To use Gemini Notebook effectively, create one notebook for a project, add a focused set of sources, ask targeted questions against the right sources, save useful findings as notes, then generate and review an output. This five-step workflow is a practical way to organize Google’s documented features—not a productivity method Google has tested or endorsed, and not a promise of a measurable time saving.

Access and features can vary by account, location, plan and rollout. Check the current options in your Gemini account before building a workflow around them.

What Gemini Notebook is—and what it can do for a project

Gemini Notebook is a project workspace where you collect sources, ask questions grounded in that material, preserve findings and create outputs such as study guides or audio overviews. Google describes notebooks as independent collections: a notebook does not automatically draw context from other notebooks. That makes a separate notebook useful when a project needs its own source set and conversation context. See Google’s Gemini Apps help for current notebook guidance.

Google’s help covers related tasks under labels such as “Create a notebook,” “Add or discover new sources,” “Use chat” and “Create & add notes.” The exact interface and feature availability may change.

How do I use Gemini Notebook? Follow these five steps

1. Create a notebook for one project

Start with a distinct project rather than a catch-all notebook. Give it a descriptive name, then use the opening prompt to explain the project’s goal and context. For example: “I’m preparing a launch briefing. Use the sources in this notebook to identify decisions, open questions and dates; distinguish stated facts from unresolved items.”

Keeping one project’s sources and context together makes later questions easier to focus. Because notebooks work independently, include any source material needed for a task in the notebook you plan to use.

2. Add a focused set of relevant sources

Add only material that can help answer the project’s questions. Google’s source guidance lists documents and spreadsheets, PDFs, text and Markdown files, images, audio, Google Docs and Slides, web URLs, ePub, eligible Play Books, notes and public YouTube videos with captions. Fast Research and Deep Research are also documented routes for discovering sources. Check the current source picker and plan limits before importing a large collection. The help page reviewed for this article states a per-source limit of 500,000 words or 200 MB and a limit of 50 sources for Free users; limits for other plans may differ.

  • Web pages: importing a URL brings in webpage text, not images, embedded video or linked/nested pages. Paywalled pages are unsupported.
  • YouTube: the video must be public and have captions.
  • Google Drive: Drive sources can sync changes. If a file is deleted or access is lost, it may no longer be usable in the notebook.
  • Uploaded files: supported formats and size limits can vary; verify the current options in the product before relying on a format.

Only add material you have the right to use. For the current formats and source behavior, consult Google’s source help.

Choose Fast Research or Deep Research when you need to find sources

Google documents two discovery options. Fast Research returns web or Drive sources from a query for you to select. Deep Research can produce a longer report and source list, takes more time and is subject to eligibility and source limits. In either case, review the results and import all or only the sources that fit the project.

3. Ask narrow questions using the relevant sources

Before asking, select the sources that should inform the response. A question tied to a specific task is more useful than a broad prompt such as “Tell me about this project.” For example, ask: “Compare the proposed methods in the two project briefs,” or “List the launch-timing claims in the meeting notes and identify which source makes each claim.” Naming the relevant sources can further focus the request.

Gemini Notebook can include inline citations that link an answer to source passages. Use those links to trace claims to the supplied material, but do not treat citations as proof that the answer is complete or correct. Google notes that very short source content may be referenced as a whole rather than linked to a small passage.

4. Save useful findings as notes

Write or paste a note, or save a useful chat response as one. Notes appear alongside uploaded sources and can be selected as context for later questions; Google also says they can be included when generating artifacts. Use them for your own synthesis, working conclusions or a concise record of decisions—not as a substitute for checking the underlying sources.

Notes can be exported to Google Docs, but edits to the exported document do not sync back to the original notebook note. If you change the document, update the note separately when you need both versions to match. See Google’s notes guidance.

5. Generate an output and check it before relying on it

Choose an artifact that matches the project’s goal. Google’s help describes outputs such as study guides, briefings, audio overviews, mind maps, flashcards or quizzes, slide decks, infographics, and video overviews. The available options may depend on account eligibility and can change.

Review the generated output against its cited sources. Check factual claims, dates, omissions and whether it distinguishes evidence from interpretation before sharing it or using it to make a decision. A polished format does not guarantee that every detail is accurate or complete.

How can I organize my projects with notebooks in Gemini?

Use a notebook boundary to reflect a real project boundary: separate work that needs different sources or context, and keep related material together when it supports the same outcome. Since notebooks do not consult one another automatically, a project that needs sources from another notebook requires those materials to be added to the active notebook as well.

Within a project, source type affects how current or complete the material may be:

Source type Update behavior or access Important limitation
Google Drive source Can sync changes to the Drive file. A deleted file or lost access can make it unusable.
Web URL Imports webpage text. Does not import images, embedded videos or nested pages; paywalled pages are unsupported.
Uploaded file Added from a supported local file format. Formats and size limits should be checked in the current product interface.

A simple naming convention can help when you create several notebooks: include the project name and, if useful, a time period or deliverable. Keep the goal in the starting prompt, use sources for evidence, and reserve notes for what you have concluded. This is an organizational approach based on the documented features, not a Google-prescribed formula.

Check access, account settings and limits before you begin

Google’s help says notebook availability depends on supported countries and territories, age-of-consent requirements and having a Google Account. Managed school or work accounts may need administrator access. Gemini Apps notebook access is being rolled out; Google’s described connected-notebook flow requires a personal Google Account and is available through Gemini web and mobile apps. Some features require Keep Activity to be on. Google lists limitations with it off, including notebook memory, saving new chats, Google Drive sources, and study or business notebooks.

Google’s Gemini Apps help says source allowances depend on the Google AI Plan and may reach 600, while the separate source help page reviewed lists 50 sources for Free users. These are not interchangeable guarantees: check the limit shown for your account and plan, since both eligibility and limits can change. Confirm account type, Keep Activity settings and current availability in Google’s Gemini Apps help before depending on a feature.

Use citations as a checking aid, not a correctness guarantee

Notebook answers are most useful when a question is bounded, the intended sources are selected and the resulting claims are traced back to those sources. If an answer is missing a qualification, conflicts with a source or lacks a useful citation, refine the question, select a narrower source set or inspect the source directly. Generated notes and artifacts remain working material until you have checked them against the underlying content.
