The safest SMF upgrade is a rehearsed, reversible change: identify the exact branch, choose its matching patch or large-upgrade package, put the forum in maintenance mode, back up and verify the database and files, test the same change on staging, then validate every critical function before reopening. An in-branch patch normally preserves custom files better than a large upgrade; a large upgrade replaces files with a clean-install set and requires you to reinstall modifications and themes.
Understand the two SMF upgrade paths
SMF publishes different archives for different starting versions. The decision is not simply “small download versus large download”; it determines what happens to your files and customizations.

|---|---|---|
| Starting version | Use only when your forum is on the immediately preceding release supported by that patch. | Use for older starting versions covered by the archive. |
| File treatment | Updates the files changed by the patch. | Resets forum files to a clean-install set. |
| Customizations | Usually the lower-risk route for retaining existing custom work, subject to the patch notes and your testing. | Removes file-based modifications and requires themes and other customizations to be reinstalled or reapplied. |
| Maintenance planning | Still requires a backup, maintenance window and validation. | Requires a longer, more carefully rehearsed migration because more files are replaced. |
| Rollback | Restore the pre-upgrade files and database if validation fails. | Restore the same two components, then reassess the customization and branch path before trying again. |
The Simple Machines Forum Team specifically warns that a full upgrade requires reinstalling customizations and recommends successive patches for forums in the 2.0.x series when those patches are available. Treat the large-upgrade archive as a deliberate clean-file replacement, not as a routine patch.
Record the forum’s starting state
Make an inventory before downloading anything. It gives you a recovery target and lets you reproduce the production environment in staging.
#1 Best Overall
- Easily store and access 2TB to content on the go with the Seagate Portable Drive, a USB external hard drive
- Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
- To get set up, connect the portable hard drive to a computer for automatic recognition no software required
- This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
- The available storage capacity may vary.
- SMF version and branch: record the complete version number, including the 2.0.x or 2.1.x branch.
- PHP and database details: note the PHP version, database engine and database version, plus the server operating system.
- Active presentation: write down the default and active themes, including any child or custom themes.
- Packages and modifications: export or otherwise save the installed package/modification list. Record which changes are business-critical and where their files live.
- Storage paths: document the attachment directory, forum root, configuration files and any directories outside the web root that the installation uses.
- Automation: list cron jobs, scheduled tasks, queue workers and integrations such as email delivery or external authentication.
- Operating settings: note maintenance-mode settings, URL and cookie configuration, administrator accounts used for testing, and any special web-server rules.
Save this inventory with the backup rather than leaving it only in a personal note. During recovery, the exact paths and package list are more useful than a general description of the installation.
Choose the matching SMF package
- Open the official SMF downloads catalog and locate your installed branch and exact starting version.
- Check whether the catalog offers a patch from your current release to the target release. A patch is valid only when your starting version is the immediately preceding release supported by that archive.
- If your forum is older than the patch threshold, identify the corresponding large-upgrade archive. Confirm that it explicitly covers your starting branch before proceeding.
- Download the archive to a separate administrative location and record its filename and release version in the change notes.
- Do not apply a release-candidate package to production. SMF’s release guidance recommends local or development/QA testing and distinguishes prerelease testing from production operation.
When the catalog offers a sequence of patches for a 2.0.x forum with modifications, plan the sequence rather than jumping straight to a full upgrade. If no supported successive patch exists, use the large-upgrade path only after a staging rehearsal and a plan to reinstall the customizations it replaces.
Back up the database and files before touching production
Put the forum in maintenance mode before taking the final backup so new posts, edits and registrations cannot occur while you copy different parts of the system. The SMF Online Manual states that a backup of the live database should be made before the conversion process; the same discipline applies to an upgrade.
Export and verify the database
- Use phpMyAdmin or your hosting control panel’s database-backup function to export the complete SMF database, not just selected tables.
- Store the export outside the live web directory, with the date, SMF version and database engine in the filename.
- Check that the export can be read: inspect its size and header, and preferably import it into a disposable database or restore it in staging.
- Keep the final pre-upgrade export untouched until the upgraded forum has passed validation and the retention policy allows its removal.
A database export is not a substitute for a file backup. Posts and members are in the database, while configuration, themes, modifications, attachments and uploaded assets may be in the file tree.

Copy the complete file set
- Copy the forum directory, including configuration files and the existing theme and modification files.
- Copy the entire attachment directory, even if it is outside the forum’s document root.
- Preserve web-server rules, custom language files, templates and any integration files that are not part of the stock SMF archive.
- Keep the original files in separate storage from the working copy. A backup that remains in the same account or directory can be lost with the live installation.
Label the file backup with the exact starting version. A large upgrade resets files to a clean installation, so this copy is what lets you identify and restore custom work.
Rehearse the upgrade in staging
A staging or QA copy turns an uncertain production change into a measured procedure. It is especially important when crossing branches, changing PHP or database versions, moving servers, or relying on modifications that alter core files.

- Create an isolated staging location and a disposable database. Do not let staging send real member email or expose private production data.
- Restore the database backup and file copy, then adjust the staging configuration for its own URL, database credentials and attachment path.
- Install the same PHP and database conditions planned for production, or document every intentional difference.
- Apply the exact patch or large-upgrade archive selected for production. Use the same extraction, upload and permission method.
- Run the smoke-test checklist below. Record errors, changed templates, missing packages and any task that behaves differently from production.
- Repeat the rehearsal after correcting failures. The production runbook should contain the successful sequence, not an improvised set of commands.
Do not treat a successful file copy as a successful rehearsal. The point is to discover database, permission, theme, attachment, email and integration problems while the live forum is still untouched.
Confirm paths, permissions and archive handling
Many failed upgrades are file-handling failures rather than SMF failures. The SMF manual says to retain the archive’s directory structure and overwrite newer files with the archive’s files as instructed. Before starting, confirm the following:

- The available storage capacity may vary.
- The archive will be extracted into the actual SMF installation directory, not its parent or a newly nested directory.
- The web process or Package Manager has write access to every file it must replace.
- The account used for FTP or control-panel upload writes files with ownership and permissions the web server can read.
- Your host’s documented FTP upload mode and extraction method are being used; an incorrect mode or path can produce incomplete or unusable files.
- The attachment directory and configuration files remain writable where SMF requires writes, but are not made broadly writable as a workaround.
Take a directory listing or timestamped file snapshot before the change. It helps distinguish an incomplete upload from an application-level error during diagnosis.
Run the production upgrade
- Announce the window. Tell moderators and members when posting will be unavailable. Choose a period in which you can monitor the server and restore service if needed.
- Enable maintenance mode. Stop new writes and verify that the maintenance message is visible in a private browser window.
- Take a final database snapshot. This is the last point at which the database and file backup represent the same state.
- Preserve the live files. Confirm that the pre-upgrade copy and attachment backup completed successfully before replacing anything.
- Apply the supported package. Upload or extract the archive using its original directory structure and the method tested in staging. For a patch, apply only the supported patch. For a large upgrade, expect clean-install files and plan to reinstall customizations afterward.
- Follow every upgrader screen. SMF’s manual notes that the upgrade utility uses several separate steps to avoid time-outs. Allow each step to finish; do not refresh, close the browser or repeat an action unless the upgrader explicitly instructs you to do so.
- Capture evidence. Save completion messages, warnings and relevant server or PHP error-log entries in the change record.
- Keep the forum closed. Do not reopen it until the validation checks pass and the cleanup step is complete.
Validate the upgraded forum before reopening it
Use a named administrator account and an ordinary member account for testing. Test as both a logged-in user and a logged-out visitor where the forum permits public access.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitches| Area | Test | What a failure suggests |
|---|---|---|
| Administrator access | Sign in, open the administration area, view settings and confirm the expected version. | Session, URL, permissions, database or configuration problem. |
| Member access | Sign in as a normal member, view the profile and open a restricted board. | Authentication, cookie, permission or theme problem. |
| Posting and editing | Create a test topic, reply, edit the reply, preview it and delete it according to your forum policy. | Database writes, editor JavaScript, permissions or modification conflict. |
| Attachments | Upload, download and remove a test attachment; open several existing attachments. | Path, ownership, permissions or missing-file issue. |
| Search | Search for a known recent post and an older post, then open the result. | Index, database query, permission or timeout issue. |
| Themes and templates | View the default theme and every actively supported custom theme on desktop and mobile widths. | Template changes, missing assets or a customization that must be reapplied. |
| Permissions and moderation | Test board visibility, posting restrictions, moderator actions and administrator-only pages. | Permission definitions or package interaction. |
| Scheduled work | Confirm cron or scheduled tasks run and do not produce new errors. | Path, PHP version, task registration or execution permissions. |
| Trigger a controlled notification, password-reset message or other approved test and verify delivery and logs. | SMTP, PHP mail, queue or integration configuration. | |
| Integrations | Exercise each external login, webhook, analytics, anti-spam or moderation integration that the inventory identified. | API, callback URL, package or PHP compatibility problem. |
Review PHP, web-server and SMF logs after these tests. A page that appears normal can still be generating repeated warnings or failed scheduled tasks.

Look for upgrade.php after the upgrader finishes. The SMF Online Manual calls leaving this file on the server a major security risk; delete it as soon as the upgrade is complete and you have confirmed it is no longer required. Also remove temporary archives or extracted files from publicly reachable directories when your host’s procedure permits it, while retaining the offline backup and change record.

Reinstall or reapply modifications and themes that the large upgrade replaced. Do this from the package list and file inventory rather than guessing. Re-test after each critical customization so that a conflict can be isolated to the most recent change.
Rollback when validation fails
If a critical test fails, leave the forum in maintenance mode. Do not allow members to create new data while the live database and restored files represent different states.
- Preserve the upgrader output, PHP/web-server logs, timestamps and screenshots of the failure.
- Identify whether the failure is limited to a file, a customization, permissions, a server condition or the database.
- If the rehearsal already exposed the same issue, correct it there first. Do not repeatedly modify production while investigating.
- When restoration is required, restore the pre-upgrade file tree, attachments and configuration from the matching backup, then restore the pre-upgrade database export using your host’s documented database procedure.
- Verify administrator access and a basic read-only page before reopening the forum. Then repeat the full rehearsal with the specific cause addressed.
There is no universal rollback command: database engines, hosting panels, file ownership and SMF branches differ. Your runbook should therefore name the actual backup locations, restoration method and person authorized to execute them.
Common mistakes to avoid
- Using the wrong branch package: an archive for a different starting version can leave the installation incomplete. Confirm the exact version first.
- Choosing a large upgrade to save time: on a customized 2.0.x forum, a successive patch is generally the safer supported route when available.
- Backing up only the database: that omits themes, modifications, configuration and attachments.
- Skipping restore verification: an export that cannot be imported is not a usable recovery plan.
- Testing only the administrator account: ordinary members, restricted boards and logged-out visitors can encounter different permissions and templates.
- Ignoring write access or paths: the upgrader may appear to run while files remain old or are written into the wrong directory.
- Refreshing a multi-step upgrader: follow the screen sequence and investigate the log before repeating anything.
- Leaving upgrade.php online: remove it immediately after the completed upgrade.
- Reopening after a single page check: run the complete smoke test, including attachments, search, scheduled tasks, email and integrations.
A practical go/no-go checklist
- Exact SMF branch and starting version recorded.
- Patch or large-upgrade archive explicitly matches that starting version.
- PHP, database, server, themes, packages, tasks and paths inventoried.
- Maintenance window announced and production writes stopped.
- Complete database export created through phpMyAdmin or the hosting control panel and verified readable.
- Forum files, configuration, themes, modifications and attachments copied to separate storage.
- Staging rehearsal completed under the planned server conditions.
- Archive directory structure, extraction method and write access checked.
- Production upgrader completed without unexplained warnings.
- Administrator/member access, posting/editing, attachments, search, permissions, themes, tasks, email and integrations tested.
upgrade.phpremoved and logs reviewed.- Rollback owner, backups and restoration procedure remain available until the change is accepted.
This sequence is intentionally conservative: it protects the database, makes file replacement predictable, exposes customization conflicts before production and leaves you with a documented recovery path.
