You can usually move a qualifying, one-time-purchase Office 2021 license to another computer that you own. Install it on the replacement PC through the Microsoft account linked to the purchase, activate it when prompted, and remove Office from the old computer. Microsoft generally limits transfers to once every 90 days, except when the old computer has failed because of a hardware problem.

First, confirm that your Office 2021 license is transferable

The normal transfer process applies to a retail, one-time-purchase copy of Office 2021 that is associated with your Microsoft account. It does not automatically apply to every product that contains the word Office 2021. Edition, purchase channel, and ownership determine which instructions you should follow.

Before uninstalling anything, identify exactly what you bought and how it was delivered. A retail key redeemed to your personal Microsoft account is handled differently from a volume license supplied by an employer, a Workplace Discount Program purchase, a third-party listing, or Office that arrived preinstalled on a computer. The product name shown in Word or Excel, the purchase confirmation, and the account that redeemed the key are all useful clues.

Licenses that normally follow the consumer transfer process

Microsoft identifies Office Home & Business, Office Home & Student, and Office Home one-time purchases as products installed on only one PC or Mac at a time. A qualifying Office 2021 license can generally be moved to another computer belonging to you, subject to Microsoft’s transfer conditions.

  • [Ideal for One Person] — With a one-time purchase of Microsoft Office Home & Business 2024, you can create, organize, and get things done.

  • [Desktop Only & Customer Support] — To install and use on one PC or Mac, on desktop only. Microsoft 365 has your back with readily available technical support through chat or phone.

“One-time purchase” describes the licensing model, not a promise of unlimited devices. The transfer is a replacement installation: the new computer takes the place of the old one. It does not create a second entitlement for a family member, a spare computer, or a work machine.

Licenses that may require different instructions

How Office was obtained What to do before transferring
Retail one-time purchase linked to your Microsoft account Use the account dashboard to reinstall the owned product on the replacement PC.
Product key already redeemed Do not try to redeem the key again. Sign in with the Microsoft account that received the redemption.
Office preinstalled on the original PC with no product key Check whether the product is a Microsoft Store edition. Some such products must be reinstalled from the Store app’s Library.
Workplace Discount Program purchase Confirm the program’s license terms and use the account or support route provided for that purchase.
Office Professional Plus, Office Standard, or another volume-license product Ask the organization’s IT administrator. Volume licenses can use organization-managed installation and activation.
Office bought from a third party Verify the edition, entitlement, and account association with Microsoft before uninstalling the old copy.

If your employer or school supplied Office, do not assume that the consumer account procedure applies. The organization may control activation, the number of devices, and the installation media.

What Microsoft’s transfer rule allows

Microsoft’s transfer guidance allows an Office 2021 license to move to another computer that belongs to the license owner generally no more than once every 90 days. A hardware failure is an explicit exception, so you may be able to move the license sooner when the old PC has stopped working because of failed hardware.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • The transfer replaces the old installation; it is not permission to keep Office active on both computers.
  • Remove Office from the previous computer after moving the license.
  • Do not retain a usable copy on the old machine or keep an additional installation elsewhere.
  • The 90-day period is a license condition, not a guarantee that every activation prompt will resolve automatically.

Microsoft’s general installation guidance describes a one-time-purchase version as licensed for one install. Read together with the transfer page, that means one active installation at a time: installing on the new PC takes the place of installing on the old PC. If you replace computers frequently, record the date of each transfer so you do not accidentally attempt another ordinary move inside the 90-day window.

Prepare both computers before you start

On the old computer

  • Record the Microsoft account used when Office was purchased or first set up.
  • Check the exact Office edition in an Office app, such as Word or Excel, so you do not install a different product by mistake.
  • Save documents and templates separately. Uninstalling Office does not delete ordinary documents, but you should still maintain a backup.
  • If the old PC has failed, gather purchase records, the account email address, and any product information that identifies the entitlement.
  • Note whether Office was activated with a key, through the Store, or by an organization. That detail determines which installer and support route are appropriate.

On the new computer

  • Sign in to Windows with an account that can install software and connect the PC to the internet.
  • Remove trial or preinstalled Office components that could conflict with the edition you own, unless Microsoft’s Store instructions specifically tell you to keep them.
  • Have access to the Microsoft account originally associated with Office. A different account will not normally display the redeemed product.
  • Keep the purchase confirmation, redemption email, and any error message available. They can help Microsoft distinguish a missing account association from an activation-limit issue.

Do not buy or redeem another key merely because the original key is not in front of you. Once a key has been redeemed, Microsoft says the account association, rather than the printed key, is used for later installations. A second purchase will not transfer or reactivate the first license.

Transfer a normal account-linked Office 2021 purchase

1. Identify the account and owned product

  1. Open the Microsoft account dashboard on the new PC.
  2. Sign in with the account used for the original Office purchase or setup.
  3. Find the owned Office 2021 product in the account’s services or subscriptions area.
  4. Check that the listed edition matches the license you intend to move. Do not select a trial, a different Office family, or an organization-managed product.

If the product is not listed, stop before installing a replacement. Try the other Microsoft accounts you may have used when redeeming the key, and check the purchase confirmation or setup email for the account address. The absence of a key in your files is not, by itself, evidence that the license is gone; a redeemed key is normally represented by the account entitlement.

2. Start the installation on the new PC

  1. Choose Install for the owned Office product in the account dashboard.
  2. Download and run the installer that Microsoft provides.
  3. Allow the installer to complete, then open Word, Excel, or another included application.
  4. Accept the license terms when Office asks.

Microsoft’s installation guidance says that Office often activates when an app is first launched. The first launch may also display an Activation Wizard. Follow the edition and account information shown there rather than entering an unrelated product key. If the installer offers several products, compare the name with the entitlement in your account before proceeding.

3. Complete activation for a different device

For a transfer covered by the Office license terms, Microsoft’s different-device activation guidance directs users to the telephone activation procedure when the Activation Wizard presents it. Select the telephone option if it appears and follow the wizard’s instructions exactly. Keep the new PC connected to the internet unless the wizard tells you otherwise, and do not close the activation window while it is generating or verifying the installation information.

An activation prompt can indicate several different conditions: the wrong edition was installed, the old installation is still active, the transfer interval has not elapsed, or Microsoft needs additional verification. The prompt itself does not prove that the license is invalid. Write down the exact wording, the edition displayed in the app, and whether the old PC is still usable before contacting support.

4. Remove Office from the old PC

  1. On the old computer, open Windows Settings and use the installed-apps list to find the Office product.
  2. Choose the uninstall command for that Office installation.
  3. Restart the computer if Windows requests it.
  4. Do not leave a second usable Office installation or retained activation on the old machine.

If the old PC is working, uninstalling it after the new installation is part of Microsoft’s transfer requirement. If the old PC failed, you cannot perform the uninstall; retain evidence of the hardware failure and use Microsoft’s activation support path if the new installation is challenged.

Use the Microsoft Store route for certain preinstalled copies

Some Office products that arrived with a PC have no product key and can activate without a Microsoft account. Microsoft says that certain preinstalled Office 2021 products of this type must be reinstalled through the Microsoft Store app rather than through the standard account-linked installer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open the Microsoft Store app on the replacement PC.
  2. Open Library.
  3. Locate the Office product associated with the PC or Store entitlement.
  4. Choose the cloud download button for that product.
  5. Follow the installer and launch an Office app to complete activation.

This is a special route, not a replacement for the normal retail process. If your Office purchase was a redeemed retail key, use the Microsoft account that owns it. If the preinstalled product does not appear in the Store Library, verify the edition and ownership before trying another installer. A Store entitlement and a retail account entitlement should not be mixed simply because both are labeled Office 2021.

What to do when activation fails

“Product key already used”

Microsoft uses this message when a key has already been redeemed. It normally means the key is attached to a Microsoft account, not that you need a second key. Sign in to the account used for the original redemption and install the product from that account’s Office page. Entering the same key repeatedly will not create another entitlement.

You have reached the maximum number of activations

First confirm that the new PC has the same Office edition as the owned product. Then make sure the old installation has been removed. If the transfer is within the normal 90-day interval, activation may require Microsoft’s telephone procedure or support review. The exact message, edition, purchase channel, and account association determine the next step; there is no single reset procedure that applies to every Office 2021 license.

The product is missing from the account

Sign out and test the Microsoft accounts that could have been used at purchase or setup. Search purchase confirmations and redemption messages for the account address. Do not redeem a new key until you know whether the original entitlement is attached to another account. If a third-party seller supplied the key, confirm that the seller provided a legitimate edition and that Microsoft recognizes its entitlement.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The old computer died before you could uninstall Office

Hardware failure is the stated exception to Microsoft’s 90-day transfer interval. Keep the purchase information and account details available, install the matching edition on the replacement PC, and follow the Activation Wizard’s telephone instructions if they appear. If activation still fails, use Microsoft’s activation support process and explain that the prior computer failed. The exception permits an earlier transfer; it does not change the requirement to use the correct edition or account.

You can no longer access the Microsoft account

Use Microsoft’s account-recovery process before attempting a new purchase. The available recovery result depends on the account information you can verify; Microsoft’s installation guidance does not promise a universal recovery outcome. Do not assume that possessing a product key alone will restore an entitlement that was already redeemed.

Moving Office to another person is different

Replacing your own computer is not the same as giving the license to someone else. Microsoft describes an ownership-transfer route specific to the European Economic Area. It requires contacting customer support, verifying identity and license rights, providing the recipient’s email address, and having Microsoft cancel the original entitlement before the new licensee receives instructions.

Do not treat that EEA procedure as a general worldwide resale process. Outside the circumstances Microsoft specifies, a consumer transfer normally means moving the license between computers that belong to the same licensee. You cannot use the ordinary “new PC” steps to leave your copy installed for a buyer while also continuing to use it yourself.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If you need a replacement license

If the original entitlement cannot be recovered or your edition is not transferable, you may decide to purchase a separate one-time-purchase edition such as Microsoft Office Home & Business 2021. Treat that as a new license, not a way to transfer or reactivate the old one. Check the seller, edition, delivery method, and Microsoft account association carefully. Current prices, availability, and seller legitimacy vary, so confirm those details at the time of purchase rather than relying on an old listing.

Choose the correct route at a glance

Your situation Correct next action What not to do
You own a retail Office 2021 license and the key was redeemed Sign in to the associated Microsoft account, choose Install, activate on the new PC, then remove Office from the old PC. Do not redeem the key again.
You are replacing a working PC within the normal transfer period Move the installation and observe the 90-day rule. Do not keep both installations active.
The old PC failed because of hardware trouble Use the hardware-failure exception and follow telephone activation or support instructions. Do not wait for the old machine to become usable before seeking activation help.
Office came preinstalled with no key Check the Microsoft Store Library route and the exact preinstalled edition. Do not assume the retail key workflow applies.
Office belongs to a workplace or school Ask the organization’s IT administrator for its installation and activation procedure. Do not apply consumer transfer rules without authorization.
You want to give Office to another person Check whether Microsoft’s EEA ownership-transfer process applies. Do not describe a personal device replacement as a general resale.

Frequently asked questions

Can I transfer Office 2021 to a new computer I own?

Usually, yes, for a qualifying one-time-purchase edition. Microsoft generally allows the move no more than once every 90 days, except when hardware failure requires an earlier transfer. Remove Office from the old computer and keep no usable copy there.

Do I need the original product key?

Not usually if the key was already redeemed. Sign in to the Microsoft account that received the redemption and install the listed product. The redeemed key does not normally need to be entered again.

Can I use Office on both computers after transferring?

No. Microsoft’s one-time-purchase guidance describes one install, and the transfer guidance requires removing the prior installation. The new installation replaces the old one rather than adding a concurrent device.

What if I moved Office less than 90 days ago?

An ordinary replacement may be outside the permitted interval. If the earlier computer suffered hardware failure, that is an explicit exception. Otherwise, follow the Activation Wizard and contact Microsoft if it directs you to telephone activation or support.

Why is Office not shown in my Microsoft account?

You may be signed into the wrong account, or the product may be a Store, organization-managed, or third-party entitlement. Check purchase and redemption messages, try the accounts used at setup, and verify the edition before buying another key.

Can I transfer Office 2021 to a friend?

That is an ownership transfer, not a device replacement. Microsoft documents a specific EEA process involving support, identity and rights checks, the recipient’s email address, cancellation of the original entitlement, and instructions for the new licensee. Do not assume that process applies worldwide.

Frequently Asked Questions

Can I transfer Office 2021 to a new computer I own?

Usually, yes, for a qualifying one-time-purchase edition. Microsoft generally limits moves to once every 90 days, except when hardware failure requires an earlier transfer. Remove Office from the old computer.

Do I need the original product key?

Not usually after redemption. Sign in to the Microsoft account associated with the key and install the owned product from that account.

Can I keep Office installed on both PCs?

No. The transfer replaces the old installation. Microsoft requires removal of the prior copy and does not grant concurrent use on both computers.

What does “product key already used” mean?

It normally means the key has already been redeemed and is linked to a Microsoft account. Use that account rather than entering the key again.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What if my old PC failed before I uninstalled Office?

Hardware failure is an exception to the 90-day interval. Install the matching edition, follow telephone activation instructions if shown, and contact Microsoft support if needed.

Can I give my Office 2021 license to someone else?

That is an ownership transfer, not a personal device replacement. Microsoft documents a specific EEA process requiring support verification and cancellation of the original entitlement.

The Bottom Line

For a qualifying retail Office 2021 purchase, sign in to the Microsoft account that owns the product, install the matching edition on your replacement PC, complete activation, and remove Office from the old computer. Observe Microsoft’s 90-day transfer condition unless hardware failure applies. Preinstalled no-key editions, workplace licenses, and ownership transfers require their own Microsoft-approved routes.
