Press Windows + Ctrl + L to open Live Captions in Windows 11. You can also start it from Quick Settings, Start > All apps > Accessibility > Live captions, or Settings > Accessibility > Captions. Live Captions is built into Windows 11 version 22H2 and later, creates captions on your device, and does not send the audio, voice data, or generated captions to Microsoft’s cloud. The sections below show how to position the caption window, change its appearance, caption microphone speech, install additional languages, and fix language-file download failures.
What Windows 11 Live Captions does
Live Captions listens to detected voice in audio playing on your Windows 11 PC and displays a continuously updated transcript in a separate caption window. It can caption system audio such as videos, meetings, podcasts, and other playback. An optional microphone setting can add speech from your selected input device, but that option is disabled by default.
The feature is available on Windows 11 version 22H2 and later. Live translation is a narrower feature: it requires a Copilot+ PC running Windows 11 version 24H2 or later. Standard captioning and translation should therefore be treated as separate capabilities when you check a computer’s eligibility.

Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →| Capability | Windows requirement | What it provides |
|---|---|---|
| Live Captions | Windows 11 version 22H2 or later | On-device captions for detected voice in device audio, with optional microphone speech |
| Live translation | Copilot+ PC with Windows 11 version 24H2 or later | Translation of live or prerecorded audio into supported target languages |
Check the requirements before you start
Live Captions is a Windows feature, not a separate program that you need to purchase. The important checks are the Windows release, the speech language file, and—only for translation—the hardware category. A PC can support ordinary captions without meeting the requirements for live translation.

No special keyboard is necessary for the shortcut, and no particular microphone or headset model is required. A microphone is optional unless you want your own speech included.
Turn on Live Captions
Use the keyboard shortcut
- Press Windows + Ctrl + L.
- If this is the first launch, read the consent notice about on-device voice processing.
- Allow Windows to download the speech-recognition language file when prompted. Choose another language during setup if the preferred one is not available.
- Wait for the caption bar to appear. Captions begin when Windows detects speech in supported audio.
The shortcut is the fastest activation method and works with a standard Windows keyboard. Pressing it again is a convenient way to open or close the feature without navigating through menus.
Use Quick Settings
- Select the network, volume, or battery area on the taskbar to open Quick Settings.
- Open the Accessibility flyout.
- Select Live Captions to switch it on.
If Live Captions is not visible in the flyout, use the edit controls in Quick Settings to add the accessibility control, or use one of the other activation paths. Quick Settings is useful when you want a mouse or touch-based control while leaving other settings unchanged.
Recommended Free Tools
Use the Start menu
- Select Start.
- Select All apps.
- Open Accessibility.
- Select Live captions.
This route is useful when you do not remember the shortcut or are working on a device where keyboard shortcuts are restricted.
Use Accessibility settings
- Open Start > Settings.
- Select Accessibility, then Captions.
- Switch on Live Captions.
The Captions page is also the main place to manage caption styles. The Live Captions window itself contains additional controls for placement, language, microphone input, and preferences.
Complete the first-time setup
At first launch, Windows asks for consent to process voice data on the device and requests the language files used for on-device speech recognition. The caption engine cannot recognize a language until its required file is installed.
- Choose a supported language: Select the preferred language during setup. If it is unavailable, choose another language offered by Windows.
- Allow the download: The speech-recognition package is downloaded over the internet. Keep the computer connected until the installation finishes.
- Wait for initialization: The caption bar may take a short time to appear while Windows prepares the local speech model.
- Test with clear audio: Play a short video or spoken recording and confirm that words appear in the caption window.
Windows speech features are not available for every language. A language can be present in the general Windows language list without including the speech-recognition capability required by Live Captions. If the preferred language is not offered, select another available language rather than repeatedly trying to install a display-only language.

| Position | How it behaves | When it is useful |
|---|---|---|
| Above screen | Docks the caption bar at the top and reserves space for it | Viewing video or documents when a fixed top caption area is easier to follow |
| Below screen | Docks the caption bar at the bottom and reserves space for it | Keeping captions near the lower edge while avoiding overlap with the main content |
| Floating/overlaid on screen | Places a movable window over other content | Moving captions away from subtitles, controls, or an important part of an app |
Docked placement changes the available screen area so other applications are not covered. Floating placement can be dragged to a less obstructive location. Resize the window with a mouse, touch, or keyboard when you need more or fewer lines visible at once. A docked bar is generally easier to leave in place during a meeting, while a floating window gives you more control when an application already has subtitles or important controls at the top or bottom.
Change caption size, color, and style
Open the caption-style editor from Live Captions
- In the Live Captions window, select Settings.
- Select Preferences.
- Select Caption style.
Windows opens the Accessibility caption settings. Choose one of the built-in styles from the preview, or select Edit to create a custom style.
Open styles directly in Settings
- Open Start > Settings > Accessibility > Captions.
- Choose a style from the preview.
- Select Edit to adjust the style details.
Use a built-in style when you want a quick, consistent appearance. A custom style is preferable when you need a particular combination of text size, text color, background color, transparency, or window effects for readability. Check the preview after each change, then return to the Live Captions window to judge the result against the content you normally watch. If text blends into a bright video, increase contrast with a darker background or a more visible text color; if the caption area obscures content, try a smaller window or floating placement.
Caption your own microphone speech
Live Captions normally processes device audio. To include speech picked up by your microphone, open Settings > Preferences in the Live Captions window and turn on Include microphone audio. This setting is off by default, so turning on Live Captions alone does not automatically caption what you say.
Verify the input device
- Open Settings > System > Sound.
- Under the input controls, select the microphone you intend to use.
- Speak and check that Windows shows input activity.
Allow microphone access when required
- Open Settings > Privacy & security > Microphone.
- Turn on Let apps access your microphone if it is disabled.
- Return to Live Captions and enable Include microphone audio.
Microphone captioning and device-audio captioning can run together, but Microsoft notes that overlapping speakers may not all appear separately when both sources are active. For a clearer transcript, reduce room noise, speak toward the microphone, and avoid having several people talk at once. If you only need captions for a video or meeting playback, leave microphone audio off to avoid adding nearby conversation to the transcript.
Add or switch caption languages
Current Windows 11 interface
- Open the Live Captions window.
- Select Settings, then Change language.
- Select the language you want and choose Continue.
- If Windows reports that the language file is missing, select Download.
Installed languages are shown in bold in the language list. A non-bold language still needs its speech file before it can be used for captions. Changing the caption language changes the speech model Live Captions uses; it does not change the Windows display language.
Windows 11 version 23H2 and earlier
- Open Live Captions and choose Settings > Caption language > Add a language.
- Open Settings > Time & language > Language & region.
- Under Preferred languages, select Add a language.
- Choose a language that includes speech-recognition support.
- In the language features list, make sure Enhanced speech recognition is selected.
The labels differ between Windows releases, so use the current-interface path when it is available. If a language does not offer speech features, adding its keyboard or display language alone will not make it usable for Live Captions. Speech features are downloaded over the internet, and not every language in Windows includes them.
Understand live translation limits
On a Copilot+ PC running Windows 11 version 24H2 or later, Live Captions can translate live or prerecorded audio from more than 40 languages into English and from 27 languages into Simplified Chinese. These translation language counts apply to that hardware and Windows-version combination; they do not mean every Windows 11 PC can translate every caption language.

On other supported Windows 11 systems, Live Captions still provides captions for available speech-recognition languages, but the newer live-translation capability is not included by the stated eligibility requirements. If translation is the goal, verify both conditions instead of assuming that a PC capable of ordinary captions also supports translation.
Privacy and on-device processing
Microsoft states that processing of audio and generation of captions from detected voice data occur on the device. Audio, voice data, and captions are not sent to the cloud or shared with Microsoft, and generated captions are not stored on the device or in the cloud.
This privacy model explains why Windows needs a local language file and why the first setup can require a download even though the subsequent recognition work is performed locally. It also means caption quality depends on the speech model installed on the PC and on the quality of the incoming audio. The download supplies the recognition files; it does not turn caption processing into a cloud service.
Improve accuracy and responsiveness
Improve microphone recognition
- Reduce background noise and place the microphone close enough to hear speech clearly.
- Speak toward the selected microphone rather than away from it.
- Confirm that the intended input device is selected under Settings > System > Sound.
- When several people are speaking, take turns where possible; overlapping speech may not be separated reliably.
Reduce caption lag or disappearing captions
- Close applications you are not using, especially resource-heavy video-sharing apps.
- Disable unnecessary visual or audio effects that compete for system resources.
- Keep the caption window visible and allow Windows time to initialize the selected language model.
- If recognition stops after changing languages, return to Settings > Change language and confirm that the selected language is installed.
Real-time captioning competes with other workloads. Closing unused applications can help when captions lag, arrive in bursts, or disappear during demanding playback. Clear speech and a properly selected language remain important even on a lightly loaded PC.
Filter profanity
To mask profanity in generated captions, open the Live Captions window, select Settings > Preferences, and turn on Filter profanity. This changes what appears in the caption text; it does not improve speech-recognition accuracy. Turn it off when you need the words reproduced without masking.
Fix “We can’t download the required language files right now”
This message means Windows could not obtain the speech-recognition package needed for the selected language. It commonly appears during first-time setup or when adding a new language.
Check the connection and Store access
- Verify that the PC has working internet access by opening a few ordinary websites or another known online service.
- Try downloading or updating a Microsoft Store app. If Store downloads fail as well, the problem is broader than Live Captions.
- Wait a few minutes and retry the language download, because a temporary service or connection interruption can clear without changing settings.
Do not confuse a successful web connection with successful Store access: an organization or network can allow ordinary browsing while blocking Store downloads. Testing both identifies which type of failure you have.

Deploy the package in a managed environment
Microsoft documents managed deployment options for the matching Store package, including manual installation of its CAB, ZIP, and MSIX contents. If the MSIX file association is missing, an administrator can use PowerShell’s Add-AppxPackage command to install the package. The exact package must match the Windows release and language being deployed; using an unrelated package can leave Live Captions unable to recognize speech.
After an administrator installs the required package, reopen Live Captions, select the language again, and confirm that it appears as installed. If the language remains unavailable, verify that it includes speech-recognition support rather than only display or keyboard resources. Users should not substitute random language packages or change unrelated system settings, because the package must correspond to the Windows release and selected language.
