal or organizational cloud content, so verify the account and path shown by the result.
4. Allow indexing to finish
If indexing was recently enabled, switched to Enhanced, or expanded with many folders, wait for the initial catalog to complete. Microsoft’s guidance allows up to a couple of hours for the first run, depending on the amount of content and the computer’s activity.
5. Run the Search and Indexing troubleshooter
- Open Control Panel and search for Indexing Options.
- Open Indexing Options, then select Advanced.
- Use the troubleshooting option for Search and Indexing and follow the reported fixes.
The troubleshooter can identify common indexing problems, but it cannot make an unavailable, deleted, unsupported, or disconnected file searchable.
6. Verify the result’s real location
When Search returns an item that looks correct, choose Open file location. This reveals whether the match is a duplicate, a shortcut, a synchronized copy, or the original file. It also gives you a folder to use for a narrower future search.

Use a simple decision tree for faster searches
Start by identifying what you are trying to open. If it is an application or a Windows control, use Windows+S or Start and type a short name. If it is a file and you know the likely folder, open that folder first. If you only know that it is somewhere on the computer, switch to This PC before searching.
Next, decide whether you remember the name or the contents. A complete or partial filename, including an extension, works with properties-only indexing. A phrase or subject from inside a document requires properties-and-content indexing, a supported file type, and a location that is indexed and available. When the first query fails, change one variable at a time: broaden the location, shorten the name, or try the extension rather than repeatedly submitting the same narrow query.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Finally, inspect the result instead of opening the first match. The displayed path, account, and result category tell you whether you found a local file, a synchronized copy, an organizational item, or a web page. Open file location is especially useful after a broad search because it turns a successful match into a known folder for future searches.
Common mistakes that make Search seem broken
- Searching the wrong scope: a query started in a project folder will not find a similarly named file in another folder. Use This PC when the location is genuinely unknown.
- Expecting document text to work automatically: properties-only indexing finds names and metadata, not words inside the file.
- Judging a new index too soon: the first build can take up to a couple of hours, and results can be incomplete while it runs.
- Opening the first web match: Bing results can appear beside device and cloud results; confirm the result type and path.
- Assuming every cloud file is local: an online-only item or a file under another account may not be available for local content searching.
- Turning on the broadest coverage without a reason: Enhanced indexing covers all user folders and files but can use more system resources than Classic.
Keep results relevant and protect privacy
Windows Search can combine results from the device, personal cloud storage, work or school cloud accounts, and Bing-powered web search. That mixture explains why a query can show an online article beside a local application or a document from an organizational account.
- For a local file, prefer File Explorer and start in the expected folder or This PC.
- For an app or setting, use taskbar or Start Search and select the result marked as an application or Settings page.
- Before opening a cloud result, check the account and location displayed in the result details.
- When you need only local matches, avoid treating web results as evidence that a file exists on the computer.
Search scope and indexing choices also affect exposure on a shared computer. Adding every user folder to Enhanced indexing makes more local content discoverable to searches performed in that Windows account. Content indexing can place words from documents into the local search catalog, so choose coverage that fits the computer’s users and your organization’s policies.

Windows 11, Windows 10, and changing labels
The core behavior—taskbar or Start Search for mixed results and File Explorer for controlled file scope—exists across Windows 11 and Windows 10. Settings paths differ, and Windows 10 is now a legacy platform because support ended October 14, 2025. Copilot+ semantic or natural-language features are hardware-dependent and should not be assumed on ordinary PCs. Microsoft can revise labels and result layouts through updates, so use the category names and explanatory text shown on your installation when a control is in a slightly different position.

How do I search for a file in File Explorer?
Open File Explorer, go to the folder most likely to contain the file, and enter its name, part of its name, extension, or an indexed word in the upper-right search box. Select This PC first when you do not know the folder; that search is broader and slower.
Why can I find a filename but not words inside the file?
The file type or location may be configured for Properties only. Properties-and-content indexing is required for text inside supported files, and the file must be available locally or otherwise supported by the indexed location.
How long does Windows indexing take?
Microsoft says the first indexing run can take up to a couple of hours. Results may be incomplete while the initial catalog is being built, especially after switching to Enhanced or adding many folders.
Should I use Classic or Enhanced indexing?
Classic covers common folders such as Documents, Pictures, Music, and Desktop by default and generally uses fewer resources. Enhanced covers all user folders and files, which is useful when your work is spread across many locations but can require more resources.
What should I do if Windows Search cannot find a file?
Search from This PC, try a wildcard extension such as *.doc or *.mp3, check hidden and OneDrive locations and the account in use, allow indexing to finish, and run the Search and Indexing troubleshooter from Advanced indexing options.
Can Windows Search show files from OneDrive or a work account?
It can show personal or work/school cloud results, but availability and content searching depend on the connected account, synchronization state, location, file type, and indexing configuration. Verify the path and account before opening the result.
Does Windows Search always find every file?
No. Hidden, deleted, disconnected, unsupported, cloud-only, or excluded items may not appear. A This PC search and the troubleshooting steps improve coverage but do not guarantee an exhaustive result.
The Bottom Line
Use Windows+S or Start for the fastest app, setting, and broad file lookup. Use File Explorer in a known folder for a focused search, or This PC for a slower computer-wide search. Keep the indexing mode and content settings matched to where and how you save files, then check cloud locations and run the Search and Indexing troubleshooter when an expected result is missing.
