Train employees to use only approved AI tools, keep confidential and regulated information out of prompts unless policy explicitly permits it, check generated output against reliable sources, and escalate high-impact uses to an accountable reviewer. A short introductory lesson can establish the basics, but safe use requires role-specific practice, a usable policy, clear ownership, and refreshers when tools or rules change.

What “safe use” training needs to achieve

Generative AI can draft text, summarize documents, create code, analyze information and support brainstorming. The same capabilities can expose confidential data, produce convincing errors or influence decisions that require human accountability. Training therefore has to change day-to-day behavior, not merely explain what generative AI is.

The NIST AI RMF Core states in Govern 2.2: “The organization’s personnel and partners receive AI risk management training to enable them to perform their duties and responsibilities consistent with related policies, procedures, and agreements.” That places training inside a wider governance system: employees need rules, approved tools, defined responsibilities and a way to obtain help.

NIST’s Generative AI Profile (NIST AI 600-1), published July 26, 2024, is a voluntary, cross-sector companion to the AI Risk Management Framework. It suggests actions for governing, mapping, measuring and managing generative-AI risks; it does not prescribe one course length, sequence or retraining interval. The associated AI RMF Playbook is also voluntary guidance, not a legal compliance checklist.

Start with the organization, not a generic course

Before writing slides or assigning a module, identify where employees encounter generative AI and what could go wrong in each use. This produces training that matches actual tools and duties.

1. Inventory tools and use cases

List organization-provided assistants, approved third-party services, browser features, code tools and any workflow that can send information to an external model. Include informal use: employees may paste text into a public chatbot even when no official tool has been deployed.

  • Record the tool name, account type, administrator and permitted users.
  • Document what data the tool is allowed to receive and whether prompts or outputs are stored, reviewed or used for model improvement under the applicable terms and settings.
  • List the tasks employees actually perform, such as drafting, translation, coding, research, customer replies, résumé screening or financial analysis.
  • Identify an owner for each tool who can answer questions and change access when requirements change.

Do not assume that all providers handle prompts, files or retention in the same way. Verify the terms and configuration of every approved service and put the result in the organization’s guidance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Classify roles and consequences

Group employees by the decisions they influence and the information they handle. A marketing employee brainstorming headlines does not face the same consequences as a clinician, recruiter, engineer or analyst preparing material for a regulated decision.

  • Low-impact assistance: brainstorming, formatting or rewriting non-confidential material, subject to review.
  • Operational work: summaries, customer communications, internal analysis or code that can affect service quality, cost or reputation.
  • High-impact work: tasks involving safety, rights, employment, credit, health, legal advice, security, regulated reporting or material financial decisions.

The organization must define the boundaries for its own sector and jurisdictions. This classification is a practical way to apply risk-management principles, not a universal legal categorization.

3. Map rules to observable behavior

Turn policy language into instructions employees can follow under time pressure. For each use case, specify:

NIST’s Govern Playbook guidance for Govern 2.2 encourages organizations to integrate suitable curricula into enterprise learning requirements and keep personnel aware of risk goals, their roles, policy, applicable law and industry norms. Adapt that guidance to your organization rather than presenting it as a mandatory NIST curriculum.

The core curriculum employees need

Policy, approved tools and accountability

Open with the rules employees will use most often. Show the exact location of the policy, the approved-tool list and the contact or queue for questions. Explain that an AI output does not transfer responsibility to the tool or its provider: the employee and the designated reviewer remain accountable for the work product.

Use short examples that distinguish permitted from prohibited behavior. For example, a worker might use an approved service to rewrite a public announcement, but need authorization before uploading an unreleased product plan. The exact answer depends on your policy and the tool’s configuration; the exercise is to teach employees how to look it up.

Data handling and prompt hygiene

Employees should pause before entering any information and check its classification. Training should cover confidential business information, personal data, customer records, employee records, credentials, security details, unreleased research and material covered by contract or professional secrecy.

  • Remove names, account numbers, identifiers and unnecessary details when a task can be completed with a de-identified example.
  • Never paste passwords, access tokens, private keys or other authentication secrets into a prompt.
  • Do not upload a complete customer, patient, employee or case file when a small, approved excerpt is sufficient.
  • Check whether attachments, conversation history, plug-ins or connected applications create additional disclosure paths.
  • Use the organization’s approved workspace and account; do not bypass controls by switching to a personal account.
  • Follow the retention, deletion and records-management rules that apply to the source material and the resulting output.

These are training controls, not a claim that every service treats data identically. The approved-tool owner must document the relevant settings and terms, and policy must identify information that may never be submitted.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Recognizing common output risks

Generative models can produce fluent text that is inaccurate, incomplete, biased, outdated, improperly attributed or unsuitable for the audience. Employees should learn to treat an output as a draft or proposal until it has passed the checks required for the task.

  • Fabricated facts or sources: a citation, quotation, case number or product specification may look plausible but not exist.
  • Arithmetic and logic errors: totals, dates, percentages, code behavior and causal explanations can be wrong even when the prose sounds confident.
  • Missing context: a summary can omit exceptions, qualifications, dissenting views or conditions in the original material.
  • Bias or inappropriate generalization: wording may disadvantage a group or infer sensitive traits without a valid basis.
  • Confidentiality leakage: a response can reproduce information from the prompt or connected files that the recipient is not authorized to see.
  • Unsafe instructions: generated code, operational steps or advice can create security, safety or compliance risks.

Verifying before use or sharing

Microsoft Learn’s beginner module “Prepare to use generative AI at work” lists six units and a duration of 31 minutes on the retrieved page (accessed in 2026). Its stated objective is to “Recognize common AI risks and verify AI-generated content before you use or share it.” That objective is useful as an introduction, not a guarantee that errors will be eliminated.

Teach a repeatable review process and require employees to use the level of checking appropriate to the consequence of an error:

  1. Define the claim or action. Identify exactly what the output is asserting, calculating or recommending.
  2. Trace important facts. Check names, dates, numbers, quotations, links and technical details against the original record or an authoritative source.
  3. Compare with the source material. For a summary, read the relevant sections of the original document and look for omitted conditions, exceptions or contrary evidence.
  4. Test calculations and code. Recalculate figures independently, run code in a controlled environment and inspect dependencies, permissions and security implications.
  5. Review people-related effects. Check for discriminatory assumptions, unsupported inferences, inappropriate tone and disclosure of information to an unauthorized audience.
  6. Record approval where required. For high-impact work, retain the source references, reviewer identity and any changes made before publication or decision use.

Role-specific boundaries and escalation

Employees need a clear stop rule. A practical policy can require escalation when an output could affect a person’s rights, employment, access to services, safety, privacy, legal position or significant financial interest; when source evidence is unavailable; or when the tool behaves unexpectedly.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Give each role a short decision card with examples, prohibited uses and the accountable reviewer. A reviewer should have the authority and subject knowledge to reject, revise or defer the output. “A human looked at it” is not enough if the person lacks the context to assess it.

Build practice into the training

Use realistic scenarios

Scenarios should use the tools, files and deadlines employees recognize. Include both a safe path and a tempting unsafe shortcut.

  • A sales employee asks an approved tool to rewrite a public product description, then checks every performance claim against the approved specification.
  • An analyst receives a request to summarize a customer spreadsheet and must decide whether the data can be uploaded, de-identified or handled manually.
  • A developer receives generated code that appears to fix a vulnerability and must test it, inspect dependencies and obtain a security review before deployment.
  • A manager asks for a ranking of applicants and must stop if the proposed use conflicts with policy or requires an accountable, qualified assessment.

Require a short knowledge check

Questions should test decisions rather than vocabulary: Which tool is approved? What may be entered? Which source verifies this claim? Who must review the result? What is the reporting route after an accidental disclosure? Let employees explain why an answer is safe or unsafe, not just select a definition.

Provide a reporting and recovery path

Make it safe to report mistakes quickly. The process should state whom to contact for an accidental prompt disclosure, a harmful or biased output, a suspicious link or code sample, an incorrect customer response, or an unexpected tool behavior. Tell employees what information to preserve, such as the time, tool, conversation or file identifier, and what not to forward if it contains sensitive data.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Training should emphasize prompt reporting rather than blame. The response team can then assess containment, notification, correction, access changes and policy updates under the organization’s existing incident procedures.

Choose a delivery format deliberately

Self-paced learning scales well; facilitated practice gives teams a chance to ask questions about their own workflows. The sources do not establish that one format is universally more effective, so select a combination based on risk, workforce distribution and available support.

Approach Strengths Limitations Best use
Self-paced module Consistent baseline, easy assignment and completion tracking, suitable for large or distributed workforces May not address company tools, data classifications or ambiguous cases; limited opportunity for questions Foundational awareness before role-specific instruction
Facilitated workshop Teams can work through real cases, compare interpretations and ask an accountable expert Requires scheduling, skilled facilitation and carefully controlled examples Higher-risk roles, new deployments and policy changes
Blended program Combines a common baseline with practice and local guidance Needs coordination between learning, IT, security and business owners Organizations with varied roles and tool access

A short module can be the first gate, not the entire program. The Microsoft Learn example is explicitly beginner-oriented and focused on Microsoft’s workplace-AI context; do not assume it covers your organization’s tools, data rules, sector obligations or escalation process.

Short introductory course versus organization-specific training

Criterion Short introductory course Organization-specific program
Audience Broad workforce needing common concepts Defined roles, teams and partners with different duties
Tool coverage Usually centered on the course provider’s examples or platform Names the tools, accounts, settings and integrations actually approved
Data rules General sensitive-data protection principles Maps the organization’s classifications, retention rules, contracts and prohibited data
Practice Knowledge checks or generic examples Realistic cases, role-specific review steps and escalation exercises
Assessment Completion and a short quiz Evidence that employees can make the required decisions and document review
Maintenance Depends on the provider’s updates Owned by the organization and updated when policy, tools or risks change
Evidence of fit Course objectives and completion record Mapped learning objectives, scenario results, reports and review records

Use the short course to establish a vocabulary and baseline, then close the gaps with your own policy, examples and support channels. If the introductory module changes its duration, unit count or content, update your training record rather than treating the metadata as permanent.

Implement the program step by step

  1. Assign ownership. Name a business sponsor and working group spanning learning or HR, security, privacy, IT, legal or compliance where applicable, and representatives of high-impact teams.
  2. Inventory and classify. Document tools, data flows, use cases, roles and consequences. Mark unknowns for resolution before approval.
  3. Publish a usable policy. Include approved tools, prohibited data, permitted uses, review requirements, escalation contacts and the location of current guidance.
  4. Write role learning objectives. For each role, state what the employee must be able to decide, check, document and report.
  5. Create scenarios and job aids. Use sanitized examples that reflect actual work. Provide a one-page checklist or decision tree employees can consult while working.
  6. Deliver the baseline. Assign an introductory module or internal lesson, then require the relevant role session before granting access to higher-risk tools or workflows.
  7. Assess capability. Use scenario questions, practical demonstrations or reviewed work samples. Completion alone does not show that an employee can apply the policy.
  8. Connect training to controls. Align access approvals, logging, review gates and incident reporting with the behaviors taught. A rule that cannot be followed in the workflow will be ignored or bypassed.
  9. Review and update. Revisit content when a tool, model capability, integration, policy, contract or risk changes. NIST guidance supports ongoing awareness but does not specify a universal refresher schedule; set a cadence appropriate to your change rate and risk.

What managers and reviewers should reinforce

  • Ask employees to show the source behind a material claim, not merely state that an AI tool produced it.
  • Require a named reviewer for work that affects people, safety, privacy, rights, regulated obligations or significant money.
  • Do not reward speed when it comes from skipping data checks or review gates.
  • Capture recurring failure modes and feed them into scenarios, tool configuration and policy updates.
  • Make it easy to ask a question before submission; uncertainty should trigger consultation, not experimentation with sensitive data.

Leaders should also model the behavior. If a manager forwards an unverified generated summary or asks staff to use an unapproved account, a well-written course will not overcome that signal.

How to evaluate whether training is working

Track evidence that matches the objectives, while avoiding claims that training alone prevents incidents or guarantees compliance. Useful measures include:

  • Completion by role, tool and required deadline.
  • Scenario performance on data classification, verification and escalation decisions.
  • Quality of review records, such as cited sources, independent calculations or documented approvals.
  • Questions and incident reports, categorized by recurring misunderstanding rather than treated only as failures.
  • Time between a policy or tool change and the corresponding update to learning materials.
  • Access or workflow exceptions that reveal a mismatch between policy and practical work.

These indicators help owners improve the system; they are not a published benchmark or proof of a particular training design’s effectiveness.

Legal and standards boundaries

NIST’s framework and Playbook are voluntary. They can help an organization structure governance and training, but they do not replace laws, contracts, professional duties, records rules or sector-specific requirements. Applicable obligations vary by jurisdiction, industry, data type and use case. Have the responsible legal, privacy, security or compliance function determine what applies.

Likewise, a certificate or completed module does not make an AI use lawful, accurate or approved. Keep the policy, tool configuration, accountable reviewer and incident process in place alongside training. The NIST AI RMF 1.0 material identifies a revision in progress, so check the official pages when citing a version or planning an update.

A practical checklist for employees

  • Am I using an approved tool and account for this task?
  • Does the prompt or attachment contain confidential, personal, regulated or proprietary information?
  • Can I remove identifiers or use a smaller, synthetic example?
  • What claims, calculations, code or recommendations must I verify?
  • Which original records or authoritative sources will I check?
  • Could this output affect a person’s rights, safety, privacy, employment, finances or access to services?
  • Who is the accountable reviewer, and what evidence must I retain?
  • Where do I report an accidental disclosure, harmful output or unexpected behavior?

Employees who cannot answer one of these questions should pause and ask the designated owner before proceeding. That pause is the behavior the training is meant to make routine.
