Google Chat has two separate emoji features: you can insert a standard or organization custom emoji into a new message, or react to an existing message. Custom emojis are available only to work and school accounts, can be disabled by a Workspace administrator, and stay inside your organization. The instructions below show the current desktop, Android, iPhone and iPad workflows, plus what to do when Custom emojis is missing.
Emoji in Google Chat: messages versus reactions
Use the emoji picker when the symbol should become part of your message. Use a reaction when you want to respond to someone else’s message without composing a separate reply. Standard Unicode emoji are generally available wherever the picker appears; custom emoji are organization-specific images created by eligible users.
| Task | Where to start | What the other person sees |
|---|---|---|
| Insert an emoji in a message | Open Add emoji while composing | The emoji appears in your sent message |
| React to a message | Use the message’s reaction control, or a mobile touch gesture | A reaction is attached to that message and can be added or removed |
| Use an organization custom emoji | Open Add emoji, then Custom emojis | Members of your organization can use it; people outside the organization cannot |
Google’s help documentation states: “Custom emojis are only available for work and school accounts.” Personal Google accounts are not included in that documented eligibility.
This distinction matters in everyday use. A reaction is a lightweight response to a message that is already in the conversation. An inserted emoji is part of a message you send and remains in that message’s text. You can use a standard emoji in either context, but the controls and available gestures are different. Custom emoji are selected from the organization collection rather than from the standard emoji set.

What a custom emoji is—and who can see it
A custom emoji is an uploaded image made available in your organization’s Google Chat collection. It can represent a team symbol, an internal project, a recurring status or another visual shorthand. The collection is shared within the organization rather than attached only to the person who uploaded it.
- People signed in with eligible work or school accounts in the organization can find and use the collection when the feature is enabled.
- A Workspace administrator can disable custom emoji, so an eligible account may still have no custom-emoji control.
- Custom emoji cannot be shared with people outside the organization. External participants should not be expected to see or use the same uploaded image.
- Deleting an emoji is also organization-wide. It is not a personal hide or delete action.
Because the image may be used in many conversations, choose a clear name and an image that colleagues can recognize. Google’s documented management view can show the image, its name, creator and creation date, which helps an organization identify an old or ambiguous entry.
Before you try custom emoji
- You must be signed in with a work or school account covered by Google Workspace.
- Your Workspace administrator can turn custom emoji off. If the option is absent, account type and administrator settings are the first things to check.
- Custom emoji are scoped to the organization. They cannot be shared with external people, so an outside guest should not be expected to see or use the same custom image.
- The documented creation flow is on a computer. Google’s mobile help explains how to use and manage an existing collection, but does not establish that creation is available on every mobile platform.
Custom emoji are separate from ordinary message emoji and reactions. A personal account may still let you use standard emoji while offering no Custom emojis category. Likewise, being able to react with a standard thumbs-up does not prove that your organization has enabled custom emoji.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsGoogle does not specify accepted upload formats, maximum file size, crop behavior or a required image-editing application in the cited instructions. Do not assume a particular limit; use the upload control shown in Chat and follow any validation message it gives you.
Create a custom emoji on a computer
The desktop procedure works in Google Chat and in the Chat tab of Gmail. Creation starts from a conversation, but the resulting emoji is added to the organization collection rather than being limited to that one conversation.
- Open Google Chat or Gmail on your computer.
- Open the conversation where you want to use the emoji.
- In the lower-right of the conversation, click Add emoji.
- Beside the emoji search field, click Create.
- Choose Upload image, select the image, and click Save.
After saving, return to Add emoji and open Custom emojis to confirm that the entry is available. If you cannot see Create, do not assume that the image is the problem: creation may be unavailable because you are using a personal account or because the Workspace administrator has disabled the feature.
The new image becomes part of your organization’s custom emoji collection. Because the collection is shared at the organization level, create images that your colleagues can identify and use appropriately in work or school conversations. The help page does not promise a separate approval or moderation step.
The documented flow does not require a particular graphics program, nor does it state that Chat crops or resizes an image in a specific way. If Chat rejects the upload, use the message displayed by the current interface as your guide instead of relying on an undocumented file-type or size rule.
Find and insert a custom emoji
Desktop
- Open the conversation in Chat or Gmail.
- Click Add emoji in the composer.
- Select Custom emojis.
- Click the organization emoji you want, then send the message.
Hover over a custom emoji in the desktop picker to see its name. To search or manage the collection, open Custom emojis and choose Manage; the collection can be searched by name.
Searching is useful when an organization has accumulated many entries. Search by the name shown in the collection, and use the hover label to distinguish similar images before inserting one. Selecting an emoji only places it in the composer; it is not sent until you send the message.

Android
- Open a conversation in the Google Chat app or in Gmail’s Chat tab.
- Tap Add emoji.
- Tap Custom emojis.
- Choose the emoji to insert it into your message, then send.
The Android instructions also document Manage and name search from the custom-emoji collection. They describe access to existing organization emoji, not a guaranteed mobile creation workflow.
If you use Chat through Gmail, make sure you are in Gmail’s Chat tab rather than another Gmail view. The same organization and administrator rules apply in both the dedicated Chat app and Gmail’s Chat experience.
iPhone and iPad
Google’s iOS help documents reactions, while the custom-emoji page specifically gives the collection steps for Android and desktop. On an iPhone or iPad, use the controls that appear under Add emoji in your current Chat or Gmail app. If Custom emojis is not offered, use the eligibility and troubleshooting checks below rather than assuming the feature is enabled on that device.
Do not substitute the mobile reaction gesture for inserting an emoji in a new message. To add an emoji to message content, open the composer’s emoji control; to respond to an existing message, use that message’s reaction control.
React to a message with emoji
Android
- Open the conversation in the Chat app or Gmail Chat tab.
- Double-tap a message to add a thumbs-up reaction.
- For a different emoji, tap and hold the message, or tap its emoji control.
- Choose an emoji from the reaction menu. The long-press menu can also show recent emoji choices.
These gestures apply to reacting to an existing message; they are not the same as opening the composer’s picker to insert an emoji in a new message.

iPhone and iPad
- Open the conversation.
- Double-tap the message for a thumbs-up.
- To select another reaction, tap and hold the message or use the message’s emoji control.
- Tap the emoji you want to add.
Google documents the Android and iOS reaction behavior in its Android help and iOS help. The long-press route is for choosing a reaction; it should not be presented as a desktop instruction.
Desktop keyboard and screen-reader navigation
On desktop, move focus to the message’s Add reaction button and press Space. Type part of the emoji name, tab to the matching list, move to the emoji you want, and press Enter. Pressing Enter on an existing reaction adds your reaction if you have not used it, or removes your own reaction if you already have. The complete keyboard and screen-reader interaction is documented by Google at Google Chat keyboard and screen-reader help.
Desktop users can also use the pointer to open Add reaction and choose an emoji. The keyboard route is useful when a mouse is unavailable or when you need the labeled controls announced by a screen reader. Searching by part of an emoji’s name can be faster than scanning a long list, especially when the same message has several reactions available.

Insert an emoji or react? A practical comparison
| Question | Insert in a message | React to a message |
|---|---|---|
| Do you need to compose text? | Yes. The emoji is placed in the composer with any words you type. | No. The reaction is attached directly to an existing message. |
| Where is the control? | Add emoji in the composer. | Add reaction on the message, or a mobile double-tap/long-press gesture. |
| How do you undo it? | Edit or remove the emoji from the message before sending, or handle the sent message using the controls available in Chat. | Select your own existing reaction again to remove it. |
| When is it most useful? | Announcements, sentences, status updates and messages where the emoji is part of the content. | A quick acknowledgement, vote-like response or emotional response to someone else’s message. |
Choosing the right action keeps conversations readable. A reaction is usually better than a one-word reply when you only need to acknowledge a message. An inserted emoji is clearer when it changes the meaning of your own sentence or announcement.

Manage, search for and delete custom emoji
Who can delete an emoji?
- A regular user can delete only custom emojis that user created.
- An emoji manager can delete any custom emoji created in the organization.
Google’s management view can show an emoji’s image, name, creator and creation date, and it supports searching by name. The cited help identifies the emoji-manager role and its powers but does not provide the exact current Admin console path for assigning that role. If your organization needs a manager, ask the Workspace administrator to use the current administrator documentation and controls.
This permission split prevents an ordinary user from removing another team’s emoji while still allowing a creator to maintain their own entries. It also means that a missing delete option may be a permissions issue rather than a broken interface.
Delete from the custom-emoji collection
- Open a conversation and choose Add emoji.
- Open Custom emojis, then choose Manage.
- Search for the emoji by name if necessary.
- Select an emoji you are allowed to delete and use the delete control shown by Chat.
- Confirm only after checking the organization-wide consequence.
Deletion is not a private cleanup. It removes the custom emoji for everyone in the organization, removes its appearance from messages and reactions where it was used, and prevents organization members from sharing or using it again. Treat deletion as a shared Workspace change.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →Before deleting, check the displayed name, image, creator and creation date so you do not remove a similarly named entry. If the emoji belongs to another person and you are not an emoji manager, contact its creator or your organization’s manager rather than trying to work around the permission.
Why Custom emojis is missing
You are using a personal account
Custom emoji eligibility documented by Google is limited to work and school accounts. Switch to the organization account that owns the Chat space, or ask the conversation’s administrator which account should be used.
Having access to Google Chat itself does not change this requirement. A personal account can participate in ordinary Chat features while still lacking organization custom emoji.
Your administrator disabled the feature
An administrator can turn custom emoji off. When the account is a work or school account but the picker still has no Custom emojis entry, contact the Workspace administrator and ask whether the feature is enabled for your organization or organizational unit.

Administrator settings take precedence over the local device.
You are communicating with someone outside the organization
Organization custom emoji cannot be shared with external people. An external participant may therefore be unable to use the image even if members of your organization can select it. Use a standard emoji or describe the image in text when the audience includes people outside the organization.
For a mixed conversation, standard emoji are the safer common language. If the custom image carries important meaning, include words that explain it so external readers are not dependent on an image they cannot access.

The control differs by app or device
Desktop, Android, iPhone and iPad do not use identical gestures or menus. On mobile, look for Add emoji in the composer or the message’s emoji control for a reaction. On desktop, use Add emoji for message content and Add reaction for an existing message. Update the Chat or Gmail app if a documented control is missing, then verify that you are in the intended account.
Also verify which action you are attempting. A missing Custom emojis category in the composer and a missing Add reaction button are different problems. Test a standard emoji or reaction first to determine whether the issue is limited to custom emoji.
The image upload does not work
Google’s cited instructions do not list supported file types, size limits or crop rules, so there is no documented universal value to apply. Reopen Add emoji → Create → Upload image and read the error shown by the current interface. If the upload control itself is unavailable, return to the account and administrator checks rather than changing file settings based on an unverified limit.
Confirm that you are performing the upload on a computer, which is the documented creation workflow. Mobile instructions cover using and managing the collection, but they do not establish creation on every mobile platform.
You cannot find an emoji you know exists
Open Add emoji and select Custom emojis rather than searching only the standard emoji list. On desktop and Android, use Manage and search by name. On desktop, hover over entries to reveal their names. If the entry was deleted, it no longer appears for organization members and cannot be used in new messages or reactions.
Practical choices for teams
| Situation | Best action | Reason |
|---|---|---|
| You want to acknowledge a message quickly | Add a reaction | It stays attached to the original message and does not add a separate reply. |
| You need the emoji to be part of a sentence or announcement | Insert it from Add emoji while composing | The symbol is saved as message content. |
| Your team repeatedly uses a visual shorthand | Create an organization custom emoji on desktop | Eligible members can find it in Custom emojis. |
| A conversation includes outside participants | Use standard emoji or words | Organization custom emoji cannot be shared externally. |
| An old custom emoji is misleading or inappropriate | Ask the creator or an emoji manager to review deletion | Deletion affects every member, messages and reactions, not just the requester. |
Teams should treat a custom-emoji collection like a shared vocabulary. Use names that are easy to search, avoid near-duplicate images, and explain specialized symbols in text when a conversation includes people who may not have access to them. The documented tools let managers identify an entry by image, name, creator and creation date, which supports a deliberate cleanup process.
