Export a presentation-ready PDF by first freezing the map’s story, extent, projection and visible systems, then using a layout-aware export rather than a browser screenshot. ArcGIS Online Map Viewer can produce a printer-friendly PDF directly through Print → Layout. ArcGIS Pro and QGIS provide stronger control over page geometry, labels, typography and vector output. Whichever route you use, set the page for its real destination, preserve vector text and linework where possible, choose an appropriate raster resolution (300 DPI is a practical print target), and inspect the actual PDF before delivery.

What changes when an interactive map becomes a PDF?

An interactive urban systems map is a set of states: a reader can zoom, switch layers, open pop-ups and move across the geography. A PDF is one fixed composition. It has one extent, one projection, one layer set and one reading distance. Exporting successfully therefore means making editorial decisions before clicking Export, not simply saving whatever is visible in the browser.

Start by deciding what the audience must understand in a single frame. If the point is the relationship between transit and housing, show those systems together and mute unrelated layers. If the point is a citywide comparison, choose an extent that leaves enough room for labels and a legible legend. Record the map date or data version in the page so the static artifact remains interpretable after the interactive map changes.

Choose the export route

Route Directness Layout control Output fidelity Geospatial behavior Best destination
ArcGIS Online Map Viewer Fastest when the map already exists online Template-based controls for title, legend, scale, DPI, north arrow and attribution Depends on the web map and print service; convenient but less editorial control than desktop layout Ordinary printable PDF; behavior depends on the configured print service Quick handouts, reviews and standard pages
ArcGIS Pro Requires a desktop project Strong control over page size, labels, symbology, hierarchy and export settings Can retain vector text and graphics while controlling raster content Suitable for carefully composed map layouts; georeferencing depends on export settings Slides, reports and print production
QGIS Print Layout Requires loading or recreating the map in QGIS Flexible page with map items, text, legends, tables, HTML frames, images, coordinates and scale bars PDF or SVG; vector export is available, although transparency and some effects can rasterize content Can produce georeferenced output and include vector feature information Open workflows, posters and layouts needing fine control
Browser screenshot Very direct Minimal; browser chrome, responsive behavior and pop-ups can interfere Usually raster, with soft labels when enlarged No useful map semantics or georeferencing Quick reference image, not a final cartographic PDF

Use the browser route only when the deliverable is explicitly a screen image. For a slide, report or poster, a layout export gives you control over page geometry, labels, attribution and hierarchy that a screenshot cannot provide.

Freeze the story, extent and audience

  1. Name the purpose. Write a short statement such as “Compare rail access with new housing sites in the inner city.” This determines which systems stay prominent.
  2. Choose the geographic extent. Frame the whole comparison, not merely the last area viewed interactively. Leave enough margin for a title, legend and source line.
  3. Confirm the projection. Use the projection appropriate to the map and audience. Document it when the choice affects distance, area or visual interpretation.
  4. Set the reading distance. A map on a presentation slide is read from farther away than a letter-size handout. Design labels and line weights for the final page or slide size, not for your monitor at 200% zoom.
  5. Turn on only the necessary systems. Interactive layer toggles disappear in a PDF. Make the key comparison visible in one deliberate frame and remove layers that compete with it.
  6. Check dynamic content. Wait for labels, tiles and lazy-loaded images to finish drawing before export. Note any data that is live or time-dependent.

Export directly from ArcGIS Online Map Viewer

ArcGIS Online is the most direct option when the urban systems map is already configured in Map Viewer. Esri describes the workflow as using the Print tool to export a printer-friendly page of the map.

  1. Open the web map in Map Viewer and set the extent, visible layers and layer order for the story.
  2. Open Print, choose Layout, and select the page template that matches the intended output.
  3. Enter a concise title stating the place and theme. Avoid relying on a filename to explain the map.
  4. Review the print-area preview. Confirm that the map frame includes the intended geography and that no important label is clipped.
  5. Set the available map controls: scale, DPI, legend, north arrow, scale bar, author or copyright text and basemap attribution. Keep the legend limited to layers that are actually visible.
  6. Export to PDF and open the resulting file in a PDF viewer. Do not approve it from the preview alone; the exported page can reveal clipping, font substitution or missing symbols.

This route is efficient, but templates constrain editorial choices. If the map needs a custom grid, multiple map frames, carefully placed explanatory text or a publication-specific page, move the web map into a desktop layout.

Build a controlled layout in ArcGIS Pro

ArcGIS Pro is appropriate when labels, symbology and page geometry need deliberate refinement. Bring the web map into a project, establish the page size, and treat the map as one element in a composed page rather than as the entire page.

  1. Create or open a project and add the web map or its layers.
  2. Insert a layout using the required paper or slide dimensions and orientation.
  3. Add the map frame, then set its extent and scale numerically when a reproducible scale matters.
  4. Refine labels and symbology at the final page size. Test collision behavior and make the primary system visually dominant.
  5. Add a title, restrained legend, scale bar, north arrow when orientation matters, source and attribution text, and a date or version line.
  6. In the PDF export settings, leave Output as image unchecked when you want text and vector graphics to remain vectors. Use adaptive compression, compress vector graphics, embed fonts, and set raster content to 300 DPI.
  7. Export, then inspect the PDF at 100% and at the physical output size.

Esri’s tutorial identifies 300 DPI as a practical setting for raster content and notes that resolutions above 300 DPI are not visibly noticeable on ordinary printed documents. A higher value can still increase file size, so use it only when the destination specification requires it.

Create the layout in QGIS

QGIS offers an open desktop workflow when you need a flexible page or want PDF and SVG output. Load the map layers or recreate the web map’s visible state in a QGIS project, then use Project → New Print Layout to create the page.

  1. Set the page size and orientation for the slide, letter/A4 handout or poster.
  2. Add a Map item and set its extent and scale.
  3. Add title and text blocks, a legend, scale bar, coordinates, images, tables or HTML frames as needed.
  4. Make the legend represent only visible systems and use text blocks for source, attribution and date information.
  5. Use the layout’s PDF export. QGIS provides options such as Always export as vectors, geometry simplification, georeferenced output and inclusion of vector feature information.
  6. Check for effects that force rasterization. Transparency and certain rendering effects can turn otherwise vector content into raster output.
  7. Export the complete layout to PDF or SVG, then inspect the file in a viewer.

Vector export keeps text and linework sharp at different zoom levels. It does not guarantee that every basemap tile or transparency effect remains vector; those components may still be rasterized.

Design a hierarchy that survives a static page

Title and subtitle

Use a short title that states both place and theme. A subtitle can identify the date, scenario or comparison. Keep explanatory prose outside the map frame when it would force the map itself to shrink.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Primary and secondary systems

Give the principal system one visual emphasis through color, line weight or opacity. Make secondary systems quieter rather than assigning every layer a saturated color. A reader should know where to look before reading the legend.

Legend discipline

Remove symbols for hidden layers and reorder entries to match the visual reading order. Long category names can consume more space than the map; shorten labels without changing their meaning and explain unavoidable abbreviations in a note.

Orientation, distance and provenance

Add a scale bar when distance matters and a north arrow when orientation is not obvious. Include source or basemap attribution, author or organization information where required, and a date or version line. Attribution that is technically present but unreadable is not useful in a presentation.

PDF settings that protect labels and linework

  • Prefer vectors. Keep text, boundaries and line symbols as vectors whenever the export path allows it. They remain sharp when a reviewer zooms in and generally produce cleaner type than a full-page screenshot.
  • Use 300 DPI for raster content in print-oriented output. This is the practical target identified in Esri’s tutorial. It applies to raster portions, not to vector text that does not have a DPI ceiling.
  • Do not assume more is better. Above 300 DPI, ordinary printed documents may show no visible improvement while file size and processing time increase.
  • Embed fonts when possible. Embedding prevents a recipient’s system from substituting a different typeface. If embedding is unavailable, inspect every text block for changed wrapping.
  • Use adaptive compression and compress vector graphics where offered. These settings reduce unnecessary size while retaining useful detail.
  • Match the page to the destination. A 16:9 slide, a letter/A4 handout and a poster need different proportions and label sizes. Do not export one page and rely on downstream scaling.
  • Keep raster effects intentional. Transparency, shadows and blended basemap treatments can trigger rasterization. Decide whether the visual effect is worth the loss of selectable vector content.

There is no universal font size, bleed, color profile, contrast ratio or accessibility rule that fits every venue. Use the destination’s specification—slide deck, office printer, plotter or journal—and record the choice in production notes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Inspect the actual PDF before delivery

  1. Open every page in a PDF viewer rather than trusting the export dialog.
  2. View the page at its intended slide or print size. A label that looks fine at 400% may be unreadable from the back of a room.
  3. Zoom into labels, line joins, symbols and raster basemap areas.
  4. Verify that fonts are embedded or that substitutions are acceptable and have not changed line wrapping.
  5. Check all page edges for clipping, especially legends, north arrows, scale bars and attribution.
  6. Confirm that the title, date, source and attribution are legible.
  7. If the map will be printed, make a proof on the intended paper size and printer. Check grayscale or color output if the audience may print in either mode.
  8. Keep the final PDF with the map’s data or version note so a later reader can identify what the static frame represents.

Troubleshooting common export failures

Labels disappear or are cut off

Cause: the extent or label placement changed during export, or the page frame is too tight. Fix: set the extent deliberately, add margin around the map frame, inspect at final size, and reduce competing layers before shrinking the type.

The PDF looks soft when enlarged

Cause: the entire page was exported as an image, or raster content was exported at too low a resolution. Fix: in ArcGIS Pro leave Output as image unchecked; in QGIS enable vector export where appropriate; use 300 DPI for raster content and check which effects are forcing rasterization.

The legend contains symbols that are not on the map

Cause: the legend reflects the project’s layer list rather than the visible story. Fix: hide or remove unused legend items and reorder the remaining entries to match the visual hierarchy.

Fonts change on another computer

Cause: fonts were not embedded or the viewer substituted unavailable fonts. Fix: embed fonts during export where supported, then reopen the PDF on a separate system and check wrapping and alignment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Transparent effects or blending look different

Cause: transparency and certain rendering effects can force rasterization or vary between viewers. Fix: simplify the effect, test the exported PDF in the viewer used by the audience, and decide whether the effect is essential.

The page is technically complete but unreadable on a slide

Cause: the layout was designed at monitor zoom or for paper, then placed on a distant screen. Fix: create a slide-sized page, shorten the legend, enlarge essential labels and move explanatory detail into a companion slide or note.

Attribution is missing or illegible

Cause: attribution was clipped, hidden under another element or reduced below practical reading size. Fix: reserve page space for it from the start and inspect the physical output, not just the map frame.

Performance, reliability and file-size decisions

Desktop layout export is usually more predictable than capturing a live browser viewport because the page geometry and visible layers are fixed. Large raster basemaps, many transparent layers and high-resolution imagery increase rendering time and PDF size. Reduce unnecessary layers, avoid exporting hidden content and use compression settings that preserve the required detail.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For repeatable production, save the project, layout dimensions, projection, visible-layer list, export settings and data date. A named layout makes a later revision less error-prone than rebuilding a screenshot. If a map must be updated frequently, keep a small export checklist and compare the new PDF with the previous version for extent, labels, attribution and page count.

Licensing and organizational access differ by route. ArcGIS Online and ArcGIS Pro availability depends on your organization’s accounts and software access; QGIS supplies an open desktop alternative. None of these routes removes the need to comply with the map’s data, basemap and attribution requirements.

Or skip the browser setup

If the map is published as a web page and you need a clean rendered capture, ScreenshotNeo can return a screenshot or PDF from one GET request. It removes cookie or consent banners, newsletter popups and chat widgets before capture, so those overlays do not cover labels. Bot checks, blank pages, timeouts, failed loads and cache hits are not billed, and the response identifies the result with X-Page-Verdict and X-Billed headers.

Frequently Asked Questions

Should I export a PDF or an image for a presentation slide?

Use a PDF when you need selectable text, sharp vector linework, attribution and a reusable page. Use an image only when the slide workflow or destination specifically requires a raster asset.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can a georeferenced PDF replace the interactive map?

No. A georeferenced PDF can preserve spatial reference information for compatible software, but it still represents one fixed extent and layer state; it does not restore web-map zooming, pop-ups or layer toggles.

What should I put in the production notes?

Record the map date or data version, projection, page size, visible systems, export route, raster resolution, font treatment and any effects that were rasterized. This makes a later revision reproducible.

Why does a PDF viewer show different colors from the web map?

Web displays and printers use different rendering pipelines. Test the actual PDF in the viewer and printer used for delivery, and document any destination-specific color or proofing decision.
