Yes. Excel can become a searchable file index by using Power Query’s From Folder connector to import file and folder metadata into a worksheet table. You can then filter by name, extension, folder path or modified date, refresh the query when the folder changes, and add links that open the files. This creates a searchable list of files—not a full-text index of the words inside every PDF, Word document or other file.
What Excel can—and cannot—search
Power Query can read a folder and its subfolders, return one row per file, and load that result into Excel. The resulting table is useful for searching metadata such as:
- File name
- File extension or type
- Folder path
- Date modified, when supplied by the connector
- Other columns returned by the folder query
Excel’s table filters and search tools can find rows using those imported fields. For example, you can filter Extension to .pdf, search the Name column for “budget,” and sort Date modified from newest to oldest.

The connector does not, by itself, read and index the full text inside arbitrary documents. A row for contract.pdf tells you that the file exists and where it is; it does not make every word in that PDF searchable in the workbook. Full-text indexing would require a separate extraction process for each file format and is outside this workflow.

When an Excel index is the right tool
Use an Excel index when you need a portable, customizable list rather than a general-purpose search box. It is especially useful when you want to:
- Sort and filter a known collection by several metadata fields.
- Add your own columns, such as owner, project, status or review date.
- Share a curated inventory with people who work in Excel.
- Keep clickable links beside each listed file.
- Refresh a repeatable query instead of rebuilding a list manually.
Choose Windows Search first if your only goal is to locate files on your own PC. Windows indexes configured locations, tracks changes to indexed files and lets File Explorer search that index. An Excel workbook is a refreshed snapshot that you maintain; it is not a continuously updated replacement for the Windows index.
Check your Excel version before starting
Power Query is available across current Excel editions for Windows, Mac and the web, but connector availability, dialogs and menu labels vary by platform and release. Microsoft’s current overview also describes a modern Get Data dialog introduced in Windows Excel version 2510. If your menus differ, look for Get Data, Power Query or a From Folder connector rather than assuming every screenshot or instruction matches your build.

On Windows desktop Excel, the commonly documented path is:
Data > Get Data > From File > From Folder
On other platforms, the same connector may be grouped differently or have limited features. Confirm that your edition can create and refresh a folder query before designing a large index.
Plan the folder scope before importing
The connector includes files in the folder you select and its subfolders. Selecting an entire user profile, drive or shared root can produce a large, noisy list containing caches, application data and files you did not intend to expose.
Choose a deliberate root
Start with a project, department or archive folder that has a clear purpose. If several unrelated folders must be included, consider separate queries or a carefully named parent folder. A smaller scope is easier to review, refresh and share.

Consider privacy and access
The workbook can reveal file names and folder paths to anyone who can open it. Store the index no less securely than the files it describes. If a workbook is shared with people who do not have access to every listed folder, expect some links to fail for them and avoid exposing sensitive names or paths unnecessarily.
Build the searchable index with Power Query
1. Connect to the folder
- Open a new or existing workbook.
- Choose Data > Get Data > From File > From Folder.
- Browse to the root folder you want to index and confirm the selection.
- Inspect the preview of files returned by Power Query.
The folder connector displays files from the selected folder and its subfolders. If the preview includes unrelated material, cancel or continue and add a filter before loading.
2. Filter and shape the results
Power Query opens a table containing the available file metadata. Keep the columns that make the index useful. A practical starting set is:
| Column | Why keep it | Typical use in Excel |
|---|---|---|
| Name | Identifies the file | Search a keyword or exact filename |
| Extension | Separates file types | Show only PDFs, spreadsheets or images |
| Folder Path | Shows the file’s location | Filter by project or department folder |
| Date modified | Shows recency when provided | Sort newest first or find stale files |
| Content | Binary file data used by combination operations | Usually remove it from a metadata index |
Use the filter arrows in Power Query to remove temporary folders, hidden files or unwanted extensions. You can also remove columns that do not help a person identify or classify a file. These transformations are saved as query steps, so they run again whenever the query is refreshed.

- When the preview is correct, choose Close & Load or Close & Load To.
- Select a worksheet table as the destination.
- Place it on a new worksheet unless you have a specific layout already prepared.
Excel creates a table with filter controls in the header row. Rename the table to something descriptive, such as FileIndex, if you plan to reference it in formulas or documentation.
Search and filter the imported files
Find a name or phrase
Open the filter on the Name column and type a search term in its text filter. The table keeps only rows whose imported metadata matches the condition. For a broad search, use Excel’s normal worksheet Find command; for repeatable views, use table filters so the criteria remain visible.
Narrow by file type
Filter Extension to one or more values, such as .pdf or .xlsx. If the extension values include different capitalization or unexpected spaces, clean that column in Power Query before loading.

Search by location and date
Use Folder Path to isolate a project directory, then sort Date modified to find recent work. Date filters such as “in the last month” are useful for review lists, while an ascending sort can expose files that have not changed for a long time.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteAdd classification columns after loading
You can add worksheet columns beside the query table for labels such as Owner, Status or Keep/Archive. Keep in mind that a refresh can resize the query table. Use structured references or place manual annotations in a separate table keyed by a stable path or filename if you need those labels to survive additions and removals reliably.
Refresh the index when the folder changes
Power Query does not continuously synchronize the worksheet with the file system. Refresh it after files are added, removed or renamed.
Manual refresh
- Click any cell in the query result table.
- Choose Data > Refresh All, or use the table’s refresh command when available.
- Wait for the query to finish and review the row count and any errors.
You can also refresh from the Queries & Connections pane. Power Query stores the folder path and transformation steps, then reruns them against the current contents.
Refresh settings and expectations
Excel can be configured to refresh connections when a workbook opens or at an interval, depending on the edition and connection settings. Treat the result as a refreshed snapshot rather than a live index. If another person adds a file immediately after your last refresh, it will not appear until the query runs again.
After a refresh, check for:
- New files that should be present.
- Deleted or renamed files that should no longer appear.
- Unexpected folders caused by selecting too broad a root.
- Errors caused by disconnected drives or inaccessible folders.
Add clickable links to open each file
A metadata index becomes more useful when a result can open the corresponding file. Keep Folder Path and Name in the table, then add a link column.
Use Excel’s link command
Select a cell, choose Insert > Link (or the equivalent context-menu command), and enter the file location. This is practical for a small, hand-maintained list, but it is tedious when the query contains many rows.

Create links with a formula
If the query returns a folder path ending with a separator, a worksheet formula can combine it with the filename:
=HYPERLINK([@[Folder Path]]&[@Name],[@Name])
The exact formula depends on the column names and path format in your workbook. Test one link before filling the formula down. A path copied from a network location, mapped drive or local folder may require a different separator or URL-style prefix.
Understand relative and absolute paths
Excel supports file links that are absolute or relative. When a link path is unspecified, Excel’s default behavior is to treat it as relative to the active workbook. That means a link can stop working if you move the workbook without preserving the expected folder relationship. Test links after moving the workbook, moving the indexed files or sending the workbook to another computer. A path that works for you may not work for someone who lacks the same drive mapping or permissions.
Excel index versus Windows Search
| Need | Excel with Power Query | Windows Search |
|---|---|---|
| Search file names and locations | Yes, after the folder query is loaded and refreshed | Yes, in indexed locations through File Explorer |
| Automatic change tracking | No live synchronization; refresh is required | Tracks changes to files in indexed locations |
| Custom columns and classifications | Strong; add query transformations or workbook columns | Limited to the search and file properties experience |
| Sortable, shareable report | Strong; worksheet tables, filters and charts are available | Not designed as a portable report |
| Clickable file results | Can be added with links, subject to path and access rules | Opens results directly in File Explorer |
| Full text inside arbitrary documents | Not provided by the folder connector alone | Depends on Windows indexing, location settings and supported file handlers |
If you need a maintained inventory with project-specific fields, Excel is the better fit. If you simply want the fastest local search and do not need a custom report, Windows Search is usually simpler because its index is designed to track changes automatically.

The From Folder command is missing
Check your Excel edition and update level. Menu placement and connector support vary between Windows, Mac and web versions. Look under Data for Get Data or Power Query. If the connector is unavailable, you may need a supported desktop edition or an administrator-approved update.
The query lists too many files
The selected root includes all subfolders. Return to Power Query and filter Folder Path, Extension or Name. For a cleaner long-term design, move indexable material into a dedicated root rather than importing an entire drive or user profile.
Files are missing
Confirm that the files are inside the selected folder or one of its subfolders, and that the account running Excel can read them. Refresh the query. For network or removable storage, reconnect the location before refreshing and check whether its path or drive letter changed.

Renamed or deleted files remain in the table
Run a full refresh rather than relying on a stale worksheet view. If the old row remains after a successful refresh, inspect Power Query filters and steps to ensure they are not generating a separate static list.
Links show an error or open the wrong file
Inspect the combined path in the link formula. Check for a missing separator, an incorrect drive letter, a moved workbook or a location the current user cannot access. Test from the same computer and account that will use the workbook.
The workbook is slow or unwieldy
Reduce the scope, filter out irrelevant extensions and remove the binary Content column when you only need metadata. Keep separate indexes for unrelated projects instead of forcing every file into one table. No general index-size limit is established here, so judge performance from your own folder and workbook.
A practical maintenance routine
- Document the indexed root folder in a visible note on the workbook’s cover sheet.
- Record the date of the last successful refresh.
- Refresh after major file moves, imports or cleanup operations.
- Review filters whenever a new file type or subfolder is introduced.
- Test several links after moving the workbook or changing storage locations.
- Restrict workbook sharing to the same audience that should see the listed paths.
This routine keeps the workbook understandable to its next owner and makes stale results easier to identify.
What this setup does not provide
- It does not continuously monitor the file system like an operating-system index.
- It does not automatically search the text of every PDF, Word file, image or compressed archive.
- It does not bypass file permissions; inaccessible folders may fail during refresh or when a link is opened.
- It does not make a relative link portable unless the workbook and target files retain the expected folder relationship.
For content search, use a tool and indexing configuration designed for document text. For ordinary local filename searches, compare the built-in Windows Search experience before committing to workbook maintenance.
