Update the e-way bill’s Part B as soon as the goods move in a different vehicle or transport mode. On the official E-Way Bill System, use Update vehicle number for the active bill, enter the conveyance actually carrying the shipment, and save the change before the goods continue. The e-way bill generator can make the change when no transporter is assigned; otherwise, the transporter currently assigned to the bill can update it. The update must be completed while the original e-way bill is active and within its existing validity period.
What the vehicle update changes—and what it does not
An e-way bill has Part A, which identifies the supply and parties, and Part B, which records the transport information. During movement, Part B must match the conveyance actually carrying the goods. If a truck breaks down, the load is transshipped, or the shipment changes from road to rail, air, or ship, update the relevant Part B information before the next leg begins.
Updating Part B does not create a new e-way bill and does not extend the original validity period. A later entry is simply a correction or continuation of the transport record. The expiry clock continues from the original e-way bill and is not recalculated when a new vehicle is entered.

Who is allowed to update Part B?

The official portal FAQ identifies both the generator and the transporter as eligible actors, depending on whether a transporter has been assigned. A driver does not independently become the authorized updater merely because the driver operates the replacement vehicle; the update has to be made through an authorized portal account.

Before you start: checks that prevent a failed update
- Confirm the bill is active. The API specification permits a Part B update only for an active, unexpired e-way bill.
- Check the original validity end time. A vehicle change does not restart or recalculate validity.
- Identify the next conveyance. Have the correct road vehicle number or, for rail, air, or ship, the applicable transport-document number ready.
- Confirm the transport mode and vehicle type. The Part B data includes mode, vehicle type, place, state, reason code, and transport-document details.
- Establish who has portal responsibility. If a transporter is assigned, that transporter may need to complete the update; if not, the generator can do it.
- Update before movement resumes. For a transfer during transit, do not wait until the replacement vehicle has already departed.
Step-by-step: update a road vehicle on the portal
- Sign in to the official E-Way Bill System. Use the authorized GST-linked account for the generator or assigned transporter.
- Open the vehicle-update workflow. In the portal menu, select Update vehicle number. The NIC user manual describes this as the Update Vehicle for Generated EWB workflow.
- Retrieve the e-way bill. Enter the bill number and open the active record you need to amend. Verify that the displayed supplier, recipient, and goods movement are the intended shipment.
- Select the relevant movement details. Choose the transport mode and enter the location and state requested by the form. If the portal asks for a reason, select the reason that accurately describes the change, such as a breakdown or transshipment.
- Enter the replacement vehicle number in Part B. Use the registration number of the vehicle that will actually carry the goods on the next road leg. Enter it exactly as required by the portal, including the correct state registration format.
- Check the vehicle type and other fields. Compare the entry with the physical vehicle and the transport documents. A correct number paired with an incorrect mode or vehicle type can leave the record inconsistent.
- Submit the update. Review the confirmation screen before saving. Record the resulting update reference or acknowledgement shown by the portal.
- Give the updated record to the people controlling the movement. The transporter, driver, consignor, consignee, and any inspection team should be able to identify the current e-way bill and the latest Part B entry.
The NIC manual also covers updates made because of transit movement or a breakdown. The exact screen arrangement can change as the portal is revised, but the relevant function remains the vehicle update for a generated e-way bill.
How to update when the transport mode changes
Part B is not limited to a single truck number. When a shipment moves through multiple modes, enter the latest mode or conveyance for the leg that is about to begin. The portal FAQ says to keep Part B updated as transport changes among road, rail, air, and ship.

The official API specification lists the fields used for these updates, including vehicle number, place, state, reason code, transport-document number and date, transport mode, and vehicle type. For a multimodal shipment, update the record for each new leg as the conveyance changes; do not leave the previous truck as the apparent current mode after the goods have moved to rail, air, or ship.

What to do during a vehicle breakdown or transshipment
Breakdown before the goods are moved
If the original vehicle cannot continue, identify the replacement vehicle and update Part B before loading or transferring the goods for onward movement. Select the breakdown-related reason when the portal provides a reason-code field. Keep evidence of the incident and the replacement arrangement with the shipment records.
Transfer from one vehicle to another during transit
Rule 138(5) of the E-Way Bill Rules states: “Any transporter transferring goods from one conveyance to another in the course of transit shall, before such transfer and further movement of goods, update the details of conveyance in the e-way bill on the common portal in FORM GST EWB-01.” In practical terms, complete the portal update before the load leaves in the replacement conveyance.
Several changes on one journey
A shipment can have more than one Part B update while movement continues. Repeat the process for each new vehicle or mode, provided the e-way bill is still active and unexpired. Each entry should describe the conveyance for the next movement leg, not a vehicle that has already completed its part of the journey.

Validity: the deadline that does not move
Every update is constrained by the original e-way bill validity. The portal’s API documentation says that Part B can be updated only while the e-way bill is active and unexpired. The e-way bill FAQ separately makes clear that entering Part B later does not recalculate or restart validity.
- If the bill is still valid, update the new vehicle or transport document and continue movement within the remaining time.
- If the bill has expired, the vehicle-update function cannot be used as a way to revive it. Stop and resolve the validity issue through the applicable current GST procedure before proceeding.
- Do not assume that a breakdown, transshipment, or a fresh Part B entry automatically grants additional hours or kilometres.
Check the validity period before arranging a replacement vehicle. A technically correct vehicle number entered after expiry is not a substitute for a valid e-way bill.
Short-distance exceptions: why a blanket rule is unsafe
Distance exceptions are context-specific. The official rules excerpt contains an exception for a final movement of less than 10 kilometres within the State or Union territory from the transporter’s place of business to the consignee. The portal FAQ separately discusses less-than-50-kilometre movements in certain same-State situations between a consignor and transporter, and between a transporter and consignee.

These references do not establish one universal rule that vehicle updates are unnecessary for every short trip. They concern different legs and circumstances. Before relying on a distance exception, identify the exact leg, the parties involved, the State or Union territory, and the current wording of the applicable rule. If the shipment has been transferred to a different conveyance during transit, the safer compliance practice is to update Part B before further movement unless the specific, current exception clearly applies.
Common problems and how to fix them

Records to keep after changing the vehicle
Save the updated e-way bill information with the shipment file. At minimum, retain the bill number, the prior and replacement conveyance details, the update date and time, the selected reason, and the transport documents supporting the new leg. For a breakdown, keep the carrier’s incident or repair record when available. For transshipment, retain the handover or loading record. These records help reconcile what the portal showed with what physically happened.

Make sure the driver or carrier has access to the current e-way bill record rather than an old printout showing the previous vehicle. Internal dispatch systems, invoices, gate registers, and transporter instructions should be synchronized with the updated Part B entry.

Worked examples
Example: truck replacement after a breakdown
A consignment is moving by road and the assigned truck breaks down while the e-way bill is still valid. The assigned transporter signs in, opens Update vehicle number, selects the breakdown reason, enters the replacement truck’s registration number and the required location and state, then submits the change before the goods continue. The original expiry time remains unchanged.
Example: road to rail
A truck carries goods to a rail terminal, where the shipment is transferred to a train. For the rail leg, Part B must reflect the latest mode and the transport-document information required for rail in the API specification. Leaving the first truck number as the only current transport detail would not describe the movement that follows.
Example: several road legs
A transporter uses one truck to reach a hub and a second truck for final delivery. The transporter updates Part B before the second truck takes the goods and repeats the process for any later replacement, as long as the e-way bill remains active and within its original validity.

Compliance checklist before the next leg starts
- Is the e-way bill active and still within its original validity period?
- Does Part B identify the conveyance or transport document for the next leg?
- Has the authorized generator or assigned transporter made the update?
- Was the update completed before the goods were transferred and moved onward?
- Do the mode, vehicle type, place, state, reason, and transport-document fields agree with the physical movement?
- Does the driver or carrier have the current e-way bill information?
- Have you retained the confirmation and supporting breakdown, handover, or transport records?
