The most maintainable game tracker needs only four core fields: the game, where you can play it, its current status, and (when you care about history) the date of a playthrough or completion. Start with those fields, then add session time, ratings, or notes only when they help you make a decision or remember something specific. You can manage this in a dedicated tracker such as Backloggd or Grouvee, or in a spreadsheet that you control.
Decide what you actually want to remember
“Backlog” and “play history” describe related but different information. A backlog answers, “What do I still intend to play?” A play history answers, “What have I played, when, and possibly how?” Mixing the two in one undifferentiated list makes it difficult to see what deserves your next session.
Backlog data
Backlog data is a forward-looking queue. It normally includes games you own, can access through a subscription, or have deliberately marked as future candidates. A useful status set is:

- Playing: it is an active game in your current rotation.
- Played: you consider the relevant playthrough finished, whether that means the credits, a personal stopping point, or a completed goal.
- Wishlist: you are interested but do not currently treat it as available to play.
Play-history data
Play-history data is retrospective. It can be as simple as a completion date, or as detailed as separate playthroughs, daily sessions, duration, ratings, and notes. A single game may have several legitimate history records: a first playthrough, a replay years later, a co-op run, or a new save after previously abandoning it.

Choose a stopping definition
Before entering dozens of games, decide what “played” means for you. You might use “finished the main story,” “played at least one session,” “reached my personal stopping point,” or “completed every achievement.” Write that rule in your tracker’s notes or spreadsheet instructions. Consistency is more useful than pretending there is one universal definition.
Pick a tracking method you will maintain
There is no established universal ranking of game trackers. The practical choice depends on how much history you want to record, whether you need imports or exports, and whether community features matter.

Use one primary system rather than maintaining two complete databases. If you like a social tracker but want insurance against service changes, export or copy the important fields on a schedule when the service supports it.
Set up a tracker in a single pass
Do the initial setup in batches. Entering every possible detail before you have a working workflow is the fastest way to abandon the project.
- Make an inventory. List games you own physically or digitally, games installed on your devices, and games you can currently access through subscriptions. Do not add every game you have ever heard of; those belong on a separate wishlist.
- Record the platform or storefront. Use a consistent value such as PC, PlayStation 5, Xbox Series, Switch, or a specific storefront. If a game exists on several platforms, record the one tied to your copy and add another entry only when the distinction matters to your history.
- Assign one current status. Put each title in Backlog, Playing, Played or Wishlist. If your system has a custom shelf, use it for a reason you can explain, such as “short games,” “co-op candidates” or “paused.”
- Mark the active rotation. Limit Playing to the games you realistically expect to open soon. A small active set makes the backlog visible instead of turning the status into another archive.
- Add completion or playthrough dates only where known. Enter an exact date when you have one. For older games, use an approximate note rather than inventing precision. Keep separate records when you replay a title.
- Choose optional fields deliberately. Add total time if you use it to decide whether to start another long game; add a rating if you compare your own tastes; add notes if you want a memory aid. Leave unused fields blank.
- Set a review cadence. A five-minute weekly review is enough to move finished games, remove abandoned titles from Playing, and select the next game. A monthly cleanup can handle duplicates and platform changes.
Using Backloggd for detailed play history
Backloggd’s documented model separates a title’s status from its logs. A log represents a playthrough, and the journal calendar lets you mark the days on which you played. That structure is useful when “I finished this game once” is not enough information.
When its log model helps
- Record a first playthrough and a later replay as separate logs instead of overwriting the original date.
- Use daily journal marks when you want to understand your rhythm rather than only your final completion date.
- Attach time, ratings and notes when those details support a later decision or preserve a meaningful memory.
- Track ownership and platform so a game you played on one device is not confused with a copy you have not installed elsewhere.
Library organization updates
A September 16, 2026 changelog entry describes library entry pages grouped by ownership, platform, storefront or none, with library-specific filters and search. This can help separate “games I own on this platform” from a broad list of every title associated with your account. The exact labels and behavior can change, so follow the current interface when creating a library entry.

Account and mobile expectations
Backloggd’s about material states that creating an account and its current features are free, with an optional Backer status. Its help material describes the website’s mobile view as optimized for phone screens. That evidence does not establish a separate native mobile application, so treat it as a responsive web experience unless the service currently says otherwise.
Using Grouvee for shelves, imports and a timeline
Grouvee organizes games through Playing, Played, Backlog and Wish List shelves, and it documents unlimited custom shelves. This is a good fit when your primary question is “Which category belongs to this game?” rather than “What happened in every individual session?”
Build shelves that answer real questions
Keep the standard shelves for lifecycle status. Add custom shelves only when they change a decision. Examples include “local multiplayer,” “under 10 hours,” “paused,” or “games for a new handheld.” Avoid making a shelf for every genre unless you routinely use that distinction.
Import a Steam library carefully
Grouvee says Steam imports run once a day. It also notes that some imported games may need mapping when an automatic match is incorrect or incomplete. After the first import, check a sample of your library, correct mismatches, and decide how you will handle downloadable content, bundles and duplicate editions. An import reduces initial typing; it does not decide your status or completion history for you.
Use the timeline and export
The service describes a timeline of games played, plus ratings and reviews. Its help material documents CSV export, which gives you a local copy that can be inspected or moved to another spreadsheet. Export before making a large cleanup, and keep the exported file dated so you know which snapshot is current.

A spreadsheet works when you want control over columns or do not want your records tied to a particular interface. It is also a practical fallback if a service does not provide the field you care about.

Use a second sheet for session-level records if you need daily detail. Give it columns for date, game, platform, minutes, and a short note. A separate session sheet prevents the main inventory from becoming one row per day. If you do not review session data, omit it and keep only the completion or playthrough record.
Prevent common spreadsheet errors
- Use a drop-down for Status so “Playing,” “playing” and “In progress” do not become separate categories.
- Keep dates in a real date format rather than typing natural-language phrases such as “last summer.”
- Do not delete a finished row when you replay a game; add a playthrough record or a separate history sheet.
- Freeze the header row and enable filters before the list becomes long.
- Save a dated copy before major reorganizations. A copy protects against accidental sorting, deletion or category changes.
Record sessions without turning play into paperwork
Daily logging is valuable only when the effort is smaller than the benefit. Pick one of three levels.
Level 1: status only
After a session, change the status if necessary. This takes seconds and is enough for a backlog decision.

Level 2: milestone dates
Record the start date, completion or stopping date, and optionally a one-sentence note. This preserves a useful history without measuring every minute.
Level 3: session journal
Record the date, duration and a brief note after each session. A timer or stopwatch is one reported manual method when the platform does not provide daily duration. Treat it as optional: missed starts, pauses and interruptions make the number an estimate, not a laboratory measurement.
Use a consistent rounding rule, such as recording the nearest 15 minutes, if exact timing creates friction. Never backfill precise durations from memory; mark an entry as estimated instead.

Handle games that do not fit a simple list
Multiple platforms
Keep one title record with a platform field when the history is shared. Create separate records when ownership, save data or completion differs by platform. This prevents a completed console copy from incorrectly marking an untouched PC copy as finished.

Bundles, editions and downloadable content
Track the base game as the primary item unless the expansion has its own meaningful start and finish. Add an edition note for remasters or bundled releases rather than creating duplicates that inflate the backlog.
Early access, live-service and endless games
Use “Playing” for an ongoing game and define a personal milestone for “Played,” such as leaving the active rotation or reaching a season goal. Do not force a completion date onto a game that has no natural ending.
Abandoned games
Do not erase an abandoned title. Move it to a custom “Paused” or “Stopped” shelf and record why in one short note. You can later distinguish a deliberate decision from a game you simply forgot.
Shared accounts and borrowed games
Record the access type separately from ownership. A borrowed disc or a subscription catalog entry may disappear even though the title remains in your history. This distinction keeps your backlog from promising access you no longer have.

- After each completed game: set the status to Played, enter the finish date, and add a rating or note only if you will use it.
- When you stop playing: move the title out of Playing and record “paused” or “stopped,” rather than leaving a misleading active status.
- When access changes: update ownership or access and keep the historical play record intact.
- During the weekly review: choose one next game from Backlog, verify that Playing contains only realistic active choices, and remove accidental duplicates.
- During the monthly review: archive obsolete wishlist entries, check imported matches, and export or copy your data when the chosen service provides that function.
A backlog is not a commitment to finish everything. Removing a game because your interest changed is a successful maintenance action, not a failure.

Compare the two dedicated services by decision, not hype

These are feature matches, not claims that one service is universally better. Before committing, inspect the current settings for privacy, data retention, export, pricing and mobile access if those factors determine your choice; the cited service descriptions do not establish comparable terms for all of them.
Troubleshoot a tracker that is becoming unusable
“My backlog is too large to act on.”
Separate owned-and-accessible games from a broad wishlist, then limit Playing to a small rotation. Add a temporary shelf such as “next three” and select from it during your weekly review.
“I keep forgetting to log sessions.”
Drop to milestone dates or status-only tracking. A complete record with fewer fields is more useful than an elaborate journal with missing weeks.
“Imports created duplicates or wrong matches.”
Review imported titles against the original library, map ambiguous matches manually where the service allows it, and keep platform or edition in a note. Do not bulk-delete until you have an export or dated spreadsheet copy.
“I replay games and lose the old date.”
Use a new playthrough or log for each replay. Never overwrite the original completion date when the purpose of the tracker is historical memory.
“My spreadsheet’s categories drift.”
Replace free-text status cells with a fixed list, normalize platform names, and run a filter for blank or unexpected values during the weekly review.
Privacy, portability and continuity questions
The available service descriptions document features, but they do not provide a reliable, comparable account of privacy policies, data-retention periods or long-term service continuity. They also do not establish a built-in export for Backloggd, or mobile availability and pricing for Grouvee. If those issues are decisive, read each service’s current documentation before entering a detailed personal history.

Portability is easiest when you keep a minimal local record even while using a community tracker: game, platform, status, start date, finish date and playthrough label. For Grouvee, use its documented CSV export. For any service without a confirmed export, periodically copy those core fields to a spreadsheet rather than assuming an export will always exist.
A practical recommendation
Start this week with the four-field model: game, platform or storefront, status and a completion or playthrough date when applicable. Choose Backloggd if individual logs, daily journaling, time and platform ownership are central to your history. Choose Grouvee if shelves, custom organization, Steam import, a play timeline and CSV export are more important. Choose a spreadsheet when independence and custom fields outweigh automated importing or community features. Revisit the system after a month; the method you actually update is the correct one for your backlog.
