Start by defining the blast radius: one client, one access point or switch, one VLAN/SSID, or the entire site. Then test in layers—power and link, IP address and DHCP, VLAN tags, gateway and firewall, DNS, controller reachability, and Wi-Fi radio conditions. This sequence isolates reversible faults before you reset or replace anything.

1. Define the symptom and its scope

Write down what fails, when it started, and what changed immediately beforehand. Useful changes include adding or moving an access point (AP) or switch, editing a port profile, creating a Wi-Fi network, enabling a network override, updating software, or changing DNS. The scope determines where to begin:

What is affected? First suspects Fast comparison
One endpoint Client driver, cable, radio signal, authentication, or lease Test another client on the same port or SSID
One AP or switch Power, uplink, port profile, IP address, or controller path Connect a laptop to the same cable and switch port
One SSID or VLAN VLAN tags, DHCP, gateway, firewall, or DNS Test a wired client in the same VLAN
All clients or the whole site Gateway, upstream Internet service, controller, or common switch path Compare wired and wireless clients on different networks

Ask whether a wired client on the affected VLAN works. If wired access succeeds but a particular SSID fails, concentrate on the AP uplink, SSID VLAN assignment, and wireless authentication. If both wired and wireless clients fail on the same VLAN, inspect its gateway, DHCP service, trunk path, and firewall rather than changing radio settings.

2. Check power, cables, and the physical link

When a UniFi device appears offline

An offline status does not prove that the device has lost power. Look at the device first, then substitute the physical path:

  1. Confirm that the AP, switch, or gateway shows its normal power indication. Interpret LEDs or an LCD using the guide for that exact model; colors are not universal across device families.
  2. Reseat the Ethernet cable at both ends.
  3. Replace it with a known-good patch cable.
  4. Move the device to another switch port, or use another PoE adapter when an injector supplies power.
  5. Check whether the replacement port negotiates a link and delivers PoE.

Ubiquiti’s connectivity guidance describes a device that is blue and flashes off every five seconds as lacking network connectivity, but that pattern should not be generalized to other models. A cable or PoE substitution isolates a physical fault; it cannot repair an incorrect VLAN, a missing DHCP scope, a DNS failure, or a controller configuration.

Use a laptop as a controlled substitute

Unplug the UniFi device and connect a laptop to the same cable and switch port. If the laptop receives no address, or self-assigns an APIPA address such as 169.254.x.x, investigate the link, VLAN, and DHCP path before blaming the UniFi hardware. If the laptop receives a normal address, the cable and port are less likely to be the problem and you can continue with device addressing and adoption checks.

3. Find the device’s address and test controller reachability

Locate the lease

In UniFi Network, open Settings > Networks > IP Leases and look for the device. From a phone connected to the relevant UniFi network, WiFiman Discovery can also show devices. Without a UniFi Gateway, that discovery is limited to the network or VLAN used by the phone, so a result that is empty on one SSID does not prove that the device is absent from every network.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If you know the device’s expected address, try to reach it from a host in the same routed network. An address of 192.168.1.20 can be the device’s fallback state and usually means normal addressing or adoption has not completed. No address at all points toward link, tagging, DHCP, or a powered-down device. An unexpected address can indicate a rogue DHCP server; identify which server issued the lease before changing the UniFi configuration.

It also supports Power over Ethernet (PoE, PoE+, PoE++) for powering devices like IP cameras, VoIP phones, and wireless access points, ensuring fast and reliable network performance.

Check the application path

When the expected address is present, the device still must reach the UniFi Network application. Verify that the device and application can communicate over TCP port 8080. Check local firewall and antivirus rules on a self-hosted server, and verify inter-VLAN routing when the device and application are separated by a firewall. This is a local reachability test—not a reason to expose the port to the public Internet. Follow the adoption method for the deployed console and keep the traffic on trusted internal paths.

Inspect overrides and loops

A network override can place a device on a VLAN that is not carried by its uplink. Review any override on the device and the native network on the switch port. Also look for a switching loop: a recently added cable or unmanaged switch can create broadcast storms, unstable leases, and an application that intermittently loses devices. Remove the suspected redundant link temporarily and observe whether addresses and controller status stabilize.

4. Trace VLAN tags and DHCP when clients get no address

A client can successfully associate with an SSID yet receive no IP address. That symptom commonly means the tagged path between the AP, switches, gateway, and DHCP service is incomplete—not that the password or radio is wrong.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Map every hop

  1. Record the VLAN ID assigned to the SSID or device network.
  2. Inspect the AP’s switch port and confirm that the client VLAN is allowed as a tagged network.
  3. Inspect every intervening switch trunk toward the gateway. The VLAN must be carried on each hop.
  4. Confirm that the gateway has a network interface and DHCP scope for that VLAN.
  5. Verify that the DHCP service is enabled, has free addresses, and is reachable through any relay or firewall policy.
  6. Use the UniFi VLAN Viewer in the Ports tab to compare the configured tags along the path.

Common configuration mistakes

  • Setting the SSID’s client VLAN as the AP’s primary or native network instead of carrying it as a tagged client network.
  • Omitting the client VLAN from an upstream trunk while leaving it enabled on the AP port.
  • Using Network Override for a VLAN that conflicts with the port’s native network.
  • Assigning an override to a VLAN that is not present on an upstream trunk.
  • Creating a DHCP scope on the gateway but blocking DHCP traffic with a firewall rule or an incorrectly configured relay.

Test with a wired laptop placed in the same VLAN. If it also fails to obtain a lease, continue upstream from the access port. If wired DHCP works but wireless clients do not, compare the SSID VLAN ID and the AP’s tagged uplink rather than rebuilding the DHCP scope.

5. Separate DNS failures from loss of connectivity

First distinguish an address and routing problem from name resolution. A client that has a valid address and can reach a local IP but cannot open a hostname has a DNS-path problem. Test a known IP address, then query a hostname. If IP access succeeds and hostname access fails, inspect the DNS server supplied by DHCP, local filtering rules, and the upstream resolver.

Check resolver settings

Ubiquiti’s DNS guidance uses UDP port 53. Custom internal DNS can fail to resolve required ui.com domains, which can make cloud functions or console services appear broken even while local routing works. For a comparison test, use the resolver supplied by the ISP or temporarily test a public resolver such as 1.1.1.1 or 8.8.8.8. Public DNS is a diagnostic comparison, not a universal replacement for an internal resolver that provides local zones, split-horizon records, or filtering.

Apply the change where DNS is actually configured

Deployment Where to inspect
Cloud Gateway UniFi Network > Settings > Internet > DNS Server
Non-gateway console using DHCP The DHCP server or the console’s IP configuration
Self-hosted Network application The host operating system’s resolver and local firewall

When a console receives DNS through DHCP, a changed value may not appear until its lease renews—usually around 24 hours. Power-cycling the console can force an earlier renewal, but do so only after recording the current state and ensuring the shutdown will not interrupt an active configuration change.

6. Fix clients that cannot join Wi-Fi

Verify authentication and software first

  • Re-enter the password and confirm that the client is joining the intended SSID.
  • For enterprise authentication, verify RADIUS reachability, shared settings, and the authentication server’s logs.
  • Update the AP software and the client’s wireless driver or firmware.
  • Confirm that the AP has a working uplink and that the SSID’s VLAN is carried upstream.

Ubiquiti recommends a signal better than -70 dBm in its unable-to-connect checklist. A client below that level may fail before authentication completes, especially at the edge of coverage.

Use compatibility tests for older and IoT devices

  1. Temporarily test the default Wi-Fi settings on a dedicated test SSID.
  2. Disable Fast Roaming when an older client does not support 802.11r.
  3. Reduce the minimum data rate only if the affected device requires it.
  4. Broadcast the band the client supports. Many legacy IoT devices support 2.4 GHz but not 5 GHz.
  5. For an isolated IoT SSID, test WPA2 when WPA3 causes association failures. Protected management frames can also be incompatible with some clients.

Keep any weaker compatibility setting confined to a dedicated network with appropriate isolation. Do not weaken the primary network merely to accommodate one device, and restore the stronger setting when the test is complete.

7. Diagnose weak signal, roaming, and slow Wi-Fi

Use the UniFi client and radio views to inspect signal, airtime utilization, retries, channel overlap, and interference. The following thresholds are operational guidance published by Ubiquiti, not independent performance measurements:

Received signal Ubiquiti guidance What to investigate
Above -60 dBm Excellent Look elsewhere if performance is poor: retries, airtime, DNS, or the uplink
-60 to -70 dBm Acceptable Usually usable; watch retries and channel utilization
-70 to -75 dBm Clients should begin to roam Check AP placement, transmit power, and roaming behavior
Below -80 dBm Likely instability or drops Move the client or add coverage after confirming the wired path

High utilization with good signal indicates contention rather than coverage. Many retries or overlapping channels point toward interference or channel planning. A client that drops only while moving between APs warrants roaming and minimum-data-rate checks; a client that drops while stationary may have interference, a failing radio, or an upstream link problem.

WiFi Agent eligibility

When available, WiFi Agent provides a first-pass diagnostic for categories such as an ISP disruption, outdated or offline APs, WPA3-only compatibility, manually selected channels, and MLO compatibility with older clients. Ubiquiti lists these conditions for the shortcut: UniFi Network 9.1 or later, an owner or administrator role, direct access while connected to UniFi Wi-Fi, at least one and no more than five APs, and remote access enabled. Feature eligibility and menu behavior can change with software releases, so confirm them in the deployed version before relying on the shortcut.

8. Manage UniFi during an Internet outage

Cloud access and local management are separate paths. If the WAN is down but the LAN and console are operating, connect a laptop or phone to the local network and open the console by its local IP address. Ubiquiti also documents unifi/ when a UniFi Gateway is present on the network. WiFiman Discovery can help locate the instance, and the mobile app can list local instances.

For self-hosted Network Servers, the documented local management port is 8443; other listed console types use 443. Use the current local credentials and the workflow appropriate to the console model. If the local IP does not respond, return to the physical link, address, VLAN, and host-firewall checks rather than assuming that the WAN outage caused a controller failure.

9. Escalate without destroying the configuration

Collect evidence before resetting

  • Record the device model, current LED or LCD state, MAC address, and last known IP.
  • Capture the AP or switch port, native network, tagged VLANs, and any Network Override.
  • Note whether a substitute laptop receives a lease on the same cable and port.
  • Save configuration backups and available logs or support data.
  • Write down the exact change that preceded the failure and the time it occurred.

When a reset is justified

Factory reset and readoption are late steps in Ubiquiti’s device-connectivity workflow. Consider them only after the device has power, the physical path has been substituted, the address and VLAN are known, and the application reachability test has failed or the configuration is demonstrably corrupt. Confirm that you can restore the intended settings and that a reset will not remove the only local management path.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If substitution shows a bad cable, switch port, or PoE adapter, isolate the failed component and replace that component rather than resetting a healthy AP. When the evidence points to hardware failure after those substitutions, use the applicable vendor warranty or support process.

Practical fault-domain checklist

Symptom Do first Avoid doing first
Device shows offline Check power, substitute cable/port/PoE, find its lease, test controller reachability Factory-resetting without recording the address and port path
Wi-Fi associates but has no IP Trace the SSID VLAN through every AP and switch trunk to DHCP Changing the password repeatedly
IP works but names fail Test DNS on UDP 53 and compare the configured resolver Rebuilding VLANs or replacing APs
One client cannot join Check password, driver, band, signal, and authentication logs Changing site-wide radio settings before testing a dedicated SSID
Slow or dropping Wi-Fi Inspect signal, retries, airtime, interference, and channel overlap Assuming an Internet outage from a single client’s symptoms
WAN is down but LAN is up Use the console’s local IP, unifi/, or local discovery Waiting for cloud access to return before checking local state

What to keep for future incidents

Maintain a simple map showing each AP and switch, its uplink, native network, tagged VLANs, management address, and PoE source. Keep a known-good patch cable available; it is an inexpensive isolation tool, not a cure for configuration faults. Document which DHCP server owns each VLAN and where DNS is configured. This turns the next outage from a guessing exercise into a short sequence of link, lease, tag, route, resolver, and radio checks.
