Use ChatGPT Work when you want help completing a multi-step task—not just an answer to a quick question. Give it a clear outcome, the context and tools it needs, and limits on what it should do; then follow its progress and review its work before relying on the result.

What ChatGPT Work is for

OpenAI describes ChatGPT Work as an agent for longer, more involved tasks. It can research and analyze information, work with connected apps and files, and produce documents, spreadsheets, presentations, reports, and Sites. You can follow progress, answer questions, redirect the work, and approve important actions. These capabilities are described in OpenAI’s ChatGPT release notes.

Chat is the better fit for a quick question or conversational help. Work is intended for an end-to-end task with several steps or a finished deliverable. For example, ask Chat for a definition; use Work to turn a set of supplied documents into a structured research brief.

Choose Best suited to Typical outcome
Chat An immediate question or back-and-forth conversation An answer, explanation, or suggestions
Work A longer task that may need context, tools, or multiple steps A completed document or other deliverable

Scheduled Tasks can be configured to run once, recur, trigger, or monitor for changes, according to the release notes. Whether a particular feature, connector, or schedule is available depends on your account and workspace configuration.

How to get started with a Work task

  1. Choose a bounded task. Name a result you can assess, such as a research brief based on a defined set of material. Avoid starting with a broad instruction like “handle our marketing.”
  2. Describe the outcome and context. Explain what the deliverable should contain, who it is for, relevant background, and any format or deadline that matters.
  3. Set boundaries. Say which sources or files it may use, what it should leave out, and whether it should ask before taking consequential actions.
  4. Provide only the access it needs. Attach relevant files or connect the necessary apps. Available tools and data depend on workspace settings, permissions, and enabled integrations.
  5. Stay involved as it works. Follow progress, answer questions, and correct its direction if the task is drifting from the intended outcome.
  6. Review before using or sharing. Check the deliverable against the original request and inspect important actions before approving or relying on them.

10 practical tips for getting started with agentic AI

OpenAI defines an agent as “a system that can plan, decide, and act independently to achieve a goal while operating within guardrails set by humans” in A business leader’s guide to working with agents. In practical terms, delegation works best when the goal is clear, access is limited to what the work requires, and a person remains responsible for review.

  1. Start small. Choose one bounded task with a concrete output rather than delegating an entire open-ended project.
  2. Supply useful context. Include the facts, files, audience, and constraints that would change the answer. Specify which sources the agent may use.
  3. State what not to do. For example, tell it not to contact people, change records, or use material outside the supplied sources unless you approve first.
  4. Grant access selectively. Pick only the tools and connected apps needed for the task. An available connector is not a reason to enable or authorize it.
  5. Keep human approval for consequential steps. Use available approval controls and remain involved in decisions that have meaningful effects.
  6. Check the result, not just the process. Verify important facts, completeness, and whether the output actually meets the requested format and purpose.
  7. Use test runs to improve instructions. Notice where a representative task goes wrong or needs clarification, then make the instructions more specific.
  8. Preview reusable agents before publishing. Try sample prompts that reflect real use, including likely edge cases, and refine the draft plan before teammates depend on it.
  9. Share a workflow only when it repeats. A shared agent is most useful when several people need consistent instructions and outputs for the same recurring task.
  10. Recheck access as things change. Plan availability, workspace policy, connected-account settings, and permissions can change, so confirm that the configuration still matches the task.

When to create a workspace agent

A one-off Work task is usually enough when you need a single result. Consider a workspace agent when the same workflow recurs and a team would benefit from shared instructions, consistent outputs, and configured tools. Scheduling or using an agent through Slack or an API may also suit a repeatable process, if those options are enabled for the workspace.

Use an individual Work task when… Consider a workspace agent when…
The task is occasional or unique. The workflow repeats and teammates need a consistent approach.
Instructions and access can be set for this task alone. Shared instructions, connected apps, or files are useful across runs.
You do not need a recurring schedule or team entry point. A schedule, Slack connection, or API trigger is available and useful.

OpenAI’s current Help Center guidance describes starting an agent from a template or by describing the task to a builder, reviewing and refining the proposed plan, and previewing it with a sample prompt before creation. Builders can configure tools, apps, custom MCPs, skills, files, access, and schedules, subject to workspace availability and permissions. See Workspace agents for the current setup guidance.

Check access and connections before sharing

Permissions affect both who can build or share an agent and what it can access. OpenAI’s cookbook example recommends confirming agent access, builder and sharing permissions, and enabled apps before following its walkthrough. It also distinguishes two connector authentication patterns: with end-user accounts, each person connects through their own account; with an agent-owned account, a shared connection may expose connected resources to everyone allowed to use that agent. Do not assume the same apps or authentication choices are available in every workspace. See the sales-meeting-preparation workspace agent example.

Plan an enterprise rollout

For a wider deployment, OpenAI’s administrator quickstart recommends setting workspace policy, checking role permissions and Work Local/Work Cloud access, setting model defaults, and reviewing enabled apps and data connections before onboarding users. Consult ChatGPT Business admin quickstart guide and align the setup with your own organization’s access rules.

Availability and limits to keep in mind

OpenAI’s July 2026 release notes described plan access as rolling out at launch. That is a time-specific announcement, not a guarantee of current eligibility. Check your account and workspace for present access, and remember that administrators may control features and permissions. Plan eligibility, regional support, models, connectors, and usage terms can change.

Agentic capabilities do not guarantee a correct result or make every task safe to run without supervision. OpenAI’s July 17, 2025 announcement reported model evaluation results, including 41.6% pass@1 on Humanity’s Last Exam, 44.4% on the same evaluation using a parallel strategy of up to eight attempts selected by highest self-reported confidence, 27.4% accuracy on FrontierMath with tool use, and 68.9% on BrowseComp. These are vendor-reported results on named evaluations, not evidence that an agent will succeed on a particular workplace task. See OpenAI’s ChatGPT agent announcement.

The July 2026 desktop update also says Cloud Work conversations sync across web, mobile, and desktop, while local conversations remain on the computer. Consider that distinction when choosing where to do work involving sensitive information; follow your organization’s policy for data handling. The update is in the ChatGPT release notes.
