When the vehicle carrying goods changes, update Part B of the existing, active e-way bill with the replacement vehicle details. On the e-way bill portal, use the Update vehicle number function. If no transporter is assigned, the e-way bill generator can make the update; when a transporter is assigned, the assigned or current transporter generally makes it. The change must be recorded during the e-way bill’s existing validity period.
Do not create a replacement e-way bill solely because the vehicle changed. The official E-Way Bill System FAQ directs users to enter the new conveyance details in the existing e-way bill and continue the journey within its original validity.
What changes when you update Part B
Part A identifies the supply and the parties; Part B records the conveyance information used for movement. A vehicle number entered at generation can become inaccurate after a breakdown, trans-shipment, or a change arranged for the next leg of transport. Updating Part B keeps the electronic record aligned with the vehicle actually carrying the goods.

The official FAQ specifically recognizes vehicle breakdown and trans-shipment as reasons to change the vehicle number after an e-way bill has been generated or movement has begun. The replacement number belongs in the same e-way bill. Updating Part B is a record correction for the movement; it is not a new tax invoice and does not change the underlying supply details.

The governing rule
The FAQ states: “If he has to change the vehicle, then he has to enter the new vehicle details in that EWB, on the eway bill portal, using ‘Update vehicle number’ option in Part B and continue the journey in new vehicle, within the original validity period of e-way bill.” This wording is from the E-Way Bill System FAQ; it is not attributed to a named individual.
Who is allowed to make the update
Check the transporter assignment before trying to edit Part B. The permission depends on whether a transporter is attached to the e-way bill.
| Situation | Who can update Part B | Practical implication |
|---|---|---|
| No transporter assigned | The e-way bill generator | The generator can enter the replacement vehicle details directly. |
| A transporter is assigned | The transporter currently assigned to the e-way bill | Coordinate with that transporter or the transporter handling the onward leg so the authorized account makes the change. |
| Goods handed to another transporter for onward movement | The transporter responsible under the assignment arrangement | Ensure the new leg and its conveyance details are entered in the same e-way bill rather than creating a second bill just for the hand-off. |
The FAQ and the portal API documentation describe these role distinctions. If an account cannot see the update function, the first check should be the e-way bill’s transporter assignment, not a repeated attempt with different vehicle data.
Before you open the portal
Have the information at hand so the update can be completed without leaving the goods’ movement undocumented.
- The e-way bill number to be updated.
- The registration number of the replacement vehicle, in the format accepted by the portal.
- The transport mode for the leg being recorded.
- The transport document information required for that mode, such as a railway receipt, airway bill, or bill of lading number where applicable.
- The reason and internal record for the change, such as a breakdown report, repair note, trans-shipment handover, or dispatch instruction.
- The identity of the account authorized to update Part B: the generator when no transporter is assigned, or the assigned transporter when one is present.
Confirm that the e-way bill is still active and has not passed its validity end. The portal’s update function is intended for a live movement record; an update is not a mechanism for reviving an expired, cancelled, or otherwise unavailable bill.
Step-by-step: update the replacement vehicle in Part B
The official sources confirm the function name and field rules, but portal screens can change. Use the live portal labels shown to your authorized account. The sequence below avoids assuming a particular menu layout while preserving the required action.

- Sign in to the official e-way bill portal. Use the account that is permitted to edit the e-way bill. If a transporter is assigned, the generator may not have the same editing option.
- Open the Part B vehicle-update function. Choose the option labeled Update vehicle number, or the equivalent Update Part B/Vehicle wording used by the current portal. The user manual describes this function for a number omitted at generation and for a vehicle changed during transit or after a breakdown.
- Identify the existing e-way bill. Enter or select the e-way bill number and verify that the displayed supplier, recipient, goods, and movement information are the intended record. Do not start a new e-way bill merely because the conveyance has changed.
- Select the relevant movement leg. For a single road journey, this is the replacement vehicle carrying the goods. For a trans-shipment, select the leg that is about to begin and record the conveyance for that leg.
- Enter the new vehicle details. Replace the old vehicle number with the registration number of the vehicle actually taking the goods. Review every character before submission; a typographical error leaves Part B inconsistent with the physical conveyance.
- Enter transport information required for the selected mode. Road movement requires a vehicle number under the API validation rules, while the transport-document number is optional for road. Rail, air, and ship movement require a transport-document number. Supply any additional fields the current portal marks as mandatory.
- Submit the update. Use the portal’s save, submit, or update control and wait for the confirmation shown by the live system. No processing time is established in the official material, so do not assume a fixed number of seconds or minutes.
- Verify the resulting Part B record. Reopen or view the e-way bill and check that the new vehicle number, mode, transport document information, and movement leg are displayed. Record the update reference or confirmation with your dispatch documents.
- Release the goods only after the record matches the vehicle. The driver, transporter, and dispatch team should carry the updated e-way bill information required for the journey and retain the old vehicle details in internal records for an audit trail.
Required fields by transport mode
The API reference provides the clearest field distinction by mode. It is useful both for manual entry and for businesses whose transport software submits updates through an integration.
Free tools Windows power users keep installed

| Transport mode | Field rule described in the official API reference | What to check before submission |
|---|---|---|
| Road | Vehicle number is required; transport-document number is optional. | Enter the replacement registration number exactly as shown on the vehicle record. Add the transport document number if your records or the portal request it. |
| Rail | Transport-document number is required. | Use the applicable railway transport document details and verify the movement leg. |
| Air | Transport-document number is required. | Use the applicable airway transport document details and ensure the selected mode is air. |
| Ship | Transport-document number is required. | Use the applicable bill-of-lading or other transport document details and confirm the selected mode is ship. |
These requirements come from the official Update Part B | Vehicle Number Update API documentation. The live portal can add validation prompts or change labels, so follow its current mandatory-field indicators rather than relying on an older screenshot or a third-party guide.
What to do in common vehicle-change situations
Vehicle breaks down before the goods are moved onward
If the original vehicle can be repaired and remains the conveyance, the transporter can repair it and continue using the existing e-way bill. If the goods are transferred to a replacement vehicle, enter that vehicle’s details in Part B before continuing. Keep the breakdown and repair information with the consignment file so the reason for the change is clear.
Trans-shipment to another vehicle
When goods move through several vehicles, update the conveyance details for each applicable movement leg. The next vehicle should be reflected in Part B before that leg proceeds. A handover to another transporter does not by itself require a second e-way bill when the existing bill remains the record for the same movement; use the authorized transporter account associated with the e-way bill.
The vehicle number was omitted when the e-way bill was generated
The same Part B/vehicle function is used to add the vehicle number after generation. Enter the conveyance now carrying the goods and provide the transport information required for the mode. The user manual identifies omission at generation as one of the intended uses of this function.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesA transporter is changed for the onward leg
Confirm which transporter is currently assigned and which account has update authority. Give the new transporter the e-way bill number and movement details, but do not assume that any transporter account can edit it. If the assignment itself must be changed, complete that assignment through the portal’s current transporter workflow first, then have the authorized party update Part B.

Validity, timing, and update frequency
A Part B update does not recalculate or extend the e-way bill’s validity. The FAQ explains that subsequent Part B entries do not change the original validity calculation. Plan the replacement vehicle and submit the update while the e-way bill is active, then complete the journey within the remaining original period.
The FAQ does not impose a small fixed number of vehicle changes. It says Part B can be updated as many times as needed for movement to the destination, provided each update is made within validity. That permits successive trans-shipments or repeated breakdown replacements, but it does not authorize updates after expiry or turn an expired bill into a valid one.
If the validity window is close to ending
Do not wait until the vehicle reaches the checkpoint to discover that the e-way bill has expired. Check the remaining validity before dispatching the replacement vehicle, update Part B promptly, and follow the applicable GST compliance process if the movement cannot be completed in time. The vehicle update itself is not an extension request.
Troubleshooting an update that will not go through
The update option is missing
Verify that you are signed in with the generator or assigned-transporter account that has authority for the bill. Then check whether the e-way bill is active and whether the current user is viewing the correct number. A cancelled or expired record may not expose the same editing controls as an active one.
The portal rejects the vehicle number
Recheck the registration characters, state or regional formatting expected by the current portal, and the selected transport mode. Remove accidental spaces or punctuation only in the way the portal’s current field instructions require. If the physical registration itself is uncertain, confirm it with the transporter before submitting another update.
A transport-document field is required unexpectedly
Review the selected mode against the API validation rules. Road uses the vehicle number as the required conveyance identifier and treats the transport-document number as optional; rail, air, and ship require transport-document information. Selecting the wrong mode can therefore produce a validation error even when the vehicle number is correct.

The wrong replacement number was submitted
If the e-way bill remains active and the movement still falls within its validity, correct Part B with the vehicle that is actually carrying the goods. Keep both the erroneous submission and the correction in your internal log, along with who authorized each change. Do not conceal the error by generating an unrelated replacement bill.

Check whether the transporter shown on the e-way bill is the account attempting the update. Where another transporter is responsible for the onward leg, resolve the assignment and authorization issue through the portal’s current workflow. Escalate portal-access problems through the official support channel rather than sharing credentials.
Using the API or transport software
Businesses that update many consignments may use an integration instead of manual entry. The official API page documents the vehicle-number update operation and its mode-specific validation. Map your software fields to the current specification, require a vehicle number for road movements, and require a transport-document number for rail, air, and ship movements.
Keep an exception path for a human review. An integration should not automatically overwrite Part B without checking that the e-way bill is active, the account or token represents the authorized generator or transporter, and the replacement vehicle belongs to the correct movement leg. API versions and portal validation can change, so compare implementation settings with the current official documentation before deploying changes.
What the official user manual adds
The e-Way Bill System User Manual, version 1.6, released on 2023-01-01, calls the feature Update Part B/Vehicle. It describes the feature for a vehicle number omitted at generation and for a vehicle changed during transit, including transit movement or a breakdown.
Use that manual for the purpose of the function, not as a guarantee that every current button, menu, or screen looks identical. Portal interface details can change. The live portal’s current labels and mandatory-field prompts control the data you submit.
Internal control checklist for dispatch teams
- Match the e-way bill number to the invoice and consignment before editing.
- Confirm whether a transporter is assigned and identify the authorized updating account.
- Record why the vehicle changed: breakdown, repair, trans-shipment, or another operational handover.
- Capture the old and new vehicle numbers, the date and time of the handover, and the responsible staff member.
- Enter mode-specific transport-document information before submission.
- Check the confirmation and view the updated Part B record.
- Give the driver or carrier the current e-way bill details before movement resumes.
- Retain repair notes, handover records, and update confirmations with the consignment documents.
- Monitor the original validity end time; a vehicle change does not create additional validity.
This checklist is an internal control aid, not a substitute for the GST rules or the portal’s current instructions. Where the facts involve an expired bill, a cancelled record, disputed transporter assignment, or another tax issue beyond the vehicle change, obtain advice from your organization’s GST professional.
