To track UPI merchant payments reliably, connect every sale to the payment’s transaction identifiers and status, match those records with your acquiring bank or provider reports, and then verify that the expected settlement reached the agreed merchant or pool account. Keep unmatched items in an exception log until they are resolved.

UPI network settlement and your business reconciliation are separate activities. A successful customer confirmation does not, by itself, prove that the correct sale was recorded or that the expected net amount has reached your bank account.

What UPI merchant reconciliation actually covers

Reconciliation is the controlled comparison of three records:

What’s actually slowing this PC down?

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Your sales record: the order, invoice, bill or booking that created the amount due.
  • Payment evidence: the UPI transaction identifier, reference, status and merchant details reported by your bank or payment provider.
  • Settlement evidence: the provider’s settlement report and the credit that actually appears in the merchant or pool account specified in your agreement.

A record is reconciled only when these layers agree, or when a documented fee, refund, reversal or adjustment explains the difference. A customer’s screenshot is useful evidence for investigation, but it is not a substitute for confirmation in the acquiring bank or provider’s records.

Who supplies the merchant connection

The acquiring bank onboards the merchant, supplies the UPI infrastructure and creates merchant details such as a merchant identifier, terminal identifier (MID/TID), merchant category code and UPI ID. NPCI describes QR, intent, application-based and collect flows as UPI acceptance modes. Your bank or provider agreement determines which mode is enabled, where money is credited and which reports are available.

Why network settlement is not the same as your payout

NPCI acts as a settlement agency for inter-bank UPI transactions. It calculates participating members’ net debit and credit positions from acquiring, issuing and adjustment activity. Member banks then use NPCI settlement reports with their own reports to reconcile and raise adjustments for exceptional transactions.

That member-level process does not guarantee that every merchant will see an individually labelled credit at the same moment. NPCI’s merchant guidance says funds are received immediately after customer confirmation into the merchant pool or merchant bank account according to the merchant agreement. The agreement, not a universal timetable, controls your actual destination and payout timing.

Confirm your merchant setup before accepting payments

Document the configuration once, then review it whenever your bank or provider changes an account, QR, terminal or settlement arrangement.

  • Acquiring bank or payment provider name and support route.
  • Merchant ID, terminal ID (MID/TID), UPI ID and every active QR identifier.
  • Acceptance mode: QR, intent, application-based, collect or a combination.
  • Merchant or pool account number and the account name shown on settlement records.
  • Settlement cycle, cut-off time, fees, refund process and adjustment process stated in the agreement.
  • Report locations, export formats, retention periods and user permissions.

Keep the onboarding agreement and the provider’s current help or grievance contact accessible to the person performing reconciliation. Do not assume that a replacement QR has the same merchant identifier or settlement account as the old one.

Build a transaction-level record for every sale

Record the sale before, or at the time, payment is requested. Add payment fields when the bank or provider returns them. The following minimum record works for a shop, service business or online order system.

Field What to capture Why it matters
Sale reference Order, invoice, bill or booking number Connects the payment to what the customer bought
Amount and currency Amount requested and currency as recorded by your system Prevents a correct payment from being matched to the wrong sale
Date and time Timestamp with time zone Supports cut-off, duplicate and delayed-status investigations
UPI transaction ID The identifier returned by the bank or provider Primary key for searching a transaction
Transaction reference Reference supplied in the payment response or report Useful for reconciliation and disputes
Merchant identifier MID/TID or UPI ID used for the collection Separates payments across stores, terminals or QR codes
Status Successful, failed, pending, reversed, refunded or adjusted Prevents an unresolved payment from being treated as a completed sale
Adjustment link Refund, reversal or adjustment reference and amount Shows why the original amount no longer equals the settlement

NPCI’s merchant-intent guidance specifically identifies a transaction ID, transaction reference number and success or failure status in the merchant application response. It describes the transaction reference as a customer reference number for reconciliation and disputes. Merchants using QR, collect or another mode should store the equivalent identifiers supplied in that mode’s bank or provider records.

Use stable identifiers, not names or screenshots

Customer names, phone numbers and free-text notes can contain spelling differences and privacy risks. Match on transaction ID and reference first; use amount, merchant identifier and time as corroborating fields. Store a screenshot only when needed for an exception case, and restrict access to staff who handle payment investigations.

How to verify that a payment succeeded

The exact screen and labels differ by acquiring bank or provider, but the decision logic is consistent.

QR payments

Use the merchant dashboard, application or bank report tied to the QR’s MID/TID or UPI ID. Confirm that the transaction appears with a successful status, the expected amount, and a timestamp within the sale window. A soundboard tone, customer screenshot or customer statement alone does not confirm receipt.

Intent payments

When an app launches a customer’s UPI application, capture the returned transaction ID, transaction reference and success or failure status in your order system. Treat a missing or interrupted return response as unresolved until the acquiring bank or provider confirms the transaction. Do not automatically create a second charge request while the first attempt is still pending.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Application-based and collect payments

For an application or collect request, check the provider’s transaction record rather than relying only on the customer’s approval screen. A collect request can be approved, declined, expired or left pending; your sale should move to the completed state only on the status your provider defines as successful.

When the customer says “I paid”

Ask for the transaction ID or reference, amount and approximate time, then search your merchant record and provider report. If the identifiers do not appear, keep the order on hold or use your documented fulfilment policy. Never mark an item paid solely because the customer displays a debit notification: the customer’s bank debit and the merchant’s confirmed credit are different records.

Daily reconciliation procedure

Run the following process for each business day or provider settlement cycle. Some providers report by calendar day, while others use a cut-off time; use the period defined in your agreement.

  1. Freeze the sales period. Export or save the day’s orders, invoices and cancellations, including unpaid and partially paid items.
  2. Export payment evidence. Download the acquiring-bank or provider transaction report for the same period. Preserve the original file and note the report’s generation time and time zone.
  3. Normalize fields. Standardize date formats, remove accidental whitespace from identifiers and ensure amounts are treated as numeric values. Do not alter the original export.
  4. Match identifiers first. Match the UPI transaction ID and transaction reference to your sale reference. Then verify merchant ID/TID or UPI ID, amount, date/time and successful status.
  5. Separate statuses. Put successful collections in the matched set. Keep failed, pending, reversed, refunded and adjusted records in separate queues.
  6. Check duplicates. Search for one transaction ID linked to multiple sales and multiple transaction IDs linked to one sale. Investigate before fulfilling or refunding either item.
  7. Compare totals. Calculate gross successful collections, documented refunds and reversals, provider fees or other contractually stated deductions, and the expected settlement amount.
  8. Verify the bank credit. Compare the expected amount and settlement date with the actual credit in the agreed merchant or pool account. Record the bank statement reference.
  9. Open exceptions. Log every unmatched sale, report-only transaction, status conflict, unexplained amount difference or missing credit.
  10. Assign and close. Give each exception an owner and next action. Close it only when a provider report, adjustment, refund or bank credit explains the item.

Matching order that reduces false matches

Use this priority order:

  1. Exact transaction ID.
  2. Exact transaction reference.
  3. Merchant ID/TID or UPI ID.
  4. Exact amount.
  5. Date and time within the provider’s stated tolerance.
  6. Sale or invoice reference and operational notes.

Amount and time alone are unsafe matching keys, especially when a business receives many payments for the same price.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Reconcile settlement to the actual bank credit

The settlement check asks a different question from “Did the customer pay?” It asks, “Did the amount due under our arrangement reach the correct account?”

Layer Evidence What you can conclude
Customer payment Customer’s UPI authorization and bank debit notification The customer initiated or approved a payment; it is not conclusive merchant receipt
Merchant transaction Acquirer/provider report with transaction ID, reference and status The merchant system recognized the payment and its state
Network/member settlement Bank or provider settlement report and adjustments Participating members’ net positions were processed
Merchant payout Credit in the contracted merchant or pool account The expected funds reached the account you must reconcile

Calculate the expected credit from the provider’s settlement report and your agreement. Include a fee, refund, reversal or adjustment only when the report and agreement identify it. If the report says funds settled but the bank statement does not show the credit, retain both references and escalate; do not silently write off the difference.

Maintain an exception log

An exception log prevents a disputed payment from disappearing into email or chat. Keep one row per issue with:

  • Exception number and date first seen.
  • Sale or invoice reference.
  • UPI transaction ID and transaction reference.
  • Merchant ID/TID or UPI ID.
  • Amount, currency, transaction time and settlement period.
  • Current status and the evidence reviewed.
  • Assigned owner, next action and due date.
  • Provider case or grievance number.
  • Resolution, adjustment reference and closure date.

Customer debit, no merchant transaction

Search by every identifier the customer supplied and check whether the request is pending, reversed or attached to another merchant ID. If the transaction remains absent, open a case with the acquiring bank or provider. Keep the sale pending according to your fulfilment policy until the merchant-side status is confirmed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Merchant transaction, no matching sale

Check duplicate orders, walk-in sales, cancelled bills and payments made against an old QR. Do not allocate the money to a customer based only on amount. Place it in an unidentified-receipt queue while the transaction and sales records are investigated.

Successful transaction, missing bank credit

Compare the transaction report with the settlement report, then check whether the agreement uses a pool account, a delayed cycle, a cut-off or an adjustment. Verify the destination account and statement period. Escalate with all references if the contracted credit is still absent.

Settlement total does not equal the bank credit

Recalculate gross collections, refunds, reversals, fees and adjustments. Check whether the bank credit combines several cycles or includes another merchant ID. Request the provider’s settlement and adjustment detail instead of creating a manual balancing entry without evidence.

Refund or reversal has no linked original

Search the original transaction ID and reference, then link the adjustment to the original sale. If no link exists, keep the adjustment open and ask the provider for the source transaction and effective date.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

End-of-day controls

A concise daily close should produce an auditable result, not just a total.

  • Sales export saved for the defined period.
  • Provider transaction and settlement reports saved in their original form.
  • Matched successful transactions counted once.
  • Pending, failed, reversed, refunded and adjusted items classified.
  • Expected settlement calculated from documented figures.
  • Actual bank credit identified by statement reference.
  • Exception log reviewed, assigned and dated.
  • Reports and bank evidence stored with controlled access and a retention period appropriate to your accounting and legal requirements.

NPCI’s 2017 member-bank circular describes downloading settlement files and adjustment reports and reconciling payable and receivable general-ledger accounts daily. That is useful bank-operations context, but it is not a universal merchant deadline. Follow your provider’s current procedure and your own accounting close policy.

Choose a provider or workflow that makes reconciliation possible

When comparing acquiring arrangements, evaluate the evidence and operating process, not just the ability to display a QR.

Decision area Questions to ask Why it affects reconciliation
Payout arrangement Is credit direct to the merchant account or through a pool account? What timing and cut-off apply? Defines what bank credit you should expect
Evidence access Can you export transaction IDs, references, status, settlement totals and adjustments? Determines whether records can be matched and audited
Exception process Where are grievances filed, which references are required and how is progress tracked? Shortens the path from mismatch to resolution
Integration mode Does QR, intent, application-based or collect fit your sales flow? Changes which response fields and failure states you must capture
System matching Can reports be joined to order or invoice references and bank credits? Reduces manual work and duplicate allocation risk

RBI’s 17 September 2019 discussion paper describes payment-aggregator services that may include reconciliation, management information, transaction-to-fund-flow matching and merchant settlement. It distinguishes an aggregator that may handle and transfer funds from a gateway that provides technology infrastructure. Use those categories to clarify responsibilities with a provider, not as a substitute for checking its current contract and reports.

Ask for a case number and record the provider’s response and any adjustment reference in the exception log. Keep customer data to the minimum needed to identify the transaction.

Practical controls that prevent recurring mismatches

Keep one QR identity per operating location

Label each approved QR with its store, terminal or channel and maintain an inventory of active and retired identifiers. This makes a report-only transaction easier to place and prevents staff from accepting payments into an untracked QR.

Separate operational and accounting statuses

“Customer says paid,” “provider shows pending,” “provider shows successful” and “bank credit verified” are different states. Define which state permits fulfilment and which state permits accounting close.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Protect the source records

Restrict editing of transaction IDs and report exports. Store an immutable original export alongside any cleaned working file, and record who changed a classification or linked an adjustment.

Test the exception path

Before a busy period, confirm that staff know how to find a transaction by reference, identify the acquiring-bank contact and record a case number. A reconciliation process that works only when its author is present is not a reliable control.

Bottom line

Track each UPI collection from sale reference to transaction ID and reference, verify the provider’s status, match the transaction report to settlement evidence, and confirm the expected amount in the contracted bank or pool account. Treat pending, reversed, refunded, adjusted and unmatched items as explicit exceptions. When evidence conflicts, the acquiring bank or provider is the authoritative route for status and grievance handling; retain every identifier and report needed to prove what happened.
